Safer LondonWe are Safer London, the leading London charity working to prevent and address gang violence, vulnerability and exploitation among young people. We were born in 2005, set up with a grant from the Metropolitan Police Authority to support young people at risk of crime.

HRH The Prince of Wales is Patron of Safer London, and the Metropolitan Police Commissioner Cressida Dick serves as President.

To date, we have helped 48,000 young people escape violence, exploitation and crime and turn their lives around.

We believe every young person should be able to live free from exposure to gangs, exploitation and crime and we put this into action by reaching out to London’s most vulnerable and exploited young people to prevent them from slipping through the net. Through our programmes, we:

• can assign a young person a skilled independent advocate who will help them navigate through services and get access to the legal and professional help they are entitled to;

• deliver 1:1 and group sessions with young people on safety, consent and self-worth, and equip them with the tools to make a safe transition into adulthood avoiding harm;

• work with schools to improve safeguarding and prevent violence in both the school and wider community;

• support young people who want to leave or escape from gangs;• empower parents and carers to nurture young people in these ever-changing

technological times and strengthen family connections;• provide trained mentors who open and expand young people’s horizons and ambitions;• help social housing tenants escaping domestic violence relocate and maintain their

tenancy;• train professionals (including the police), keeping them abreast of new and emerging

threats.

Role Description Your role is to support the effective management of Safer London’s financial systems with particular emphasis on the accurate, timely and comprehensive maintenance of the sales ledger, purchase ledger, payroll and income monitoring procedures

Responsibilities

1. To develop, manage, maintain and monitor the income management system to ensure all income is recognised, invoices are raised and submitted to appropriate timescales then followed up to ensure that timely payment is received and anticipated in the monthly cash flow summary.

2. To manage the Finance team’s responsibilities for the opportunities pipeline and its interface with the income management system following receipt of signed contracts

for new or renewed services from the Operations and Training and Business Development teams. To take responsibility for the signed documents for all forms of income both in printed and electronic form.

3. To maintain the sales ledger in terms of submissions to funders and input of invoices, credits and receipts including balancing the control accounts at month-end. To provide a weekly collections summary to assist with the routine of pursuing late payments.

4. To complete the monthly payroll submission to the external payroll processing provider to agreed timescales. Then to check the draft payroll and secure confirmation for processing. To ensure all monthly and annual payroll regulations are adhered to.

5. To oversee the staff pension scheme ensuring deductions and contributions from payroll are transacted and the relationship with Royal London is maintained.

6. To maintain the purchase ledger in terms of input of invoices, credits and payments including balancing the control accounts at month-end. Prepare the weekly payment runs for supplier invoices and staff expenses.

7. To ensure that the list of fund/project codes and nominal ledger codes in the accounting system is kept up to date and that all staff members are correctly coded in BreatheHR according to their respective funding sources.

8. To maintain Safer London’s petty cash system and carry out monthly reconciliations prior to input to the ledger system. Also to maintain the Samaritan Fund (Hardship Fund) white goods and other purchases and ‘petty cash’ in liaison with the LGE team to ensure disbursements and balances tally.

9. To manage the banking arrangements on a day to day, week to week, monthly and annual basis. To collate all bank statements, ensure all transactions are input to the accounting system and the balance reconciled on a weekly basis.

10. To timetable the month-end routine ensuring the monthly accounts can be submitted to the agreed timescale.

11. To monitor the incoming ‘Finance’ email box ensuring invoices are printed, acknowledged, authorised and paid attending to any queries that may arise.

12. To assist staff members with any queries they may have relating to Safer London’s financial processes and procedures.

13. To assist the Director of Finance & Resources and / or the CEO with finance tasks as required i.e. information for the board of trustees on a monthly or quarterly basis.

14. To assist the Director of Finance & Resources with the annual audit in terms of the preparation of the year end file and submission of the deliverables to the auditors according to their timetable.
