Role Purpose
Providing administrative support to the Contract Manager and contract team.

To support the day to day operation of HWRC contract, ensuring that compliance is maintained at all times and that any issues are dealt with in a swift, lawful and effective manner.
Key Responsibilities
To provide administrative/secretarial support to the facility management/ supervisory team
Effectively manage the contract specific reporting system
Accurate reporting of near misses from sites and transport through the Safeguard system.
Ensure duty of care records are kept up to date
To maintain clear and accurate records in order to monitor the successful delivery of the Contract and to provide evidence on compliance to legislation and the Contract requirements; responsible for the monthly reporting of these key performance indicators
Manage the telephone system
Help to manage and update the Site Filing Systems
Arrange meetings as and when required, arrange site events, book venues, transport, accommodation and travel as and when necessary
Manage the stationery ordering and stock control. Order PPE for site staff and ensure appropriate records are kept. Assist in the management of the offices and ensure that a professional impression is made at all times
Help and assist with visitors to site
Occasional responsibility for control of contractors on site
Assist with raising and receipting purchase orders for using the Proactis system
Submit weekly and monthly payroll information

Support with invoicing queries and data queries from the customer
Qualifications and Experience (preferred)
Previous administration experience essential, preferably in a highly regulated environment
A good working knowledge of Microsoft packages such as Outlook, Excel and Word; competent at collating information to produce reports
Experience with managing purchase order systems
Demonstrable skills in achieving demanding work requirements and ensuring contract needs are met.
Able to prioritise tasks to maximise operational efficiencies and make the best use of available resources
