Banquet and Event Details To ensure our entire team is prepared and all your needs are accommodated we request that the final details of your event be submitted 2 weeks in advance of your event.

Security The hotel shall not assume liability for any damage, loss of any merchandise or articles left in the hotel prior to or following a banquet or meeting. Arrangements for security of exhibits, merchandise or meeting room articles may be set up through our Event Management team. Liability The hotel reserves the right to inspect and control all private functions. Liability for damages to the premises will be charged accordingly. The hotel reserves the right to cancel any event that has been interpreted to have been misrepresented in the booking, or if a group’s intentions appear to be controversial or destructive to the premises. If guest, their guests and invitees or agents of the guests violate the law, the function may be terminated without refunds. The hotel cannot assume responsibility for personal property and equipment brought onto the premises.

Food and Beverage All food and beverage served in the hotel is to be provided by the hotel. Dietary substitutions can be made available upon request. Any food and beverage functions cancelled are subject to a cancellation fee based on the sales contract. Food and beverage prices may change without notice. If alcoholic beverages are brought on premise (or elsewhere under the hotel’s alcoholic license) the hotel will require the beverages to be dispensed by hotel servers and bartenders only. The alcoholic beverage license requires the hotel to (1) request proper identification (photo I.D.) of any person of questionable age and refuse alcoholic beverage service to the person if either underage or proper identification cannot be produced and (2) refuse service to any person who, in the hotel’s judgment, appears intoxicated.

Guarantee Agreement The guaranteed number of guests is required a minimum of 72 hrs (3 business days) prior to the function and is not subject to reduction. You will be billed for the guaranteed number or actual attendance, whichever is greater. We will prepare to serve 5% above the guaranteed attendance figure.

Service Charge and Tax A Service Charge of 22% and applicable sales tax will be added to all food and beverage, meeting room rental, and audio visual equipment. Service Charge and Tax may change without notice. Menu Tasting Complimentary taste panels may be arranged for definite business on special menus for up to 4 persons. Additional attendees can be accommodated at 50% of the menu price. Audio Visual and Event Technology Any special electrical or technology requirements must be specified to our event department at least three weeks prior to the function. Fees will be based on services required and labor, power & bandwidth needs. A wide selection of audio visual equipment and services are available in-house on a rental basis. Orders may be placed through our event department. Outside audio visual is not permitted without written approval from the hotel. The hotel will charge electrical and technology patch fees, as required, for equipment brought in or provided by any outside sources. In addition, the hotel reserves the right to charge up to 50% of assessed value for services and equipment rentals brought in or provided by any outside sources.

Cancellation and Performance All Cancellation Notices must be received in writing. Should you change your event site to another hotel, location, or otherwise cancel your event, actual damages would be difficult to determine. The following schedule represents a reasonable effort on behalf of the hotel to establish its actual damages for such cancellation. It is agreed that such schedule shall represent liquidated damages to be paid by you for cancellation of your event. •Cancellation of event within one year, but more than (180) days before event date; 50% of anticipated gross revenue, derived from food, beverage, audio/visual and room rental, if event was held as scheduled. •Cancellation of event within (180) days of event date; 100% of anticipated gross revenue, derived from food, beverage, audio/visual and room rental, if event was held as scheduled.

Billing and Deposits We welcome new accounts and require that credit be established with our Accounting office thirty days prior to the arrival date if you require billing privileges. Credit can only be established for functions over $2500. Approved billings are payable within 30 days of receipt of statement. In the event billing arrangements are not made, full payment is due 3 working days prior to the event or guaranteed with a major credit card. Advance deposits, when required, are non-refundable (unless otherwise stated on contract).

Special Delivery Instructions Because there is limited storage space, boxes can be accepted no more than three working days prior to your meeting. A storage fee of $5.00/per day, per box will be applied to any materials shipped earlier than three days prior to the event. Boxes left on the premises for longer than one week after departure without shipping instructions will be discarded. Any item over 250 pounds must be delivered to a drayage company; your Event or Convention Services Manager can assist you with these arrangements.

Advertising All reference to the hotel, in any advertising, must be approved in writing by the hotels Director of Sales/Marketing. Failure to do so may, at hotels discretion, render all agreements void and guest will forfeit all monies paid and be liable for full payment of contracted services, due on demand.

Shipping & Receiving All incoming packages should be addressed to your Event or Convention Services Manager and marked with the company’s name and date of your meeting.

Function Rooms Function rooms are assigned according to the guaranteed number of guests. If there are fluctuations in the number of attendees, the hotel reserves the right to assign accordingly the banquet function room. Room Set-Up All set-ups are based on all standard set-ups, excluding classroom style. Extensive meeting room set-up and any furniture removal fees will be based on size of meeting room, scope of services and labor involved. These fees are in addition to any Meeting Room Rental and are subject to applicable service charge and sales tax. The hotel reserves the right to charge an additional fee for set-up changes made the day of the function.

Signage, Displays and Decorating In order to preserve the integrity of the hotel and to comply with local fire codes all signage, displays or decorations and their set-up is subject to prior approval of the hotel. Scotch-tape, nails, push-pins or any other damaging fasteners may not be used to hang any material on walls in the hotel. Banners may be hung with the approval and coordination of the Event Department. Fees apply based on number of banners. No hand-written signs or banners are allowed in the public areas of the hotel. Please ask the Event Department to assist in generating computer signs or recommend a professional sign maker. The hotel reserves the right to charge an additional fee for excess clean up and/or damage at the conclusion of the function.
