Release 19.1 summary

This release of Core focused on expanding Core components to enhance functional areas of account codes, the orchestration process from Estimate to the InEight cloud platform and enabling integration of organization structure. Notable enhancements are standardizations of email notifications and units of measure.

New features summary

• Account code staging notes and Excel import/export - Maintaining account codes manually one at a time is a difficult and time-consuming process. In this release you can add or edit account codes using Excel import with staging notes to capture additional details for later reference on each account code. Read more.

• Provide import orchestration dashboard status and notification - Administrators need a clear view and understanding of the status of the import process and option to be notified when an import is initiated. The import status is crucial as it changes throughout the process. In this release, we provide detailed visibility to a transparent process and enable administrators to act when needed without solely being dependent on a log review. Read more.

• Organization integration - Customers need a method to integrate their Organization structure from external/Enterprise Resource Planning systems to avoid manually entering all data. In this release, we provide an integration point for Organization with external systems.

• User role assignment integration - When users are integrated into the InEight cloud platform, an additional step must be performed manually in the UI to assign those users a role onto either an organization or a project. In this release, we ease this administration process by allowing for the assignment of role and organization/project to users as a part of integration with external systems.

• Create new role by combining existing roles' permissions – New functionality was added to create a new role in Roles and Permissions by combining the permissions of two or more existing roles to save time and maintenance steps. By default, the new role will contain the permissions of the selected roles to merge. This new functionality may be accessed on the Roles and Permissions page by selecting two or more roles, then clicking the Merge icon.

• Allow organization-level file storage and search - Users across the InEight cloud platform need to be able to store and search for files at an organization level. In this release, we enhanced the document service to allow files to be stored and searched for at organization levels. We also added an application filter for cleaner searchability and updated the interface for Documents in Core to be used for verification purposes across all organizations, projects, and products.

• Maintain consistency through characteristic UI label conventions – Rigid field naming conventions cause a limitation for customers who may desire different naming conventions to suit their individual needs. In this release, we provide UI labels for custom fields for all applications to use so there is consistency across the InEight cloud platform. Read more.

• Navigation to Document Suite - Document Suite is available in the Navigation menu, where you can now navigate to Document Suite and back to the InEight cloud platform by selecting a link on the Navigation menu, or left-hand Project home menu.

• Master Data Library operational resource list views – For improved searchability and visibility, you now have the option to switch to a “list view” for Master Data Employees and Equipment to view all resources when you may not know a resource’s “parents” in the hierarchies of Trade/Craft or Category/Model type.

Improvements summary

• Enable email notifications – An InEight cloud platform application needs the ability to generate a standard email to notify you when action is necessary, changes have been made, and other application notifications. In this release, we provide a consistent look and feel for all InEight cloud platform email communications from a standard email address.

• Initialize import and integration of Units of Measure - Units of Measure cannot be integrated and can be inconsistent across applications. In this release, we provide the ability to import Units of Measure from external systems and updated the Units of Measure page to expose all required/optional fields.

• Add UI maintenance for Core read-only entities – We enhanced several pages within the Master Data Libraries to enable view/add/edit/delete functionality within the UI where previously these were only available via external system integrations. Now you have the option to add to these entities manually in the UI in addition to importing directly from external systems. The pages enhanced were Vendors, Unions, Cost Centers, Vendor Types, and Cost Center Types.

• Enhance project details, visibility and discoverability – The Project Details page is now more accessible on the Project Navigation menu. A Project Notes widget has been added to the Project Homepage for easier access.

• Allow administrator to switch Project ID and Project Name – You can now decide if it adds more value for your company to have Project Name or Project ID first for navigation, so your users can easily locate and identify their projects in the readable format common for your company. The default will continue to be Project Name first. This option is in the Account Information page within the Organization Settings at the account level.

• Enhance Equipment entity to expand unit cost functionality – Bringing the Equipment entity in line with Employee functionality, you now can modify the Model/type of a Master Data Equipment record when it has already been assigned to a project.

Account code staging notes and Excel import/export

In this phase of Account Code enhancements, Core provides the ability to add or edit account codes with Excel import. Importing account codes additions and edits with Excel gives you the option to stage many changes at one time.

Excel imported changes are staged, and all approved changes can be published at one time at an appropriate “down time” from an application standpoint.

New functionality for Staging Notes lets you record notes for each requested Account Code change as well as required notes when a record is rejected. After publication, these notes are retained in the Audit Log as a conversational history for each account code.

Staging Notes

Staging Notes use a conversational dialogue interface and can be entered for individual account codes as needed to track changes, list reasons for account code approvals or rejections or capture additional information pertaining to the changes made to an account code.

When a pending staged account code is approved, you are given the option of entering a Staging note to provide any additional information for the selected account code. This Staging note is optional.

When a pending staged account code is rejected, you are required to provide a staging note to give the reason or details for the rejection.

These Staging notes continue to be viewable on the Staging tab as informational messages for later account code changes.

After staged account codes are published, the Staging notes are also viewable in the Audit log tab.

To view Staging notes, click Navigation, select Master data libraries, then select Account codes and then select the STAGING tab. Alternatively, if you are already in Master data libraries in the navigation, select Account codes from the submenu, and then select the STAGING tab.

To view the staging notes in the audit log, navigate to the AUDIT LOG tab, and then select for the account code with the staging notes.

Excel Import

The Microsoft Excel import process lets you import account code adds or edits using an Excel import template that can be downloaded from the import process wizard. The import wizard first performs a high-level validation of the Excel template to ensure the template itself is valid, includes the required columns and is in the supported file type. Then a more detailed validation is performed during the import process to verify the data to be imported meets the requirements for valid account codes.

To start the Excel import process, navigate to the STAGING tab, and select for the Excel import function.

The Excel import dialog opens and gives two options: dowload an ACS template or Import ACS from Excel or csv.

Select Download template in the ACS template section to download a blank account code Excel spreadsheet that can then be populated with your account code to add and edit records. Once complete, it is ready to be imported.

Import ACS lets you select an Excel file containing all your intended Account code changes to be imported into the Staging area. You can either drag and drop the file into the import area or browse for the file on your computer.

Click Next and the import function will process the uploaded Excel import file.

The uploaded records are now available on the STAGING tab as Pending records for review.

NOTE: You can monitor your Excel import process on the IMPORT LOG tab on the Account codes page for successful or failed processing.

Import log

The Import Log page lets you view the import logs for all Account Code Excel imports, so you can track the import process and act, if required. On any failed import, an error log file is available to be downloaded for review so that you can edit the import file as needed to re-import once the issue is remedied.

To view the Import Log, click Navigation, select Master data libraries, then select Account codes and then click the IMPORT LOG tab. Alternatively, if you are already in Master data libraries in the navigation, select Account codes from the submenu, and then click the IMPORT LOG tab.

Excel export

This function lets you export your account codes to Excel.

To access the Excel Export process, you can either navigate to the PUBLISHED or STAGING tab (depending on the account codes you wish to export), then select the icon for the Excel export function.

NOTE:

Export to Excel options are controlled by what is selected on the Account Code grid. If rows are selected, only those rows will be exported. If no rows are selected, all existing rows will be exported. For a blank template, use the Download template link in the Excel Import dialog.

Provide import orchestration dashboard status and notification

Importing into the InEight cloud platform via integration with Estimate is a closely monitored process. As such, it is important for administrators to have a clear view and understanding of the status of the import process and be notified when an import is initiated and the status of the import change throughout the process. This enables the administrator to have transparency into the process and helps them act when needed without being solely dependent on a log review.

This feature gives administrators or support personnel a view for import and status information as well as options to be notified on the progress of an import, dependent on import status changes like processing, completed or those in an error state.

There are three areas in the Import history page for detailed viewing of import and status information: import history, import details and import logs.

Import history

To view Import History for an integration process, click Navigation > Suite administration and select Import History. Alternatively, if you are already within Suite administration in the navigation, select Import History from the submenu.

Import details

To see import details, from the Import history page click any link in the Processing Details column.

Maintain consistency through characteristic UI label conventions

Characteristics, also referred to as Custom Fields in Core, across the platform were originally given naming conventions based on specific customer requirements. While functional, this restricted future customers who may desire different characteristic naming conventions to suit their individual needs, which may be different from those hard-coded existing conventions.

To future-proof the platform, and enforce consistency across the platform for characteristic names, there is a need for a central location for system-default characteristics with functionality to customize those names with UI labels in the platform.

Core has made the characteristic UI labels available to all applications in the platform to be consumed so there is consistency across all applications.

From a customization standpoint, localization is an important requirement to let you enter not only your local preferred language, but also provide "as entered" translations into all other supported languages for your company.

Another important consideration was made for the existing import from Estimate, with respect to the default naming convention mapping to characteristics which may be custom.

In this implementation of Custom UI Labels, the feature centers on the critical path characteristics for Control, with a focus on those characteristics which are imported from Estimate.

To view Custom Labels, click Navigation, and select Master data libraries, and then select Custom labels. Permission to View custom labels is required to view the page and Edit label permission is required to edit the values.

To enable custom labels, you must flip the toggle to true, and any entered custom labels will be used for the fields as entered. To disable custom labels, you must flip the

toggle to false, and all fields will use their default label.

NOTE: Custom labels entered for all localized languages will be displayed “as entered” and are not governed or translated by Core.

Once entered, all instances of the field throughout the InEight cloud platform will reflect the defined label. The entered labels are retained on reverting to default (toggle = false).

If no translation is entered for custom label for a localized language, and enable custom label is set to true, then the localized default system label will be shown.

NOTE:

On upgrade to this version, all existing tag and UDF labels will be updated to their default label. You will need to perform a one-time custom label activity if you want to continue to use the previously hard-coded field labels for those tags and UDFs. The Custom labels table in this document contains the mapping between previous tag/UDF names and their default label values.

NOTE: Core has consumed Project Information labels as a part of this release. Additional InEight cloud platform applications will consume custom labels over the next several releases, as will be noted in the individual product release notes.
