Excitech has partnered with the construction sector for over 30 years. This experience gives us a deep level of knowledge, not just around how buildings function and how their component parts fulfil often inter-dependent roles, but also around the many and complex processes that connect the value chain, from design through to build and handover.

Facilities Managers are increasingly active in the use of data to understand the inner workings of buildings. From the management of energy to the optimisation of space, and the rigorous vigilance that preventive maintenance affords.

We were delivering BIM before BIM was recognised as a methodology. We had a team of nine consultants working on BAA’s Terminal 5 construction project, implementing common design and co-ordination standards, policing and managing design data during the design and collaboration stages of the project, and capturing asset data for management of the T5 assets. As a result, we are now leading the way in helping Facilities Managers to grasp the opportunities of BIM and to ensure that Facilities Management assumes its rightful place in the collaborative community that now surrounds the built environment.

With Excitech Facilities Management solutions:

• Space can be better utilised• Property costs can be reduced through rationalisation• Operating costs for each building can be analysed and optimised• Control of multiple suppliers and associated service levels becomes simple

to manage• The environmental impact of the portfolio can be measured and reduced

Benefits of Excitech softwareWith Excitech Facilities Management solutions, organisations can:

Reduce costsA Gartner report (June 2014) stated that the following benefits could be achieved by implementing an Integrated Workplace Management System:

• 10-15% cost saving through reduction in space requirements by effective and efficient management

• 5-8% cost saving through process improvements and better contracting

• 5-8% savings in lease costs by professional lease administration

These findings are supported by feedback we have collected from users of our solutions with significant savings reported on space planning and management, building operations, asset management, real estate portfolio management, capital project management, asset management, workplace services, environmental and risk management, and move management.

Increase efficiencyGo paperless: The ability to manage all jobs electronically, from taking the call/working on planned preventative maintenance to job completion, with full audit trail, will significantly increase productivity of the administration and engineering teams.

Better utilise space: With an overview of the organisation at the touch of a button, Facilities Managers have a full view of their space. This provides visibility of areas that are not fully or efficiently utilised to ensure all space is optimised.

Reduce Risk/Improve Strategic DecisionsHigh level reporting: Operational data, in the form of reports and a dashboard, is available to review and make informed decisions, which will impact the future operation of the business.

Quicker and clearer management: The flexible solutions can be manipulated by the Facility Manager in numerous ways, depending on the information they would like to see. This can help them make changes easily and quickly.

Compliance: Ensure a high level of safety for the workforce and compliance with regulations.

Four key elements of Facilities ManagementOur consultancy services, technology solutions and implementation services empower Facilities Managers to optimise information, provide strategic value, and simplify and automate complex processes in:

Space managementThe foundation of your organisation’s efficiency: Strategic space plans and portfolio forecasting becomes easier, and from a departmental and leadership team perspective, more visible. This drives greater accountability, quicker and more accurate cost recovery, while providing a more well-informed approach to space utilisation across the organisation. With the right software enabling collaboration with users, you’ll be able to streamline the enterprise move management process.

Support constantly changing workplace strategies and demands for space: Gain visibility of space management across different cost centres, and evaluate requests according to consistent policy and corporate strategy. Users can access self-service request forms to submit department claims and releases of space, individual moves, or group moves; they can request workspace creation transactions that become part of history and trends.

Maintenance managementThe key to a smooth-running estate: Available software delivers greater efficiencies in planned and reactive maintenance. They maximise the value of assets to the best advantage of the organisation, streamline maintenance processes, save time, reduce costs, and minimise the risks previously associated with outdated manual approaches.

Deliver more effective maintenance through improved building operations: Comprehensive reports and analysis allow management to monitor all aspects of the operation, from workload and labour, to costs and parts, on a daily, weekly or monthly basis.

Property managementMaking strategic plans based on informed decisions: Available software enables key stakeholders to make strategic plans based on informed decisions for asset management and portfolio planning. The Facilities Management responsibilities for important financial areas are increasing, with access to a potential goldmine of data that can assist corporate financial decisions. Historical data helps predict and control portfolio occupancy costs and the administration that goes with them.

Drive proactive decision making with unified management reporting on portfolio performance: Easily aggregate, evaluate, and optimise energy and utility spending decisions to reduce unnecessary consumption and costs. Assess baseline conditions, forecast future requirements, propose alternative planning scenarios, and evaluate the complex trade-offs involved over different time periods.

Energy management and sustainabilityReducing energy costs, improving asset value and ensuring compliance: Organisations need to keep a close watch on how energy is used. Through a more controlled, easily monitored, and more effectively implemented strategy around technology, you can help reduce the organisation’s carbon footprint. Doing so will not only help reduce costs but also reflect favourably on any public-sector organisation in today’s increasingly environmentally conscious world.

Achieve lower utility costs: Easily aggregate, evaluate, and optimise utility spending decisions to reduce unnecessary consumption and costs. Users can correlate and manage extensive cost and consumption data with real-time facility and infrastructure portfolio information.

Digital information and Compliance

COMPUTER AIDED FACILITIES MANAGEMENT

All elements are linked in their ability to provide digital information to help make strategic decisions and ensure the estate remains safe and meets all legislative requirements.

Digital InformationSupporting operational efficiency and driving better outcomes: We are now in a digital world; the organisational agility driven by advances such as cloud and mobility plays an increasingly significant role in streamlining planned and reactive maintenance, as well as call centre interactions. Mobility offers agility in ongoing operations together with real-time access to critical information. Records and reports are compiled on the move to relieve tedious paperwork pre- and post-event.

Respond to customers faster and harness digital systems: Gain on-the-move access to graphical and non-graphical reports, forms and views, anytime, anywhere. Mobility enables you to get things done quicker and keep track faster through a streamlined, two-way exchange of information, from a centralised repository to operational staff, contractors and management.

ComplianceManage your estate safely and legally: In recent years, businesses have faced huge changes to risk, and the associated fines for not remaining compliant, and they will continue to experience further change moving forward. Organisations must meet multifaceted legislative requirements around fire safety, water treatment, legionella management, staff duty of care, medical equipment, elevators, gas safety, electrical testing, asbestos, owner/tenant agreements and much more. Strategies to manage and ensure compliance of all elements can be mapped, scheduled, actioned and audited.

Tailored risk management: Specific regulations and contract terms can be associated with exact preventative maintenance regimes, service-level agreements and compliance verification actions that govern them. They can be applied to manage contractor works, as well as those handled by direct labour, essential with the wide range of elements to keep compliant. Compliance certification can be completed immediately whilst on the move.

Industry and delivery expertsThe accelerated route to unlocking asset value and driving process efficiency.

Excitech takes proven ready-made solutions and tailors them to an organisation’s requirements.

Our approach to delivering benefits faster is based on three pillars of operational expertise:

• Industry best practice: Our experience across the property sector enables our consultancy team to identify systems and software requirements in relation to standardised solutions that can then be modified to address their operational and strategic needs.

• Low-risk: Our experience in managing complex data migration minimises the risk of implementation, from a detailed review of data requirements and data integrity through to test runs, data issue logs, and proposed remedial actions. This is a significant factor in the success of every Facilities Management project undertaken.

• Swift implementation: We create a schedule that clearly defines small, frequent deliverables to allow easier progress tracking and early slippage detection.
