CONFERENCE MATERIALS Arrangements for the delivery of packages should be made through our catering office. Receiving, handling and shipping charges may apply. No COD packages will be accepted. The hotel policies on safe package handling are based on advice from the United States Postal Service (USPS) and the Federal Centers for Disease Control and Prevention (CDC).

PAYMENT IN ADVANCE Unless you have established credit in advance with us, you will pay the entire contract price in cash or by certified check at least three business days prior to your function or by personal bank check two weeks prior to your function. We may terminate this agreement and retain the portion of your deposit or seek additional amounts necessary to equal the cancellation fee provided if payment is not made as agreed. If you have established credit, payment in full will be due within thirty (30) days of your function. If you prefer, all charges can be paid by credit card. Hilton accepts American Express, Diners Club, Discover Card, JCB International, Master Card or Visa. If credit has not been approved for your function, you will provide us with a credit card to which all estimated master account charges will be charged no later than two weeks prior to your function. If credit has been approved, you will provide us with your credit card information at the time of your function. All social functions require prepayment two weeks prior to the event, based on an estimate from the Catering Department. All social functions also require a deposit which is nonrefundable if cancelled within a specified time of the scheduled event.

FOOD AND BEVERAGE The Doubletree Suites by Hilton will request your meeting room requirements no later than two weeks in advance of meeting or food function. No food or beverages, alcoholic or otherwise, shall be brought into the Hotel by the patron or attendees from outside sources. The Hotel, as a licensee is responsible for the administration of these regulations. The Hotel reserves the right to assess a service charge for any food or beverage brought into the facility in violation thereof. All bars will close at the hour mandated by state law. A service charge and applicable sales tax (subject to change) will be added to all food and beverage purchases. All menu prices are subject to change. It is the Hotel policy that no banquet food be removed from the Hotel premises. All banquet checks must be signed by the on-site contact or a designated representative at the completion of each function. Any discrepancies in counts or charges should be identified and resolved at that time.

GUARANTEES All banquets must have a guaranteed number of people. Guaranteed numbers can be increased but, not decreased after the signing of the contract. The Hotel requires a confirmation of attendance at least 72 hours in advance. The final confirmation must not be less than the minimum number of people as stated on the contract. This will be considered your final guarantee number, not subject to reduction. All charges will be based upon this guarantee or, the actual number of guests if the number is greater. The Hotel will prepare to serve 5% more than the guarantee. In the event that there is variation in guaranteed attendance, the Hotel reserves the right to assign a different space more compatible with the particular function in attendance. If the guarantee is not received, the Hotel will assume the guarantee to be the minimum number as stated on the contract.  

CANCELLATION POLICY The prices offered by the Hotel are based in part upon the total gross revenue anticipated by us from your agreement to use and pay for events. You agree and understand that in the event of a cancellation by you, our actual damages would be difficult to determine. Therefore, you have agreed to pay reasonable liquidated damages to the Hotel for cancellation as described in this paragraph. Cancellation damages will be calculated as a percentage, based on the date of cancellation listed below, of total anticipated gross revenues from all food and beverage and meeting room rental listed. Additional damages may be owed for cancellation of your sleeping room contract. If the event is held, but the Hotel does not realize the total revenue anticipated from your event, you agree to pay performance damages. The damages owed will be the amount necessary for the Hotel to receive no less than 80% of the total anticipated revenue from your event. 

SERVICE CHARGE AND TAX 22% of the food and beverage total, plus any applicable state or local tax, will be added to your account as a service charge. This service charge is not a gratuity and is the property of the hotel to cover discretionary costs of an Event.

INDEMNIFICATION & INSURANCE To the extent permitted by law, you agree to protect, indemnify, defend and hold harmless the Hotel, Hilton Worldwide, and the owner of the Hotel, and their respective employees and agents against all claims, losses or damages to persons or property, governmental charges or fines, and costs (including reasonable attorney’s fees), arising out of or connected with your function, except those claims arising out of the sole negligence or willful misconduct of the Hotel. You represent and warrant that your activities conducted at the hotel and in connection with the function shall not infringe the patent, copyright or trademark rights or violate rights of privacy or publicity of any third party. You further agree to obtain and keep in force General Liability Insurance covering the event described in this contract with limits of not less that $2,000,000 per occurrence and to provide the Hotel with certificate of insurance naming Hotel, Hilton Worldwide and the owner as an additional insured for your event.

OUTSIDE FOOD AND BEVERAGE Due to state law, you may not bring into the hotel alcoholic beverages. You must obtain prior approval from us before you bring in any food or non-alcoholic beverages from outside sources. A Hold Harmless Agreement and Liability Insurance are required if food and beverage products not purchased and served by hotel staff are brought in for consumption by your guests. Service fees will apply to any outside food and beverage served in our function space regardless if hotel labor is required.

LOSS AND DAMAGE The Hotel shall not assume responsibility for the damage or loss of any merchandise or article in the Hotel prior to or following the banquet or meeting. 

BANQUET AND SEMINAR ROOMS As other groups may be utilizing the same room as you, prior to or following your function, please adhere to the times agreed upon. Should your time change, please contact the Catering Office and every effort will be made to accommodate you. Function rooms are assigned by the number of people anticipated. If attendance drops or increases, we reserve the right to change, without prior notification, groups to rooms suitable for their attendance.

DISPLAYS OR EXHIBITS The Hotel will not permit affixing of anything to the walls, floors, or ceiling of rooms with nails, staples, tape or any other substance unless approval is given. Any damage incurred will be the responsibility of the onsite contact for the function where the damage was incurred.
