CHARATERISTICS OF COFFEE BEANS. Coffee shrubs (Coffea arabica), which belong to the
madder (Rubiaceae) family, are shrubs with evergreen, leathery leaves, white flowers and spherical, reddish purple stone fruits, known as coffee cherries.
There are various varieties of coffee beans:-
1. Coffea arabica
2.Coffea robusta
3. Coffea liberica
4. Unwashed green coffee beans.
5. Washed green coffee beans.

PACKAGING Coffee beans are usually packaged in new bags of woven
natural materials (e.g. jute or sisal), which allow free air circulation.
Shipped in a sisal(Fiber bag) outer bag containing a plastic inner bag. This plastic inner bag is perforated.
Put marks or numbers for identification purposes on the bags.
Make necessary requirements for the package for the purpose of lifting.

CONTAINER TRANSPORT Two types of container can be used to transport coffee:
1. Standard Containers
2. Ventilated Containers.
MEANS OF TRANSPORT
Use of trailers for carrying the containers from exporters premises to the port.
Sea transportation.
CARGO HANDLING Hooks will not be used in cargo handling as they will result
in damages.
All the bags will be unitised, tied together and than will be lifted.
In damp weather (rain, snow), the cargo must be protected from moisture, since moisture ingress may cause damage.
Fiber rope, thin fiber nets. Used nets must be washed and dried before use, to prevent tainting by odors or seawater.
Use of forklifts to load the bags on a container.
CARGO SECURING
For safe transport, the bags will be stowed and secured in the means of transport in such a manner that they will not slip or shift during transport.
If loss of volume and degradation of quality are to be avoided, the packages must not be damaged by other articles or items of cargo.
Attention will be paid to stowage patterns which will be required as a result of special considerations, such as ventilation measures.
Logistics aspects of coffee bean
Storage: The warehouse must have good ventilation without draughts
especially from south.
To avoid woody taste and bleaching of color the coffee must not contain more than 11+0.5% humidity.
The coffee bags must be placed in wooden bags and should be covered with plastic sheets and the floor should not be kept against the walls to prevent any type of humidity.
Coffee warehouse should not contain other agricultural products or chemicals.
Container Transport
• Most of the transporting countries use 20ft container usually filled with 60.5 kg bags and big bags 1200kg bags.
• Container should be well ventilated and should be equipped with appropriate ventilation system, drainage and moisture collecting system.
• The critical parameters should be taken such as humidity of coffee at time of loading, changes in environmental condition at both POL and POD.
Continued…• The shorter the duration of journey, the lower the risk
of damage.
• Hence container is exposed to sun water evaporates and condenses at night, this can be avoided by completely lining with special paper with coffee.
• Before loading, the coffee must be checked, weighed and phytosanitary certificate must be issued.
DOCUMENTATION
PROCEDURES FOR ACCREDITATION OF COFFEE EXPORTERS
1. Applicant submits letter of Application for Accreditation together with Business Name or SEC Registration, BIR Registration, Mayor’s Permit, and Latest Audited Financial Statement.
2. ICOCA (International Coffee Organization Certifying Agency)evaluates the application and conducts a plant/factory and/ or plantation visit.
3. ICOCA prepares Evaluation Report and assigns an exporter’s ICO identification code number.
4. ICOCA approves and releases the exporter’s Certificate of Accreditation.
5. ICOCA orients the newly-accredited exporter on the systems, rules, and procedures of exporting coffee.
PROCEDURES FOR COFFEE EXPORT DOCUMENTATION
(Pre-loading stage) 1. Applicant submits duly accomplished Export Declaration (ED)
form together with Letter of Credit (LC) or Export Contract and Sales Invoice.
2. ICOCA evaluates, approves, and releases the Certificate of Clearance.
(Post-loading stage) 1. Applicant submits a copy of the signed Bill of Lading (B/L) or
Airway Bill and validated ED for verification and recoding of shipment data.
2. ICOCA prepares, approves, and releases the Certificate of Origin for submission to and countersigning of the Bureau of Customs (BoC).
3 Applicant returns photocopy of Original, Green and Blue copy of validated CO to ICOCA for submission to ICO-London.
PROCEDURES FOR CERTIFICATE OF EXEMPTION ON SAMPLE SIZE COFFEE SHIPMENT
1. Applicant submits letter-request for Certificate of Exemption for small quantities of coffee export parcels with the following weight equivalent:
Green beans – 60kg
Roasted beans – 23 kg.
Instant/soluble –120 kg
2. May also submit the Invoice List or Packing List
3. ICOCA evaluates, approves, and releases the Certificate of Exemption. This shall be valid for one shipment to one consignee only.
