BackgroundThe company was established in 1984 to serve blue chip clients in both the public and private sector. We are a medium sized, privately owned and independent company. The company was capitalised to plc status in 1991 to enhance financial support and balanced growth.

The management team comprises of The Managing Director, Regional Managers and Area Managers. We currently employ in the region of 1000 staff. The structure is supported by staff induction, written job specification, regular training procedures and monthly incentive schemes for Area Managers. We have Operations offices in Heathrow, Mitcham, the City and North East London and our management structure ensures complete coverage of the whole of London and the Home Counties so that we can keep close contact with our clients and cleaning staff. Our Head office is in Loughton, Essex since May 2008.

Other services provided by Crystal Services plc include Pest Control, Bird Control and Washroom Services.

SERVICESWe provide a more responsive approach that offers a cost effective and individually specified service.

Daily Office CleaningOffice cleaning covers all areas of the office accommodation from front of house reception and meeting rooms, to toilets, stairs, trading floors or administrative areas. Specific technical training is given to address the different cleaning tasks required. Toilet cleaning, for example, requires very different materials, personal protective equipment and cleaning procedures to other areas such as stairs or general office areas.

DAILY OFFICE CLEANINGOffice cleaning covers all areas of the office accomodation from front of house reception and meeting rooms,to toilets, stairs, trading floors or administrative areas.

Specific training is provided to address the different cleaningtasks required. Toilet cleaning requires very different materials,personal protective equipment and cleaning procedures toother areas such as stairs or general office areas.

Great emphasis is placed on Health and Safety requirements forboth our staff and our client’s employees who may still beoccupying office areas during cleaning times.

HOTEL CLEANINGDaily kitchen cleaning is carried out to remove grease, debrisand daily carbon deposits. Equipment is kept in a cleancondition to maintain food hygiene and avoid expensive deep cleans. Work is usually carried out at night andis managed by our dedicated night management team. We also provide day time kitchen porters to carry outpot washing, plate washing and daily kitchen maintenance cleaning duties.

Front of House cleaning services includes highest quality cleaning of receptions, lobbies, conference areas,restaurants, bars, lifts and stairs. Usually carried out at night, we have a dedicated night management team to

supervise and monitor the quality, efficency and effectiveness of thecleaning staff.

RETAIL CLEANINGWith the quality of presentation as well as the individual shop cultureto consider, front of house retail areas are cleaned usually just prior toopening times. Carpets and hard floor surfaces are maintained to thehighest standards as well as detailed fixtures and fittings. Each retailspecification is tailored to the client’s requirements.

THE SERVICEOur staff are fully trained, provided with the correct workwear and personal protective equipment, wearidentification badges and will meet security requirements. We believe that the key to providing a quality dailycleaning service lies in our commitment to effective supervision and management. Individual cleaners areoften unfairly blamed for poor standards, whereas the fault properly lies with management. A managementchart is provided with every quotation to emphasise the support provided to each contract.

All equipment is subject to regular electrical testing and materials aredelivered promptly to site. Should equipment become faulty or defectiveit will be repaired on site or removed and replaced if necessary.

We will keep you fully informed of the issues that affect your building’scondition and will also meet all current Health & Safety obligations.

Colour Coding For HygieneCrystal Services adhere to a strict colour coding policy for all our equipment and materials, including but not limited to cloths, buckets, mops and gloves. This is as follows:

● The aim of a colour coding system is to prevent cross contamination.

● We ensure that this system forms part of our employee induction and continuous training programme.

● We have made our colour coding system easily understood and simple to use.

● A sizeable minority of people are colour blind in one or more colours. Some individuals may not know this and therefore we carry out colour identification tests as part of our employee induction. Great emphasis is placed on Health & Safety requirements for both our staff and our client’s employees who may still be occupying office areas during cleaning times.

Window CleaningOur window cleaning service provides highly specialised equipment, planned and carefully regulated service delivery, fully trained personnel and an understanding of regulations in the field of Health & Safety. All forms of access equipment can be provided including conventional ladder, cherry picker, abseiling and reach & wash (using de-ionised water & telescopic poles)

OPERATING PROCEDURESRecruitmentIn the recruitment of new staff we always consider a persons work history, qualifications for the job and full legal working status. All staff complete a job application form prior to job offer. When there is a TUPE transfer, the transferor has to provide the basic information of those who transfer. Crystal will contact the incumbent contractor to ensure

that all requirements of the Notification of Employee Liability Information (Neli) is provided.

● Each operating region has dedicated personnel handling staff recruitment.

● All staff complete a job application form prior to job offer.

● Verification of the right to work must be provided by all staff, e.g. passport, work permits and National Insurance Numbers.

● Confirmation of ID must be provided e.g. driving license, copy of public authority bill.

● All Staff are paid two weekly by BACS payment into their bank or building society account.

● All work is signed by operatives with signature checks against starter forms and Inland Revenue P46 forms.

Innovation We are constantly examining ways to provide new offerings in our service. This may include consideration of offering carbon offsets for clients against emissions from the cleaning service, the use of technology to reduce paper usage, the greater use of public transport, the use of more environmentally efficient equipment such as low voltage vacuum cleaners, or more efficient deployment of cleaning staff on site.

Facilities ServicesWe can offer a combined in house service including Daily Cleaning, Pest Control and Washrooms, as well as other, service partner related, services such as zero to landfill waste disposal. This provides efficiencies in costs, service, invoicing and account management.

Training & Crystal’s Training Academy Crystal Services believes in the worth of training, realising that its investment can be repaid by superior cleaning standards, better staff retention, greater commitment and increased productivity.

Our training Academy is a BICS approved training centre. Our certified Assessors carry out Cleaning Operators Proficiency Certificate (COPC) training at the centre. In addition our approved Assessors can carry out the COPC training on site under our multi site BICS training certificate.

All staff receive induction training prior to job commencement, covering working within the clients’ premises, basic customer care and specifics for their job role. Every Area Manager uses an induction manual specifically designed for the induction of new cleaning operatives. Equipment manufacturers and chemical suppliers are actively involved in regular training sessions.

Operating ProceduresThe development of our management structure and personnel is based on fundamental principles in ouroperating procedures and Group policies.

RECRUITMENTEmploying both full and part time staff, Crystal Services considers this aspect to be one of the most crucial tothe success of any service contract.

· Each operating region has dedicated personnel handling staff recruitment.

· All staff complete a job application form prior to job offer.

· Verification of the right to work must be provided by all staff, eg. passports, work permits or National Insurance numbers.

· Confirmation of ID must be provided, eg driving licence, copy of publicauthority bills.

· Two references must be provided of an ex-employer or professional nature (on potentially high-risk contracts, a more in-depth procedure isundertaken - details on request).

QUALITY CONTROLThe Company is assessed and registered in respect of BS EN ISO 9001:2000 by QMS for quality control.This standard is applied to regulate, monitor and enhance the company’spolicies and operating procedures.

Detailed below are our quality control procedures, which are authorised bythe Managing Director in accordance with the requirements of ISO 9001and the British Institute of Cleaning Science.

· SITE INFORMATION PACKAt each location an A4 folder is left on site. This file holds essential information, such as COSHH Assesments, aCommunications book, Signing in book, emergency numbers, specifications, accident report forms and qualitycontrol sheets. All information is accessible for the client, the Cleaning Supervisor and the AreaManager.

· MANAGEMENT SUPERVISION, SUPPORT AND COMMUNICATIONSA regular communications programme will be established according toclient requirements along with a daily, weekly and monthly structure ofmanagement support and supervision of cleaning staff.

· QUALITY CONTROL AUDIT FORMSAs required, but a minimum of once a month, a quality audit is carried out bythe Area Manager. If clients wish to carry this out, then an appointment ismade when convenient. If a client does not wish to participate in this, they areleft a copy for their perusal of all audited items and rectifying actions if any. The second copy is retained bythe Area Manager and the third copy is presented to the Managing Director every month. Action taken by theManaging Director will reflect the Quality Audits and comments made by the clients.

Window CleaningTHE NEEDThe sophisticated access and servicing requirements of modern architecturedemands specialist skills. We regularly clean and maintain the glass for buildingsin widely differing categories including office blocks, business parks, departmentstores, listed buildings and shopping centres.

THE SPECIALIST SERVICEOur window cleaning service provides highly specialised equipment, plannedand carefully regulated delivery, fully trained personnel and an understandingof regulations in the field of Health & Safety.

ACCESS AND TECHNOLOGYAll forms of access equipment can be provided including bosun’s chairs,cherry pickers and conventional ladder access. We also use the latesttechnology such as the Reach and Wash system (using de-ionised water and

telescopic poles) as well as the increasedflexibility abseiling provides. Current certification of all cradle and eyebolt equipment must be provided by theclient prior to use.

CLIENT SATISFACTIONA fully supervised service is supported with‘client satisfaction sheets’. These ensurecompletion of tasks to the client’sspecification and requirements, and alsoeasy cross referencing to invoice charges.

Ancillary ServicesCARPET CLEANINGAll types of carpet cleaning are carried out, including dry capture and wet cleans of shampooing and hotwater soil extraction. Recommendations will be given according to the type of carpets found in your premisesand conditions of guarantee. One off cleans and regular maintenance programmes can be provided inaddition to anti static treatments and prevention contracts for carpet insects.

COMPUTER, FAX AND PHOTOCOPIER CLEANINGAs devices become increasingly miniaturised and complex, so they becomeincreasingly vulnerable to malfunction caused by even tiny amounts of contamination.Dirt, dust, fluff, paper debris, cigarette ash and food particles are obvious hazards, but‘invisibles’ such as static electricity or the gradual degradation of electrical contactscan equally lead to failures.

Some breakdowns are, of course, caused byfaulty components, but many are traceableto lack of regular care. All too easily dirty andpoorly maintained equipment becomes abused and ill-treatedequipment, despised by its users as ‘old’ and ‘clapped out’. Machinesthat are clean and well looked after engender care and pride, and willhave a much longer working life.

A one-off or regular valeting service is provided for office equipment.Anti-static solutions and impregnated cloths are used to provide apreventative care service, enhanching hygiene, efficiency andminimising the risk of downtime.

TELEPHONE CLEANINGHandsets are in regular contact with hands, ears and hair, collecting a film of natural grease and make-up fromthe skin. Keypads regularly collect a film of grease from our fingers. We add a fine spray of moisture as wespeak, creating an ideal growth medium for micro-organisms which thrive in a centrally heated or airconditioned environment and are responsible for ‘flu, colds and other complaints. Small wonder thattelephones provide a powerful vehicle for the spread of infections which cause significant levels ofabsenteeism, yet telecom hygiene is all too seldom a serious item on the agenda of human resourcemanagement.

· The service is carried out to an agreed regular schedule sothat protection from infection will be continuous.

· All equipment is serviced individually in situ, with minimal disruption to office work.

· Disposable wipes are used for speed and hygiene, with nopossibility of cross contamination.

· Equipment is left sparkling clean and odour free. Agents remain active between visits, creating a hostile environment for micro-organisms.

· Any item of telephone equipment can be covered by the service.

SPECIALIST HARD FLOOR CLEANINGDifferent types of surfaces can be cleaned and treated. These may include vinyl, terrazzo, concrete or wood.Water based high solids polish may be applied as a protective treatment or oil based products may be usedon surfaces such as wood. For marble surfaces vitrification can be carried our by our specialist staff.

WASHROOM SERVICESA wide range of washroom products are available including sanitary bins and dispensers, hand dryers, soapdispensers, hand towel dispensers, automatic air fresheners and many more. These can be provided for rentalor supply and service.

· QUALITY CONTROL AUDIT FORMSAs required, but a minimum of once a month, a quality audit is carried out bythe Area Manager. If clients wish to carry this out, then an appointment ismade when convenient. If a client does not wish to participate in this, they areleft a copy for their perusal of all audited items and rectifying actions if any. The second copy is retained bythe Area Manager and the third copy is presented to the Managing Director every month. Action taken by theManaging Director will reflect the Quality Audits and comments made by the clients.

telescopic poles) as well as the increasedflexibility abseiling provides. Current certification of all cradle and eyebolt equipment must be provided by theclient prior to use.
