We use Round Table Discussions (RTDs) or Focus Groups for face-to-face research with the target market. Each RTD includes 20-25 people and runs for 4 hours where challenges, trends and technology investment plans are discussed.This unique process ensures pure and accurate research is generated through debate and discussion; identification of speakers and thought leaders and identification of sponsors (the attendees talk about vendors of choice).This process also creates powerful sense-of-ownership from the community because by the time the event actually occurs, the energy and momentum required for a successful event is driven by the target audience.In February, 80+ HR and Technology people will attend RTD’s in Cape Town and Johannesburg. Historically, 70% of companies that attend an RTD will register for HR Tech Fest.

Waiver, Release and Indemnification:

The Sponsor shall indemnify, release and hold The Eventful Group harmless from and against any and all claims, penalties, damages, losses, costs, charges and expenses whatsoever, including legal fees and costs, arising out of the Sponsor’s participation in the Event.

Acts done or caused to be done by the Sponsor of its obligations hereunder:

•Anyloss,damageordestructiontopropertyoftheExhibitFacilitiescausedbytheSponsor,its agents, employees guests or invitees; and

•Anyloss,theft,misappropriationorotherwise,ordamageordestructionofanyproperty of the Sponsor or property of its guests or invitees brought into the Exhibit Facilities.

•TheSponsorherebyagreestowaivetherightofsubrogationbyitsinsurancecarrierstorecover losses sustained under its insurance contract for real and personal property, when permitted by its contracts with its carriers. This document is confidential and the property of The Eventful Group. It is for the intended review of the receiver only and cannot be copied, saved, scanned or distributed.

Photography and Videotaping:

Photography, videotaping or filming is not permitted in the exhibit area, without prior written permission from The Eventful Group. However, the Sponsor grants The Eventful Group, its contractors licensees and assignees the irrevocable right to make photographs and recordings and reproduce, distribute, sell, transmit, display and publicly perform recordings, transcriptions and derivative works in any medium containing the image of the Sponsor’s booth, equipment and/or image and statements of its officers, employees, agents and invitees at the Event.

Allocation of Space:

The Eventful Group operates space selection on a first-come, first-served basis.

Character of Exhibits:

The general rule of the exhibit floor is to be a good neighbour. No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle. Booth personnel, including demonstrators, hostesses and models are required to confine their activities within the Sponsor’s booth space. Apart from the specific display space for which an exhibiting company has contracted with The Eventful Group, no part of the hotel and its grounds may be used by any organisation other than The Eventful Group for display purposes of any kind or nature without written permission of The Eventful Group.

•SoundandvideoproductionsrelatingtotheSponsor’sequipmentwillbepermittediftuned to a reasonable level and if not objectionable to neighbouring Sponsors.

•Lighting.InthebestinterestoftheEvent,TheEventfulGroupreservestherighttorestricttheuse of glaring lights or objectionable light effects. The use of flashing electric signs, lights or lasers is not permitted without prior written approval from The Eventful Group.

Acceptance:

This contract shall be deemed accepted by The Eventful Group when received by an authorised member of the The Eventful Group staff, either in person or upon receipt by post or other delivery method and confirmed by The Eventful Group with an official contract acceptance form specifying booth assignment.

Cancellation of Contract:

In the event of the Sponsor, its employees and agents cancelling their signed agreement to exhibit at the Event, no cancellation refunds will be made. The Sponsor agrees that they are responsible for the total contract fee, which shall be retained or paid to The Eventful Group as liquidated damages according to this schedule. In the event that The Eventful Group, its officers, directors, employees and agents cancel the Event, a full refund to the Sponsor is applicable.

The Exhibition Attendees:

General admission to the exhibition will be available to all duly registered attendees. The Eventful Group makes reasonable attempts to attract quality attendees to its exhibition, but does not guarantee specific volumes or levels of qualification. Traffic by any given booth is a function of that particular exhibit and not the responsibility of The Eventful Group.

Subletting of Exhibit Space:

The Sponsor may not assign, sublet or share their exhibit space with another business or firm unless approval has been obtained in writing from The Eventful Group.

The Exhibition Manual:

Move-in/move-out dates and times, delivery details, timing, furniture hire, security and all relevant information pertaining to the Sponsor’s involvement at the Event will be published in the Sponsors Manual.

The Exhibitor Insurance:

The Sponsor shall, at its sole cost and expense, procure and maintain through the term of this contract comprehensive general liability insurance against claims for bodily injury or death and property damage occurring in or upon or resulting from the premises leased by The Eventful Group. Such insurance shall name The Eventful Group as an additional insured, and The Sponsor shall upon request provide The Eventful Group with certificate so indicating. Workers Compensation shall be in full compliance with all federal and state laws, covering all of the Sponsor’s employees engaged in the performance of any work for the Sponsor. All property of the Sponsor is understood to remain under its custody and control in transit to and from the confines of the conference hotel.
