College Community... ... this will be your ‘home away from home’ for 2011, along with about 240 other residents.

You have been carefully chosen to live in this special place as you launch into your tertiary study journey. We are a ‘campus’ made up of 9 accommodation areas, each with their own “personalities”. These are complemented by key communal spaces.

Please read this guide thoroughly to help you settle in. Refer to it throughout the year to keep abreast of systems.

Our Senior House Tutor for 2011 is Melissa Hay. Mel works with the Management Staff to supervise the HT team and their duties. She also has responsibility for a designated area and group of residents ...this year it is in Wardell and resides in W08. Mel is a valuable resource person regarding all matters to do with Carrington and student life.

Every house or floor (Flouse) has a designated HT responsible for the area and the residents

located there. You will meet your HT on your first day at Carrington.

Get to know your HT (and the HT team) as they are an invaluable source of knowledge and

support. They have all been first year residents at Carrington themselves and are still studying at

University. . Your Flouse HT will be working hard to get to know you too.

Your HT is your first point of contact for all those questions you are sure to have in the first few

weeks about the Carrington Community and University.

House Tutors do all kinds of things around Carrington. As well as completing set rostered

evening and weekend duties, getting to know residents and providing support, they help to

distribute late dinners and milk to their Flouse and oversee the weekly linen change.

One of the main areas where you will come across HTs is on their nightly rounds. When they are

not on rounds they can be found in the Dining Room over meal times or in the Linton Office. Each

night there is a HT or HTs on duty from 5.15pm until about 11pm, then they are ‘on call’ right

through the night.

Rounds have a number of functions. HTs need to ensure that the atmosphere is conducive to

study and sleep especially in the evenings so they will be monitoring noise and checking for

health and safety risks around the buildings and grounds.

If a HT asks you to quieten down or move on please understand that they are doing their job and looking out for the best interests of all residents. Treat them with courtesy and respect.

The Duty HT name and details are displayed on the wall beside the Linton Office.

Please do not hesitate to contact the Duty HT if you have any problems.

The Study Bedroom: Carrington College provides well-maintained rooms for its residents. We expect that when

you leave at the end of the year, the room will be in the same condition in which it was found

at the start. In particular, care with putting items on the walls is paramount..only use WHITE

The cost of repairing damage other than ‘wear and tear’ will be invoiced at the time or may

be taken out of bond money.

You will be asked to complete arrival and departure inventory room checks.

Any questions about room furnishing should be directed to the Domestic Services Manager..

You are fully responsible for your room and the behaviour of visitors and happenings within

There will be NO room swaps.

Personal heaters, refrigerators, electric jugs and toasters are not permitted in bedrooms

Linen:

The College has provided you with a duvet, duvet cover, mattress and mattress protector, pillow and pillow protector, sheets and a pillowcase. If you wish to use some of your own bed linen, you must store the College gear carefully IN YOUR ROOM and be able to account for it in the end of year inventory check. Extra blankets are also available on request.

Note that you will be charged for any items that go missing or are damaged during the year.

A linen change service is provided each Thursday night between 6.45- 7.15pm in the linen

room on Ground Floor Jenkins. Here you may swap your sheets and pillowcase for clean

ones.

Security and Safety

KEYS…you will be provided with a personalized bedroom key and sil key. The sil key

gives you 24/7 access to the outside doors of your house, the front door of Linton, the front door of Stuart and Jenkins to use the TV lounges, the Study Centre and computer rooms. Entrances to most buildings/ areas will be unlocked from 7am-7pm. You will need your sil key to gain access outside that time. Note after 10pm your sil key will not give access to most other sleeping areas apart from your own. Lost your key??..report it to your HT or office staff. Replacement costs are $50.00.

DO NOT lend your keys to other people.

Please do not give any non-Carringtonians entry into buildings..this is a security breach.

Please ensure doors are shut behind you after you come in. This is for your own and

others’ safety. If a door does not shut properly, a helpful alarm will sound to remind you to close it fully. Please be considerate of others if you come home late.

To protect your belongings, it is crucial that you lock your door and windows whenever

you are away from your room (even for a short time). It is also advisable to lock your

bedroom when you go to bed at night.

Cleaners will lock your room once they have cleaned it each week, regardless of whether

or not it was locked when they entered it.

Fire safety requirements strictly prohibit the burning of candles or incense in the College

buildings. All rooms are fitted with sensitive smoke alarms that can be set off by

deodorant spray, hair straighteners and burnt toast , for example.

Any fire callout caused through resident carelessness will be charged to the resident

responsible (refer to our Terms and Conditions booklet).

Fire Exits MUST NOT be used unless in an emergency. Any use will sound an alarm.

NO smoking is permitted at Carrington apart from the Gazebo outside Wardell and this

must be done with consideration to neighbouring living spaces, particularly with regard

to noise. The restriction includes the gateway areas into the College.

Cleaning Services:

You will come to know your ‘Flouse’ cleaner well as part of the ‘Carrington Experience’. Treat her/ him with respect and courtesy by tidying up after yourself both in your bedroom and other communal areas, so they can do their job.

Your room will be cleaned once a week. The room will be vacuumed, dusted and

mirrors cleaned. You will be informed which day your room will be serviced. Check

Flouse notice boards.

You need to be out of bed at this time!

To enable cleaning to occur, please tidy the space and clear the floor of possessions.

YOUR FLOUSE : * Consideration is an essential ingredient of communal living * Be mindful of congregating in communal areas..do this advisedly. Kitchens:

Each”Flouse” is equipped with a kitchen space which includes basic appliances and gear

to prepare hot drinks and snacks and refrigerate perishable foods. Everyone has a

responsibility to clean up after themselves (can be an source of tension!!)…this is not the

job of the cleaner ! Rosters will be drawn up by HTs in each area.

Kitchens in Pine, Blackie House, Stuart and Wardell have full cooking facilities which you

can use but please clean up thoroughly afterwards. The kitchen has ‘cake packs’ available

to make birthday treats.

Milk for tea and coffee is provided for drinks. Your HT will oversee this at the same time

as collecting late dinners.

Each resident needs to help keep fridges tidy and hygienic. Discard passed “use by’’ dated

items and store food safely. Alcohol storage in fridges is not permitted and if found will

be confiscated.

We ask that your store your own crockery and cutlery in your bedroom.

Bathrooms:

are serviced daily as part of the cleaner’s shift during the week

at the weekend, supplies are replenished and rubbish emptied only.

please use another bathroom if your nearby facility is being serviced.

avoid flushing paper hand towels down toilets..it blocks them…place used paper towels

carefully IN the rubbish bins provided

You are asked NOT to leave personal toiletries in bathrooms as it makes cleaning difficult

you need to manage your own bath mats with good hygiene practices in mind.

Laundries:

When using laundry facilities please be considerate of others sharing the space…

NB - do not turn off dryers or washing machines being used by others before cycles have been completed - 10pm is the magic ‘no more laundry use for the day’ time - purchase a laundry basket to help keep your gear together - avoid long time lapses between each laundry process. This will help avoid clothes going astray and the hogging of equipment. - each resident supplies their own laundry detergents and pegs. - please do not OVERLOAD machines - it pays to separate lights from dark and lint-givers from lint-takers!! - manage muddy sports gear quickly in tubs and clean up thoroughly afterwards - use outside drying spaces as much as is practicable - remember to switch off irons when finished - clothes racks are to be used for AIRING only… not drying clothes from wet because of condensation issues. They are banned from communal areas / hallways. This will be monitored!! Note: Jenkins Washing machines require front loader washing powder NOT top loader. Please be vigilant with this!!

Telephones :

All “Flouses” have a communal phone facility. These lines are NOT to be used for internet

connections.

To dial within the College and University Departments, just use the last 4 numbers of the

phone number e.g. Duty HT phone number is 4700; Deputy Warden is 5537; Student

Health is 8212.

To dial outside the University network you must dial 1 first to get an outside line and

then the 7 digit number.

These phones are toll-barred.

Remember others may want to use the phone too so limit conversations and be noise

aware.

Academic Support : Self-discipline, time management and ‘balance’ are important aspects of organizing tertiary study and intellectual independence. It is special living in a community of academic scholars to foster these habits and the informal mentoring between residents is promoted here as a powerful learning support tool. However, it can be disconcerting sometimes when you see others around you working hard when you need a break. You need to affirm what suits you to be productive with work management. The Deputy Warden is a key support person for all matters academic: This includes

being available for casual conversations about work management

providing advice or referring you to the right place/ people for assistance

helping with the transition to University study

overseeing the ‘In-House’ Academic support programme and other generic courses

assisting with one-on-one helps in papers

monitoring the various study areas and resources

providing academic assistance to sick/ impaired residents especially around exams

and assessment times

being pro-active with providing accurate information for the academic notice board

in the dining room and signalling key dates and memos

the HT team also provide a wealth of experience to tap into.

Alcohol Guidelines :

Drinking in the College must be in a controlled, civilized manner so the rights of others

are not compromised and personal health and safety is ensured.

Self-regulatory behaviour is expected around consumption and quantities purchased

Laws relating to under-age drinking pertain to all aspects of College life

Alcohol may be consumed in study bedrooms (apart from the alcohol –free living spaces)

up until 10.30pm but this is at the discretion of duty staff.

No more than 5 people are allowed / bedroom

Kegs crates, funnels and drinking games are strictly prohibited

Alcohol is not to be stored in the Flouse refrigerator and will be confiscated if found.

The consumption of alcohol is NOT allowed in any public area e.g. hallways, kitchens, TV

lounges and on the grounds of Carrington College.

Residents will have open vessels disposed of if discovered in any public area ( including

walking between a neighbouring bedroom.)

Return of confiscated alcohol must be negotiated with the SHT and usually involves a

half- semester time penalty.

Residents breaching the guidelines can expect to be brought to the attention of the

Warden and Deputy Warden with some follow-up.

Empty vessels must be taken to the recycling bins in Jenkins car park forthwith.

Being grossly intoxicated on site is a breach of contract with severe consequences.

Alcohol-Free Residential Areas :

Some students have opted to have their sleeping space in an alcohol-free environment. In 2011, Carrington is providing alcohol-free accommodation in Stuart, Dawson and the 3 rooms below the Deputy Warden’s house, Mahuru and Blackie Flats There is an expectation and understanding that residents in this space will

Abstain from using, possessing, or storing alcohol in the

designated area.

Return to the ‘Flouse’ in a quiet manner if alcohol has been

consumed elsewhere.

Assist in holding others accountable to maintaining this

environment.

Take responsibility for any personal guests visiting the floor.

All Carrington residents are asked to respect this living arrangement.

Away from the College : If you plan to be away from the College over night or longer, please fill in the “Not in Residence” book beside the Linton office. This is so we can contact you if need be and assist in our management of emergency evacuations. It is helpful to mention it to your HT too.

Bike Storage : We have several storage spaces for bikes. Contact the Domestic Services Manager at reception to make arrangements.

your settling in

Breach of Communal Living Expectations: Occasionally a conversation with the Warden, Deputy Warden or SHT is required. Consequences are negotiated on a case-by-case basis. In an extreme circumstance residency may be terminated.

Car Parks : We have a small number of car parks available for lease including a couple of garages. Contact the Domestic Services Manager at reception to make arrangements. There is on- street parking available but this is at your own risk and can be competitive at certain times of the day. There is temporary visitor car parking available outside the Linton administration area for parents and service vehicles.

Change of any contact and banking details: Please inform the Financial Administrator at reception asap.

Drugs : Except in cases of medical prescriptions, the use of drugs is banned at Carrington College. Confirmation of such a breach will result in immediate dismissal from the College and forfeiture of fees.

Duty Phone and ‘lift-up’ phone : There is someone on duty /on call 24/7. The HTs have a rostered duty each evening and at weekends. They can be contacted using Flouse phones by dialing 4700 or by cell phone on 0212795533. If you have a problem or query at night, this is your first contact point. If the office is unattended, use the ‘lift-up’ phone by reception. This is a direct line to the duty phone.

Facilities : Computer Room - is downstairs in the Study Centre. There are printing facilities there. .

- is available 24/7 and is networked to the University system and internet ( be aware personal usage is able to be monitored by ITS!) - the door is locked at all times so you need to use your sil key for access. - is primarily for course work and this takes priority. - playing games or viewing offensive material is strictly prohibited. - is a quiet work space - is for Carrington Residents only!

Gym - is on the ground level of North Stuart . The hours are 8am-8pm weekdays and

9am-8pm during weekends. - it has sil key access - is an ipod zone only - please be mindful of good hygiene practices and of the nearby resident bedrooms. Linton Lounge is a multi-purpose wireless area. It is commonly used to host functions, is a

reading room, a music room, a meeting room and a study area. Please keep it tidy.

Pool Room beside the reception in Linton is a well-loved area. Hours are 9am-10.30pm. It

is a ‘no food and drink’ room and users need to be ‘noise aware’.

Study Areas (communal)- includes the Study Centre, Heriot 1 & 2, Dining room and

Linton.

- 24/7 access to the Study Centre and Linton - other spaces 7am-10.30pm - are all quiet study zones - have wireless capability - please do not ‘set up camp’ in a space. Use the cubbies provided to store your gear and leave tables free in between study sessions. Use will be monitored and gear will be shifted if deemed necessary.

Sky TV Lounges in Stuart and Jenkins…24/7 access available with sil keys.

These places are for the use and enjoyment of all residents. Guidelines: - a reasonable noise level is expected in consideration of nearby bedrooms, especially after 10pm - the viewing of pornographic material is strictly prohibited - the consumption of alcohol is not permitted - the TV rooms and adjoining kitchens must be left in a tidy condition and rubbish cleared.

Tennis Court is an Astro-Turf facility great for day-time recreation up until 7.30pm.

Leave tidy.

Fire/ Evacuation: An important part of College Safety. All Carrington Residents need to ‘get up to speed’ with our Fire and Evacuation Drills.

Staff will reinforce procedures at the start of the year. In the event of an emergency, such as fire, calmly exit your building and assemble on the

Tennis Court for a ‘roll check’. Please alert duty staff if anyone is sick and room bound or needs assistance exiting a

building. If you know someone is out of the College, tell your HT or a senior staff member.

False Alarms: ~ What you need to know. ~ These form the bulk of Fire Service callouts. Each one costs the College ~$1350 and this

can be on-charged to the culprit whether it be malicious or accidental, so be aware!! Some common activators include *touching/tapping or knocking a detector in any way * heat from hair dryers and straighteners * excessive use of alcohol-based sprays such as deodorant and hair products Make sure areas are well-ventilated and always be on the alert. Note too, that

tampering with any fire equipment is a breach of College safety.

Dining Etiquette : Appropriate behaviour and a reasonable standard of dress while

dining is expected—this includes the wearing of shoes; sitting down while eating; no

hats; suitable t- shirt messages; body coverage; no PJs; ALSO..no audio gear, cell

phone or laptop use during lunch and dinner dining times.

No bags are permitted in the dining room. Please leave them tidily in the foyer

cubbies.

Menu Choice: Most nights there will be a choice between a white meat, red meat or

SPECIAL DIETS: Any dietary issues e.g. allergies/ intolerances must be

discussed with the Food Services Manager as soon as possible. FSM’s office

is at the bottom of the stairs leading up to Heriot 1&2.

Vegetarian meals are offered. To provide an indication of numbers,

vegetarians are asked to sign a form at the start of the year.

‘Late Dinners’ is a service for residents who have late lectures, labs or sports practices

that are outside the usual dinner time. This does not include people, for example, who

choose to stay on in the Central Library and can actually come back for dinner times.

-The designated HT will deliver the named meal to the Flouse kitchen fridge with re-heating instructions. Residents can opt to use their own cutlery and crockery to eat the meal. -The late meal containers are recycled. It is the resident’s job to wash them and leave tidily in the kitchen for the HT then to return them to the Dining Room. If you order a late meal you are NOT allowed to have a meal in the dining room as well that same evening. Likewise, if your order a packed lunch.

TRAYS- please use the trays provided to place your meal plates, cutlery, cups etc. on

and eat from. After your meal, take your tray to the dish wash area. Here you scrape

any food scraps into the bin and place crockery and cutlery into the racks provided

ready for washing.

Dining Alfresco: If you are using the outside tables remember to bring all gear in

when finished.

Guests: a) Meals: A voucher can be obtained from reception during working hours or from the Duty HT.

The Duty HT will be in the dining room from 5.15pm each day or in the office at other times with the voucher book. The guest must present the voucher to kitchen staff as they move through the servery. No cash is exchanged, rather the cost of the meal is charged to the host resident’s account. Breakfast= $6 Lunch/Brunch= $7 Dinner= $8 b) Overnight Guests: - A voucher needs to be obtained as for the guest meal situation explained

above. - The guest must be able to present the voucher to staff if asked. - Cost is $10/ night regardless of whether a mattress and bedding is required. - Negotiate with your designated HT for bedding to be delivered in the first instance. - Only one guest/ resident is permitted. - For stays 3 nights or more, permission from the Deputy Warden is needed. - The host resident has responsibility for their guest. - Failure to inform of guests staying will incur a fine of $30.

c) Non-Staying Guests : Must leave the College no later than 10.30pm. This is at the discretion of

duty staff.

d) ‘No Guest to stay’ times: Check the times signalled on the College Wall Planner where no

overnight guests are permitted to stay in the College ( Parents excluded.)

Health Matters: Your well-being is of paramount concern for us but you need to take ownership in the

first instance.

Take care with choices to keep yourself safe and well.

Extra care with hand washing and drying in a communal setting is a simple but protective

measure.

‘No wash hand gel’ is provided in the Dining Room to assist with sanitation

Having a Community Services card certainly saves money.

FIRST AID facilities are available in Linton. Go to Reception.

Feeling Sick???

Please let Duty staff, your HT, your cleaner or a friend know so we can assist eg with

academic matters, arrange meals to be bought to your room, take you to Student Health.

Always tell someone if you are feeling unwell and going to bed so you can be checked

regularly.

To ring for an Ambulance on a Carrington College Phone dial 1-111. It is essential that

duty staff are involved or informed immediately if an ambulance is called.

Holiday Considerations:

Before each holiday break, you will be asked to accurately fill out a form in a timely manner indicating your plans, so we can adjust our systems. You will be eligible for a food rebate for mid-semester and mid-year holidays if you are away from the College but you must hand in your keys before leaving. You will need to seek permission for overnight guests to stay at the College during holiday periods and check ‘no guest’ times.

Insurance:

Check whether your parents have an ‘extended cover’ Insurance Policy for you living in a Residential College, otherwise you should consider obtaining you own’ personal effects policy. The College is not responsible for any loss or damage to personal property.

I ssues/ concerns within the College:

Appeals and reviews of College Management decisions concerning any Carrington residents must be made in writing to the Director of Accommodation within 7 days.

Mail:

Mail will generally be put in the alphabetical mail slots outside Linton Reception between 11am and noon . If you receive a parcel or large envelope, it is stored in Linton office. A yellow slip will be left in your mailbox notifying that you have received a parcel. Present the slip to duty staff and sign for the item. As a protection, we ask that you collect your parcel in person.

Maintenance Concerns: If you require assistance for a maintenance issue, e.g. new light bulb in your study bedroom, clearly fill out a yellow slip (in the container beside reception ) and hand it in. These matters are dealt with daily during the week by our Property Maintenance Manager. Alert the Duty HT for urgent problems during weekends. If you notice any concerns around the College environs please fill in a yellow slip.

Newsletter: A Carrington College newsletter will be sent to your student email address or posted on our blackboard site at the start of each month to keep you abreast of current happenings. A hard copy will be posted on the notice board in each Flouse as well. Please take the time to read it. Resident contributions are welcome.

Newspapers: Free copies of the Otago Daily Times newspaper the and weekly OUSA Critic magazine are available in the Linton Lounge. We also have a selection of current magazines there too.

Notice boards: There are several key notice boards around the College to check frequently.

The Academic notice board in the Dining Room up near the dishwashing area and is up-

dated daily.

Dining Room Foyer is a key location for lots of different notices

Student Exec and general notices are on the board to the right of the Dining Room dish

wash area or foyer area.

Each Flouse has a notice board which is managed by the Flouse HT in the first instance,

with weekly up-dates. Duty HTs also write reminder notes on these boards.

( it would be appreciated if notices and diagrams are kept ‘seemly’ as we have lots of visitors regularly viewing the site!)

There is a notice board above the mail slots in Linton with a wealth of useful info too.

Parties: ..are not permitted in the College (check your Conditions and Terms booklet). There are plenty of options nearby in town. Quiet gatherings of no more than 5 people are acceptable in study bedrooms. Neighbours must be able to study / sleep without undue disturbance.

Payment Questions: Any queries about accommodation fees can be directed to our Financial Services Manager at Reception.

Pets:

Residents are not permitted to have pets during their stay at the College.

Photocopying: We have 2 ID swipe-card photocopiers for resident use. One is in Linton by the Warden’s office and the other is in the Study Centre. You can load money onto your card in the Central Library.

S ports Gear: We have a range of equipment that can be borrowed...most is stored in a cupboard in Linton. Work through the Duty staff in Linton to book items in and out.

Student Executive

The Student Exec is elected to run the CCSA..Carrington College Students’ Association, of which you are a paid member. The 3 key members, the President, Secretary and Treasurer are returners who were elected for the roles in October of the previous year and know the ropes around Carrington. First year reps are elected near the beginning of the year so keep a look out for notices if you are interested in getting involved. The Exec is in charge of organizing all social, sporting and cultural activities that make Carrington such a special place to be. 2011 Student President Secretary Treasurer
