ZOOM Meeting in HKBUHKBU have subscribed to the ZOOM site license in early January 2020.

All teaching staff have unlimited durationof scheduling a meeting/real-time online class with a maximum of 300 participantsper meeting/class.

ZOOM Meeting in HKBUFor first time user, you are required to sign in to HKBU ZOOM portal using the following link (with your SSOID ready and DUO in your smartphone):

It may migrate your SSOID account to HKBU ZOOM licensed account for the first time user. You will receive an email for the migration account.

Host (You) will decide:1.Topic Information 2. Schedule: date, time, time zone, *Recurring meeting (* for weekly class use, please Moodle to setup)3. Who can join the meeting - Check “ON” the option if the

meeting is only for authenticated HKBU users to join.

- Uncheck the option if the meeting is for everyone to join.

4. Set recording meeting (recorded video will be saved in the original host’s computer/ cloud server)5. Add an alternative host if you want to transfer host status to other person

Remarks: you may assign a facilitator/teaching assistance (TA) to be a co-host after the meeting started. The co-host can manage/ control the meeting room except “start/end” meeting control or create polls

Other settings are recommended when you are scheduling a ZOOM meeting:

Participants (students) will wait outside the meeting room until host/ co-host admits them to join the meeting/ class. ** If the waiting room is “OFF”, the participants (students) will go to the meeting room directly once they join the meeting

2.Video is “OFF” for host and participantsHost (Lecturer) cannot turn on participant’s cameraHost may send request to participants(students) to turn on their cameraHost may turn on the host’s camera anytime

To check your recordings, please sign in HKBU ZOOM Portal (https://hkbu.zoom.us ). The meeting videos are saved in ZOOM cloud server. You may share / download the videos. ZOOM cloud recordings will be deleted after 120 days.

Co-host (facilitator/ TA) can manage the meeting room but they cannot start/ end the meeting. Co-host can help: 1. Help to identify the participants, and then admit/ remove

participant to/ from the meeting room (in participants window)

2. Help to check the message (in chat window)3. Help to send unmute audio/video request to students to

answer question (in participants window)4. Check who has raised hand to ask question (in

participants window)5. Help to monitor the online class’s audio and video that

are working normal.6. Send an ad-hoc invitation (in participants window)7. Help to share screen (e.g. ppt file)8. Check the meeting is being recorded9. Help to launch polls but cannot create/edit polls10. Sometimes, lecturer may want TA help to spotlight which

screen to be shared for participants (this is optional)

• Departmental administrative staff may help to fill in ITO form and assign TA have the “Teaching Assistant” role in Moodle for the specific courses. For details, please check ITO website or contact ITO (ext: 7899)

• Once “Teaching Assistant” role in Moodle is granted to TA, TA can login Moodle to schedule online class

• TA may set lecturer’s email as “Alternative host” when you schedule a meeting. It will transfer “Host” identity to lecturer when lecturer is the first person who starts the ZOOM meeting. Please talk to lecturer before you set the lecturer as alternative host

• The recording video will be saved in TA’s ZOOM cloud server (the person who create the meeting link via Moodle)

• TA is required to download/ share the recording video to the course lecturer.

Tips on Scheduling online class via ZOOM on Moodle


1. Check the scheduled recurring classes, it may be set on the public holiday

2. If the waiting room option is “ON”, you need to admit students to join the class

3. If you have guests to join the class (the email domain is not HKBU domain e.g. @hkbu.edu.hk), you have to uncheck “Only authenticated users can join” option in the scheduled meeting.

4. Zoom’s cloud recording will be deleted after 120 days. You may download the videos and save them in your Google drive.

Tips on using Teams


1. Teams only allow to add members (students and teachers) for class team within the organization. Guest cannot be a member. But, you can invite guest to join meeting by email).

3. You can call many MS apps with Teams (e.g. Forms, Assignment app, etc.)

4. Teams can be individually downloaded or get it from MS Office 365
