2 Adding Users

Test Administrators (teachers) must be added to TOMS in order to administer Interim Assessments

and/or Summative Assessments

3 Manage Security

Test Site Coordinator must have on file at the school and at the district office a CAASPP Test Security Affidavit from each Test Administrator (teacher) to whom access to TOMS has been granted.

4 Information You Will Need

5 TOMS Access and Logon

Steps to Log OnGo to http://caaspp.org/ and select

the [Test Operations Management System (TOMS)] button.

Enter your username and password(if this is the first logon, follow the instructions to

change the temporary password provided in the email sent by CalTac. Temporary passwords are valid for 30 days)

6 Methods to Add Users

Two Methods One by one – Allow up to 2 hours for the

system to process the request and grant access to the added users.

Template upload – Allow up to 24 hours for the system to process the file and grant access to the added users.

7 Adding Users One by One

1. When TOMS has opened – select [Users] button on left navigation bar.2. Select the [Add] button.

3. Enter the following information for the user being added:

First name Last name email address ([email protected]) Phone number Fax is optional

4. Select your school by clicking [Select Organization]5. Select the radio button corresponding with the user’s role by choosing either Site Coordinator or Test Administrator6. Select [Add Role]7. Select [Close] on the “Save User” confirmation box8. Select [Save] when you are finished adding users9. Select [Close] on the “Add User” confirmation box

10 Adding Users via Template Upload

1. Create the Excel file Download the TOMS user list template from the TOMS

Web page at http://caaspp.org/administration/toms/ Template is also available at californiatac.org under

Test Administration then TOMS Copy or enter your user information into the template.

Adding and Managing Users Guide (page 7; Table 1) describes file specifications

Save Excel file as .xls or .xlsx format

11 Upload the File

2. Open the Upload List of Site Coordinators and Test Administrators Web form at

http://californiatac.org/administration/toms/index.html

3. Respond to the fields, entering information or making a selection as necessary.

Name, Phone, and email is you and the LEA is Fresno Unified School District

4. Upload the fileSelect [Browse] buttonLocate and select the fileConfirm that the correct file is selected, and then select [Submit Form]

13 Reminders

Inform teachers they will receive an email from CalTac with a temporary password.

Temporary passwords expire in 30 days from receipt.

Logging On for the First Time will require the user to change the temporary password by following the steps as prompted.
