Position Description Overview: The Project Management Office Director is a new position and is responsible for ensuring that Chapters Health System’s project management standards are upheld and clearly defined throughout the entire process of each project’s development and execution. The Director will oversee the work of all project management office personnel, and take ownership of the resulting quality of each project. The Director collaborates with other department stakeholders and is responsible for timely and accurate project status reporting to executive sponsors and the executive leadership team. The PMO Director will report to the CIO, oversee two project managers and other IT staff that manage projects. The Director will oversee the status of projects in the project portfolio and will ensure the status reported to the CIO and executive leaders is timely and accurate. This position will oversee the project portfolio which includes both IT projects and facilities projects and enterprise projects including acquisitions and new service lines. At any given time there are generally 30-40 projects underway.

The Project Management Office Director will have an opportunity to work with a mission-driven organization with a visionary new CEO in the midst of an EHR vendor selection.

Position Objectives: • Mature the project management function within Chapters Health by improved

status reporting to executive leadership, project sponsors and the IT steering committee

• Apply a formalized project management methodology to the project portfolio • Implement a project management solution for improved time tracking, resource

allocation, and project status visibility • Continue to mature the project intake process • Provide project oversight, in tandem with the Chapters Health leadership team and

key business stakeholders/project sponsors, for vendor selection and implementation of an EHR

• Provide project oversight, in tandem with Chapters Health leadership and key business stakeholders for the implementation of Workday

• Mentorship and training for project managers

Responsibilities: • Develop, implement, and maintain PMO processes, tools, metrics, and policies that

support completion of projects on time and on budget. • Lead projects and manage PMO staff leading projects; develop and maintain

detailed project plans, prioritize tasks, set deadlines and assign staff to deliverables. Proactively ensure tasks are completed by holding staff assigned accountable and escalating to appropriate managers as needed.

• Analyze project data for each project, including the proper distribution and allocation of resources, the implementation of budgets, and the quantification of monetary risk and impact

• Ensure accurate completion and approval of core project documentation, including project charter, detailed budget plan, return on investment (ROI), and benefits realization.

• Forecast resource capacity by tracking current and planned projects across project portfolios

• Ensure IT and PMO project portfolios are aligned with operational and strategic objectives of the organization

• Oversee governance approach for managing project portfolio(s), managing and reporting on projects’ progress and ensuring project requests procedures are established and followed across the organization.

• Develop reporting and communicate the status of all project portfolios to all stakeholders within departments, affiliates and the enterprise.

Qualifications: • 8 years of project management experience; 4 years of management experience • Demonstrated success managing a range of complex medium to large projects • PMP certification • Exceptional written and verbal communication skills • Ability to manage relationships with a range of stakeholders including executive

sponsors, department leadership, and business/system analysts • Proven background in educating enterprise-wide staff members about the value of

a PMO • Healthcare experience preferred
