At CPHR Manitoba we are dedicated to strengthening the human resources profession and upholding the highest standards of practice. As a professional association, we strive to support the growing number of Chartered Professionals in Human Resources (CPHRs) in Manitoba that are part of a larger network of designated CPHRs across Canada.

To support the professional development needs of our CPHR members, and in recognition of the quality of some of the HR-related professional development programs offered throughout Manitoba, we are pleased to offer the CPHR Manitoba CPD Accreditation Program.

WHAT IS THE CPHR MANITOBA CPD ACCREDITATION PROGRAM?

This program provides accredited status to programs and events offered by organizations and educational institutions that deliver HR and strategic business programming. An accredited program guarantees CPHRs with Continuing Professional Development (CPD) hours. CPHR members across Canada are required to obtain a minimum of 100 CPD hours every three years in order to maintain their designation.

Accredited programs must be directly in line with the CPHR Competency Framework’s Functional Knowledge Areas in order to be eligible for accreditation.

Attaching the Accreditation Seal to your marketing materials communicates that your program has been reviewed and approved to guarantee CPHR CPD hours.

Facilitation of Accredited programs is the sole responsibility of the Accredited Partner. CPHR Manitoba does not facilitate registration or any other aspect of the event/program on behalf of the Accredited partner.

Licences are granted for a one-year term, during which you reserve the right to use the Accreditation Seal in your marketing and in turn, CPHR Manitoba will market your accredited program(s) to our members. Your accredited program(s) will receive increased recognition as a quality offering and gain exposure amongst the HR community and beyond.

As an Accredited Partner, you will receive:

• Increased recognition for the quality of your offering• The ability to guarantee CPD hours to program participants• Enhance your marketing to CPHR Manitoba’s growing membership through a variety of channels including:

• Monthly email to members advertising upcoming Accredited Partner programs & events• Upcoming program listings in HRmatters, the weekly newsletter of CPHR Manitoba• Upcoming program listings on the CPHR Manitoba website (Calendar of Accredited Partner Events)

PROMOTING YOUR ACCREDITED PROGRAMS

As an added benefit to being an Accredited Partner, you may wish to include the Accreditation Seal in your marketing materials for your accredited program(s). Adding the Accreditation Seal to your marketing items will provide visual confirmation of your status as an Accredited Partner and the quality of your offering to interested participants.

The CPHR Accreditation Seal Logo Usage Guide will be provided to you once payment is received for your licence. This guide will assist you in ensuring you correctly display the Accreditation Seal in your marketing materials. All restrictions on the usage of the Accreditation Seal must be adhered to according to this guide in order to maintain your Accredited status.

All print and electronic usage of the Accreditation Seal must be approved by CPHR Manitoba prior to publication.

CPHR Manitoba is not responsible to cover any costs associated with adding the Accreditation Seal to your marketing or promotional materials.

MINIMUM ELIGIBILITY CRITERIA

In order to be recognized as an Accredited Partner, your organization must:

• Offer HR-related programs directly related to a minimum of one (1) of the Functional Knowledge Areas and fall into one of the categories listed in the Summary of Qualifying Activities (see “Approved Hours” section below)

• Offer HR-related programs that have a pure learning focus (sales focused programs are not eligible for Accreditation)

• Accredited programs must be a minimum of 1 hour in length and charge a fee for participation• Use presenters (or have a lead presenter) with a minimum of 5 years of experience in their topic area• Have a formal evaluation process in place for both speakers and content• Have a formal registration and attendance tracking system in place• Provide participants with proof of attendance following the program (i.e. certificate, email, etc.)

APPROVED HOURS

CPHRs must consult the ‘Summary of Qualifying Activities’ document when claiming CPD hours. This document outlines development categories, types of activities that fall within each category and maximum allowable hours for each category.

Accredited Programs must fall into one (or more) of the following categories as listed in the Summary of Qualifying Activities in order to be eligible for accreditation:

A. University, College and Technical Institute – undergraduate credit coursework• Maximum 30 hours per half credit course/one semester (based on instructional hours)B. Non-credit Courses – Courses that may lead to a certificate• Maximum 15 hours per course (based on instructional hours) C. Seminars/Workshops/Conferences/Roundtables• Maximum 8 hours per day

The number of CPD hours a program is approved for will be determined by the following:

• Number of hours of instruction• Number of hours of self-study required• Number of hours of networking (including meals and breaks if facilitated by organizer)

For programs that include multiple courses or sessions that can be registered for in isolation, each course will be considered for Accreditation individually.

CPHR members who attend an Accredited Partner event must manually add their earned CPD hours into their online log. CPD hours earned by attending Accredited Partner events will not automatically populate, as registration is not facilitated by CPHR Manitoba.

PROOF OF ATTENDANCE

CPHR Manitoba must conduct an annual audit of the CPD hours claimed by CPHR members. As part of this process, supporting documentation must be provided by each audited member for all CPD hours claimed in their annual log. As an Accredited Partner, you must provide proof of completion to participants of your accredited program(s) for this purpose. Acceptable forms of documentation include a certificate of completion or a confirmation email following the event. The documentation must include the following information:

1. Program/Event name2. Date pf program/event3. Name of participant4. Event Identification Number5. Number of approved hours

The following is suggested language to be used in your communication, “You have successfully completed (program name). This program has been approved for ___ Continuing Professional Development hours towards maintaining the CPHR designation. Be sure to note the Event Identification Number: _______ on your online Continuing Professional Development Log.”

A sample of your proof of completion must be submitted as part of your application.

LICENCE FEES

Accreditation licence fees are charged per licence and the fee is based on the length of each program. A minimum fee of $350 is charged for each licence. Please refer to the chart below for annual licence fees. The number of times a program is offered throughout the year does not impact the fee.

HOW TO APPLY

1. Ensure you meet the minimum eligibility criteria2. Complete the application form and return along with all required Appendices to [email protected]

• If submitting applications for more than one program, a separate application form must be completed for each one

• Refer to the following chart for information on how to submit your application

WHAT CAN I EXPECT ONCE I APPLY?

1. CPHR Manitoba will pre-screen your application to ensure all the required information has been included.

2. Once all documentation has been provided, CPHR Manitoba will review your application and request any additional information that may be required.

3. Within two (2) weeks of providing all required documentation you will receive confirmation on the status of your application.

WHAT DO I RECEIVE IF MY SUBMISSION IS APPROVED?

Once approved, you will receive the following:

• Confirmation letter including:• Number of CPD hours participants will receive• Event Identification number• Licence expiry date• Renewal information• Instructions on how to submit program dates to CPHR Manitoba for marketing purposes

• Invoice for licence feeOnce payment is received by CPHR Manitoba you will receive an electronic version of the Accreditation Seal and CPHR Accreditation Seal Logo Usage Guide and your program(s) can begin to be advertised with CPHR Manitoba. It is your responsibility as the Accredited Partner to provide upcoming course dates to CPHR Manitoba to be included in the various marketing channels listed above.

REVOKED LICENCES

CPHR Manitoba reserves the right to audit approved providers to ensure compliance with the established criteria and to investigate allegations of violations. This may include:

• A request to review an organization’s records, including, but not limited to, documents related to planning, registrations, attendance and evaluations

• Attending or participating in licenced Accredited programs

CPHR Manitoba reserves the right to revoke the Accredited status of an organization or revoke individual program licences for cases where allegations of criteria violations or complaints of unethical misconduct are found plausible.

CPHR Manitoba may revoke the Accredited status of an organization or revoke a licence if it is determined that the provider:

• Provided false information on their application for Accreditation• Failed to conduct professional development programs in compliance with the established criteria• Failed to maintain the organizational and record keeping requirements necessary for Accreditation• Misuse of the Accreditation Seal and/or sample language provided• Improper or unethical marketing of programs that have been approved for CPD hours• Jeopardized the integrity or reputation of the CPHR designation or CPHR Manitoba• Failure to pay licence fees

In the case of revocation, CPHR Manitoba will contact the organization regarding the nature of the issue. The organization will be provided an opportunity to rectify minor violations prior to being barred from the Accreditation Program. Organizations found to be in minor violation of these policies will be provided 15 days to rectify the violation. Failure to rectify the violation in this time frame will result in the revocation of the licence and the organization’s privilege of applying for Accredited status for a minimum of one year.

A revoked Accreditation status will result in the organization being required to remove all references to being an Accredited partner from their marketing/promotional materials at their own expense. No refunds for licence fees will be given.

RENEWING MY LICENCE

Accreditation licences are granted annually. Prior to the expiry of your licence, a renewal will be sent to you by CPHR Manitoba.

In order to maintain your accredited status you must:

• Continue to meet the minimum eligibility criteria• Conduct programs in compliance with the terms outlined in the approved application• Appropriately use the Accreditation Seal• Maintain a satisfaction rating of 70% for your Accredited program(s)• Pay all required licence fees

A simplified renewal may be completed if all aspects of your program remain the same as when it was initially approved (i.e. length of program, speakers/instructors, content). If any of the core components have changed, a new application will need to be submitted.
