1099’s and W-2’s

The holiday season is already upon us. In between the

days off and the parties, we need to make sure we are

ready for the year end. Accounts Payable will need to

process 1099’s for appropriate vendors that you have paid

over $600.00 for the calendar year. There are specific

boxes on the form depending on the type of payment. How

to utilize these boxes will be further explained in the

calendar year end classes in December. Payroll will need

to process W-2’s as well as create the new payroll files for

2015. As you know, W-2’s must be sent to the employees

by the end of January and then you must report them to the

government after that. We highly recommend giving your

employees sufficient time to review their W-2’s before

submitting them to the government as it is easier to correct

the W-2’s prior to submission. All of the payroll procedures

will be further explained in the calendar year end classes in

December as well. All the form information can be found

on our website under the order forms tab and registration

information for classes can be found under the classes tab

both on the home page.

Please make sure you have updated code when processing

your W-2’s and 1099’s.

Backflow Meters!

Locis does have built-in support for the monitoring and tracking of backflow meters usages and locations. This is how one would set them up…

1. Create a new Service Type in USST (Services Setup) a. Do not penalize it - this is a no charge service

2. Create a new Rate Code in USST (Services/Rate Setup) a. This is a zero dollar rate code – it is for your tracking

and meter reading purposes only. b. This rate will not even appear on the printed bill.

3. Assign the new rate code to any customer who has a backflow meter installed.

a. Put in the appropriate meter number/MXU/ECR infor-mation if you are reading it automatically.

Each month, the backflow meter will be read if it is a ‘Smart’ meter and setup correctly. There should be NO usage. Run your periodic Usage/Consumption reports on that service/rate code to ensure nobody’s backflow device is failing or in fact ‘back flowing’. If needed, run ‘Who has What Service’ type reports to list who in town has these meters installed.

Question: When should I order

W-2’s?

Answer: As they are due out to the

employees by the end of January, they

should be ordered as soon as possible.

Please note: if you are using 4 to a

page laser W-2’s then you should be

filing with Social Security

electronically.

Question: Do I have to be finished

with my year completely before I can

run W-2’s?

Answer: No, as long as you have

completed your final payroll for the

calendar year, then you can issue

W-2’s.

Question: Is there a report I can run

before running my W-2’s to review?

Answer: Yes, the wage and tax report

(PWJ) will give you totals for each

employee.

Question: Is there a way to find out

which vendors I have paid more than

$600.00?

Answer: Yes, if you run NHR style 2,

change the dates to 01/01/14 - 12/31/14

and make sure the box at the bottom

shows 600 then it will list the vendor

and the total amount that they were paid

for the year.
