CHROMEBASE

The purpose of the Chromebase Project is to provide young people with an easy to access terminal whereby they can use the web.

Note that the Chromebase itself is a limited device that acts as a terminal for users; therefore does not have the full capabilities of a standard desktop PC or laptop. There are no programs installed such as word processors etc.

It is to empower young people to visit our centres and allow them to use our devices. In other words it will be young peoples’ responsibility for ownership for their usage of the device and their own data when using these machines (please see Terms & Conditions below for more info).

Note that when you log out of a session; all documents and login(s)/passwords that were used during the session are emptied and all the files are deleted. This ensures good data protection when using these devices. If any documents/files need to be saved they will either saved in the young person’s personal cloud storage and/or emailed as an attachment.

TERMS & CONDITIONS

All users must agree to the following conditions of use each time they log on to a YC Hertfordshire computer or access the Wi-Fi service.

Failure to abide by these Conditions of Use may result in computer sessions being terminated and users being barred from using computers in YC Centres.

You are responsible for:

- the activities which take place on this Chrome device while you are logged in- not accessing sites or content, including those of a pornographic, violent or racist nature, which

may cause offence to other people- not viewing live television or other content which needs a licence- using the service in a reasonable manner and not undertaking activities which inconvenience

other people, including internet telephony- not tampering with this Chrome device and its accessories- not using another person's details to access this Chrome device- not sending/ posting abusive or offensive messages

YC Hertfordshire Staff are not responsible for:

- the accuracy and reliability of information on the Internet- availability of web-based e-mail, banking or other services- the speed of the Internet

Hertfordshire County Council will not be liable or responsible for any problems you may have if you:

- make any kind of personal financial transaction or use a gambling website- join a chatline or social networking site- do not protect your personal data or keep yourself safe online

INITIAL LOGIN

After initially logging and accepting the Terms & Conditions the device will automatically open up the web browser and go to the YCH Hertfordshire website (https://www.ychertfordshire.org/).

From here the user can proceed as required.

ACCESSING FILES/DOCUMENTS

To access any files that are saved or downloaded during your session click the icon in the bottom left corner (1) and then click the icon that says Files (2):

This will then open up the folder with your documents in them as seen below:

USING/CREATING ONLINE DOCUMENTS

As mentioned previously, Chromebases are limited to web functionality only. Because of this, all documents (word processors etc.) that need to be created must be done via an online service. For example; Google accounts will be able to use Google Docs; and Hotmail/Live/Outlook accounts can use Word Online.

Note that young people should be using their own online accounts when doing this. If they do not have an appropriate email with this functionality it will be their responsibility to create their own account using whatever service provider they wish.

IMPORTANT: Staff should never use their own personal accounts when assisting young people on these devices and no accounts should be created for official HCC business - no team accounts etc.

EXAMPLE: CREATING A CV USING GOOGLE DOCS

The following is an example, using a Gmail account, of creating an online CV.

Step 1: Go to https://www.google.co.uk/ and click the Sign In button.

Step 2: Log in (create an account if necessary).

Step 3: After logging in, click the menu (third icon from top left) and from here you can click ‘More’ to go to ‘Docs’ (see Step 4).

Alternatively you can click ‘Drive’, which will take you through to existing documents if you already have a CV.

Step 4: Select Docs.

Step 5: Here you will be able to see recently opened documents or you can open a new document by clicking ‘Blank’.

Step 6: The document will open and you can start writing the CV. Please note that you do not have to ‘save’ the document. The document is automatically saved every time you make a change to the document.

Step 7: Once finished writing the document you can email the attachment by clicking ‘File’ and then selecting ‘Email as attachment’ (you can also download – see Accessing Files/Documents).

Please note that you can change the attachment type (see below). The default is a PDF file, but if you wish to have it for editing purposes you can save as a Word document.

EXAMPLE: CREATING A CV USING WORD ONLINE

The following is an example, using Word Online, of creating a CV.

Step 1: Go to https://office.live.com/start/Word.aspx and Sign In (create an account if necessary).

Step 2: Click on the ‘New blank document’.

Step 3: The document will open and you can start writing the CV. Please note that you do not have to ‘save’ the document. The document is automatically saved every time you make a change to the document.

Step 4: Click ‘File’ and then ‘Save As’. This will enable you to download the document to Files (see Accessing Files/Documents).

Step 5: To email the document open up the services icon in the top left and select ‘OneDrive’ (this is where the document is saved).

Step 6: OneDrive will open and you will be able to see the document here. Click ‘Share’ in the top banner.

Select email and you will be able attach documents as necessary.

ENDING/EXITING A SESSION

Once a young person has finished with the device they should immediately log out by clicking the Red button at the bottom right of the screen titled ‘Exit session’.

As mentioned previously once the session has been exited all of the users documents and/or web logins and passwords saved on the device will be cleared and deleted.
