Executive Summary The present deliverable has two main purposes. On the one hand, it presents all the physical
and virtual means that will be used as part of our pan-European dissemination campaign in
order to raise awareness regarding the DataBio project. Via those means the consortium
foresees to promote the concept and results of DataBio project towards selected stakeholders
and multipliers, such as the scientific community, technical experts, strategic and political
stakeholders, wider public and end-users. On the other hand, the deliverable presents the
DataBio Communication Plan, an internal instrument that aims to provide a consistent
framework for all activities needed to disseminate and sustain the achievements, benefits, as
well as technical and knowledge results developed within the DataBio Project.
Our overall stakeholder engagement strategy is being thoroughly analysed across the following
axes: foreseen communication objectives (why), selected project messages (what), targeted
stakeholder groups (to whom), methodology and tools (how), timing and workplan (when) and
finally, responsibilities (who). The analysis is being finalized with the relevant metrics for
success, as well as the annexes with all related material that is going to be maintained, followed
and updated during the whole course of the project.
DataBio project was launched in January 2017 and is designed to respond to a specific
European Union’s challenge relevant to the capability of deploying data technologies at large
scale and in a systematic manner. The project is implemented through agriculture, forestry and
fishery large scale pilots, meaning to serve as best practice example to other sectors, as well as
a source of generic solutions to all data intensive sectors. DataBio activities aim mainly at
empirical demonstration of the benefits of Big Data technologies in terms of sustainable
improvement of productivity of the best possible industry raw materials in the target
bioeconomy sectors.
This report stands for the deliverable D6.1 “Dissemination materials, website”, part of WP6
“Dissemination and Training”; D6.1 delivery date was set on Month 4 (M04). The main goal of
WP6 is the promotion of the actions and results of the project, user training and the
dissemination of the project’s results in order to support the other work packages and the long-
term goals of the DataBio project. In this document, the dissemination materials that were
created are presented along with relevant descriptions and screenshots; completed standalone
materials are presented in appendices. The promotional materials will be updated regularly
during the project’s lifecycle.

1 Introduction 1.1 Project Summary The data intensive target sector selected for the
DataBio project is the Data-Driven Bioeconomy.
DataBio focuses on utilizing Big Data to
contribute to the production of the best
possible raw materials from agriculture, forestry
and fishery/aquaculture for the bioeconomy
industry, in order to output food, energy and
biomaterials, also taking into account various
responsibility and sustainability issues.
DataBio will deploy state-of-the-art big data technologies and existing partners’ infrastructure
and solutions, linked together through the DataBio Platform. These will aggregate Big Data
from the three identified sectors (agriculture, forestry and fishery), intelligently process them
and enable these three sectors to selectively utilize numerous platform components, according
to their requirements. The execution will be through continuous cooperation of end user and
technology provider companies, bioeconomy and technology research institutes, as well as
stakeholders from the big data value PPP programme.
DataBio is driven by the development, use and evaluation of a large number of pilots in the 3
identified sectors, where also associated partners and additional stakeholders are involved. The
selected pilot concepts will be transformed to pilot implementations utilizing co-innovative
methods and tools. The pilots select and utilize the best suitable market-ready or almost
market-ready ICT, Big Data and Earth Observation methods, technologies, tools and services to
be integrated to the common DataBio Platform.
Based on the pilot results and the new DataBio Platform, new solutions and new business
opportunities are expected to emerge. DataBio will organize a series of trainings and
hackathons to support its take-up and enable developers outside the consortium to design and
develop new tools, services and applications based on and for the DataBio Platform.
1.2 Document Scope Dissemination and communication activities are conducted throughout the lifecycle of the
project. The importance of these activities is very high: upon them depend the successful
promotion of project technology and results, as they raise awareness of DataBio activities and
they attract potential supporters, end-users and customers.
The main contents of this deliverable are the project’s dissemination materials and website, as
well as the strategic dissemination and communication plan. The aim is to provide stakeholders
and the public at large with a consistent framework for all innovation activities, technical

achievements, foreground and technological results anticipated and developed by the DataBio
consortium, all of which should be disseminated and sustained, especially through WP6
activities. We aim to illustrate in clear terms the rationale behind the strategy and clarify all
dimensions and tools necessary to communicate the core messages and results of the project in
a very effective and comprehensive way. As part of this concept, the DataBio website, which is
the main information and dissemination tool that raises visibility of the project to all
stakeholder groups and the public, the project promotional material, including logo, leaflet,
presentations, brochures, posters, press releases, newsletters and papers, will be created and
regularly updated as appropriate throughout the project’s lifecycle.
This deliverable along with the materials, tools and channels therein will be uploaded and
maintained both at the project website, but also in partners’ private repositories. A description
of these tools and materials along with relevant screenshots is included in this deliverable and
its appendices. These tools and materials will be regularly updated and/or enriched as the
project evolves and acquires new information. The dissemination and communication plan will
also be updated mid-way as the project progresses, adjusting its relevance to a range of
qualitative and quantitative indicators of success as defined in the plan itself.
With regard to external interested parties and stakeholders, DataBio targets the following six
key groups with customized dissemination and communication approaches:
• Key bioeconomy players in agriculture, forestry and fishery; • Big data service providers; • Scientific community, technical experts • Policy-makers at local, national and European Union (EU) levels • Big Data research projects and associations (e.g., BDVA) • Wider public, end users
It is also expected to identify potential interested members who could add content to the
website, exchange good practices and spread the word of DataBio, increasing audience
participation. Therefore, DataBio adopts a multi-tier strategy to communicate both on local
(pilot) and international level, while strategically engaging selected stakeholder communities as
well. All interested communication targets and dissemination tools and channels were clearly
identified, which will enable DataBio project to attract a vast audience, engaging and informing
stakeholders about its scope and achievements during the entire duration of the project.
1.3 Document Structure
This document is comprised of the following chapters:
Chapter 1 presents an introduction to the project and the document.
Chapter 2 describes the dissemination material.
Chapter 3 describes the communication and dissemination strategy.

2 Dissemination Material 2.1 Visual Identity A visual identity has been created since the early stage of the project, so as to secure a strong
and unique brand, including a project logo and templates for written communications to be
used by all project partners in their communication activities. The identity is composed of visual
elements such as the DataBio logo, fonts, colour palette and templates for documents and
presentations. All dissemination materials refer to the project name, the project's website and
Horizon 2020 with associated graphic elements in line with the European Commission’s
guidelines1.
2.2 Project Logo The core of this visual identity is the logo, which was built on the idea of bringing together three
main sectors of the Bioeconomy, i.e. agriculture, forestry and fishery. The overall message
here revolves around the idea of promoting innovation and smart applications of science and
technologies DataBio implements through project activities. The logo is part of the project
communication and branding; it provides a consistently unique and coherent visibility and
identity, making the DataBio stand out relative to similar projects.

The logo was designed to communicate the bioeconomic sectors in which the project is
involved, offering a lively brand both in terms of geometry and optical impact without being
stylized or cold. For the logotype, the font Bangla was chosen, a modern font, clean, with an
image close to the style used in contemporary scientific communication. The logo is
accompanied by a pictogram (symbol) that closes it on top with a graphical hat. The link
between the name and the mark is the letter “T” that goes to form a wave embodying the sea,
a metaphor for DataBio fishery involvement.

On the top of the pictogram stylized symbols of fish, agriculture and forestry are enclosed
which end up forming a coherent geometric set. The light blue/green is predominant and it
locates itself halfway between the forest’s green and the sea’s blue, evoking several scientific
sensations in a unique color. The hot yellow color of the pictogram and the pay-off recall the
sun that ensures life on earth; finally, the color of wheat at maturity serves as a metaphor
standing for food and life to mankind. All of the above attributes make DataBio project stand
out. The practical information on the logo color references are presented in appendix IV. The
logo is available in four formats: low resolution JPG, high resolution JPG, PNG and TIFF and
vector.ai; the latter was supplied to anticipate future professional graphics; it has no definition
but it can be size-increased when necessary.
2.3 Project Templates The PPT presentation (Fig. 2), poster presentation (Fig.2), project poster (Appendix IV), leaflet
(Appendix I), Factsheet (Appendix V) and deliverable (Appendix III) templates will be part of
the dissemination package that will be used in all external and internal events, meetings,
deliverables and other cases where DataBio activities are presented. Templates will be regularly
updated and enriched during the project implementation. The templates have been designed
by CREA and validated by all partners following the graphic identity guidelines. Of particular
interest, a frequently updated power point presentation (targeted to external parties) will
provide background information on objectives, goals and partners, as well as an up-to-date
overview of results. Project Press Releases
During the project's execution up to 12 official press releases will be produced at key points in
the lifetime of the project with input from the consortium partners. Each partner is foreseen to
contribute his ideas and/or suggestions; the final document is expected to be translated into
the respective native languages of each pilot and be distributed locally by the respective
partners. Press releases are a major means of engaging target audiences with the project
activities, achievements, milestones, developments, dissemination actions and results.
Specifically, press releases will announce key innovations and pilot-related information, offering
thus, an appropriate way to inform the media, multiplier organizations, as well as the general
public. The press releases will be distributed to a press list, maintained for the purposes of the
project, as well as on the already well-established media contact lists of the consortium
members. The press releases will be also uploaded on the project website and they will be also
shared on the project’s social media accounts.

2.4 Project Brochure A high-quality colour illustrated project brochure in English will also be prepared and delivered.
Besides the presentation of DataBio project, the brochure will provide practical overview on the
state-of-the-art in data-driven bioeconomy and describe DataBio pilot cases including goals, as
well as preliminary and/or expected results. It will be developed in English and uploaded on the
project website for partners and the public to download.

2.5 Project Leaflet A project leaflet (Appendix I) comprised of a single sheet tri-fold, available in English, with a
clean, modern and attractive design was created by CREA for dissemination purposes. As such,
this flyer stands for a template for local languages and for a full-fledged DataBio leaflet in
English language. The external side of the leaflet presents the project logo and various
information on the project, the programme under which it has been funded and the logo of the
European Union. The internal part of the leaflet is also structured in three pages where the
objectives, concept, pilots and challenges are succinctly presented. In general, the art of visual
communication was implemented. The concept of scientific innovation was matched to the
objectives of the project, maintaining the chromatic tone of the project logo.
The vector designs used as background represent molecular graphics, which a metaphor for
bioeconomy biomaterials. The agricultural images used are a synthetic representation of the
three main bioeconomy target sectors of the project activities, i.e. agriculture, forest and
fishery. The schema includes stands for a graphical representation of a circuitry, a flux of a body
of (big) data from a variety of origins, converging in a specially designed project, DataBio. The
images are positioned in tandem with each other to enhance the desired chromatic contrast
and their attractiveness. The leaflet is to be distributed for dissemination/communication and
awareness raising purposes to target stakeholders during local events, conferences, workshops,
training and hackathons and other appropriate fora.
The leaflet will be available on the public website and a printable version will be also available
for partners’ use in the private area of the website and on Redmine (project consortium
internal CMS). An estimate of 2,500 leaflet copies will be printed globally by the consortium
partners for a first round of dissemination. The flyer is foreseen to be also disseminated
through other communication channels (social media, website). An updated flyer with results
will be considered during the mid-way evaluation of the Communication Plan.
2.6 Project Newsletter Five issues of electronic newsletters (one issue each six months) will be published during the
lifetime of the project following the milestones and other key events; the first issue will be
published on December 2017 (M12). The first newsletter will provide the introduction of the
project and early findings, while the bulk of the following issues will be composed of news
items about the progress, experiences and empirical findings of the project. Then, the next
versions of the newsletter will be composed of news items that relate to the project activities
and pilots. The newsletter will be clearly laid out with a heading and short appetizer texts for
each news item, followed by a link to the full-text article on the DataBio website. All issues will
be based upon substantial input from appropriate project partners. The newsletter issues’
addressees include key stakeholders at all levels on a voluntary basis; online registration is also
anticipated on DataBio website. The newsletters will be regularly uploaded on the project

website for the public to view and download and they will be shared on the project social
media profiles. The template for the newsletter is presented in Appendix II of this deliverable.
2.7 Project Poster The poster (Appendix IV) was prepared in the English language to provide the reader with
intuitive and succinct textual and graphical information about the project bioeconomy sectors
of interest along with a summary of the target achievements the DataBio consortium
anticipated to accomplish at the project finish. Also, clearly displayed on the poster there are
the project logo, the EU flag beneath, along with the declaration that “This project has received
funding from the European Union’s Horizon 2020 research and innovation programme under
grant agreement No 732064” and finally, the DataBio website. The poster was created to
attract stakeholders and a variety of audiences. It’s suggested to be used during conferences,
workshops and road shows. The poster and its printable version will be appropriately uploaded
on the project website for consortium and the public and the consortium to read, print and
download.
2.8 Project Factsheet The project factsheet (Appendix V) succinctly presents the project DataBio in one page. The
project is described taking into account the critical technological challenges that justify its
inception; a holistic Big Data picture as a business opportunity, particularly in the EU, is
presented along with the project concept, approach and the achievements planned until
project finish. In addition to the above, the information on the project budget, duration,
coordination and consortium size, as well as links to the project website, social media and two
contact emails are provided. The overall layout is consistent with all the other dissemination
material and it will be updated regularly. The factsheet is presented in its final standalone
version in English language, while it stands for a template for other partners to translate it into
respective mother tongues. It is available for the public and for the partners on the project
website.
2.9 Project Website The DataBio website will be the nexus of communication and the main tool for dissemination
during the lifetime of the project and beyond. The site will incorporate basic project
information, key results, news items, event alerts and it will also offer added-value services
such as publications, newsletter, signpost to related news/events/projects, as well as links to
the project social media and/or other communication options, facilitating the exchange of
information amongst project partners, stakeholders and wider public. The website was
designed by CREA, effectively launched on April the 30th, 2017 and will be maintained by the
designer during the project implementation and at least two years after DataBio’s completion.

The website will be regularly updated and edited if need be, particularly in terms of structure
and the contents including news, publications and downloads, in order to ease users’
navigation. At the completion of the project, we anticipate at least 1500 unique views of
DataBio website (Table 6).
There will be three levels of user rights of DataBio website.
1. The webmaster will have access to the backend and the coding of the website.
2. The dissemination leader (CREA) and the coordinator (INTRASOFT) will have access right
to the content management system (CMS) and will be able to add/modify content in the
whole website (including static and dynamic content).
3. The consortium members will have a limited access to the CMS in which they can submit
news and events. Entries will be proofread and published by CREA. Personal user name
and password, as well as a user manual will be provided by the webmaster for the
convenience of all partners.
2.10 Project Social Media Various social networks will be used as marketing tool in order to promote activities and
outputs of the project, while also encouraging a wider discussion on data-driven Bioeconomy.
DataBio will have active Facebook, Twitter and LinkedIn accounts which will be linked to the
project's website. Plaxo was initially (in the DoA) anticipated, but later on re-evaluated and
discarded as it has small impact due to it low penetration. The dissemination manager will

operate the pages, but all consortium members are expected to provide content and help
stimulating the discussion about the project and promote activities. Social media will mainly be
used as an amplifier to generate traffic for the website. At the completion of the project, we
anticipate 300 tweets, 300 twitter followers, 300 Facebook followers and about 5000 LinkedIn
followers of DataBio project (Table 6).

3 Communication and Dissemination Strategy 3.1 Messages Strong and clear keywords, slogans and messages were created to form the project manifesto.
Structuring our audiences is supposed to have real impact on what communication we produce
and how we prepare, design and distribute them. All communication activities, website, press
releases, marketing materials (flyers, factsheets, etc.) should take those messages into account.
3.2 Keywords Short mottos and keywords were created in line with the work packages messaging needs to be
succinct but still be kept at a level of easy understanding.

3.3 Target Groups In order to map the potential disseminations targets, stakeholder mapping activities have been
performed among partners, including discussions starting already from the proposal stage,
being validated during the kick-off meeting and during the first months of DataBio project, via
MC and WP-specific remote calls. Based on the results out of those discussions and after
further assessment, five core stakeholder groups were identified (refer to 1.2 “Document
Scope”); the summary for stakeholders’ tailored dissemination strategy was presented in the
below Table 1.

3.4 Dissemination and Communication Methodology Targeting the audiences defined above, DataBio will use a broad range of tools and channels to
reach each key stakeholder group. Tools may include conventional techniques such as
publications, conference papers and presentations, workshops and newsletters and more
innovative techniques including viral social media marketing (Facebook, Twitter, LinkedIn) and
utilizing communication channels of the consortium members.
The dissemination strategy has a multi-level dimension: it works both on local and international
levels. Local level dissemination will provide support and assistance to the four pilot sites:
• Agriculture
• Forestry
• Fishery
The support provided will complement the local efforts of pilot managers, who will be
responsible for the overall execution of dissemination and communication activities under local
settings. The detailed list of tools and activities and their relevance to the targeted stakeholders
in the international and local level is specified in the previous chapters of this document. The
table below provides an overview envisioned by this plan to communicate with each
dissemination target group. This matrix is a result of stakeholder mapping exercises made

already from the proposal phase of the project, being confirmed as valid also during the
project, involving all partners. The result of the exercise was completed with additional input
collected by the dissemination manager via desk research. Stakeholder mapping is an ongoing
effort through the lifecycle of the project.

As depicted Table 2, the press releases will be prepared for the wider audience including less
technical vocabulary to increase the general awareness of the project. Major research
milestones (e.g., launch of a new DataBio service or app) will be included in the press releases.
As a rule of thumb, extension easy-to-grab language will be used for target groups other than
Scientific Community and Technical Experts.
3.5 Key dissemination activities Dissemination activities are of crucial importance for the successful diffusion of knowledge, for
raising awareness and for attracting potential supporters, end users and customers.
Communication activities within DataBio will raise awareness through electronic and non-
electronic means, as well as through interactive and non-interactive activities, such as
maintaining the project portal, enabling discussion in social media, etc. The goal of these
activities is primarily to keep stakeholders abreast of project activities and securing their active
participation. This chapter outlines the activities envisioned based on the aforementioned
dissemination tools.
3.5.1 Publications, hackathons and other events
Publications in specialized journals and conferences are conventional but effective way to
disseminate project outcomes and attract interest of the scientific, business and public
stakeholders. Our initial targets include at least:
1. 5 papers per year (starting from 2018) published in specialized scientific journals; 2. 20 papers/abstracts/presentations per year in bioeconomy and big data specialized
conferences; 3. 30 workshops/events organized or actively attended; 4. 12 hackathons will be organized, two of which outside Europe. The topic of the
hackathons will be centered around the DataBio platform hub/technology and its validation.
DataBio participates in the open Research Data Pilot; beneficiaries must therefore anticipate
open access to digital data generated in the action without compromising the protection of
results and personal data, confidentiality and Security. DataBio partners will specify/motivate

data not eligible to open access: e.g., as in case this would jeopardize the achievement of the
action’s main objective.
Scientific dissemination will be performed mainly by the research partners. To support this
activity, publications will be also featured on the DataBio website. DataBio partners already
have an excellent track record of scientific publications in high-tier peer-reviewed journals,
therefore, preference for publication will be given to the most prominent international journals
and magazines, a sample of which is presented in Table 3. Key events are listed in Table 4.

3.5.2 Clustering with other projects
Currently, the clustering mechanism involves collaboration within the BDV PPP and with ESA.
Within BDV PPP, DataBio is coordinating with BDVA and other H2020 Big Data projects, e.g.
Transforming Transport (TT) 2. As an example of collaboration is the ongoing harmonization of
the DataBio platform architecture with the BDV reference model.
3.6 Responsibilities and schedule All DataBio partners have clear motivations to pursue the innovative approach of DataBio
project actions and are committed to invest their efforts in exploiting project results. Therefore,
dissemination activities will be performed by all project partners, but they will differ according
to their nature. CREA will lead WP6 “Dissemination and Training” and will be responsible for
all dissemination and (external) communication activities (T6.2), while scientific/technical
dissemination will be performed mainly by the research partners. Training and hackathons
(T6.3) will be led by LESPRO. All the other DataBio partners will contribute by actively
disseminating the project’s results through their networks. The dissemination activities (Tables
5 & 6) will also differ in intensity based on the evolution of the project and will be intensified as
soon as the first exploitable deliverables are created in order to stimulate awareness. The
dissemination activities will be carried out in three main phases, spanning throughout the
project duration and extend beyond it, with increasing level of intensity, starting from the
creation of general awareness and concluding with attracting potential supporters and
customers/users of the project results.

4 Risks DataBio milestones, work-packages and related tasks are designed and scheduled carefully to
minimize the number of complex inter-dependencies, facilitate development and reduce the
possibility of delays. Finally, the consortium agreement between the members of the project
enables the management to react swiftly and effectively in case issues arise. The following risks
(Table 8) were identified in relation to communication and dissemination activities.

5 Conclusions This deliverable presented the DataBio dissemination material, website and
dissemination/communication plan, from project start to finish. Dissemination materials and
website will be regularly updated. The importance of the deliverable cannot be overstated; the
dissemination and communication plan aims at raising awareness of the project activities,
which is key precondition for the project success and sustainability. The website and logo, key
milestones of the DataBio project, were built along with several dissemination/communication
materials and tools. These communication and dissemination activities are of crucial
importance in all stages of the project implementation. To this end, the Communication Plan
illustrated in clear terms the rationale behind the strategy and clarified all dimensions and tools
necessary to communicate the core messages and results of the project in a very effective and
comprehensive way.
The overall strategy and indicators presented in this deliverable will be executed and gradually
refined throughout the project. The Communication Plan will be revisited mid-way through the
project to gauge and adjust its relevance, while the progress of dissemination activities will be
reported in the Periodic Dissemination and Communication Reports, e.g., D6.7 and D6.8 due,
respectively, in M36 and M18, ensuring that consortium partners will be able to attract a vast
audience and to engage and inform stakeholders about DataBio during the entire lifetime of the
project.
