This guide will take you through the process of:

• Navigating to the ATM Deposit Code application

• Creating and sending a new ATM Deposit Code

• Viewing ATM Deposit Codes

• Editing an existing ATM Deposit Code

• Performing bulk actions: Print, Delete, Send and Export

• Creating ATM Deposit Codes in bulk

Before you start.

ATM Deposit Codes can only be created for:

• Accounts which can accept deposits currently at the instant deposit ATM

• Accounts which you can view. To check if you have access to the account, navigate to Admin > My Profile > Accounts and verify that the View Balance or View Account Details permissions have been enabled against the account

3. Navigate to the ATM Deposit Codes application and click on the Launch ATM Deposit Codes button.

Navigating to the ATM Deposit Code application

1. Open your internet browser, visit www.commbiz.com.au and log in to CommBiz using your password.

2. The CommBiz Home Page is displayed. Click on the ATM Deposit Code menu option

4. The ATM Deposit Code landing page is displayed allowing you to create and manage your codes.

Creating a new ATM Deposit Code

1. To create a new ATM Deposit Code click on the Create new code button or click on the Create a code menu found within the page header.

2. To create a code:

• Select an account which will be used to accept deposits

• Enter a Depositor reference. This will be presented to your depositor when a code is scanned at the ATM

• Enter a Description for your statement (if required). This will be visible on your account statement

• If applicable enter an Agent ID. This field will display depending on the account selected. If it is visible, it will be mandatory for the account.

• Click on Create Code

Tool tips are available against each field to help provide additional information about each field.

If your code was created successfully, a QR image will be displayed on the next screen, along with a success message. Your code is ready to be used.

Sending a new ATM Deposit Code

1. To send a new ATM Deposit Code click on the Send code button.

2. Enter a Depositor name along with an Email address or Mobile number and click on Send Code.

If your code was sent successfully, a message will be displayed on the next screen.

Depending on the method of delivery, your depositor will receive an SMS, email or both, with a web link to your code which can be used at the ATM, or saved and printed for future use.

Viewing ATM Deposit Codes

1. To view your existing ATM Deposit Codes, select an account using the drop down available.

2. If codes exist against the account selected, codes will be displayed within a table, center of screen. ATM Deposit Codes can be searched and sorted using the different columns available.

Maintaining an ATM Deposit Code

1. To view an existing deposit code, first select the account which the code has been created for. Locate the code from the list displayed and select the Details button.

If no codes were found for a selected account, a message will be displayed requesting that another account be selected.

2. To edit a code select Edit.

3. To print a code select the Print code button. Your browser will attempt to format the code and print it.

4. If you’d like to send or resend your code select the Send code button.

Note: If the Send button is disabled for the selected code this means that depositor information is missing. To send this code, first edit and save the code with a depositor name and email or mobile number. The Send button will no longer be disabled. Select the Send code button to send.

Caution:

When codes are created, each will have its own unique identifying number which ensures that each code is different. However if you’re adding new deposit codes which have the same information as an existing code you may find yourself looking at codes which look the same. Please ensure that any deposit codes you’re about to create have not already been created with the same information to avoid any confusion.

Sending multiple ATM Deposit Codes

1. To send a group of codes to your depositors, first ensure that each code has been set up with a depositor name and, email or mobile number. Select the number of codes you’d like to send on the Manage ATM Deposit Codes page and select the Send button.

A confirmation message will appear on screen. Select the Confirm and send button to send your codes.

If your codes were sent successfully, you’ll return to the list of codes and a success message will be displayed.

Printing multiple ATM Deposit Codes

1. To print a group of codes, select the number of codes you’d like to print on the Manage ATM Deposit Codes page and select the Bulk Print (PDF) button.

A confirmation message will appear on screen. Select the Confirm and delete button to delete your codes.

Deleting multiple ATM Deposit Codes

1. To delete a group of codes, select the number of codes you’d like to delete on the Manage ATM Deposit Codes page and select the Delete button.

A PDF file will be generated containing the selected codes. Codes will be business-card sized and will display 10 to a page. The format used has specifically been aligned to ensure codes can be printed using the following print formats:

A confirmation message will appear on screen. Select the Confirm and export button to export your codes.

Exporting multiple ATM Deposit Codes to CSV

1. To export a group of codes into a CSV file, select the number of codes you’d like to export on the Manage ATM Deposit Codes page and select the Bulk Export (CSV) button.

If your codes were deleted successfully, you’ll return to the list of codes and a success message will be displayed.

Creating multiple ATM Deposit Codes

1. To create a number of codes in a single request, navigate to the Create codes in bulk menu option.

Additionally a .csv file will be produced containing the selected codes exported. Depositor details such as name, email and phone will not be included in your export file.

2. Download the template and instructions file and review what’s needed to create a code.

If you’re aware of the information needed to create a single ATM Deposit Code, the fields and formats necessary for creating codes in bulk will be familiar.

Note: If you’re including depositor information such as name, email and mobile phone in your file, your codes will simply be created and not sent automatically. When you are ready to send your codes in bulk refer to the section on sending multiple ATM Deposit Codes.

3. Once you’ve entered the deposit details for the codes you’d like to create, save your populated Excel template as a .csv file on your computer. You can name it whatever you like, for example ‘ATM Deposit Codes.csv’.

4. To validate your file for creation, select your .csv from your computer or drop your file on the bulk creation screen and click on the Upload button.

5. If you’ve entered the details of your codes correctly you’ll receive a message informing you that your codes are free from errors and are ready to be created. To create your codes select the Create Codes button.

If your codes were created successfully, a success message will be displayed on the next screen along with the options of uploading another file or returning to the Manage ATM Deposit Codes page to view your newly created codes.

6. In the event that you’ve entered the details of your codes incorrectly you’ll receive a list of error messages informing you that your codes contain errors and need to be corrected prior to creation.

Take note of the errors which have occurred on this page and return to the excel template to correct your entries. When you are ready to upload your file again click on the Cancel and restart button.

The following table may help you resolve your errors.

Caution:

If you’re adding new deposit codes to a file which has already been processed, you may find yourself creating duplicate codes.

Please ensure that the deposit codes included in an upload file have not already been created to avoid duplicate codes being generated.

Bulk Creation error message How can I fix this?

We’re sorry, we weren’t able to read your file. Please make sure that the Bulk Create csv template has been used to prepare your data. Please update your file and try again.

Please ensure that the same columns exist in your file as the template provided and does not contain any empty records.

We’re sorry, the file exceeds the number of records allowed. Please limit the number of records to less than or equal to 1,000. Please update your file and try again.

Please ensure your file contains less than or equal to 1000 rows. Please split your file into another file if your file is greater than 1000 rows.

We’re sorry, we can only process 15 unique accounts per file. Please limit the number of accounts to less than or equal to 15. Please update your file and try again.

Please check that the number of unique accounts supplied in your file is less than or equal to 15. Please split your file into another file if your file contains more than 15 unique accounts.

We’re sorry, each row in the file must have a record number. Please ensure that the record number is in sequential order. Please update your file and try again.

Please check that your file doesn’t contain empty records and each record has a valid number assigned to it in the first column.

Invalid Account and/or BSB. To correct this record please check for the following and update your file.

• The account number and BSB are valid

• You have permissions to create deposit codes for this account

• Leading zeros for the account and BSB have not been removed in Excel

If this error continues to display, please refer to the CommBiz user guides for more information.

Please ensure:

• The BSB is 6 digits

• The account number is 8 digits

• The account exists against your CommBiz Service

• And you have permissions to view the account

Please also ensure that any applicable leading zeros have not been removed in Excel. To check this perform one of the following:

• Option 1:

o Download a new Excel template.

o Copy and paste the affected records from your csv file into the Excel template.

o Review the impacted record(s) and ensure that leading zeros have not been removed.

o Resave your file as .csv file to re-import.

• Option 2:

o Reopen your .csv file in Excel.


o If leading zeros have been removed, supply a single quote (‘) in front of each affected value and re-enter the missing zero. For example (‘061234).

o Re-save your file.

• Option 3:

o Reopen your .csv file in Notepad.

o Locate the impacted record(s) and ensure that the leading zero has not been removed.

Invalid Description for Statement. To correct this record ensure that Description is no greater than 18 characters and contains letters, numbers, spaces and the following special characters + - @ $ % & () * . # = : ? , _ ‘

Please check that the field reported is 18 characters, and only contains numbers, letters, spaces and the following special characters only + - @ $ % & () * . # = : ? , _ ‘

Invalid Depositor Reference. To correct this record ensure that Deposit Reference is supplied and is no greater than 30 characters and contains letters, numbers, spaces and the following special characters + - @ $ % & () * . # = : ? , _ ‘

Please check that the field reported is 18 characters, and only contains numbers, letters, spaces and the following special characters only + - @ $ % & () * . # = : ? , _ ‘

Invalid Depositor Name. To correct this record ensure that Recipient Name must begin with a letter and only contain letters, apostrophe(‘) a dash or hyphen(-)

Please check that the field reported does not contain special characters apart from apostrophes and dashes, and is less than or equal to 50 characters.
