Keys to Facility Maintenance

There are some basic rules when considering a planned maintenance program that can be a “team e�ort” involving your janitorial sta�, your carpet & tile

cleaning company and even your employees! Here are some helpful tips!

Aggressively Target Entry PointsEntries, foyers, lobbies & hallways will require concen-

trated vacuuming for dry soil removal daily using HEPA �lter vacuum cleaners. Regular inspection of

your vacuum cleaners is a must!

Entry Mats: Your �rst line of DefenceEntry mats are an indispensable part of preventative maintenance. Walk o� mats should be 12 to 15 long

and remember, 80% of all soil is tracked in by foot and most of that will come o� during the �rst 3 or 4 steps. Check with your carpet supplier concerning

the best type.

Spills: Encourage sta� to report them!Spots and spills are not only an eyesore: these foreign

substances in your soft surfaces can also cause deterioration of the �bres and shorten product life.

Create a “Spot & Spill” logbook on each �oor to help your professional cleaners stay ahead of the curve!

faq: what is a planned maintenance program?

Maintaining a clean facility just makes sense. Replacing carpet and o�ce furniture is expensive and often results in a loss of production. Proper cleaning and maintaining of your o�ce textiles on the

other hand results in a cleaner, healthier environment, reduced maintenance costs and extended life for your carpets and furniture. Here are the basics of a planned maintenance program.

RESTORATIVE CLEANING - ANNUAL - TBD Restorative cleaning is the backbone of of any planned maintenance program because of its key role in removing large amounts of soil. Typically this involves using HOT WATER EXTRACTION by either truck mounted or portable units. HWE uses moisture, heat and vacuum power to suspend and remove both soils and stains from carpets, furniture and even of�ce dividers.

INTERIM CLEANING: QUARTERLY/SEMI-ANNUALLY - TBD The amount of soil in the carpet and its traf�c load will determine the level and method of cleaning required. Facilities are divided into zones and assigned a category: a LIGHT ZONE (Less than 200 foot traf�cs daily) MEDIUM ZONE (201-599) and HEAVY ZONE (600+). Interim cleaning may involve a combination of PILE LIFTING, LOW MOISTURE cleaning (Encapsulation, Dry Powder) and even HOT WATER EXTRACTION (HWE)

ROUTINE VACUUMING: DAILY & WITH INTERIM CLEANING 80% of the soils and contaminants in your carpets are dry in nature and can only be removed by consistent vacuuming. Failure to do so will result in premature wear in main traf�c areas and a signi�cant reduction in the life of the carpet. While your janitorial service is responsible for the daily vacuuming of your facility, a planned maintenance program will involve scheduled “PILE LIFTING” to remove embedded dry soils.

SPOT AND STAIN REMOVAL: INTERIM AND RESTORATIVE VISITS While “spots” are generally removed with either interim or restorative cleaning, stains often require additional expertise to remove. A planned maintenance program will be assisted by a facility manager that maintains a log of spots and stains that need to be addressed in either an interim or restorative visit.
