SIR BRANCH 52 JOB DESCRIPTION

FOR BIG SIR

POSITION DESCRIPTION The Big Sir shall be responsible for all of the affairs of the Branch in accordance with the State SIR and Branch Bylaws and Standing Rules, with due consideration being given to the State Sir Guidelines. MAJOR AREAS OF RESPONSIBILITY

• Reads and applies all State SIR rules relating to the Big Sir as outlined in the State SIR Bylaws, Article 2, Rules 160 through 168.

• He will develop the agendas for, and preside at all, Branch meetings and Branch Executive Committee meetings.

• He will assure that all State SIR reports are produced and submitted on time and distributed to the proper individuals in the Branch and in State SIR. He will, personally, assure that the Form 27 (Monthly Branch Membership Report) is submitted by the 10th of each month to State Sir.

• The Big Sir shall represent his Branch at the Annual Meeting of the Members of the Corporation.

• The Big Sir shall submit to his Area Governor by April 5, July 5, October 5 and January 5 of the following year a report describing why or why not his branch is inducting new members at the rate required to meet the goals specified on Form 27.

• He will assure that the Branch Nominating Committee Chairman reports progress of the Nominating Committee each month and submits a full slate of new officers for the next year at the proper times.

• Submits to State Sir the next year’s Branch personnel information requested on Form 20 by August 31st.

• Able to use a computer, Word Processing and Email. • Knows and uses the Roberts Rules of Order when conducting the Branch Executive

• As Big Sir Elect, attends the October State Sir training. • Works with the Area Governor to hold an Area training meeting in November for Area

Branch Executive Committees (before he takes office). • 6 to 12 hours a month for phone calls, Emails, agenda development and meetings.

SIR BRANCH 52 JOB DESCRIPTION

LITTLE SIR POSITION DESCRIPTION The Little Sir presides at the Branch Executive Committee and monthly meeting in the absence of the Big Sir and oversees obtaining monthly speakers. MAJOR AREAS OF RESPONSIBILITY

• Attends the October State SIR training session (location as deemed by the State SIR Offices) as the Big Sir elect.

• Reads and applies all State SIR rules relating to the Little Sir as outlined in the State SIR Bylaws, Article 3, Rules 170 through 172.

• Acts as the Branch 52 reprehensive to work with State level SIR officers to provide all insurance documents required to support approved Branch events.

• Acts as the Branch 52 New Members Committee Chairman comprised of himself and 2 Branch Directors to insure new members feel they are welcomed, informed of all activates and included in the selection of new officer positions within the Branch.

• Assures that a monthly speaker is obtained, insures recognition certificates are presented to each of the monthly speakers.

• Makes informative contributions to the Branches monthly Bulletin. • Responsible for conduct of the Branch Executive Committee and monthly

luncheon when the Big Sir is not available. • Supports the Event Director by assisting with the obtaining of event chairmen to

conduct approved events and insures that each of the approved events are planned according to the Branch 52 Manual event guidelines.

• Supports the drawing held during each monthly luncheon by securing valued prizes.

SPECIAL SKILLS AND ABILITIES NEEDED Able to use a computer, Word Processing and Email. ESTIMATED ADDITIONAL TIME FOR THIS POSITION BEYOND SIR MEMBERSHIP

SIR BRANCH 52 JOB DESCRIPTION

FOR SECRETARY

POSITION DESCRIPTION The Branch Secretary takes and publishes the Minutes of each Branch Executive Committee meeting and keeps the records of the Branch. MAJOR AREAS OF RESPONSIBILITY

• Reads and applies all State SIR rules relating to the Secretary as outlined in the State SIR Bylaws, Article 4, Rules 175 through 190.

• Records Minutes and is a participant of the Branch Executive Committee (BEC) when it meets. Sends via email the published Minutes within 10 days following the BEC meeting to each of the BEC members, the Regional Director, the Area Governor, and to the Bulletin Editor to be published on the Branch 52 web site.

• Initiates and replies to any correspondence as needed and directed by the BEC. • Maintains Branch records as noted in the State SIR Bylaws (see first item

above). Notifies the State SIR of any Branch changes or additions to records that are kept at the State level. Maintains a permanent file containing less active records as noted in State SIR Bylaws, Rule 183.

• In absence of the Big Sir and the Little Sir presides over the BEC meeting and/or the monthly luncheon meeting.

• Assures that the annual Branch Roster is produced by an individual that has the production responsibility and assures that a printed, hard copy is sent to the State Secretary, the Regional Director and Area Governor by March 1st of each year.

• Gives, or causes to be given, notice of all meetings provided by the Branch Bylaws.

• Works with the Treasurer and the approved Branch 52 financial institution for new signature cards when there is a change in Branch officers holding alternate Branch financial signing authority.

SPECIAL SKILLS AND ABILITIES NEEDED Able to use a computer, Word processing and Email. ESTIMATED ADDITIONAL TIME FOR THIS POSITION BEYOND SIR MEMBERSHIP

• Branch Executive Committee meeting - 1 hour per month. • Publishes Minutes and distributes them by Email – 1 to 2 hour per month. • Miscellaneous (correspondence, State Email responses, etc.) - 30 minutes per

month.

FOR TREASURER

POSITION DESCRIPTION Handles all financial transactions of the Branch including writing checks, bank deposits and financial status reports. MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • Reads and applies all State SIR rules relating to the Branch Treasurer as

outlined in the State SIR Bylaws, Article 6, Rules 215 through 227. • If needed, establishes the Branch Bank Account and has his signature

authorized for writing checks. • Handles all check writing and deposits for the Branch. • Accepts and accounts for monthly lunch payments by Branch members. • Participates in the annual Branch Audit. • Submits to State SIR the Form 28 (Monthly Cash Report) by the 10th of each

month. • Sends the pro-rata assessment to the State Treasurer by the 15th day of each

quarter (Jan., Apr., Jun and Jul.). • Works with the Secretary and the approved Branch 52 financial institution for

new signature cards when there is a change in Branch officers holding alternate Branch financial signing authority.

SKILLS AND ABILITIES NEEDED

• An understanding of the financial requirements for operating a volunteer organization.

FOR DIRECTOR - MEMBERSHIP CHAIRMAN

POSITION DESCRIPTION The Membership Chairman is chosen for his ability to contribute to the administration of the Branch MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • Tracks/Monitors/Reports on the status of the Branch membership to the BEC. • Contact person for all Branch members wishing to change their membership

status. • Documents and manages each individual membership records for; DOB,

membership ID number, contact information, spouse name, date joined the Branch, members activity interest, Branch positions member is willing to volunteer for, occupation prior to retirement/joining SIR’s.

• Reports to the BEC members who have achieved SIR status as: Senior, Super Senior and Century SIR status at the September BEC meeting for recognition during the following month of November.

• Reports to the BEC all members who have achieved: 25, 30, 35, 40 and above years of continuous membership fin SIR’s for recognition.

• Provides ‘New Members’ SIR packets for initiation. • Notifies the BEC of members exceeding ‘Inactivate’ status and require their

membership be terminated as per SIR Guidelines. • Issues Termination letters to members falling into the ‘Termination Required’

category as per SIR Guidelines. • Processes and reports to the State officers utilizing SIR Form 27, the current

monthly membership status. • Contribute to the monthly Bulletin Branch membership status.

SKILLS AND ABILITIES NEEDED

• Has Email and can use it effectively • Has computer skills

FOR DIRECTOR - ATTENDANCE CHAIRMAN

POSITION DESCRIPTION The Attendance Chairman is chosen for his ability to contribute to the administration of the Branch MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • Manages Branch 52 member’s records to insure compliance for attendance as

per SIR Guidelines. Notifies the BEC of ‘Delinquent’ and/or ‘Pending Termination’ of membership for non-attendance of required meetings as per SIR Guidelines.

• Dispenses and controls member’s identification badges: issuing individual members badge prior to each monthly luncheon, collects badges at the conclusion of the meeting, safe guards and stores badges between meetings. Administers identification numbers for all Active, Inactive, New members, Deceased and Transfer in/out of Branch 52 members as per SIR guidelines.

• Acts as the contact person for the branch members who determine they will not be able to attend the next month’s luncheon. Provides the monthly luncheon contractor the number of entries and salads the membership will require for the next luncheon. Reports to the Treasurer how many entrees and salads were ordered for the next monthly luncheon.

• Issues ‘Delinquent Luncheon Payment ’ letters to alert members they are obligated to pay luncheon fees when the member failed to contact the Attendance Chairman for a missed meeting, per Branch 52 Guidelines. Works closely with the Branch Treasurer to document and record those members that have or have not paid ‘Delinquent Luncheon Payments’.

• Reports to the BEC those members that require ‘Termination’ for failing to pay ‘Delinquent Luncheon Payment’.

• Contributes to the monthly Bulletin on the Branches membership status. SKILLS AND ABILITIES NEEDED

FOR DIRECTOR – NOMINATION COMMITTEE CHAIRMAN

POSITION DESCRIPTION A Branch Director is chosen to be on the Branch Executive Committee for his ability to contribute to the administration decisions of the Committee and to help the Committee conduct and supervise the operations of the Branch. MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • The Director appointed to the Nominating Committee shall have served at least

one year as a member of the Branch Executive Committee or as chairman of any other committee.

• Reads and applies all State SIR rules relating to the Branch Director as outlined in the State SIR Bylaws, Article 8, Rules 240 through 241.

• Acts as the Nomination Committee Chairman. • The Chairman should consider that replacement candidates or incumbents in

Secretary/Assistant Secretary, Treasurer/Assistant, Membership Chairman/Assistant, Attendance/Assistant, and Events Director positions should be capable of creating, storing, and transmitting data by electronic means.

• Insure the Nominating Committee, by May 31, informs the Big Sir of the proposed slate of Branch Officers for the following year, or, if none, by written notice to the Big SIR.

• Provide the names of all nominees for publication in the in the July Branch bulletin.

• May be assigned specific duties and responsibilities by the Big Sir and/or the Committee.

POSITION DESCRIPTION A Branch Director is chosen to be on the Branch Executive Committee for his ability to contribute to the administration decisions of the Committee and to help the Committee conduct and supervise the operations of the Branch. MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • Reads and applies all State SIR rules relating to the Branch Director as outlined

POSITION DESCRIPTION A Branch Director is chosen to be on the Branch Executive Committee for his ability to contribute to the administration decisions of the Committee and to help the Committee conduct and supervise the operations of the Branch. MAJOR AREAS OF RESPONSIBILITY

• Attends and is a participant of the Branches monthly BEC meetings. • Insures that at least one hour prior to the start of the monthly luncheon meetings

‘Greeters’ are stationed at the entrance of the meeting hall. • Reads and applies all State SIR rules relating to the Branch Director as outlined
