Carbook Fleet Edition Tip #1To open a vehicle template you’ve previously configured

and saved, simply click the link labeled “Click here to open a saved vehicle” on the home page. Or click the Research, Configure, Compare tab, and click the button labeled “Select From Library” to view the folders containing all your vehicle templates.

There are multiple ways to narrow Carbook Fleet Edition’s database of over 8,000 vehicles to the one you’re interested in at the moment. For the purpose of this Quick Start section we’ll show you the most common: using the make, model, style tree.

From the home page, select “Click here to configure or research a vehicle”. Unless you’ve chosen another default search method, this will open the Select by Year, Make, Model screen.

From the Year list you can choose from the previous model year, the current model year, and any vehicles contained in the upcoming model year. After July of each year, the default selection for model year automatically becomes the upcoming model year. In the Mode window, choose between Fleet and Retail vehicles. Fleet vehicles not only include fleet pricing and options, but in many cases include additional styles that are not available to retail buyers.

Click a make to expand it to either a list of types or a list of models, click the model on the left to display a list of styles in the right-hand pane.

On any of these styles you can click the yellow “+” symbol to expand the style name and reveal some basic information about the style. Use this function to review details of different styles if you’re not sure which one you’d like to select for research and configuration.

To start working with the vehicle style, choose one of two options:

» Click the style name itself to jump immediately into configuration mode for that vehicle style. Use this method if you know you’ve got the right vehicle and need the fastest route to specifications and prices. (See “The Configuration Screen”, P10)

» Click the Add to Scratch List button to if you want to collect a number of vehicles to “carry with you” like a shopping cart, for use throughout your session. This allows you to “select’ vehicles without leaving the Select by Year, Make, and Model screen until you’re ready. (See “The Scratch List”, P9)

THE SCRATCH LISTThe Scratch List is a holding place for any vehicles you’ve found using the previous steps. When you clicked the Add to Scratch List button the vehicle was dropped into this portable list of subject vehicles. If you clicked directly on a style link to go to configuration, the vehicle was automatically dropped into the Scratch List while the configuration page was loading.

To select one or more vehicles from the Scratch List, simply click on the checkbox next to the vehicle.

After you’ve selected one or more vehicles, click on an action button at the bottom of the Scratch List. The buttons on the lower left -- Research, Configure, and Save -- act on one vehicle at a time. The buttons on the lower right -- Compare and Remove -- can act on multiple vehicles at one time.

tool for moving selected vehicles through the application. It remembers not only which vehicles you’re working with, but also their current option configurations, your selected price levels, and any aftermarket options you’ve applied to them during your session.

Carbook Fleet Edition allows you to spec and configure the options for virtually any car or truck, obtaining exact prices and weights in the process. As part of the specification process you can also access a host of research tools to help you get the information you need.

THE CONFIGURATION SCREENAt the bottom of the screen you’ll find the status of the vehicle, and a legend telling you about the icons that appear with your currently selected options. Carbook Fleet Edition automatically adds or removes options if they are required by or conflict with another choice of yours, the legend helps keep you informed of the choices the program is making.

Follow these simple steps to configure and research the vehicle you’re interested in:

Click on the options you’d like to have. Carbook Fleet Edition will automatically adjust the price summary based on your selected options. Carbook Fleet Edition will automatically select and de-select options that are required or are incompatible. If the program can’t tell which options to modify because of your choice it will present you with a dialogue asking you which items it should change or remove.

Change your view of options. Choose between:

» All Options (shown); displays all option categories and their members

» Required Options Checklist; shows you all option categories that require a selection to be made in order to specify a buildable, orderable vehicle

» Selected Options view; a list of the options currently selected for the subject vehicle

Carbook Fleet Edition includes multiple price levels you can choose from, such as invoice, MSRP, dealer net invoice, and OEM special price levels. You can also change the order in which prices are displayed, hide one or more, or give them special names. To change your Price Settings, click this link.

Click these links to navigate between Standard Equipment, Technical Specifications, General Info (warranty, rebates, and crash test ratings) or Photo tabs. See images on next pages.

Carbook Fleet Edition Tip #3In Carbook Fleet Edition, the term vehicle “styles” carries

the same basic meaning as vehicle “trim” or “trim levels.” The basic hierarchy used by the program is Year/Make/Model/Style, but in many cases there are multiple “makes” within an OEM brand such as “Ford Cars,” “Ford Pickups,” and “Ford Cargo Vans.”

Carbook Fleet Edition gives you the ability to save an unlimited number of “vehicle templates.” A vehicle template is a vehicle that has been configured with a specific set of options. When you open and use a vehicle template you begin with the saved set of

options but can modify it to meet your current needs.

Follow these simple steps to save a vehicle you’re interested in:

Select a library location. If you’re an Account Manager you can save to either the Global or Personal sections of the library. If you’re an Account User, you can only save to the Personal section of the library.

Pick a name for your vehicle template. By default, the name is the “Year, make, model, style” description of the vehicle. “Name” is the only required field in this form.

Global and Personal LibrariesWhen an account manager wants to create vehicle templates that the users of the account can share, they store them in a Global location. Users can access and use these objects but can’t alter them. Every user also has a Personal section of the library, where no one but the account user themselves can create, access, or alter their templates. While Global vehicle templates can’t be altered by users, they can be edited and resaved to Personal locations.

Provide a description of your vehicle template or how it’s intended to be used, using up to 200 words.

If desired, indicate which aftermarket options might be required for the vehicle or are available for it.

There are two easy ways to reach Carbook Fleet’s Report Center and create reports or worksheets.

From anywhere in the application, click on the Calculators and Reports tab to navigate to the Report center. You’ll notice that the Scratch List is carried there as well, allowing you to select which vehicle you’d like to run your report or worksheet on.

Once you’re on the Calculators and Reports tab, click your subject vehicle in the Scratch List, then click the Vehicle Report or Worksheet button.

If you’re researching, configuring, or comparing a specific vehicle and want to create a report or worksheet on your subject, there will be a Create Report link in the upper right part of your workspace.

SETTING UP YOUR REPORT OR WORKSHEET’S MASTER SETTINGSReports and worksheets are two different way of interacting with Carbook Fleet Edition’s vehicle data. Vehicle reports allow you to describe your subject vehicle in whatever level of detail you need, and in whatever order or sequence you prefer. Worksheets are more interactive, providing space for you to input your own parameters or data.

For either reports or worksheets, you start with a choice of master settings and options:

If you wish, provide your name and information, and the recipient’s name and information. Neither of these is required, but both help personalize the report.

Select your master report properties: What to include on the cover, whether or not photos are needed.

Click Report Contents tab to modify the content and properties of the report you’re about to create.

Filtering Report / Worksheet Contents Once you’ve arrived at the Master Settings tab, you can simply press the Create Report button and generate the report or worksheet you need. If you want to limit the number of sub-reports or worksheets included in your output, make sure you take the next step and click the Report Contents tab.

SETTING UP YOUR REPORT PROPERTIESMany Reports have a number of properties you can include, exclude, enable, or disable. To adjust these settings, click the Report Contents tab.

Using Adobe® to Print, Save, and Email Carbook Fleet Edition creates your reports as an Adobe Acrobat™ PDF. Your web browser then automatically displays the report in a print-ready format, and you can use Adobe’s “print” command to send the file to your local or network printer. You can also use Acrobat’s “save” or “save a copy” command to save the PDF to your local machine or network. Want to email the report? Simply click the “email” button in Acrobat, and your email program will create a new message with the PDF as an attachment.

Click a sub-report name to highlight it. If it has any user-adjustable properties, they’ll be shown on the right. Use the checkbox to include or exclude this sub-report form your report.

Click the “+” symbol next to Layout if you want to adjust the sub-report’s position in the master report, or insert an extra page break between sub-reports.

Any properties for the selected report are shown on the right. Simply click in the checkbox to add/remove or enable/disable properties.

Click the Create Report button to generate a PDF of your report or worksheet.

Open the Variable Data section by clicking the “+” symbol.

Wherever user inputs are required to complete the worksheet,

a description is provided along with fields for you to provide

values.

If you’re not sure what type of input to provide, click the

information symbol to get additional tips. If you receive an error

message saying the maximum number for a field is “0”, use a

negative number preceded by a minus sign.

MAINTENANCE DATA USED BY THE LCA OPTIMUM REPLACEMENT WORKSHEETWhile all worksheets use user-supplied Variable Data to create their output, one of them—the LCA Optimum Replacement worksheet—also uses maintenance data to determine operating costs. To use or modify the maintenance table for this worksheet, follow these steps.

Open the Maintenance Data pop-up window by clicking the “+” symbol and then clicking the Edit Maintenance Data link.1

Defaults for Variable and Maintenance Data Default values for both Variable Data and Maintenance Data can be changed permanently by an account’s manager. To do this they simply click on the Settings tab, navigate to Worksheet Defaults, enter new values, and save them.

To include an item in your report’s calculations, place a check in the box.

To adjust mileage intervals, parts & labor costs, and number of shifts down per incident, enter the data in the appropriate fields. The changes won’t be saved for future reports, but will modify the report currently being created.

To add a new item, enter the description and values in the fields at the bottom of the window, and then click Add Item. It will be added to the current worksheet but will not persist in the system.
