CR -3245 / 3238: Enhancements to Webinar Conference Feature: 1) Separate Webinar URL Field; 2) “Propagate

Webinar” Button

NOTE: The details of this CR are updated in this version of this document.

Overview: Previously, the webinar link needed to be inserted in the notes section of the learning object instance

with the words Web Conference URL = . A new field “External Webinar URL” has been created to insert the

meeting link.

Step by step:

1) Step 1: In the ILT learning object instance, enter the webinar link in the External Webinar URL box. Click

save and exit after all information is entered

NOTE: Once the Webinar info is saved, a separate service will run to create the Webinar Link. This service runs

every 10 – 15 minutes. If wishing to make the webinar available immediately, see the below steps.

2) Step 2: Click on the learning object instance with the added webinar link.

3) Step 3: Click on the “Propagate Webinar” button in the upper right side.

4). Step 4: A confirmation message will appear in the upper left side, “Webinar Propagation Success”

5). When you exit from the screen, the webinar icon will appear in the learning object instance list.

6) In the user’s My Task list, the webinar icon will appear next to the classroom course. Click on the conference

icon to launch the webinar.

CR -3126: Enhance SCORM Search in LO Details

Overview: When creating / editing a new On-Line Training course and adding a SCORM Course file, you now have

the ability to ADD/Remove SCORM with additional search capabilities.

Step by step:

1) Step 1: Select SCORM WBT Type from Dropdown (SingleSCORM, MultiSCORM), when creating a new On-

line Training Course. Then Select Add button in Scorm Course Section:

2) Step 2: The Add Scorm window will open. Click on the magnifying glass Search icon.

a. You can search by Scorm Name, ScormID, or by alphabetically (first letter of Scorm Name)

3) Step 3: Once you find the Scorm file from the list, select the hollow box next to the ID # and select the Add

scorm button. Then Scorm Course file will be visible in Scorm Course in text box.

CR 3039: Enhancement to Assignment Excluded / Add Users Sections – 1) Sorted alphabetically; 2) Print Selection List

button added

Overview: Feature upgrade applies to assignments. For NON -individual Assignments (the default) the Excluded

Users Section will now 1) show the listing of users alphabetically; 2) Print Section List button which will provide an

Excel exportable listing of all users in the Excluded Users section for that assignment. For Individual Assignments,

the Add Users Section will also be sorted alphabetically and there will similarly be a Print Section List to export a

listing of users that have been added to that section.

Note: Only users for that specific section are exported.

Step by step:

1) Step 1: Add users to the Add / Excluded Users section per the current process. The system will default

sort by User name (last name, first name, middle initial)

2) Step 2: If a large listing and wishing to see the full listing in an excel file, click the Print Section List button.

3) A report of the users in that section will popup. Use the current process to either print or export to an

excel file.

CR -3246: Enable Admin Customization of Scheduled Reports Run Time.

Overview: In Advanced View> Reports Tab> Scheduled Reports Tab, you have the ability to adjust the report run

schedule when you Click on the New to Schedule report type, run time.

Note: A future upgrade is under consideration to allow selection of specific days / dates to schedule these

reports. This is NOT part of this EOY Release.

Step by step:

1) Step 1: In Advanced View> Reports Tab> Scheduled Reports Tab, select the report New

2) Step 2: Select Report parameters such as Report Schedule Name, Report, scheduled hollow box,

Scheduled Type: Daily, Weekly, Monthly, Quarterly, Six Monthly, Yearly, Export Type: PDF, Excel, Excel-

Data Only, Change Run time- to a specific time of day. Then hit save

CR -3117: Extend Division Lookup Option when requesting Availability

Overview: Extends Ability to Search Availability by either graphical, folder-based tree structure or Division Lookup

search process from Assignments, to Learning Object Instance, Reports and Team / Users > Groups.

Note: Upon Request, this can also be extended to the Division Selection when creating New Users.

Step by step:

1) When using the normal graphical, folder-based tree structure in Assignments, LOI, reports, User Details

(Create New User), User > Groups, there is a link, just above the says Division Lookup. User can use the

tree structure to select the specific organization, region, facility or division and / or they can select, the

division lookup link to sort and filter using the lookup tool.

a. Note: In features other than Assignments, Division Lookup may be grey and there may / may not

be a separate Show List View option.

2) Step 2: If clicking Division Lookup, the Select Division Screen will popup.

3) Sort and filter to find the result set. Check the checkmarks next to the desired division and click the Add

(or Add Division) button:

4) The popup will be closed and the new divisions added. (For multiple division selections, e.g. assignments,

it will append to any existing selections)

5) After saving you can confirm by using the show list view. if a large list you can click within the result set.

Click Ctrl+A to select all the selected records, Click Ctrl+C to copy to the clipboard and then paste in

notepad, Word, Excel or the program of your choice to review the list.

CR -3132: Allow CSA to Inactivate Non-Default Notification Messages.

Overview: Enables CSA to inactivate Notification Messages that are no longer applicable.

Note: Default Messages ID 1-15 cannot be made inactive & It is up to the CSA to ensure the message is not

associated as an attribute for other active objects (e.g. Learning Object, Assignments, etc.)

Step by step:

1) Step 1: CSA (only) Access Notification Message List.

2) Step 2: Select desired message to inactivate

3) Step 3: Click Edit to Enter Edit mode.

4) Step 4: Unselect the Active Check box and click the Save button

5) Step 5: You can view active / inactive items using the Search Tool, Magnifying Glass Icon, Feature.

CR -3041: Reset SCORM & Reset Test Attempts for SCORM TESTS

NOTE: The details of this CR are updated in this version of this document.

Overview: If a Course has a SCORM Test and if the User is Moved into a Completed Failed Status the Admin can

both Reset Enrollment (available previously) and by clicking the NEW Reset Test Attempts link, will also reset both

the SCORM Test and Tracking.

Step by step:

1) Step 1: In the roster view, select the user with a status of “complete failed” you wish to Reset Test

Attempts.

2) Step 2: Go to the Actions button and select Reset Enroll from the drop down and click

upload/update roster button

3) Step 3: User is now in enroll status and the Reset Test Attempts icon is now visible. Click on

Reset Test Attempts icon, to reset SCORM course from the start and user is able to retake the

test SCORM course is complete.

CR -3228: Enhance Advanced Search by CEU to Include both Credit Units & Credit Hours

Overview: In Search Tab, under Advanced Search Criteria, Users can search for courses by CEUs- CE Hours and/ or

CE Units

Step by step:

1) Step 1: Go to the Search Tab. Under Criteria select Advanced Search.

2) Step 2: In Advanced Search, scroll down to CE Hours or CE Units and use Dropdown to select CE Hour to

search by (1-5+ hours) or CE Units to search by (1-5+ units), then scroll up and select the Search button.

Your Results list will reflect courses with that CE hour associated. You can enroll self or team depending

on role.

CR -3217: Request for larger Acknowledgement Text and Checkbox.

Overview: When creating an Online Training course and a WBT Type = Acknowledgement is selected and

Acknowledgement Text is entered, the Text and Checkbox FONT SIZE will be larger than prior to the change.

Step by step:

1) Step 1: Create Learning Object – Online Training Course, enter required attributes, Select WBT Type =

Acknowledgement and add the Text Message you wish the user to see and check. When ready, click Save.

2) Step 2: When user launches course, Acknowledgement message and checkbox appear at top of form in a

larger size / font than prior version. User must Click (prior to selecting Exit) for course to complete.

CR 3162: Font Size Increase to distinguish Certifications in Overview Tab

Overview: When looking at their course list in the Overview Tab, if a course is part of a Certification, the font size

of the name of the certification has been increased. This will allow users to more clearly see which courses are

part of which certification (if any).

Note: This item (& a similar change to distinguish assignments) is still in testing and may appear differently

when testing and / may not be part of the EOY Cycle.

Step by step:

1) Step 1: User access the Overview Tab and focuses on their course listing in the lower half of the page, My

Task List. Notice that the course name uses a larger font.

2) Step 2: If a course is part of a certification, the Certification Name, will also use a larger font.

IL-606: Sort CBT Launch Attempts Order Sequentially by Date / Time

Overview: Enhances the CBT Attempts Section of Session Details by ordering sequentially by Data / Time.

Background: Admins can track the time users spend working on specific CBT by accessing the course Session

(Roster) Details and reviewing the Attempts Section. The section tracks the time from when a user clicks Launch

until when the window is closed (Note: this is not tracking actual work within the window). This is tracked for each

sub-session and a total time of all sessions is also shown Previously, this data was not sorted sequentially by date

/ time.

Step by step:

1) Step 1: Access the Roster of the specific course and use filter tools to find specific user session (You can

also access through Team / User Subtabs)

2) Step 2: Click within the row of the desired session to see the Learning Object Session Detail Screen

3) Step 3: Scroll down to see the Attempts section information on the right (above the Outline section). The

ordering is sorted by date time from oldest to newest and a total duration is provided at the bottom.

CR -3230: Add User ID to User Lookup Filter

Overview: When searching through the User List (Overview – User List, Teams Tab, Advanced View > User

Management > Users), an additional selector has been added to allow search by User ID, this is the LMS system

generated number based on data / time of account creation. For certain clients, example, those using the

Learnsoft RQI Module, this will make finding specific users easier than using other selectors.

Step by step:

1) Step 1: Access the User List (Overview – User List, Teams Tab, Advanced View > User Management >

Users)

2) Step 2: Select the Filter Tool (magnifying glass icon) in the upper right corner and in the Displaying middle

drop down, select User ID

3) Step 3: Enter User ID in Search textbox and click the Search button.

CR -3146: Increase length of New Window Launch Text Field

Overview: When the Launch New Window Option / Checkbox is selected in Learning Object Details, Learnsoft

provides a Default Design Popup Screen which provides a link by which the User Can launch the associated CBT in a

new window. If clients wish they can customize this screen at the LO Level, by placing their text, or even full HTML

page design in the New Window Launch Text Attribute textbox (using the text ###LAUNCHLINK### will insert a link

to the course). For some clients who have designed full page HTML designs, there was a prior limitation of only

allowing 1,000 Characters. This has been updated to allow 3,000 Characters.

Step by step:

1) Step 1: When creating LO, after Adding SCORM or adding WBT URL for specific content. Admin, selects

Launch New Window attribute / checkbox.

2) Step 2: The default Learnsoft Popup Screen will be utilized, unless a custom message or HTML design is

used. if selecting to customize, use the New Window Launch Text Field (Be sure to include the term

###LAUNCHLINK### to have the Click Here to Launch Link). This field has been updated to allow 3,000

characters.

CR -3131: User List- Search returns to last parameters after you click on a user

Overview: In Advanced View>User Management Tab> Users. In the User List, you can search for a user, select on a

user and then upon Exit, you will return back to the User list with the last parameters searched by.

Step by step:

1) Step 1: In Advanced View>User Management Tab> Users. In the User List, you can search for a user by (Ex:

Last Name: Smith), select a user (Ex: Kari Smith) profile and then upon Exit, User List returns you back to

last search parameters, (Ex: Last Name: Smith)

2) Step 2: User List maintains search parameter until search is cleared

CR -3231: Add specific SCORM as an attribute to Accreditations Feature

Overview: Allows SCORM file to be added as an attribute when creating / using the Accreditation Feature.

Background: The Accreditations Feature allows the Admin / Course Creator to add some alternative attributes to a

single Learning Object, such as test, printed certification, credits. The user (usually, if CBT, or Instructor, rarely, if

ILT) can then select the applicable Accreditation and the associated attributes will be applied rather than the

default. For example, a client can offer the same Learning Object to Employees and Managers, but Managers can

select the Manager Accreditation, which might require a passing score of 90, provide 3 Credit Units and provide a

printable Manager Completion Certificate, while a non-manager, may select the Employee Accreditation, which

might require a passing score of 80, provide 2 Credit Units and provide a printable Employee Completion

Certificate. This feature would (optional) allow use of different SCORM courses for both the Manager and

Employee, whereas previously only one SCORM would be used for all enrollees.

Step by step: (Please see wiki for fuller features to create Accreditations. The below just shows the steps for

adding SCORM as an attribute).

1) Step 1: After setting up and saving LO, while NOT in Edit mode, scroll to section near bottom labeled

Available Learning Object Accreditations.

2) Step 2: Click the New Learning Object Accreditation button to launch the Add Learning Object

Accreditation Details Page.

3) Step 3: Select the Desired Accreditation, Enter an Accreditation #, Use the other fields to select desired

attributes (e.g. Tests, Evaluations, Paper Certificate, Credit. If desiring to select an attribute specific

SCORM course, use the Scorm Course dropdown to select the associated SCORM from your SCORM List

4) Step 4: After All Attributes have been selected, Click Save (or Save New if adding additional

Accreditations). Accreditations will now show in the Available Learning Object Accreditations Section.

5) Step 5: When the user selects to launch course, they can choose the desired accreditation and the

selected attributes, including new SCORM file selection will apply.

CR - 3236: Enhancements to Certifications Feature: 1) Ability to Sort List Alphabetically; 2) Ability to Edit Individual LO

Parameters

Overview: The Certifications Feature has been updated to allow sorting by Course Name in the UI and editing at

the individual course level (Prior service required you to Delete and add again)

Step by step:

1) Step 1: Create Certification and Add Courses. When viewing Available Learning Object Section, you will

see ability to sort by Learning Object Name Link and Edit Pencil

2) Step 2: Click the Learning Object Name sort link. Toggle between ascending and descending.

3) If wishing to edit specific course parameters, click the Edit link (Pencil icon) to the right of the course to

bring up the Certification Item Details Form. Make the updates and click Save.

CR 3229: Add Popup Message if Evaluation Process Not Ready for User Completion

Overview: In addition to current top of screen error messaging when user is not allowed to completed popup (e.g.

before or after evaluation start & end days respectively, requiring course to be marked completed by the

instructor first, etc.) there will now be a popup box which also displays the message.

This is optional at the Client Level and is turned off by default. If you wish to have it enabled, please discuss with

your project manager.

Step by step (If enabled for your Organization):

1) Step 1: Create evaluation and attach to Learning Object and Set any LOI Evaluation parameters. If

enrolled the User will see the Evaluation icon in their My Courses List (or Transcript if completed CBT with

allow launch in Transcript option – another EOY Update)

2) Step 2: If clicking on the Evaluation link outside the allowed parameters, they will receive both the

message at the top of the screen of the Evaluation form and a new popup indicating the issue:

3) Step 3: The User would click OK to close the popup screen and the X in the upper right hand corner to

close the evaluation form

CR –3227: New Report: Certificate Report with all courses in alphabetical order.

Overview: This is a new report that lists all learning objects within a certificate in alphabetical order.

Step by step:

1) Step 1: Go to Reports select Certificate report.

2) Step 2: Add the certification, then click the export report button. The Certificate reports lists all courses

in alphabetical order.

CR -3241: In LO List, Display All Active Courses by Default

Overview: Previously selecting the learning objects from the simple view or advanced view, the default display

would be “Classroom Active”. Display now shows all active courses.

Step by step:

1) Step 1: In simple view, click on the learning object tab. Dropdown displays all active courses.

2) Step 2: In advanced view > learning objects > courses. Display shows all active courses.

Overview: The Roster button is no longer accessible in the user’s learning object session.

Step by step:

1) Step 1: Once inside the learning object roster, click on an individual’s session list.

ONLY FOR CLIENTS IN A MULTI-TENANT ENVIRONMENT

CR -3195: Extend Excel Uploaders for Multi-Tenant Operations.

Overview: In multi-tenant environments, the User Excel Bulk Uploader process has been updated so that if an

organization creates job structures (Job Class, Job Code, Job Position) (Note: new division structures (Region,

Facility, Department) may be added to this update) when using the bulk uploader, these items will be made

available to Admins at the appropriate levels in the multi-tenant structure when using associated User dropdowns

for future UI creation.

Step by step:

1) Step 1: Access the User List via Teams or Advanced View > User Management > Users. Use the Actions

button and UserUpload button to download the latest Excel Uploader.

2) Step 2: Erase line(s) with test data (do not erase headers) and update and save per current process to add

users, if desired.

3) Step 3: Use Action Form, Choose File button, select file and click the Update Users button.

4) Step 4: After Users are uploaded, if new job position info has been created (note: Division structure info

may be added to this as part of EOY update), it will be available in UI when creating new or editing current

users. (Note: Certain items, such as Employment Type must use existing choices; discuss with your PM if

additional Employment Types need to be added from the back end by Learnsoft development staff)

ONLY FOR CLIENTS IN A MULTI-TENANT ENVIRONMENT

CR -2861: Enhance SCORM Uploader to include Multi-Tenant LO Availability

Overview: Multi-tenant clients can now set required LO Availability using the Course Uploader Excel

Template.

Background: This process allows creation / edit of bulk amounts of Learning Objects and Learning Object

Instances using a predefined Excel Template File available through the Actions Button in the Learning

Object Feature. Course Creators / Admins can add their course info to the spreadsheet, save and then

upload into the LMS. There already exists a column to add Availability at the Learning Object Instance

Level, but clients in a Multi-Tenant environment are also required to set availability at the Learning

Object Level. This is generally set at the Organization or Region level, depending on the level in which

their Admin (or other group given such rights) rights are set. A new column has been added to allow

setting of this required field.

Step by step:

1) Step 1: Access Learning Objects List / Feature (Learning Objects Tab, Advanced View > Learning

Objects > Courses). Click on the Action Button

2) Step 2: Click the XLS Upload Link to open / save the latest, updated Excel Template (a sample

line of data is provided.

3) Erase the sample data line (Do not erase the header info) and enter the required and desired

optional information (see templates and other available documentation and training materials

for details) for all Learning Objects and Learning Object instances you wish to create or edit,

and, if a multi-tenant client, enter the LO availability value (LMS ID for Org or Region) in column

BH for each line where adding course. (For multiple entries, separate with a comma, no space).

drive or network (once selected, the path will appear in the text box to the right)

CR -3239: Make RQI Certification available similar to AHA Certification.

Overview: In User Dashboard, User can choose from completed AHA Certificates such as RQI ACLS, RQI BLS, etc.

Once you select from Certificate drop down you have the ability to view/ save/ print Credentials.

Step by step:

1) Step 1: User Dashboard> Printable Certificates, Choose from Dropdown menu

2) Step 2: Once you select from Completed certificates then click on the AHA Heart Icon

3) Step 3: The AHA Heart Icon will that you to the Certificate Site showcasing all completed Certificate

Credentials. You can go to Action>Show and it will take you to your Credential e-card, where you can Save/

Print E-card.

CR -3232: Enable Preceptor Selection for CBT ROMS

Overview: Previously, ROMS was available for Preceptors / Instructors to approve in ILT courses. This enhancement makes the Preceptor Selection Available in CBT courses as well.

1. Step 1: In the CBT learning object instance, fill out the required information and check box “Force ROMS”. Save and exit after all information is filled out.

2. Step 2: Click on the instance to go to the instance details. Click “edit” to add the Preceptor in the “Instructors” box then save (Note: This box is not available unless Force Roms is selected per above).

3. Step 3: Preceptors with Admin / Instructor Rights can access the Competency Checklist in the Roster or Specific Competencies via a link in the Instructor Dashboard. Preceptors without Admin / Instructor Rights, but with special Preceptor Group Rights can access via a link in the User Dashboard.
