Data Vault

Overview Data Vault is CTC’s product Master Data Management system. It is a platform for Vendors to provide CTC with

non-cost information about their products. Data Vault will store this information and CTC will be using this product

data to build industry leading assortment modelling capabilities. Vendors will also benefit, with the ability to view

and maintain their product attributes at any time.

Attribute Enrichment Benefits Present customers with decision-influencing product information in a structured and useful way

Allow for better, category-appropriate product filtering online

Offer customers a more effective product comparison experience

Enable internal teams to perform deeper analysis on product performance

After a product family is introduced through PMM, you will be required to submit product attributes such as

product family description, features and benefits and product family specifications.

This can be completed either on screen or using an Excel Smart sheet. Instructions for both methods are included in

this guide.

Accessing Data Vault Follow the below instructions to log into Data Vault and access the main workflows for CTC Family Attribute

Maintenance:

1. CTC Supplier portal can be accessed via the following link:

https://datavault.canadiantire.ca/webui/

4. Once you are logged into Data Vault, you can view one FOB location at a time. To toggle between FOB

locations, click the FOB name in the top right corner (as outlined below). Select another FOB from the tree

that appears.

2. Enter your assigned Username and Password

Navigating Data Vault What tasks do I need to complete in Data Vault? Vendors can complete two tasks within Data Vault:

Upload Enriched Family Attributes

• Vendor populates and imports basic product family attributes to create initial product framework in Data

Vault. Required for new products and existing products with missing, or invalid attributes.

Maintain Family Attributes

• Vendor makes ad hoc updates to product attributes as required. Valid for all existing products in which

products attributes (i.e. Product Family Description) have changed.

Where do I complete tasks in Data Vault? Attribute upload and maintenance is completed within the CTC Family Attribute Maintenance module, which

indicates the number of product families requiring action. The CTC Family Attribute Maintenance module is

accessible via the CTC Family Attribute Maintenance widget on the MDM landing page, as well as the Family

Attribute Maintenance side panel to the left of the screen.

Importing and Exporting: Product family attribute updates can be made directly in MDM within the CTC Family Attribute

Maintenance module screen or can be made by exporting within the screen and then re-importing back into MDM via

the CTC Family Attribute Maintenance link within the Import Links widget.

Attribute Maintenance Instructions

Option 1: Product Family Attributes Entered on Screen Follow the below instructions to update Product Family Attributes via the CTC Family Attribute Maintenance

module.

1. Access product families that require attribute submission by clicking Update Family Attributes within the CTC

Family Attributes Maintenance widget. Ensure that you are in the 2-person view.

If you would like to submit all the product(s) on the screen, you can select all products by clicking the Select

All button at the top of the page, outlined in the following image.

4. Submit your changes for validation by clicking the Submit button at the top of the page, outlined in the

following image:

6. A message will appear at the top of the screen confirming your changes have been submitted for validation. This

message can be misleading as it means your change has been submitted for validation but may not have been

successful.

a. If submitted unsuccessfully, the product will remain on this screen. The error(s) will appear in the

Product Errors field. Make corrections to address the error(s) and click Submit again.

b. If submitted successfully, the product will be removed from the screen.

You are finished entering product attributes! Successfully corrected products will no longer appear in

the CTC Family Attributes Maintenance module.

Option 2: Product Family Attributes Entered in Smart sheet Follow the below instructions to update Product Family Attributes via exporting and re-importing the product

attribute Smart sheet

1. Access product families that require attribute submission by clicking the Update Family Attributes workflow

within the CTC Family Attributes Maintenance widget. Ensure that you are in the 2-person view.

5. Click Ok in the Submit Properties pop - up:

2. Click on the checkbox next to the product(s) you would like to export to highlight.

3. Export the selected products to a Smart sheet by clicking Export at the top of the page, outlined in the

following image:

4. Click Start Export:

Click the background process link that appears at the top of the screen:

Best Practice: Ensure that other Excel files are closed before proceeding

If you would like to export all the product(s) on the screen, you can select all products by clicking the Select All

button at the top of the page, outlined in the following image.

5. The export landing page will appear where you can monitor export progress. When complete, the status will

read Succeeded and the exported file will be linked. Click the linked file to download:

6. When the smart sheet opens, click on the Enable Content and then Enable Editing, in order to access the full

functionality of the smart sheet. Save the file on your computer.

7. Select the first product tab. Update editable white cells in the Smart sheet. Instructions for filling out each

field correctly are included in Appendix A.

Smart Sheets are the same across all 3 banners (Canadian Tire, Sport Chek and Marks) and there might be

attribute fields for common businesses, which may not be applicable to your business. For example, Age

(applicable for Sport Chek as they have a kid’s business) or Team/League (applicable for Sport Chek or

Canadian Tire)

TIPS FOR SUCCESS

a. Do not manipulate the Smart sheet by adding/deleting rows, columns or worksheets

b. Before populating the values hover on the attribute field header for the description and explanation

of the field

c. Utilize the filtering button when available to sort product families within each tab

d. Mandatory attributes can be determined by clicking on the Validate Sheet button in the worksheet,

which will list the columns that need to be completed in order to submit the worksheet

e. All multi-select fields contain the multi-select icon that generates a multi-select pop-out editor.

All other fields are text enabled, or single-select from the drop-down list available

f. Understanding different attributes: o Advanced Technology: Innovations are listed in this attribute.

E.g. HD1/2/3, T-max etc. o Features and Benefits (text field): Branded or Vendor proprietary

innovations should be listed under this attribute. E.g. Nike Dri-Fit, Columbia Omi-Heat etc.

There are 9 Features and Benefits attributes but only 3 of them are mandatory with

a character limit of 1000

i. Advanced Features: Product family properties/benefits are listed under this attribute. E.g.

Windproof, Breathable etc.

ii. Fabric Percentage: Attribute must not exceed 100%.

iii. Size and Colour: These attributes are not mandatory to be filled out and work is underway to

remove them from all Smart Sheets. The Smart Sheet is at a Master Style level and is

agnostic of price/size/colour.

iv. Number of Back Pockets, Number of Front Pockets & Number of Side Pockets: Enter any

numeric value

• Number formatting (e.g., General, Currency, Date), text formatting (e.g., bold, italic), and cell color

(background shading) are accepted

• Excel formulas in the Working column are supported, such as VLOOKUP function to pull data from an

external spreadsheet (see instructions below). The VLOOKUP function should be used by Vendors

who are experienced with using the formula and have high product counts.

1. Create a new tab and paste in your data

2. Go to vendor data tab, highlight the “Product Family Numbers”, Click Data in the ribbon

menu --> "Text to Columns" -->click Next-->Next-->Select Text-->Finish

3. Go back to the Smartsheet Tab

4. In the Working Column generate the extended VLOOKUP formula

=IFERROR(VLOOKUP(id,data,column#,0),"Not Found")

Note: For Marks, the Vendor Style Number is the same as the Family Number

5. Before copying and pasting the data into the any mandatory fields ensure it is in the same

format as the list of values that are acceptable for the attribute

6. Paste using paste values, Click Paste --> Paste Values

7. The formula should be used for each individual attribute you are trying to look up

8. Once complete, click the Validate Sheet button to check for errors. To validate all products, uncheck Validate

only changed products and to remove all selected filters, uncheck Remove filters before validation. click OK:

9. You will need to enter your Data Vault username and password, then click Login :

10. A summary of the errors is displayed in Validation result . Click Done .

11. If there are errors, products with errors will be highlighted in red in column B. Click on each ID in column B to

display the error messages.

13. Once all tabs have been successfully validated, save the file on your computer. Return to the internet browser

and click the Canadian Tire logo in the top left corner of the screen to return to the Data Vault landing page.

Import your file into Data Vault using the CTC Family Attribute Maintenance Import link in the Import Links

module:

. Make corrections directly in the file and re 12 - validate until validation is successful.

14. Find the file and click OK. Click the background process link that appears at the top of the screen:

15. The import landing page will appear where you can monitor import progress

Always check that submitted SKUs have moved out of the

Up date Family Attributes workflow to confirm that attribute

enrichment is complete. If SKUs submitted from a validated

smart sheet remain in the workflow post importing, confirm

that you are not importing an old version of the Smart Sheet.

You are finished entering product attributes! Successfully corrected products will no longer appear in

Updating Existing Family Attributes Vendors can make updates to existing families of products that have already been submitted.

1. Click on CTC Product Search

2. Under Searchable Attributes select the appropriate attribute you would like to use Product Family

Number is recommended as the searchable attribute

4. Click on Start CTC Family Attribute Maintenance to initiate that style into the Update Family Attributes

workflow

5. You will receive the below pop notification that the workflow for CTC Vendor Family Maintenance has

started

8. Click on Family Number. In the popup search box type in the family number that needs to be updated and

once selected with a check box click on Apply Filter

9. Select one of the below options for attribute maintenance instructions. Attributes can be updated directly

in the Data Vault application when changes are minor, while others can be updated using the

export/import functionality.

Option 2: Product Family Attributes Entered in Smart sheet

Checking for Errors When submitting your products for completion, the system will provide you with the following message:

It is always advisable that you check your workflow to ensure that the products you submitted are no longer visible to

you; if they have been completed, they will be removed form the workflow.

However, if your products are still visible, then it is likely due to errors associated with incorrect information provided

or mandatory attributes that have yet to be completed. If this is the case, then check your workflow for the “Product

Errors” column. Clicking into each cell within this column for the products that remain will generate a pop-up message

detailing your errors that you must address.

Once your errors have been addressed, you can then proceed to submit your products again for completion.

Error Messages &Troubleshooting Always check to see if there are any error messages before submitting, The Errors column is the last column to the

right in the WebUi and in the Smartsheet once complete, click the Validate Sheet button to check for errors.

to troubleshoot.

This error will show if a smartsheet is imported but the family is not anymore in

Family Attribute Maintenance workflow.

For example, a smartsheet is imported successfully in Data Vault (Family is pushed out of Family Maintenance workflow) and the vendor tries to re-import the smartsheet.

If additional changes are required, please push the family in the Family Attribute

Maintenance workflow (search for the Prime Vendor and then send the Family

in Attribute Maintenance workflow).

Family is still in FGL_PRODUCT_SETUP

folder;

Please contact the Purchasing Analyst to classify the Family into the appropriate

attribute group folder
