Walk-through: document Viewinghere is the main Concordance review screen, which will greet you upon opening the software. Concordance discovery management software boasts a completely revised, highly intuitive interface for easier navigation and improved case organization.

FromtheFilemenu,locateandopentheCowco.dcbfile(C:\ProgramData\LexisNexis\Concordance10\Database\Cowco.dcb).WhenyoufirstopentheCowcosampledatabaseyouwillbeinBrowseviewandlooking at document number 1 in our sample document set.

The large toolbar at the top of the screen is the Standard Toolbar in Concordance. These tools make it easy to navigate through your database. you can change how you view your documents. To sample the different views that are available, try clicking the buttons shown on the following page in different combinations. Click two of the buttons to see the views displayed together.

1. One of the most popular ways to review documents in Concordance software is to have both the Browse view and the Table view open at the same time. Click the Table button to display the Table view below the Browse view, as shown in thefollowingfigure.TheBrowseviewshowsdocumentdetail,whiletheTableviewallows you to see multiple documents in ranges, quickly and easily. The default display for split views is the top and bottom display as shown in the illustration. The firstviewbutton(BrowsevieworTableView)youclick, displays that view on top(e.g.,BrowseViewontopasintheillustration).

2. you can also display the views side-by-side. From the View menu, click Split screen, and then click Left-Right.Thefirstviewbuttonyou click displays that view on the left. When in Browse view and Table view, you can adjust the window width by dragging the divider left or right to suit your needs.

Take a moment to use the Previous document and Next document buttons to step through your records. you’ll notice that the Status bar at the bottom of the window keeps track of which document you are viewing.

GotoThe Goto button in Concordance software allows you to jump to any document simply by typing the record number you’d like to view. Any document in the database is just a click away.

On the dynamic toolbar, click the Goto button next to the navigation arrows. Type the document number you’d like to go to, and click OK.

Table LayoutBy default the layout of the Table view includesall thefieldsfoundintheBrowseview. Let’s take a moment to customize the layout of the Table view. Concordance software makes it easy to select which fieldsyouseeandinwhichorder.Simplyright-click anywhere in the table, choose Layout, and then Table Layout. A dialog box will open and look like this:

Toremoveafield,gototheLayoutspaneand:• right-clickthefieldnameand select Delete.

—OR—

• Double-clickthefield.

Thiswillremovethefieldfromyourtable,but will list it as available so you can easily add it backatalatertime.Toaddthefieldtothe layout,double-clickthefieldintheavailable fieldspane.

• For the purpose of this tutorial,removeallfieldsexcept BEGNO, ENDNO, DOCDATE and DOCTYPE. When you’re done, click OK.

you can create additional table layouts by clicking New on the Table Layout dialog box. These new views will also be available for other reviewers that have access to use the database.

To streamline review, the Table view is dynamic. you can sort thedatabasebyanyfieldinyourtable by clicking the header of that column. Give it a try!

TallyAnother feature in Table view is Tally. Popular uses for Tally include counting unique document types and determiningthefrequencyofaparticularnameinanauthorfield.

right-click an item in the DOCDATE column and then select Tally DOCDATE from the menu.

This will open the Tally task pane, showing you all document dates, each with its own frequency count. Youcansortthecolumnsbyitemorbycount.Toactivatetheseresults,simplydouble-clickaspecific date within Tally. That date becomes the current query in the Browse and Table view. This gives you a fastandeffectivewaytobetterunderstandandorganizetheentiredocumentcollection(e.g.,thetype ofdocumentsthatwerewrittenonaparticulardate).TheTallyfeaturealsoallowsyoutoprintyourtally resultsorsavethemtoatextfile.

Walk-through: SearchingWithConcordancediscoverymanagementsoftware,wehaveaddedanewwaytosearch—soadvancedit’s actually simple. We call it Simple Search. With Simple Search you do not need to know “Boolean Logic” for fast and effective document searching.

Let’s give it a try. Click the Search tab on the left-hand navigation pane to open the Search task pane. Each box in the Simple Search task pane does just what it says. For instance,sayyouwanttofind all of the documents that mention both “milking” and “Cow.” Type milking Cow in the box “with all of the words.”

you decide the documents should also have either “Grazing” or “Grain” in them. Type Grazing Grain in the box “with at least one of the words.”

Last but not least, you know that you don’t want any of the documents that refer to the “Tiger” milk group of companies, so you simply enter the word Tiger in the “without the words” box.

Click Search.

you should have one document that matches your search item. That’s a complicated search made simple!

Quick Searchanothereasy-to-usesearchoptionisQuickSearch,usingthefieldlocatedjustbelowtheStandardtoolbar. Quick Search lets you type your searches while you browse your documents and have other activity panes, besides search, open. Type “milk” and then click Search or hit Enter on your keyboard.

Take a moment to review the “milk” search results. you now have all the skills needed to view and navigate your results.

Clickthedown-arrowattherightofQuickSearch(A)toseealistofyourrecentsearches.Selectasearch number to perform that search again.

TiP: hit highlighting

Each word that you included in your search is colored rEd in the Browse window.

you can use the Previous Hit and Next Hit buttons in the bottom toolbar to quickly move backward and forward through the search “hits.”

it doesn’t matter whether the hits are located on the same document, or separated by 1,000 documents. Concordance instantly locates the next or previous hit.

Search Limitersif you’re looking for absolute precision, Concordance software allows you to searchforanywordinanyfieldyouwant.

1. Click within Quick Search, and then, type “bankruptcy.title.”.

The periods are called Field Limiters. By using the periods or dots, you’re telling Concordance to search only withinthefield(s)specifiedbetween the two dots.

2. Press Enter.

This search retrieved only one document. That’s because this is the only document in the database with theword“bankruptcy”intheTiTLEfield. FiELd-LimiTEd SEArCh rESuLTS iN BrOWSE

Combining Searchesaswementioned,youdon’tneedtobeexperiencedatBooleansearchingtofindyourdocuments.however,ConcordancesoftwaresupportstheuseofBooleanlogic—combiningtermssuchasaND,Or, NOT or the exclusive Or, XOr. in the Quick Search bar, try the search “cowco and bankruptcy” to findthosedocumentsthatcontainbothwords.Then,trythesearch“cowcoorbankruptcy”tofindthosedocuments that contain either word.

Youcanalsocombinesearchesthatyou’velimitedbyfield,asinthe“bankruptcy.title.”searchwetriedearlier.Trythesearch“memorandum.doctype.andcowco.doctitle.”Thiswillfindonlythosedocumentsthat are memos and have the word “Cowco” in the title. And this is only a small sample of the searching capability available in Concordance software right from the Quick Search bar.

TiP:

WithFieldLimiters,youcanspecifymultiplefieldsbetweenthedots byusingacommabetweeneachfield.

Forexample, ifyou’researchingfor“Smith”intheToandCCfields,type:“SmiTh*.AuThOr,rECiPiENT.”

Form SearchAs easy as the Simple Search is, and as convenient as the Quick Search is, there’s yet another way to search in Concordance. it’s called Form Search or Query by Example, and it allows you to build searches with an easy-to-use form.

1. Click the Search button to open the Search task pane, and then click the Form Search panel.

The Query by Example dialog box displays and allows you to select from comprehensive drop-down lists. This will help you determine the right search.

Think of the Query by Example dialog box as a helpful tool for beginners; even advanced Concordance users appreciate its intuitive menu interface.

The Query by Example dialog box prompts you to enter what you’re looking for, where you want to look for it, and how to connect that search term with other examples.

2.TostartusingFormSearch,type“Cowco”inthefirst“Look for” box.

3. Click the down arrow in the Connector box. Select or instead of the default, adj(whichstandsfor adjacent).

4. in the second “Look for” box, type “Goniff”, one of your main players in the case.

5. To see your results in Table view, click the Search then Table button. To see your results in Browse view, click the Search, then Browse button.

Walk-through: Case OrganizationConcordance software allows you to easily organize and categorize your case documents with Tagging. ThinkofTaggingasadynamicallysearchablefilingcabinet:useTagsforquickreference,markingexhibit numbers or streamlining collaboration with other team members. Tags are versatile and easy to use. you can create as many Tags as you need and apply them to any document. in addition, the Tags are searchable and can be produced instantly.

Click the Tags tab to open the Tags task pane.

Forjustaboutanyreasonyoucouldimagineneedingtoflagadocumentbyhand,youcanTagit in Concordance.

The milk database already has two Tags: bundle 1, and bundle 2. To create your own Tag:

1. right-click within the Tags panel, and then click New -> Tag.

2. Type a Tag called “Attorney Client Privilege”, and then press Enter.

Youjusttaggedthisdocument—that’sall thereistoit.Nowtakeamomenttomovethroughthedatabase organizing your documents with Tags.

you can even select multiple records while in Table view and drag and drop the records to any tagged document group. Just hold down SHIFT or CTRL, click the desired records and then drag them to whatever Tag you wish.

TiP:

Once you’ve highlighted records in Table view, you can right-click and send them to microsoft® Excel® for easy data sharing.

Folders and Personal FoldersConcordance software includes the ability to create multiple levels of folders and Tags to simplify document reviews and increase collaboration with colleagues. For example, you can use Concordance to assign different teammemberstoreviewspecificdocumentsubsets.Youcanalso create private folders to which only you have access. To create your own folders or sub-folders and mark them public or private, follow these simple steps:

1. right-click within the Tags panel, and then click New -> Folder. Type the folder name “Status” and then press Enter.

2. Add new Tags under the Status folder: right-click the folder name, and then click New -> Tag. Type a Tag called

“Proprietary” and then press Enter. Continue to add Tags under the Status folder, and name them as shown in the Tags panel.

Note: When creating s tag, the document that is displayed in Browse View, or selected in Table View will be automatically tagged.

3. To add a sub-folder under the Status folder: right-click the folder name, and then click New -> Folder. Type a folder name called “Sub-Status” and then press Enter. you should now see the sub-folder in the Tags panel.

4. Add a Tag within the Sub-Status sub-folder: right-click the sub-folder name, and then click New -> Tag. Type a Tag name and then press Enter.

Note: The sub-folder must contain a Tag, or the sub-folder will disappear when you close the database.

5. Add a personal folder: right-click within the Tags panel, and then click New -> Personal folder.

6. Type a folder name called “miscellaneous” and then press Enter.Notethatthisfolderisonlyvisibletoyou—nooneelsein your network has access to it. Sub-folders created under this folder are also only visible to you.

Note: Both the Personal and Public folders must contain a Tag orthefolder(s)willdisappearwhenyouclosethedatabase.

7. Add a Tag within the miscellaneous personal folder: right-click the personal folder name, and then click New -> Tag. Type a folder name called “Archive” and then press Enter.

Note: Both the Personal and Public folders must contain aTagorthefolder(s)willdisappearwhenyouclosethedatabase.

8. Finally, organize the tags: in the Tags task pane, do any of the following:

• To move a single tag from one folder to another folder, select the Proprietary tag and drag it to the Status folder.

• To move multiple tags, press CTRL, click the Bundle1 and Bundle2 tags, and then drag the tags to the Sub-Status folder.

you should now see these folders, sub-folders and Tags as they appear here. When moving tags, remember that a folder must contain at least one tag, or the folder will be removed

automatically.

Organizing folders is just as easy. Simply select the folder and drag it into another folder.

you can use the Tag/issue management dialog box to Tag records with multiple Tags at one time by using ShiFT+click or CTrL+click. Other features include querying on records marked for deletion, and records edited since the last time the database was re-indexed.

1. Open the Tag statistics panel by clicking the icon at the top right of the panel. The Tag statistics panel displays showing Tag statistics by Tags and by users.

2. Close the Tag statistics panel by clicking the icon at the top right of the panel.

Tag historyWith the new organizational tools in Concordance software, you now have access to helpful statistics on tagged documents that provide for improved case management. Take a moment to become familiar with these useful tools:

1. Open the Tag history panel by clicking the icon at the top right of the panel. The Tag history panel displays showing Tags added and removed by user and date.

Casemap® integrationintegration of Concordance with LexisNexis® Casemap® fact and issue management software allows you to move case facts, key players and more seamlessly between the two products. To see how easy it is, just highlight a section of text from the Browse view, right-click it, and then select Send to -> CaseMap. you will need Casemap to be open to receive the data.

Walk-through: E-discoveryConcordance software includes an enhanced e-discovery import wizard to help you reduce the time and cost of document review. The E-document creation engine processes and normalizes the data for improvedfunctionalityacrossall formsofnativedocuments,creatingaconsistentdocumentdisplay(PDFformattedfiles)andimproveddoc-to-docnavigationforConcordanceNativeViewer.

Concordance can import Outlook®PSTfiles,PDFsandanydocumentthatMicrosoft®officecanopen, including PowerPoint® presentations, Excel® spreadsheets, microsoft® Word, and WordPerfect® documents.

Before you begin, make sure that you’ve downloaded the Sample_Edocuments Sample data from the ConcordanceanswerCenterandextractthezipfile,savingittoafolderonyourharddrive.

From the File menu, click New.2. in the New database Creation Wizard, click the E-documents button.3. in the Select document location section, locate the Sample_Edocuments folder and then click the > Add button.4. Adding documentsNow that you’ve created an E-documents database, let’s add some more documents. using a simple drag-and-drop operation, you can quickly add documents to the database.

Walk-through: PrintingConcordance software gives you and your team so many printing tools that your options are almost limitless. Let’s take a look at a few of them.

Printing documents Concordance has two printing icons located on the Standard toolbar: Print allows you to print documents, and report allows you to write reports. Think of the Print option as the Browse view on paper and the report Writer as the Table view on paper. For detailed information about the report Writer option, see the Concordance Answer Center.

Now let’s set up a quick print job. Go to the File menu, and then select the Cowco database from the recentlyusedfileslistatthebottomofthemenu:

1. Click the Print icon. A dialog box displays with the Print options tab visible. Additional tabs give you choicessuchasFields,KWiC™(KeyWordsinContext),aswellasFormattingoptions.

2. Click the Fields tab to begin thefieldselectionprocess.

3. Click Remove all, and then double-click the BEGNO, DOCDATE, DOCTYPE, DOCTITLE, AUTHOR and RECIPIENT fieldsintheavailablefieldslist.

4. Click the Print tab to see a preview of your print job, and then click Print preview to view your print job. it should appearsimilartothefigurebelow.

you can explore additional printing op-tions on the Formatting tab, for example, print date/time stamps, and headers/footers.

Try “Compressed Printing” to print multiple pages on one sheet of paper.

Once you’ve performed a search, kWiC is a powerful tooltolimit largetextfield printingtoonlyyourkeywords(orhits)andlinesaboveand below those keywords. When using kWiC with transcripts, you can limit your text to Q&A pairs, or lines above and below, or a combination of both.

installation of Concordance Native Viewer Before you install:

• Be sure your server data has been backed up.

• have your serial number and activation code handy.ifyoucannotfindyourserialnumber and activation code, contact Concordance Support at 800-833-3346 (option 4) or e-mail [email protected].

installation of Concordance Native Viewer requires that the application be installed on individual workstations. When you install the viewer, Brava!® desktop is automatically installed as well.

Installation steps:

1. run SetupConcordanceNativeViewer.exe directly on the desktop or workstation.

2. in the Welcome dialog box, click Next.

3. Enter the serial number and activation code you received when you ordered Concordance Native Viewer to activate it, and then click Next.

4. review the End-user License Agreement. To print the End-user License Agreement, click Print.

Navigating Concordance Native ViewerThese are steps you can take if you have already createdaConcordanceimageBase(.cib)fileperthe previous instructions.

The.cibfilestoresinformationsuchasfolderpathlocation, markup history, and preferences settings for Concordance Native Viewer.

Viewing documents:1. in Concordance, open the Edocuments

database that you created earlier.

2. On the dynamic toolbar at the bottom of the workspace, click the View Image (camera) button.

Concordance Native Viewer opens the near-native view of the supported document types, allowing you to review and annotate them. With Concordance Native Viewer open alongside the Concordance application, you can view a record in the Browse and Table views while viewing the same record in the Native Viewer.

What’s in each area?A Concordance Native Viewer Work Area

displays the document that is associated with the record currently open in the Concordance database.

B markup toolbar provides tools for adding annotations to a document during review.

C Browse toolbar allows you to move between documents and records.

d Thumbnails pane displays small images of pages within the current document.

E document information pane contains details about each document, such as corresponding document information, image information and markup history; eachmediabuttoncanbeconfiguredtodisplay the information most important to you.

Byusingthemediakey(imagekey)fieldinConcordance, Concordance Native Viewer synchronizes with the current Concordance database and displays the associated documents or images.

When Concordance Native Viewer is synchronized with the current Concordance database, each tab in Concordance has an associated tab in Concordance Native Viewer displaying the associated document view. you can have up to 16 Concordance image Base views open at the same time. Each view is accessible using the named tabs at the top of the workspace.

Work Area and toolbars:using the tools in Concordance Native Viewer, you can review documents, navigate between records, apply markups (annotations)andadjustthedisplayofthedocuments or images.

reviewing documents and imagesConcordance Native Viewer allows you to magnify the original document or image for clarity and inspection, and provides a variety of markup toolsspecificallydesignedforprivilegedcontentand trial preparation. Once you have reviewed and annotated the content, especially redacting key information, the document markings are automatically saved and the changes secured.

Concordance Native Viewer stores references to all native documents and image information in a singleConcordanceimageBasedatabase(.cib)file.The.cibfileislocatedinthesamefolderastheassociatedConcordancedatabase(.dcb).

markups for the current document/record are displayed in the markup history tab of the document information pane. The markup history tab displays markup type, title and author. markup history is also saved in the .cibfile.

Applying images and stamps:

The images tool in the markup toolbar allows youtoinsertraster(bitmap)imagessuchas.jpg, .bmp or .png into the current document. images are created in an image editor for use with Concordance Native Viewer. Concordance Native Viewer comes with 16 images, such as draft, Final, reviewed and Witness.

you can also use the Stamp tool in the markup toolbar to add stamps. The stamp list in the markup Properties toolbar lists the four default stamps that come with Concordance Native Viewer(attorney’sEyesonly,attorney-ClientPrivilege,ConfidentialandunderSeal).

Two ways to apply a redaction:

1. draw a single redaction line across a sentence or part of a sentence.

—OR—2. draw a redaction box over an

area of the document or image (showningrayontheleft).

Applying redactions:

Whenconfidentialinformationneedstobehiddenin a document for production, use the redaction tool. redactions associated with the produced document cannot be edited or removed. Once the document is produced, any text or images concealed by a redaction cannot be viewed, copied or searched.

The redaction tool allows you to place one or moreredactions(rectangularboxes)overvariousareas of sensitive information within a document. in Concordance Native Viewer, the redaction appears transparent to allow you to make sure the redaction covers the information you want to conceal. When a production is executed, the redaction becomes opaque, concealing the information underneath.

Please note:• if you need to export the body text for a

production, you will need to repeat optical character recognition of the images after the redactions have been burned in.

• When you are redacting a bulleted or numbered list, it’s best to always apply redactions using the rectangle redaction tool. This ensures that the list content is completely redacted when the image is produced and/or printed. Begin drawing the rectangle in the margin, outside the text area, to ensure all information is redacted successfully.

• When you print a document or image that contains a redaction, the redaction will print transparent, rendering the underlying information visible. if an opaque redaction needs to be printed, run the documents or images through production and print the producedfiles.

SincePDFfilesarenotflattenedorburned,when producingPDFfiles,theredactedinformationis removedfromthefilebeforetheredactionisplaced. The production process physically removes the hiddentextfromtheproducedfile;theoriginaldocument is not altered.
