Getting Started
Creating & Editing Folders Begin by clicking CloudFile on the blue menu bar.
Click Edit Folder Structure to add or edit folders. Remember, when you edit the folder structure it affects the folder structure across your entire company.
Click the type of folder that you want to add or edit: Company, Region, Property, Apartment or Resident. Company, Region and Property folders are only visible on the CloudFile page, but Apartment and Resident folders also appear on the Lease Details page. See Lease Details on page 4.
To add a new folder, click Add New Top Level Folder.

When you add your first folder you’ll be prompted to set the access levels for the folder. Access levels are based on existing permission levels at your company, e.g. General Manager, Regional Manager, On-‐Site Manager, etc. Each subsequent folder you create will default to the access levels of your first folder unless you specify otherwise.
You can edit or delete an existing folder by clicking the icon. As a safeguard against accidental file loss, you can’t delete a folder if it contains any files. You’ll need to delete the files individually or move them to another folder first.
You can add a folder within an existing folder by clicking the icon.
Subscribing to Folders Subscribing to a folder allows you to receive email notifications anytime someone edits or adds files to the folder.
To subscribe click the icon. Click Subscribe in the popup window to confirm.

Lease Details Company, Region and Property folders are only visible on the CloudFile page, but Apartment and Resident folders also appear on the Lease Details page. The Lease Details page is used for managing individual leases. You can get to the Lease Details page at any time by selecting Recent Leasing Activity from the Leasing menu and clicking the name of the renter whose Lease Details you want to view.
Use the search box to find leases. You can search by apartment number or resident name.
Click the resident’s name to view the Lease Details page.

Folders and files archived in CloudFile will appear in the CloudFile section of the Lease Details page.

Archiving Files
Uploading Files To upload a file, click CloudFile on the blue menu bar.
Use the menu to select the appropriate community (if you have access to multiple communities).
Use the CloudFile search to find the folder that you want to upload to.
Click Advanced Search to refine your search results.

Click the folder to locate it within the file tree.
Return to search results by clicking the saved search tab.
Once you’ve found the right folder, click the icon. Drag files to the upload window or click Add Files to select them from your computer.
When you’re done adding files to the upload window, click Start Upload.

Faxing Files To add a file via fax, find the folder that you want to fax the file to and click Send by Fax.
Enter the file name, date and any additional comments and then click Print.
Place the printed fax cover sheet on top of the documents you want to archive and fax them to On-‐Site’s main fax number: (877) 329-‐6674. You can bundle multiple documents under one cover sheet. You can also fax multiple bundles in one fax transmission by separating each bundle with its own cover sheet. Remember, fax cover sheets are folder specific. To ensure your files are faxed to the right folder, use the specific cover sheet for the folder you’re faxing files to.

Emailing Files
To add a file via email, find the folder that you want to fax the file to and click the icon. Turn sharing on for the folder.
When you turn sharing on, the folder will be assigned its own email address, which you should copy or save to your contacts. Anytime you send the folder an email with an attachment the attachment will be added to the folder in CloudFile. Remember, CloudFile emails are folder specific. To ensure your files are emailed to the right folder, use the specific email for the folder you’re emailing files to.

Managing Files To manage or edit a preexisiting file, click CloudFile on the blue menu bar.
Select a property using the menu.
Use the CloudFile search to find the file that you want to edit.
Click the file to view its location in the file tree.
Click the icon to edit the file.

Sharing Folders & Files
Sharing Folders Sharing folders allows people outside of CloudFile (like your applicants, residents and vendors) to upload files to CloudFile.
To share a folder, first navigate to the appropriate folder and click the icon. Turn sharing on for the folder.
When you turn sharing on for the folder, the folder will be assigned its own email address, which you should copy or save to your contacts. Anytime someone sends the folder an email with an attachment, the attachment will be added to the folder in CloudFile. Remember, CloudFile emails are folder specific. To ensure your files are emailed to the right folder, use the specific email for the folder you’re emailing files to.
Shared folders also have their own dedicated public upload page. Remember, upload pages are folder specific. To ensure your files are uploaded to the right folder, use the specific upload page for the folder you’re uploading files to.

Anyone who has the link to the upload page can upload files directly to that folder.
You can invite people to share by entering their email address in the invite box. Recipients can reply and any attachments are added to the appropriate folder within CloudFile.

Sharing Files In addition to sharing folders, CloudFile allows you share specific files. Sharing files allows people outside of CloudFile (like your applicants, residents and vendors) to download files from CloudFile.
To share a file, first navigate to the appropriate file and click the icon.
Turn sharing on for the file.
Copy the download link and email it to the person you want to share the file with.
For added security, add a PIN to the file. Doing so will require the person you’re sharing the file with to enter the PIN before downloading the file. PINs should be shared over the phone or in-‐person only.

Once you send the download link the recipient can click the link and download the file.
