Exclus ive vs Shared Use of the

Camp

Camp Jubilee Retreat & Conference Centre offers organizers the option of booking Exclusive Use for groups of 130 guests or more. No other overnight groups will be onsite during your stay.

Groups booking with less than 130 guests will be co-booked with 1-2 other compatible group(s). Each group will have their own dining/meeting space.

There could be up to 3 groups on site (including your group).

Due to the rising cost of fuel, Camp Jubilee has made the difficult decision to implement a fuel surcharge effective January 1, 2009. After researching alternatives, we have decided that a surcharge is the best option.

The surcharge will be based on the cost per litre of fuel 14 days before your departure (as determined by the average price of unleaded gasoline in the Lower Main-land at www.bcgasprices.com) and will be calculated on a per person basis. The surcharge will help alleviate the cost of fuel spent on heating, transportation and food during your stay with us. We appreciate your un-derstanding.

Guidelines for the surcharge will be as follows:

Group Arrival at Camp Jubilee

Groups are asked to arrive at the Government Dock in Deep Cove at least 30 minutes prior to departure. Please note that boat times are not guaranteed and will be arranged by the Camp Jubilee staff in consideration of your school’s requests. Groups larger than 52 people will be transported to camp in two or more boat runs as needed to transport all members of the group. Multiple boat runs are approximately 1 hour and 15 minutes apart.

Group Departure from Camp Jubilee

When leaving Camp Jubilee, boats will be loaded a half hour before departure time. Specific departure times will be arranged by Camp staff to accommodate your needs and schedule. Groups transported to camp in more than one boat run will depart in the same manner. Your group’s boat times are noted on your Itinerary in Section 2.

Camp Clean-up, Check-out & Final Payment

Cabins, Yurts & Lodge Rooms We ask that you move out of your cabins/yurts/lodge rooms by 10:30am on your day of departure. These areas should be checked for forgotten items or other personal belongings. As well, please sweep the cabin floor and replace any moved furniture. An area close to the dock will be identified to store luggage until the boat(s) arrive.

Other Areas of Camp Please leave camp the way you found it by replacing any moved furniture (i.e. campfire benches, picnic tables, etc) or equipment (i.e. sports, audiovisual, stereo, etc) to it’s proper storage location. In addition, we would also ask that your guests walk around the grounds and pick up any garbage left behind.

Final Balance Balance is payable 14 days prior to arrival. In the event of additional charges or outstanding balances, the host will collect any

outstanding fees prior to your departure. Final payment for your school’s visit must be paid in full at this time. Please note: Groups must pay for the guaranteed number of guests as is stated on the most current Itinerary form.

Camp Jubilee offers the following accommodations:

Cabins

There are 13 cedar cabins housing 10 guests per cabin. These heated cabins offer bunk-style beds complete with 2-piece bathrooms and great views of the forest and camp property.

You may choose to have a teacher or supervisor staying with the students in cabins. Please arrange students, staff and supervisors into groups of 10 for each cabin.

If teachers will not be staying with students, they will be housed in lodge rooms or nearby cabins, whichever is available.

Yurts

There are 3 Yurts with beds to sleep 10 people. Yurts have 2-piece bathrooms, heat and lighting.

Lodge Rooms

There are 5 lodge rooms with sweeping views of Indian Arm or the forest. Each room offers 2 single beds. Shared bathroom and shower facilities are located at the end of the hall. Lodge rooms are based on double occupancy and for adults only.

Please be advised that Camp Jubilee does not provide bedding and all guest are respon-sible for bringing their own bedding (sleeping

bag/blankets & pillow), towels and toiletries.

There are several areas available as activity, meeting or workshop space.

HEAT TREATMENT ROOM

At Camp Jubilee we are aware of bed bugs and have

proactively taken steps to avoid problems. We have

set up a bed bug heat chamber on site to heat treat

all belongings of the campers (and the staff) to

prevent any bed bugs sneaking into camp. Please

make sure you follow the guidelines below:

Pack your child's camp gear into 2 bags (1 bag

should have clothing and non-melt-able" items only.

The second bag should contain all the 'melt-able"

items such as flashlights, batteries, toothpaste,

toiletry products etc.). We do not consider plastic

items to be melt-able.

We thank you for in advance for helping us in

preventing any outbreaks.

Food Services & Meals

We pride ourselves on providing nutritious and delicious meals and snacks of exceptional quality. Your meals will start with dinner on your school’s day of arrival continuing through to lunch on your day of departure. Each meal will offer a vegetarian option, however we ask that you provide us with a full list of any special dietary requirements at least 14 days prior to your stay. Refreshments between meals consist of coffee, tea, and seasonal fruit to keep all our guests well-nourished throughout their stay.

Please note: Lunch on the day of arrival is NOT INCLUDED and parents are responsible for sending a bagged lunch with their child. Please advise parents to pack a slightly larger lunch than usual, as students tend to be hungrier with increased activity.

One activity group is responsible for setting the tables 15 minutes prior to each meal. Jubilee staff will take care of all dishes and other cleaning after meals.

Meal times are 8:30am for breakfast, 12:30pm for lunch and 5:30pm for dinner. After the evening campfire period, a Jubilee staff member will serve the evening snack.

Please note: No outdoor shoes are allowed in Jubilee Lodge or Dining Hall. We suggest guests bring a separate pair of indoor shoes for use inside the lodge, dining hall, and cabins.

**All food and drinks must be consumed in the Dining Hall, Fordham Hall or other designated eating areas. No food or drinks are to be stored, cooked or consumed in any accommodation space so as not to attract any unwanted wildlife**

Nut Policy

DO NOT BRING NUTS!

This includes: Peanuts, Almonds, Hazelnuts,

Cashews etc

Camp Jubilee has been identified as a “nut

managed” camp. We regularly encounter campers/

guests who have life threatening allergies to nuts.

In an effort to ensure their personal safety during

their stay at Camp Jubilee, we prepare and serve

meals which are free of nuts and nut products. We

also request that all visitors and staff DO NOT

bring nuts or products containing nuts to camp.

Items brought to camp containing either of

these will be confiscated and removed.

Supervis ion of Students

Please be aware that supervision of students at Camp Jubilee is the responsibility of your school staff/adult volunteers at all times. At least one teacher is needed at each activity rotation group. Please arrange for the Teacher in Charge to arrive at Camp Jubilee on the first boat run. Please provide each student/parent with a copy of Appendix A: General Conditions of Use to ensure everyone is aware of camp policies.

Special Diets

As we are sensitive to the allergies and dietary restrictions of our guests, we provide some alternatives for certain special diets. Although we can accommodate most dietary restrictions, we suggest that those with severe allergies and vegan di-ets bring their own meals. Please complete attached Appendix G: Special Diets Form which will inform our kitchen of any dietary concerns.

Staff Support

A Camp Jubilee host or senior instructor will be available to answer any questions or concerns you may have. As well, staff members are available on site 24 hours a day to respond to any emergency needs.

An emergency phone is available for local calls only.

Cell Phones

Most cell phone networks have adequate reception coverage at the camp with best reception received from the dock area.

Unfortunately camp does not provide any sound systems, LCD projec- tors, pianos (or other musical instru-ments), or other equipment not listed above.

Sports Equipment

Camp Jubilee has available a limited supply of basic sports equipment for guest use including volleyballs, playground balls, footballs, hula hoops, soccer balls, etc. Many school groups choose to bring additional sports equipment.

Teacher/Adult Supervisors Services

Smoking Smoking is permitted by persons 18 years of age and older by law at the second campfire area only.

Pets Due to the public nature of this site, pets are not allowed. Camp Safety Orientation Upon arrival at camp, a camp staff member will provide a 20 minute Camp Safety Orientation outlining out-of-bounds areas, safety policies and a site tour.

First Aid Schools are required to supply their own basic First Aid kit. The teacher, or his/her designate, is primarily responsible for providing first aid treatment. A First Aid room and certified First Aid staff member is available to provide back-up assistance.

Visitors For the safety and security of our guests and staff, Jubilee is a closed facility. Please advise us if you expect visitors during your stay.

Alcohol Alcohol is strictly prohibited at Camp Jubilee.

Illegal Substances Camp Jubilee strictly enforces a drug-free environment. Any persons participating in the use or distribution of illegal drugs or substances as defined by Canadian law will be asked to vacate the property immediately. Boat transportation will be provided at the expense of the school or responsible individual.

Outdoor School Program Activit ies

Camp Jubilee’s Outdoor School Program will provide your students with an educational and entertaining outdoor experience. Activities offered are:

Students will rotate through your pre-selected activities as scheduled according to your Itinerary and Program Plan. All participants must have completed and submitted Appendix D: Acknowledgement of Risk (Waiver) Form to the camp office at least 14 days prior to arrival. Camp Jubilee requires a minimum of 1 teacher/supervising adult be provided by your school for every 12 students. For the purposes of activity rotation periods, please have students divided into groups of 15 students and 1 adult supervisor as per your Activity Rotation Schedule provided by the camp office. Students must stay in these groups for the duration of any activities. Each activity rotation is 1 ½ hours. Generally this includes 1 hour and 15 minutes of instruction leaving 15 minutes for each group to clean up and move to the next activity. Please see Appendix E: Activity Rotation Group Form for your convenience in organiz-ing activity groups. Activity Instruction A Camp Jubilee staff member will lead your pre-chosen activities. Please select your activities from Appendix H: Outdoor School Activity Options to complete activity section on your Itinerary form. See your program plan for activity times and chosen activities. Traditional vs. Adventure Outdoor School Programs The difference between the Traditional and Adventure Programs is the types of activities available. As noted above, the Adventure Program includes the High Ropes Course, Kayaking and the Rock Climbing Wall as well as 3 other activities of your choice. The Traditional program provides you with 6 activities of your choice, but does not include either the High Ropes Course, Kayaking or the Rock Climbing/Rappelling Wall.

Please note: Activity plans listed are based on a standard 3 day program. Activity plans may change depending on the duration of your school’s stay at camp.

Teacher Supervised Time

School staff will organize, lead, and supervise the activity period each night after dinner until 8:00pm. Camp Jubilee staff will then lead a 1 hour evening campfire. Some program ideas for teachers to consider include a group-wide game, scavenger hunt, talent show or other activities suitable to your school’s educational objectives.

Accommodations – Groups are housed in cabins or lodge rooms. Pric-es quoted are based on 10 persons per cabin. Lodge rooms are given on the basis of the number of free adults and double occupancy. When extra cabins or lodge rooms are available, groups may utilize them, however, additional cleaning charges apply.

Activities - All students may not receive the same activities depending on demand. Activities such as canoeing, kayaking, swimming, archery, ropes course/ rappelling must be pre-arranged and supervised by a qualified Jubilee Instructor Alcohol - Alcohol is not permitted. Bathrooms – Camp bathrooms operate on a septic system. Please do not throw anything in toilets other than the toilet paper provided. Garbage cans are available in all bathrooms for other disposable items.

Bedding – Please provide your own sleeping bag, pillows, bedding and towels.

Check Out Time – Check out will be done one hour prior to the group’s departure. We ask that your group vacate all cabins and lodge rooms by 9:30 am on the day of departure. Check out time is no later than 1pm.

Damages- Damage at camp by groups is rare, however, when damage does occur to facilities, equipment or the environment, the group will be assessed a fee based on replacement value which will be charged in addition to the camp rental fee.

Dining Hall – No outdoor shoes are allowed in the Dining Hall. We suggest you bring a pair of indoor shoes.

Emergency Phone – A telephone is located in the main dining hall. Please limit your phone calls to important or emergency calls.

Final Payment – Any outstanding payment is due 14 days prior to arrival. In the event additional charges are incurred, payment is due prior to departure.

First Aid – Groups are required to supply their own basic First Aid kit. The group leader, or his/ her designate, is primarily responsible for providing first aid treatment. A Jubilee staff member is available to provide back-up assistance.

Food/Drinks – All food and drinks must be consumed and stored in the Dining Hall, Fordham Hall or other designated eating areas. No food or drinks in cabins. Garbage – Place all garbage in trashcans located in buildings and throughout the grounds. Graffiti and Vandalism – Like many facilities of this nature, we occasionally experience graffiti and vandalism, especially in cabins. If this happens, the offending guest will be asked to leave camp immediately. The group is also responsible for the cost of any repairs.

Group Cleaning Responsibilities – Please leave camp as you found it.

Grounds, facilities and equipment should be left clean and tidy.

Guaranteed # of Guests – Group #’s must be confirmed 14 days prior to arrival. This is the minimum # you will be charged for.

Informed Consent Forms (AKA Waiver Forms) – Signed Camp Jubilee consent forms must be received 14 days prior to arrival for all guests participating in program activities. Guests will not be allowed to participate in activities without a signed waiver form.

Media Relations - Groups may not have media relations on site with-out the prior written consent of Camp Jubilee Retreat and Conference Centre. Multiple Bookings – Groups confirming a minimum of 130 guests can request Exclusive Use of the site. If there is less than 130 persons, there may be a 1-2 other groups on site.

Out of Bounds Areas – For safety reasons some areas of camp are out of bounds (i.e. River Bank, Workshop areas). A Jubilee staff member will provide details on these areas upon your arrival.

Personal Boat Moorage – Personal watercrafts are welcome for use by your group, however, dock space is limited. Please consult with our staff if you plan to have personal boats on site.

Pets – Due to the public nature of the site, pets are not allowed.

Programming – Programming such as canoeing, kayaking, swimming, archery, ropes course/rappelling must be pre-arranged and supervised by a qualified Jubilee Instructor.

Quiet Times – Quiet times are strictly enforced during the hours of 11:00 p.m. – 7:30 a.m.

Smoking – Smoking is only permitted by persons 18 years or older in the second campfire pit area.

Supervision – Supervision of youth at all times is the responsibility of group/organization. A minimum of 1 adult must accompany each activity rotation group (12 students) to provide supervision of youth.

Swimming – A Camp Jubilee lifeguard (certified NLS) must be present for all swimming activities involving children under the age of 19. Adult only groups may swim without a lifeguard, at their own risk.

Visitors – For the safety of our guests, Jubilee is a closed facility. Please advise us if you expect visitors during your stay.

Water Transportation – Groups are required to arrive at the dock 30 minutes prior to the scheduled departure time to allow time to load. Late charges are applied in the amount of $30.00 per ¼ hour or por-tion thereof.

April 19, 2016 Dear Guests, Due to the traffic congestion in Deep Cove, the District of North Vancouver has asked for our cooperation in tweaking our pick up/drop off bus proce-dures in Deep Cove. As a good neighbour we want to ensure that the school needs, the community needs and our needs are balanced to ensure a long term successful partnership with the Deep Cove Community. To this end, we have been requested to do the following: 1. To have buses pick up/drop off at the designated pick up/drop off area located right behind the Deep Cove Canoe and Kayak Centre. 2. To not have a) buses park at the Transit Bus Stop located above the Gallant Warf. b) To not have buses use the cul-de-sac at the foot of Gal-

lant Ave and not to back down on the dock service road to unload luggage. (Please see attached map) 3. To not have buses idling when parked at any time.

APPENDIX C Information For Parents

Packing List **Please note that this list is not comprehensive and is the MINIMUM to be packed for a 3 day stay.

Pack clothes that are appropriate for all types of weather including rain, sun, or wind. Please bring water shoes (or old shoes that can get wet) if your group is participating in any swimming activities, as the swimming area is rocky. PLEASE SEE HEAT TREATMENT ROOM LETTER (NEXT PAGE).

Some optional but useful items you may want to include while packing: disposable camera, favourite stuffed animal, book, etc. We also encourage parents to pack old clothes for their children to bring to camp. Please do not send clothes that would not be suitable to wear to school. If possible, mark your child’s name on all items as Camp Jubilee will not be responsible for lost items.

A school staff member will be the sole person responsible for First Aid and dispensing of any medications. A Camp Jubilee staff member will be available to provide back-up First Aid support. All medication must be stored and locked in the First Aid room at all times, the key to which will be provided to the designated school First Aid Attendant.

Please note: Camp Jubilee staff are not permitted to administer any medication including over the counter drugs such as ASA or cough syrup. Please provide your own medication. Parents should send these items with their child and give school staff written permission to dispense.

Acknowledgement of Risks (Waiver) Form

Please complete the Camp Jubilee Acknowledgement of Risks (Waiver) form and return to the school. This is an important form which is required by all students attending camp.

APPENDIX C Information For Parents

Regarding: The Heat Treatment room at Camp Jubilee

Dear Camp Jubilee Outdoor Education participants:

As you may have heard, there has been a resurgence of bed bugs in the Lower Mainland due to the fact that they are great hitchhikers and yes, they will tag along to camp too! Bed bugs have been found in hotels, hospitals, li-braries and so on; however it hasn't been a problem at Camp Jubilee yet. Let's keep it that way!

At Camp Jubilee we are aware of bed bugs and have proactively taken steps to avoid problems. We have set up a bed bug heat chamber on site to heat treat all belongings of the guests (and the staff) to prevent any bed bugs sneaking into camp. Pack your camp gear into 2 bags and please make sure that any clothes you may need during the first few hours at camp (i.e. rain jacket, sweater, etc.) are out of the bag that will be going in to the heat chamber.

1. 1 bag should have clothing and "non-melt-able" items only. The second bag should contain all the 'melt-able” items such as:

Toiletry products (such as toothpaste)

Flashlights

Batteries

Electronics

Any liquids

2. What should you do when you come home from camp? As a precaution, you should put all of the clothes and the bag into the dryer and dry everything for at least 20 minutes on the heat cycle. If you want to wash the clothes first, that's fine too but you must put the clothes through the dryer on the heat cycle.

Outdoor School Program

SPECIAL DIET REQUEST FORM Camp Jubilee strives to provide all of our guests with nutritious and delicious meals and snacks, including those with dietary restrictions. We are sensitive to allergies and dietary restrictions and place the highest priority on ensuring safe-ty. To safeguard this, we ask that this form be fully completed to ensure our food services team can be prepared for your upcoming visit. Special Diets Policy and Notes:

For those guests with cross contamination or other significant allergy concerns may be required to bring prepared meals for the duration of your stay.

Camp Jubilee is a 30 minute boat ride to Deep Cove, North Vancouver. Therefore guests should un-derstand it would take approximately 30 minutes to access medical support in the form of BC Ambulance Service. Guests who require medicine to treat their allergic reactions must bring their own including EP-IPEN and/or Benadryl (or similar product). Further, guests should consult with their doctor to establish amount of medicine required for the trip, as the effects of the medicine may wear off after 10-20 minutes and additional medicine (i.e. injections) may be required.

Camp Jubilee is “nut managed” which means that we AVOID the use of nut or nut-related products. We remind all our guests of our “nut managed” status. However, we cannot guarantee that nuts or nut prod-ucts are not present as guests may bring a restricted product without our knowledge. Additionally, some of our food products contain the warning “May contain traces of nuts” or” Produced in a factory in which contains nut and/or nut products.”

Activities involved in this trip may include (but are not limited to) hiking, orienteering, canoeing, rock climbing, rappelling, ropes courses, sports and games, swimming, archery, kayaking as well as various leadership activities and team building challenges and initiatives. I understand that outdoor activities present to the participant a wide variety of risks, hazards and conditions, not all of them easily foreseeable, which could result in any type of physical or emotional injury. These conditions may include, but are not limited to uneven terrain, changeable weather conditions, animal and plant life, and use of assorted vehicles, gear and equipment including various types of safety gear. I understand that such risks simply cannot be eliminated without jeopardizing the essential qualities of the activity. I understand that the school/organization is not always equipped with the skills, training, equipment and insurance necessary to undertake these types of educational activities, and will at need to enlist the aid of outside agencies that embody and abide by high professional standards within their industry. APPENDIX H Activity Options

Activity Description Archery Students will learn how to safely and correctly hold a bow and how to make an arrow go

straight, and maybe even hit the target. Archery develops coordination and concentration.

High Ropes Course*

Elements built from cables, logs, and ropes are suspended 30 feet above the ground. They are designed to present a physical and emotional challenge to the participants. Develops confidence while overcoming fears. Camp Jubilee has certified climbing staff and uses all necessary safety equipment and procedures.

Kayaking * Indian Arm is a perfect kayaking location. Taught by a qualified Camp Jubilee program in-structor, your kayaking session will begin with a safety presentation followed by learning basic paddling, performing a wet exit and exploring Indian Arm.

Low Ropes Course

The low ropes course is a series of separate elements. Each element presents the students with a specific challenge. Students plan and execute as a team in order to reach their goals. Can be very rewarding for a focused group.

Marine/Beach Study

* sometimes limited by tides

Search for and find some of the many hidden creatures of the inter-tidal zone. Learn about them and then let them go. Students gain an increased knowledge of this interesting marine community.

Nature Hike The nature hike takes students out into the woods with one of our trained instructors. On our trail they will encounter several information stations where students will learn quick facts about nature.

Orienteering Students will learn how to use a compass, follow bearings and interpret maps. They will have the opportunity to navigate through our new woodland orienteering course.

Rock Climbing * Students will put on a harness and have the opportunity to climb our 40 foot natural rock wall. Camp Jubilee has certified staff and uses all necessary safety equipment and procedures.

Shelter Building Students will learn some basic technique of building an emergency survival shelter. They will have the opportunity to build a shelter for their group and an instructor will give them tips for surviving the elements

Team Building/ Leadership

Students are lead through exciting and innovative team building activities designed to build decision-making and problem solving skills. These challenges can only be overcome by the whole team in order to reach their goal.

Voyageur Canoe-ing

The Voyageur Canoe is a large canoe, which holds up to 15 students while steered by a Camp Jubilee program instructor. Students will be instructed how to safely participate in canoe activities, learn basic paddling skills and explore Indian Arm. Voyageur Canoeing is great for younger students.

Slingshot Range (NEW!)

Slingshots were a popular hunting method for small game. Students will be taught proper slingshot technique and have the opportunity to practice this new skill. We have created a safe slingshot range with wooden targets, cork projectiles, and safety goggles.
