Agenda

• What are the new features of Apex 9.5?

Prerequisites

• In depth knowledge of Apex


Contact and Job Information

• Apex 9.5 is primarily about Contacts• Contacts are people within your organization that need

access to Apex information but do not normally use the Apex program. For example, Project Managers.

• Contacts are identified in the Apex Contact List and are then associated with jobs using Job Maintenance.

• Apex 9.5 introduces the Material Spreadsheet Emailing utility and the Apex Web site that use the new contact information.


Import and Export Updates

• The Import Wizard screen has been enhanced and is more logically organized

• Fix: Loading prices with a unit of measure of “C” from an Excel file will now always work correctly


P/O, Vendor, and Job informational messages

• Messages can be associated with Vendors, Jobs, and Purchase orders that are shown to purchasing when they are used

• P/O Maintenance will show all three types of messages

• Receiving and Invoice Maintenance will show purchase order messages


Importing Scans

• Scans can now be imported from BMP, TIF, or PDF files

• You can use the Import button or simply drag and drop them into the Page grid

• This is especially useful if you have a network scanner that emails your scans to you – you can simply drag them out of the email!


Cost Code Reporting enhanced selections

• The Cost Code Summary and Cost Code Detail reports now offer a full range of selection criterion


Job information for Company and Division

• If your job information specifies a company or division then those entries will be used when entering a purchase order so you don’t have to enter them yourself


Release-specific notes

• Messages can be associated with specific releases

• You can decide whether or not to also print the standard P/O messages with a release


Email Subject Titles

• When you email a report the subject line will be filled in with a more useful title


P/O Maintenance Cost Code entry

• Valid cost codes are now shown during P/O entry

• Valid codes are based on a cost code schedule by job for the standard Apex program

• Valid codes are based on job-specific information for the Advanced Accounting Interface version of Apex


Comparative Analysis Report Summary

• The Comparative Analysis report has more useful summary information

• The differences between the vendor totals is displayed

• The difference between the Low Price column and the lowest-price single vendor is shown

• The number of distinct vendors that appear in the Low Price column is shown


Message Library insertions

• Apex can prompt you for information when using messages from the Message Library, Vendor messages, or Job messages

• Put the prompt in brackets. For example put [Price] where you want to insert a price into the message. Put [Bundle Size] where you want Apex to insert the bundle size that you specify.

• Use a colon and a default value if desired. For example, if the price is normally $100.00, use [Price:100.00].


P/O Template Copy

• The “Copy” button in P/O Maintenance now gives you the option of showing available templates

• You can pick a template without having to remember and type the P/O# yourself


Errata

• The Cost Code has been added to the P/O Search results

• P/O Descriptions now can come from a list maintained in the Via, FOB, Terms selection

• P/O printing can now handle very large reports, including many scanned images

• Deleting a P/O now works amazingly faster• The new P/O Description field is available to print on

your purchase orders (field #78)• P/O line numbers can optionally be displayed on the P/O

Maintenance screen during data entry


Errata

• Fix: Blank purchase order numbers are no longer allowed

• Fix: P/O messages now print correctly when printing a range of P/Os

• Fix: Apex Import utility exits gracefully if the import is cancelled

• Fix: If Comparator Load adds dbItems they are created with the correct Catalog# reference and with zero List and Column 3 prices
