INTRODUCTION

The system administration training notes have been split into two sections – • System orientation • System administration functions System orientation covers areas such as logging in and out of Citadel, menu stacking and common Citadel options and commands. System administration functions covers areas such as user maintenance, menu maintenance etc. These notes are designed to be an aid in the training of the system administrator and other relevant persons in the implementation of Citadel software. Many of the tasks contained within these notes have a 'once only' nature and only need to be used in the initial set up period. Function parameters are one such option and once set up, should only be altered by the System Administrator.

The log on screen is used to “enter” the Citadel system. Each user has a user number (which may be alpha numeric) and a password. After the user has identified themselves (via their user number), their password is entered in the message line. Unless this is required to be changed RETURN. This will either drop the user into the system or allow the user a choice of accounts. The Citadel system can run multiple “accounts”. Accounts are databases on the system using the Citadel software eg most sites will have a “live” account (where daily processing is entered) and a “test” account (usually a copy of the data in the live account, but used for training and testing purposes). As an account may be a separate company, it should be noted that the program parameter settings may be different between the accounts. The user number determines the access to the various data accounts.

All Citadel menus show the menu name that is currently being displayed, the menu description and the user name. The top right hand corner displays the default printer and the data account that the system is logged to. e(X)it will access the previous menu used or will exit from Citadel if at the main menu.

Citadel menus can be customised by the system administrator. Therefore each user may have different menus, depending on their role. The description of menu items may also differ between users. A “?” at any menu will display the program names. The left-hand side is the program name or sub menu that will be executed. The right hand side is the description of the menu item. Any name that is preceded with PD.MENUPAINT is a sub menu.

If a user has access to multiple data accounts, a switch between accounts can be done by typing the account name followed by a full stop (.) at any menu. This alleviates the need to log out and then log in again. NOTE: If switching accounts, care should be taken to ensure the system is in

the correct account, before processing.

The ability to execute a menu item from another menu other than the one you may presently have on screen is available but must be used with care. For instance, you may have the Accounts Receivable menu displayed and need to enter a sales order. The option to enter sales orders on your menu structure may be: - Option 1 (Sales orders) from the main menu Option 3 (Data entry) from the Sales orders menu Option 1 (Sales order entry) from the Data entry menu. Entering 1.3.1 at any menu prompt, in this case the Accounts receivable menu, will take you straight to sales order entry without having to exit from the Accounts Receivable menu. After entering the sales order, e(X)it from this menu will take you back to the Accounts Receivable menu.

Within each program, the bottom line of the screen is the command line. The command line will display selection options and/or a brief description of each field. To select an option, enter the characters that are within the round brackets eg (CONT)acts, C(ONT)racts, (FUN)ction etc. Options available will differ depending on the program that is being run.

SEARCH FACILITIES Most fields within programs reference other files. There are a number of methods to search for the appropriate record. Common field search facilities within Citadel are: - (?) This will display all codes and their descriptions within the file that the field

accesses. (.N) Where the field accesses a large file (as in customers), then a name search is

often available. This search will look for matches within the name of the record.

(.S) This search is used when further search options are available e.g. part number, description, ownership etc.

(.T) Telephone search (used to access customers) (.L) List delivery addresses for a customer (used in sales order entry) Search options are displayed on the command line if available. The options displayed for this search depend on how the general ledger code has been defined eg if the general ledger code defined is Branch, Department and Account, then these options will display. Selection of these options will take you to the relevant search facility ie selecting (B)ranch will list all valid branches. From this list, select the required code. The code will display on the command line next to the appropriate option. This will then assist in the entry of the full code required.

Alpha search keys As it is customary to have numeric codes for record id’s the system often allows an alpha search key to be entered to access the required record. Alpha search keys can be up to 8 characters long. The main files that utilise this facility are product, customer, vendor, technician, customer site and delivery addresses. An example of the use of the search key is where customer number 123456 (ABC Technology Ltd), has a search key, of ABC. Wherever the customer number is required to be entered, instead of entering 123456, ABC can be entered and that customer is retrieved. If there is more than one customer with the search key, then all customers that have the search key are displayed and the required customer is selected.

Commands The command column holds the command that will be executed upon selection of this line from the menu. e.g. DD.STOCKENQUIRY (stock enquiry) When calling another menu from the menu, then the menu name must be preceded by PD.MENUPAINT. e.g. To enter the menu XX:AR to the menu, you type PD.MENUPAINT XX:AR Command description Enter the description of the process. When entering the description, bear in mind that it should be meaningful to other users. The same process can have a different description for different menus. e.g. Cash receipting process (DD.ARCASHREC) could be described on Menu 1 as Cash receipt entry, and on Menu 2 as enter debtors’ cash. Type ALL in this field to send mail to all users.

Subject: This refers to the subject of the message being sent. This field is optional. The subject is displayed when enquiring on mail messages. Reference: Enter the message reference. This field is optional. Message text: Enter the message that you wish to send. To exit from the message text, enter (.) at the beginning of a new line. Once all details of the message is entered, options available are: -

The receive mail process is used to receive mail sent by other users within the Citadel system. Options available are displayed on the command line. The PD data basic process is an internal Citadel function for compiling and cataloguing programs. At Citadel’s site, (but not at customer sites,) the process also handles software bookings and version control. Various editor and print options are provided. Detail is displayed for the field descriptions, the field size and where only numerics are used. Select format id: Enter the format id of the screen that is to be painted e.g. DD.POENTRY1. The format id is normally the program name followed by a screen number.
