We recently caught up with board member Gail VanHoy Carolan (above), co-chair of the Treasure the Future campaign, to get her perspective on the campaign, including new developments…

Gail, you’ve been hard at work on this major campaign for The Music Hall since 2008. Tell me, how is it going? How do you sustain your interest and passion?

The ground work and planning started in 2004 when we recruited Patricia Lynch to create a highly diverse and engaging series of programs that ex-panded The Music Hall and positioned us to enter a campaign of this scope. What really excites me about this campaign is the connection among the arts, community and the economy. Bringing people downtown creates a more vibrant urban scene... better restaurants, shops, businesses and living opportunities. All that adds up to Community. My husband and I moved here in 1998, and have met many of our friends through this theater.

You’ve seen the community transformed. Is this what keeps you and your Campaign committee in gear?

The campaign has been highly energized by the projects accomplished so far. As we’ve raised money, we’ve fixed the roof; uncovered the original 1878 murals on the dome; saw the cherubs on the proscenium arch from 1901 reappear; and created a true gathering place in the lobby. And through the buzz and excitement of those projects the theater continues to thrive. We have more projects to do both visual and setting the theater up for long-term sustainability. This dynamic campaign committee is excited, and the community and our patrons are as well – and that’s what keeps us going!

What’s the current project?

The Loft is underway and will allow us to fully real-ize our strategic vision to reach out to kids and lifelong learners, to expand upon our key signature offerings, to present “right” sized shows for us and community partners, and allow Patricia a venue to continue to realize her programming vision. There is a lot to look forward to. I’m now, however, moving towards the next area of focus…the backstage where the “magic” to create a show takes place.

What do you mean by magic?

It’s a small miracle each time The Music Hall’s production staff puts together a show. What you don’t see when you sit in the theater is that all the backstage rigging is circa 1901 – it’s that antique in design. Imagine trying to write a book today with an oversize ledger and a quill pen. Everyone knows you can’t be a century behind and be effective in your work. It takes us days longer than a modern-ized theater to get our show “load-ins” accom-plished. It’s a fact, it’s compelling, it’s part of that long term sustainability.

Any other favorite projects in this campaign?

One critical project is the green room where we are hosting artists like Margaret Atwood and Chris Botti in the dingiest of conditions – it’s pretty embarrass-ing. I am really excited about starting to recapture the historical finishes of the staircases and upper lobby, but the one project that I (and I believe every-one) most looks forward to is the chandelier. It’s the finish line, and the reward for a lot of hard work.

We recently spoke with Board Treasurer Harry Schult and CFO, staffer Kris Briggs. Both are CPAs, the former, an Ernst + Young partner for 28 years, an experienced CFO and treasurer of Trinity Repertory Theatre; the latter an MBA with 15 years with nonprofits and the arts.

What is the most challenging aspect of The Music Hall’s finances?

HS: You are only as good as your last show! Operations provides only 60% of operating income, the remainder must be fundraised.

KB: Juggling priorities: managing human resources, tracking two budgets (operating and capital cam-paign), planning cash flow, monitoring construction finance and monthly closings. Ticket sale receipts are liabilities until a show occurs which means revenue and expense recognition is tied to skillful marketing.

The Music Hall recently developed a financial dashboard under your collec-tive guidance. How does this help board members?

KB: In addition to monthly financial statements, Board members now can see a concise, one-page summary that helps them assess and steward the organization’s financial health.

What advice can you give other nonprof-its when thinking about their financial house?

HS: A nonprofit organization needs a competent CFO with business acumen – we have that in Kris Briggs – also the involvement of the E.D. and the

Board in financial affairs.

The year end is rapidly approaching - what vehicles can people can use to give to The Music Hall or its capital campaign?

HS: Dickens’ immortal Scrooge reminds us each Christmas of the joy of giving generously. We all can enjoy this experience by donating to the cam-paign! Seriously, as we approach year end, many people plan their finances and think of charitable giving. A portion of my campaign gift is a donation of my 401(k). If I were to designate an individual, that money would be taxable to them, not so a do-nation to the Music Hall. We can assist you in being creative.

KB: Give Music Hall memberships as gifts, and friends and relatives can save money on upcoming shows for a year! Or support our Master Classes by contributing a cash gift to our annual appeal. For prudent tax planning, donate appreciated stock to The Music Hall capital campaign by 12/31 and get a 2010 charitable gift deduction. If only Scrooge had known!
