Introduction

The BlueCielo Meridian Enterprise 2010 product family consists of BlueCielo Meridian Enterprise 2010 and all of its modules. In this document, we briefly describe the highlights of this new release, which is available as of July 2010. A 64-bit Meridian server version and additional upgrades for the Meridian modules are planned for later this year.

The BlueCielo product family is focused on capital intensive industries like Oil & Gas, Utilities, (Petro-) Chemical, Pharmaceuticals, etc. Within these industries, a chain of companies works closely together to build, maintain, and optimize the production facilities. Such an industry chain is shown in the picture at left. The owner/operator is depicted in the large

circle, which includes an arrow to indicate the asset life cycle. To design and build a production facility, the owner/operator typically works with one or more contractors who might work with subcontractors for specific expertise

or equipment. After commissioning, the asset owner/operator sometimes outsources specific maintenance to maintenance contractors. These can be the very same contractors that did the initial engineering and construction work. Within this asset life cycle, five specific focus areas have been identified for which BlueCielo ECM Solutions provides dedicated software solutions. In the BlueCielo Meridian Enterprise 2010 release, client usability has been improved for all types of users, the product has been enhanced to better meet today’s IT requirements, and modules have been further tailored to support the entire asset life cycle. In this document, the new and enhanced functionality is described for the entire

BlueCielo Meridian Enterprise 2010 product family, including the Meridian modules and the Meridian Microsoft SharePoint integration solutions (detailed in chapter 4).

1 BlueCielo Meridian Enterprise 2010

BlueCielo Meridian Enterprise provides industry-specific engineering content management solutions for companies looking to optimize the management of their production assets, including plants, production facilities, and infrastructure. With BlueCielo Meridian Enterprise, organizations are assured that the latest revisions of the right documents are available to the right people, every time. Fully CAD platform-independent, BlueCielo Meridian Enterprise provides flexible revision management, workflow support for projects and single documents, and a safe, secure vault for documents. Based on client/server architecture, BlueCielo Meridian Enterprise is scalable from a departmental solution up to the division level, and is the ECM solution of choice for teams of any size. The main enhancements in BC Meridian Enterprise 2010 (abbreviated to BC [M] 2010),

1.1 Usability

1.1.1 New look-and-feel

The user interface of the desktop clients has been given a face lift. A new set of contemporary menu icons has replaced the old icons. The new icons are found in the toolbar, drop-down menus, and shortcut menus. The client’s user interface can be selected from different Microsoft Windows and Office styles (picture below, right).

Individual panes of the desktop clients such as the viewer pane, the navigation pane, and the Properties pane can be undocked and placed at different locations within or even outside the application window as show below. For example, the Properties window can be placed outside the client window or pinned inside on the left, right, top, or bottom. Furthermore, in Auto Hide mode, windows slide out of view and tabs are shown for selection. Simply moving the cursor over a tab makes the window conveniently slide out for use. Moving the cursor outside of the window automatically hides it again. When the windows are undocked, the viewer window (for example) can be placed on a second screen to free up space.

1.1.2 Scopes

An important new feature to improve usability is the introduction of functionality scopes. Scopes tailor the views and functionality to certain types of data within the vault for specific purposes, for example, scopes for: archived documentation, master (as-built) documentation, objects (representing assets), project documentation, etc. The scope menu in the user interface is shown in the picture above on the left. The user can select a scope, a view, and a time within the vault in that order. For each scope, separate Navigation views can be selected. The available views may also be dependent on the user groups that the user is a member of, as shown in the picture above on the right.

Menu options are also dependent on the selected scope, ensuring that only those options that make sense for the scope are shown. Security roles can be used to further limit the options that users are allowed to use.

The above picture shows what can be configured for each scope. Commands and Navigation views can be configured per scope (availability depending on the security role of the user), as well as which document and folder types are accessible within the scope.

Additionally, filters for workflow definitions, project definitions, reference types, and reports can be specified. A scope can also limit users to documents within a specific branch of the vault folder structure. The user is then restricted to that branch in the Explorer view and all search results are restricted to the documents in that branch. The current scope is accessible to programmers to control the visibility of commands and property pages. Custom commands can be added to the scope and do not need to be

controlled programmatically. Along with the introduction of scopes, the menu options that apply to a certain scope can be made available in a Scope toolbar. For each scope, the Scope toolbar can be configured to show those functions that are the most relevant in that particular scope.

1.1.3 Work areas being phased out

More and more new functionality is being developed based on folders and folder types and work areas are being phased out simultaneously. In the current release, one can still use work areas, but no new functionality will be made available in the future. With the introduction of scopes, the reasons to migrate to folder types are becoming even more compelling. If you require assistance with migrating vaults that use work areas, contact BlueCielo or an authorized BlueCielo partner.

1.1.4 Zoom & Pan while editing properties

Sometimes metadata must be updated based on the content of the document, for example, as part of a review process. This has now been made much easier. When the user edits document properties, the viewer remains open

with the document content in sight. The user can use all viewer commands like Zoom, Pan, Magnifying Glass, etc. while simultaneously updating document properties, as shown below.

1.1.5 Metadata compare

It has been possible to compare two documents or document versions graphically in the viewer for many years. In [M] 2010 the Compare command has been extended to

metadata, making it possible to compare the properties of two documents. This is useful when updated documents are received from external sources, for example, or when project data properties of objects (tags) must be compared against the master data. While comparing properties,

it is possible to synchronize them by copying values from one to the other. In the comparison window, you can easily see the properties that have been added, removed, or contain a different value.

1.1.6 Hybrid parts of old revisions

In the Revisions dialog, the hybrid parts can now be shown for the previous revisions of a document as well as for the current revision. For the hybrid components, the following shortcut menu options are available: View Content

1.2 Application integration

1.2.1 Support for latest application versions

The latest versions and updates of popular Microsoft Office and CAD applications are supported. A complete overview is provided in our Supported Applications white paper. Worthwhile mentioning here is support for the Microsoft Office 2010 and the Autodesk AutoCAD 2011 product suites.

1.2.2 Inventor: skip sub-assemblies when assigning to a project

Let’s consider the following assembly structure:

When changing Part 1, the main assembly and sub-assembly 1.1 must be assigned to a change project, but sub-assembly 1 is not part of the actual change. If the user makes a change in form, fit, or function when there is no project copy of sub-assembly 1 and Autodesk Inventor needs to change sub-assembly 1, the user must exit Autodesk Inventor, create a project copy of sub-assembly 1, and redo the change. So some components of the project copy of the assembly may resolve to master documents, even if there is a project copy of the assembly.

To resolve this, an option has been added to the Assembly Copy Options dialog and it is enabled by default. When enabled, it will create project copies of the full assembly chain. The user’s selection is saved between PowerUser sessions.

1.2.3 Inventor 2010 Migration tool

The Inventor Migration Tool can be used to migrate (i.e. upgrade) Autodesk Inventor files in a vault without incrementing the revision number of the files. The files will be migrated (upgraded) to the Autodesk Inventor version that is installed on the computer used to run the tool. Only Autodesk Inventor files that are not locked can be upgraded. This tool is installed by the [M] setup and has been updated for the Inventor 2011 release.

1.3 Search improvements

1.3.1 Search within scopes & folders

Static and dynamic searches can now be implicitly limited by a scope or explicitly limited to a specified folder, as shown below.

1.3.2 Filter within search results & collections

After defining what should be searched, filter criteria can be added. When entering property values to filter on, it is now possible to select from the existing values in the More Criteria page (see 1.3.1).

1.3.3 Lookup lists in Find

As shown above, filtering the search results is possible for each property. Options have been added to clear the filter, clear all filters, and to select the property values that must be included in the filter. Right-clicking a column header shows a dialog presenting the existing values. It is available in search results and in collections.

1.3.4 Add to search results

An Add to My Search Results option allows the user to add selected documents to their personal search results collection. Documents that are found through a series of different queries can be added to the collection in this way for future reference.

1.4 Data Library

The Meridian Data Library is introduced in this release. Metadata from a [M] vault is exported to a database called the Data Library. The database can be either a Microsoft

SQL Server database or an Oracle database. The Data Library can be used for reporting by standard reporting tools such as SAP Crystal Reports and Microsoft Reporting Services. In addition to that, the Data Library enables non-engineering users to view data with the BC [M] Explorer Client 2010. This client is the successor to the Meridian Read-Only Web Client.

The Data Library does not require additional licenses, not does it require database connections to access the server. Content in the Data Library is limited to a single vault (a link is made to the streams of the vault), and the Data Library must also reside on the same server as the vault.

These restrictions do not apply when a BC [M] Explorer Server License is purchased (see next paragraph).

1.4.1 Extending the Data Library

The Data Library can be extended by adding the BC [M] Explorer Server License. The server license enables:

In combination with the BC Publisher, files can be rendered to other formats and exported to the BC [M] Explorer repository while the original files reside in the vault. More information about the BC [M] Explorer is provided in separate product documentation.

1.5 Web Access

1.5.1 New! BC [M] Read-Only Explorer Client

As mentioned before, the Meridian Read-Only Web Client has been succeeded by the BC [M] Read-Only Explorer Client. Since this client connects to the Data Library (or the full BC [M] Explorer repository), a BC [M] Database Connection license is not required. The BC [M] Read-Only Explorer Client comes with an AutoVue 2D Professional license. The BC [M] Read Only Explorer Client can be installed as a web client in case Microsoft Internet Explorer (see picture indicated as WAN, Wide Area Network) is used or with a web part within the Microsoft SharePoint environment (indicated as SP in the picture). See also the next paragraph.

1.5.2 Microsoft SharePoint web parts

In this release, licensing changes have been made to support [M] clients in various

environments; the desktop clients, an Internet Explorer web browser, and with Microsoft SharePoint. With the BC [M] Power User Client License or the BC [M] Office User Client License (in combination with a BC [M] Database Connection License), the user can access the BC [M] vault from any of these three environments.

With the BC [M] Power Web Client License or the BC [M] Office Web Client License (in combination with a BC [M] Database Connection License), the user can access the BC [M] vault from both an Internet Explorer web browser and from Microsoft SharePoint. Please note that the Microsoft SharePoint web parts will be released later this year.

1.5.3 Power Web Client & Office Web Client

An improved web client (Web Access) has been planned. It will add support for scopes and the search improvements as described earlier in this document, features that are now restricted to the Power User and Office Client.

1.5.4 User friendly names in Web Access

Web Access now displays a user-friendly URL for the document. This URL can be used in emails, but may change when the document is moved or renamed.

1.6 Viewer enhancements

Further enhancements have been made with the integration of the AutoVue 20 viewer as detailed in the following sections.

1.6.1 Hotspots in viewer

It has become possible to work with hotspots in the viewer. Hotspots are graphical areas in a drawing that act as hyperlinks. Manual creation of hotspots is possible, enabling the user to define an area in the drawing and link that area to a document or object from the vault. When moving the cursor over the hotspot, the hyperlink is shown; clicking on the link takes the user to the linked document or object.

The BC [M] Asset Management Module makes automated creation of hotspots possible by extracting reference information from drawings. A hotspot can be an object, like a pump tag, and clicking on it provides a list of all of the documents related to it. From the

list, the user can jump to the tag information or to one of the documents in the list. See also Paragraph 4.2.6.

1.6.2 File conversion

AutoVue 20.x converts files from one format to another without requiring the original application that created the file. When viewing a file, such as the DWG in the picture above, the user can convert the file to another format. After selecting the target format (such as PDF, TIFF, BMP, and some others), the converted file can be saved back into the vault. In the BC [M] Publisher, we make use of this feature to automatically convert files to another format before publishing them to the destination system.

1.6.3 Full text search within viewer

When viewing a file using the AutoVue viewer, the user can search for text within the viewed file. The viewer will highlight matching text in the file.

Searching multiple files for text can be done using content indexing with the new BlueCielo iFilter based on the same AutoVue technology. It offers the advantage of a single, reliable iFilter for multiple CAD (and other) file formats.

1.6.4 AutoVue 3D enhancements

The AutoVue 2D Professional version is included in all BC [M] 2010 clients. This can be upgraded through an extension license to AutoVue 3D Professional Advanced. This version allows viewing additional 3D CAD formats such Autodesk Inventor, SolidWorks,

and others. When using AutoVue 3D Professional Advanced, more 3D options are available in the user interface in addition to the familiar 2D viewing options. Enhancements in the support of the AutoVue 3D Professional are (see also the picture above): Align parts in 3D - When a part or assembly is viewed, another file can be opened

from the [M] vault and referenced into the viewer. The parts or assemblies can be aligned in 3D for graphical analysis of form and fit.

Transform - Parts or assemblies can be transformed in 3D by rotating, translating, and scaling the part or assembly.

Transform model parts independently of one another—users are given the versatility necessary to explore different configurations, move parts out of the way to better view hidden areas of the model, and break an assembly down into its components.

Change lighting - To better view the 3D model, the lightning can be adjusted. Define section - To better analyze the model, sections can be added to the model

and saved for future use, allowing the user to switch from section to section, like stored views.

3D explode - Drag a slider bar to explode/implode an entire assembly or selected

parts/subassemblies. The exploded view can be saved for future reference. This ability to dynamically explode complex assemblies allows users to get to the component level faster and create clear illustrations for control documents such as assembly and maintenance instructions.

3D entity search - Search and filter for parts in a 3D assembly based on a variety of file attributes. Results can be inspected, transformed, colorized, and exported. This time-saving feature makes it quick and easy to zero in on a part from a list of thousands.

Render models in several 3D modes - Including shaded model, wireframe, silhouette, and hidden line removal.

Color and highlight - Different parts of assemblies by changing their color and type, color-coding specific parts, or making them visible or hidden for ease of distinction.

1.6.5 Server-based viewing – Future

The current [M] clients employ a viewing application installed on the user’s desktop, offering excellent viewing performance and optimal scalability. However, going forward, server-side viewing will be offered as an option to take advantage of its ease of deployment and maintenance, in particular, for web clients. Server-based viewing is included in this release as a preview feature, intended for customers who want to gain experience with this new technology. There are still known technical and functional issues with this feature, so it is recommended not to use server-based viewing for production purposes with this release, with the exception of 64-bit client desktops for which it is the only viewing option.

1.6.6 AutoVue viewer for 64-bit support

In the 2010 release, it is possible to use the AutoVue Web Version (Java applet) in combination with an AutoVue rendering server. This viewer is supported for both 32-bit and 64-bit platforms. For this reason, this scenario is recommended for 64-bit platforms since the regular AutoVue desktop application is not supported on that platform. The AutoVue rendering server can be downloaded from the Oracle web site (http://www.oracle.com/us/products/applications/autovue/index.htm) and is not included on the BlueCielo distribution DVD.

1.7 Installation & deployment

1.7.1 User management; BlueCielo groups for role-based security

BC [M] makes use of role-based security to control access to the vault and the rights of the users to view or edit documents. It is usually practical to assign roles to user groups rather than to individual users. Previously, this was only possible using Microsoft Active Directory groups.

In this release, it is possible to also use groups defined in the Meridian Administrator, as shown above. These groups provide the system administrator with independence from

their IT department. They also do not suffer from performance and security issues that are sometimes associated with the use of Active Directory groups.

1.7.2 Deployment improvements

The AMUpdate utility has been improved for easy deployment of both workstation- and user-specific updates like registry and viewer settings. A lot of BlueCielo registry settings have been moved to the current user’s registry hive to allow most settings to be updated without the user requiring administrative rights.

1.7.3 Ability to delete licenses

The license system has been modified to allow licenses to be deleted.

1.8 Configurability

1.8.1 Configurator session detection

To prevent accidental mistakes, the Configurator now detects that it has already been opened on the same or another computer. This prevents duplicate changes that could otherwise be lost.

1.8.1 Dynamic property page panels

Document types can share many properties while each document type might only use some of the properties. For example, a property can be mandatory for one document type and optional for another. To quickly configure the set of properties that each document type uses and how they will act within the user interface, we have added dynamic property page panels. With dynamic panels, the behavior of each property can be configured and quickly assigned per document type. The same applies for object types, when using the BC [M] Asset Management Module, see paragraph 3.2.4.

1.8.2 New configuration options

Focus has been given to adding configuration options that reduce VBScript code and accomplish the same results, as listed below:

The default and available to-do persons for review and decision states in workflow definitions can now be set to all members of a group.

The authorization to execute a transition can now be configured to only the

members of one or more groups, or to users assigned to a given role.

For document types, one or more workflow definitions can be configured for new documents of that type. For each workflow definition, the initial workflow state for the new document can be set.

Privileges can be set for BC [M] tables to control selection, update, addition,

and deletion of entries in the table.

In many configurations, string data type properties are used to represent multiple values. This release adds an option to custom pages that allows for selection of multiple values. The selected values are stored in the property with a configurable separator character.

1.8.3 New VBScript functions available

New VBScript functions and some new options are available in the Meridian Configurator. These are:

1.9 Technical enhancements

1.9.1 Support for Windows 64-bit platforms

BC [M] provides separate setups for clients and servers that support the 64-bit versions of Windows operating systems. In general, 64-bit Windows platforms are supported for [M] clients and for the [M] application server. However, there are some limitations applicable to the use of [M] and its modules on 64-bit platforms. These limitations are documented in our knowledge base. Since these may be relevant to your [M] deployment, please always check this source before deploying [M] on 64-bit platforms. BlueCielo is working on a 64-bit version of the EDM Server service, expected in the second half of 2010. This 64-bit version will bring advantages in scalability and performance by removing current virtual memory constraints.

1.9.2 Briefcases in XML format

In this release, BC briefcase metadata is exported in XML format instead of MS Access (MDB) format. Both metadata and reference information are contained in the XML file. This change also helps prepare for the transition to 64-bit client and server components. Please note that briefcases in XML format cannot be exchanged with older versions of BC [M].

1.9.3 .NET SDK

In this release, BlueCielo introduces the .NET Software Development Kit as a production feature of Meridian. First included in the 2009 release as a beta feature, the SDK has now matured to include most of the Meridian API (both client and server). The SDK makes several aspects of Meridian programming more accessible, most notably the ability to create 64-bit extensions, which was not possible prior to the SDK. The SDK makes use of a .NET interop library that is installed as part of every Meridian desktop client. The interop library requires .NET Framework 2.0 to 3.5 SP1. The SDK is a separate install, and requires .NET Framework 3.5.

2 BlueCielo Meridian Enterprise 2010 - Licensing changes

2.1 Introduction

With the introduction of BC Meridian Enterprise 2010, we also harmonized our licensing model. In this chapter, we explain the licensing structure as well as the changes in the licenses.

BC [M] has a client/server architecture where the client requires a database connection license to open a vault. There is always a 1 to 1 relation between the number of client licenses and the database connection licenses. The database connection license can work with three different databases; Hypertrieve, SQL Server, or Oracle.

2.2 BC [M] - Database Connection License

With the introduction of the 64-bit processor architecture, applications have been made 64-bit compliant (as in recent [M] releases) and applications have been upgraded to run in 64-bit mode. Later this year, BlueCielo intends to introduce a 64-bit EDM Server service, enabling our software to be installed as a 32-bit or 64-bit application on both client and server computers. On the server, this implies there are actually 6 different possible configurations of the EDM Server: Hypertrieve 32-bit/64-bit, SQL Server 32-bit/64-bit, and Oracle 32-bit/64-bit. Going forward, it is possible to use the same license for all six configurations: BC [M] Enterprise Database Connection License. The existing BC [M] Hypertrieve Database Connection License (32-bit) will also remain available. Current customers with an active software maintenance contract for:

Hypertrieve database connection licenses can upgrade their licenses at any

time to BC [M] Enterprise Database Connection Licenses. Microsoft SQL Server or Oracle database connection licenses automatically

2.3 BC [M] - Client Licenses

On the client side, we distinguish between three types of users: Power users are authors who work with CAD applications and Microsoft Office

applications Office users are authors who work with Microsoft Office applications, only view

CAD files, and optionally edit metadata. Read-only users are viewers who do not edit files and their metadata

For accessing BC [M] vaults, three types of clients can be used: 1. The PowerUser Client and the Office Client run on a Microsoft Windows desktop

in a Local Area Network (LAN) environment. 2. The Power Web Client, Office Web Client, and the Read-only Web Client run

within the Microsoft Internet Explorer browser in a Wide Area Network (WAN) environment.

3. The Power Web Part and the Office Web Part run on a Microsoft SharePoint

server in a Wide Area Network (WAN) environment. Our licensing system has been adapted to support various combinations of clients and user types. The most extensive license is the Power User Client License, which grants the user access to BC [M] vaults from all of these environments. When the user accesses the BC [M] vault from Internet Explorer, he can do so with use of the BC [M] Power User Client License. The table below provides an overview of all the client licenses and in which environments they can be used. Note that all client licenses include the use of AutoVue 2D Professional.

2.4 New! - BC [M] Read-Only Explorer Client License

For previous releases of BC [M], the Meridian Read-Only Web client license was used by read-only users. In this release, we have replaced the Meridian Read-Only Web Client License with the BC [M] Read-Only Explorer Client License. The BC [M] Read-Only Explorer Client License is a concurrent license and includes the AutoVue 2D Professional viewer. Since this client accesses the Data Library, a BC [M] Enterprise Database Connection License is not required. As explained in the previous paragraph, the BC [M] Read-Only Explorer Client License can be used as a web client with Microsoft Internet Explorer or with a BlueCielo web part within Microsoft SharePoint. Remarks: The BC [M] Read-Only Explorer Client License is the replacement for the InnoCielo

Meridian Read-Only Web Client License. The BC [M] Read-Only Explorer Client License is also the replacement for the

InnoCielo Enterprise Web Reader License.

3 BlueCielo Meridian Enterprise 2010 - Modules

3.1 BC [M] Advanced Project Workflow Module 2010

The Meridian Advanced Project Workflow Module enables the management of complex projects and fully supports the management of change processes by owner/operators

that are faced with complying with ever tighter regulations. The basis of this module is the use of project folders. In the past, work areas were used for this purpose. However, the Meridian Advanced Project

Workflow Module offers superior functionality and does not suffer from the limitations of work areas. To ease a migration from work areas to folders, a conversion tool has been developed. This tool is available on an ―as-is‖ basis and can be provided on request.

Within the 2010 release of Meridian Advanced Project Workflow Module, the following enhancements have been implemented:

Assign objects to projects: Assets can be assigned to projects and, after modification, they can be released as new master documents (see also metadata compare).

Additional Meridian Advanced Project Workflow Module enhancements have been made within the Power Web Client and Office Web client, like:

o Create Project Copy with Lock o Unlock from Project o Merge Master o Confirmed Superseded

The scenario of releasing child documents (e.g. parts of an assembly or related tags) separately from the parent document is now supported. In this scenario, the project copy of the parent now refers to the updated master document of the released child.

Show workflow interlocks: When a user views the workflow status by clicking the Status hyperlink on the Document or Folder page, all conditions and (if applicable) interlocks are evaluated for all transitions from the current state. Below the workflow diagram, a table is shown containing the status of all the conditions and interlocks:

3.2 BC [M] Asset Management Module 2010

The BC [M] Asset Management Module enables BC [M] users to expand their engineering content management solution into a full asset information management system. Based on the unique identification number of assets (tag numbers) and functional locations, all related documents are immediately available to the users.

Through the tag-document relationships, the documents can be found in the stand-alone BC [M] Read-Only Explorer Client or through integration with maintenance management systems such as Maximo, Ultimo, Datastream, SAP PM, or through facility management systems like Famis, Archibus or others. More information about the BC [M] Asset Management Module is provided in separate white papers and sales flyers. Within the BC [M] 2010 release the BC [M] Asset Management Module is fully restructured. Great enhancements have been implemented in the BC [M] PowerUser client extensions while

the operations clients (previously available Shop Floor Client, Maintenance Management System Web Client, and the IBM Maximo Web Client) have been replaced by one client, the .NET-based BC [M] Read-Only Explorer Client. This client includes an AutoVue 2D Professional license and does not require any database connection licenses for the BC [M] vault.

In the picture at left, you see how the licenses of the BC [M] Asset Management Module version 2009 or older will update to the new licenses of BC [M] Asset Management Module 2010. The BC [M] Explorer Server License enables full configuration of the repository for Operations, management of redlining and remarks, and consolidation of multiple BC [M] vaults.

The client extensions for power users and office users has been replaced by fully .NET-based extensions, which also include important new Asset Information Management functionalitiesː

3.2.1 Reference filtering

Within the management of change process, documents (and assets) are put under change in change projects. When looking at the related documents of an asset (tag), all of the project copies are linked to the asset. To show only the master documents, the project copies can be filtered out. The same applies for rendered versions of the master documents.

3.2.2 Show Properties

In the new client extensions for power users and office users, the properties of objects related to documents can be viewed directly, without having to jump to the object in the BC [M] vault.

3.2.3 Support for the BC [M] Advanced Project Workflow Module

Objects can be assigned to projects and after modification; they can be released as new revisions of the master documents. Through metadata comparison, the property values of the new revisions of the object can be compared with the previous revision. When comparing the properties, internal properties can be shown or filtered out and the user can choose to show only the properties with values that are different. The values can be copied to the new revision of the object (the same works for the metadata of documents.)

3.2.4 Object types and dynamic property page panels

When managing objects, their properties, workflows, and object-to-document relationships depend on the object type. In BC [M], we have added object types as a variation of document types. Together, all object types can share many properties while each object type might only use some of the properties. For example, a property can be mandatory for one object type and optional for another. To quickly configure the set of properties that each object type uses and how they will act within

the user interface, we have added dynamic property page panels. With dynamic panels, the behavior of each property can be configured and quickly assigned per object type.

3.2.5 Tag extraction

For making tag-document relationships in BC [M], the BC [M] Asset Management Module client extensions allows users to create references manually. For a document, the referenced objects can be selected from existing objects or created anew to link them to the document. The other way around is also possible, documents can be manually selected to link them to an object if there is not enough object metadata to properly find the object from the document.

In case of AutoCAD drawings (either created with AutoCAD P&ID or with a symbol library), the attributes of the tag blocks in drawings can be extracted. After extraction of

the tag attributes, they are cross-referenced against the existing object tags in the BC [M] vault. For tag attributes that match existing tags, a tag-document relationship is automatically created. The user can intervene for tags that are unmatched, for example, and missing tags can be created or a list can be sent to the Maintenance department with a request to provide the tag numbers. Tag Extraction can be done manually or as part of workflow processes. Besides the tag number, other properties can also be extracted in this way.

3.2.6 Automatically-generated hotspots

After extracting tag attributes from an AutoCAD drawing, the visual representations of the tag numbers in the drawing can be converted into hotspots. When viewing the document, the user can click on a hotspot and directly jump to the related object in the vault to view additional data about the object. Through configuration, the functionality of hotspots can be extended, for example, to show the list of related documents for an object or for a document to show the related objects.

The creation of hotspots can be part of a workflow step, for example, before Release as Master Revision.

3.3 BC [M] Email Manager 2010

The BC [M] Email Manager provides automated importing of emails to a vault via configurable rule sets. Email messages and their attachments can be automatically categorized and stored in the BC Meridian Enterprise vault. The BlueCielo Email Manager is compatible with all email servers that support the common IMAP protocol, for example, Microsoft Exchange and IBM Lotus Notes.

3.4 BC [M] Explorer 2010

The BC [M] Explorer is specifically targeted at the large viewer communities of owner operators. Through the BC [M] Explorer, engineering content from multiple BC [M] vaults can be consolidated into one enterprise repository. Asset information like tags, functional locations, and equipment linked to engineering content can also be included to provide an asset-centric view on the engineering content.

The BC [M] Explorer is based on a standard Microsoft SQL Server or Oracle database. Different user groups may access different subsets of the data in the database. The BC [M] Explorer repository can be used as a data source for standard reporting tools such as Microsoft Reporting Services, Crystal Reports, or other reporting tools. The BC [M] Explorer is fully integrated into the BC [M] product suite. It is an important part of the BC [M] Asset Management Module, and the BC [M] Read-Only Explorer Client is the successor to the InnoCielo Read-Only Web Client (when used in combination with the Data Library).

The BC [M] Explorer 2010 provides many new features both to the users and system administrators.

3.4.1 BC [M] Read-Only Explorer Web client

The most prominent change to the BC [M] Read-Only Explorer Web client is the new toolbar that conveniently organizes all commands. Here you will also find the new search history function. This enables the user to navigate back and forward between the most-recently used queries.

The result grid and property page will (optionally) display status icons, indicating whether a document is assigned to a project or under revision.

3.4.2 Shop Floor Client

The home page of BC [M] Explorer allows the user to select any of the available views of the repository. In many cases, preconfigured views are provided to the organization. For Operations & Maintenance we provide a preconfigured view called Shop Floor Client. The new Shop Floor Client view of BC [M] Explorer hides the home page and will directly open a specific document- and object tag view. In this view, the user can directly search by tag properties or by document properties.

Additionally, the BC [M] Explorer now supports custom filters. These filters will restrict the set of documents based on a configurable set of arguments provided in the application URL. External applications (for example IBM Maximo, SAP PM, Datastream, Ultimo, Famis, etc.) can use this feature to launch the application to display information related to a specific document or object tag(s).

Similar to the former Shop Floor client, the BC [M] Explorer can be configured to allow users to add redlining and remarks to a document. This 'feedback' information will be stored in the BC [M] vault to be reviewed and processed by the engineering department.

3.4.3 BlueCielo Application Manager

The BlueCielo Application Manager is the new administration console that provides access to the configuration of both the BC [M] Explorer and the new BC [M] Publisher.

The BlueCielo Application Manager provides a central configuration database where both modules store their application settings. Using standard MS-SQL Server or Oracle backup procedures guarantees that all configuration settings can be restored at any time. The configuration database can be accessed from multiple servers. Each server can run instances of the administration console and/or the application modules, while sharing the same configuration settings.

BC [M] Explorer 2010 Administration The BC [M] Explorer Administration Console is the tool used by application administrators to configure repositories and the layouts for the BC [M] Read-Only Explorer Web client. The console provides import and export options that allow you to migrate the BC [M] Read-Only Explorer Web client layouts between test and production environments. It also allows importing layouts from a previous Explorer 2009a installation. Additionally, the layout can be exported in to a easy readable format for documentation purposes.

BlueCielo Publisher 2010

The second installable feature available in the BlueCielo Application Manager is the new BlueCielo Publisher. This new module will replace the InnoCielo Meridian Publisher. Unlike the InnoCielo Meridian Publisher, the new BlueCielo Publisher is not restricted to BC [M] vaults as the source Data Management System (DMS) for publishing. Publishing modules will become available to publish from and to different DMS systems, like IBM FileNet through BlueCielo ImandrA or Microsoft SharePoint. See also paragraph 3.7.

3.5 BC [M] FDA Module

The BC [M] FDA Module adds FDA 21 CFR Part 11 technical controls to the already-powerful technical document management system of BC [M]. The latest release of the BC [M] FDA Module is the 2009a release. For support for BC [M] 2010, please contact BlueCielo Sales.

3.6 BC [M] GCF 2010

The BC [M] Global Collaboration Framework (GCF) allows geographically-separated engineering teams to establish the seamless exchange of content and global workflow to enable global engineering processes, while at the same time retaining their own local working environments and processes in BC [M]. The BC [M] GCF can also be used to collaborate with external engineering teams, streamlining outsourcing processes.

In the 2009a release, we have extended the solution with BC [M] GCF-SharePoint to collaborate between BC [M] and Microsoft SharePoint sites. It enables collaboration between BC Meridian and Microsoft SharePoint, which can be used for collaboration with external contractors, for instance. To collaborate with an external contractor, documents can be enlisted to the appropriate SharePoint document library. After the ownership is transferred to SharePoint, the contractor can change the enlisted documents. When the contractor is finished with the documents, ownership can be transferred back and the owner can continue with the workflow in BC [M].

If the Microsoft SharePoint site is configured for collaboration, then all new documents created in Microsoft SharePoint are automatically synchronized with BC [M].

3.7 BC [M] Publisher 2010

The BC [M] Publisher is an optional module for BC [M] that supports automated rendering and publishing processes for documents stored in BC [M]. Target systems for publishing can be network folders, SharePoint, FileNet, Documentum, and BC [M]. The BC [M] Publisher is fully revamped and built in .NET to support 64-bit environments. The new BC [M] Publisher 2010 is unique in the way that publishing jobs can be fully configured by selecting the source system, the rendering engines, and the target system. This flexibility enables a wide variety of publishing jobs. Based on a triggering action in the source system, the data can be published to the target system.

The BlueCielo Publisher allows you to define any number of publishing jobs. It provides common functionality like:

Command line tool to execute or schedule jobs Email notification Job execution history (MS Windows dialog or web-based) Logging

In this way, for example, data can be published from BC [M] to another system or the other way around; enabling publishing to FileNet or from FileNet to BC [M]. The BC [M] Publisher allows you to create multiple jobs where the source and target systems can be selected and while publishing, renditions in alternate formats can be generated. After rendering, it is also possible to schedule post-processing actions like adding watermarks or eSignatures, or merging multiple PDF files into one file. Publishing with BC [M] Publisher 2010 can be monitored through an administration portal. From anywhere in the world, the Publisher queue (stored in Microsoft SQL Server) can be accessed through Internet Explorer to monitor the progress and, if needed, to intervene.

Depending on installation options and licensing, different types of jobs (templates) will be available. With BC [M] Explorer installations three job templates are provided:

Synchronizing a BC [M] vault to an Explorer repository, including the new features:

o The option to synchronize unreleased revisions o Automatic detection of changed documents in the source vault

Content Indexing. Extracting text information from documents stored in the repository to allow full-text search.

Creating thumbnails for documents stored in the Explorer repository.

3.8 BC [M] Transmittal Management Module 2010

For customers working on complex projects involving suppliers and/or customers, the BC [M] Transmittal Management Module is the only product that offers full control and

tracking of what is sent to and received from whom (and when and how). The module fully integrates with BC [M]. This means that projects are executed up to 20% more efficiently and full control over project deliverables can be proven. For the BC [M] Transmittal Management Module, a few enhancements have been added to the 2010 release with respect to handling submittals. Overall, the enhancements improve the usability of the module, reducing the user actions within the transmittal and submittal process and extending the functionality of the module.

4 Microsoft SharePoint solutions

Microsoft SharePoint is an ideal portal for collaboration, publishing information, and integrating business processes. Microsoft SharePoint provides storage and search and retrieval functionality for office documents with metadata, check-in/check-out, and revisions. However, the management and publication of engineering data like drawings and specifications with all of their relationships, deep CAD integration, and extensive approval processes require more functionality. BlueCielo offers extensive engineering content management solutions that enable you to optimize all your business processes in which technical documentation is crucial. Through integration with Microsoft SharePoint, your engineering content management (ECM) solution can be expanded even further within your enterprise. BlueCielo not only provides solutions to provide engineering content to the rest of the organization through Microsoft SharePoint, we also provide solutions to use Microsoft SharePoint as an

engineering collaboration portal.

4.1 Publish to Microsoft SharePoint

To disclose knowledge to the enterprise, Microsoft SharePoint is used as a portal with a standard and modern user interface. Engineering content can be provided to Microsoft SharePoint sites with our BC [M] Publisher module for SharePoint. If required, the documents can be rendered to Adobe PDF first and, based on status changes in the BC [M] system, the documents with their metadata can be sent to Microsoft SharePoint. This is specifically useful to provide information without expecting the Microsoft SharePoint users to make changes

to the documents, for example, in case of regulations, standards and procedures.

4.2 BC [M] Web parts for Microsoft SharePoint

The internal user community that requires engineering content for their own business processes can access the data through Microsoft SharePoint. A web part enables the users to directly access the technical content that resides in the BC [M] vault.

Depending on the configuration of the Microsoft SharePoint site, the appropriate content can be made available to the users working within a specific Microsoft SharePoint site. For example, this is useful to provide Microsoft SharePoint sites for specific project teams. Another option is to show a Navigation view in the web part, like My To-Do list. The web part can be considered as a new version of our Web Access. With the BC [M] Office Web Client License, you are also entitled to install the BC [M] Office Web Part, which includes our viewer. The BC [M] Office Web Client License requires a Database Connection License. In due time, we will also bring a BC [M] Power Web Part to market that can be used with the BC [M] Power Web Client License.

4.3 Collaboration Portal with use of Microsoft SharePoint

If collaboration is required with user groups outside your organization, like contractors who need to participate in a project, an engineering collaboration portal in Microsoft SharePoint can be created. This solution is based on our BC [M] Global Collaboration Framework, for which more in-depth information is provided in a separate whitepaper. The concept of the collaboration solution is that documents in BC [M] are enlisted for collaboration in a specific Microsoft SharePoint site. Documents that are indicated for

collaboration are visible within the Microsoft SharePoint site. In this site, new documents can be created and will be synchronized to BC [M]. The BC [M] Global Collaboration Framework solution ensures that the ownership of the document is managed correctly.

4.4 Engineering Content Management for Microsoft SharePoint

BlueCielo has very powerful solutions for Microsoft SharePoint available, but when engineering content management is required entirely within a Microsoft SharePoint environment, we recommend BlueCielo ProjectForce.

BlueCielo ProjectForce allows users to manage information for all engineering and construction activities from a single project environment. The solution is based on Microsoft SharePoint, a widely-used enterprise collaboration system, providing BlueCielo ProjectForce with enterprise scalability, global flexibility and excellent performance. BlueCielo ProjectForce enables engineering

documents to be stored in a central project environment with full control and automatic sharing with other project participants.
