Key Box contains all of the student room keys
Keys need to always be organized in order in with info showing outwards
Anything that seems out of place or strange needs to be reported to Key
Master(s)/RD
Serial Numbers
New keys have serial numbers
(i.e. 0001, 0002, 0003)
These numbers help identify which resident specifically has which key
Make sure RCFs, Lock out forms, and New Key Forms all have them written
Key Tags
Hang these tags in their appropriate places
Key Masters will handle the occupant based tags
Everyone responsible for Lock Out/New Keys/On Order
Lock Outs
Spare keys will be given from 10:00am-7:00pm weekdays
Master key will be used from 7:00pm-10:00am (RAOC) weekdays
Master key only on weekends (unless otherwise specified)
Lock Out Below
Complete lock out form:
Amount to charge ($5 for 10:00am-10:00pm; $25 for 10:00pm-10:00am)
Lock outs are free until the 7th day of class)
Date Charged/Staff Initials completed by Key Master ONLY
I’m an RA, Mind Tricks don’t work on me
Make sure resident understands spare key must be returned within 24 hours
When key is returned, resident MUST show you both keys
If there is a serial number, check it to make sure it’s theirs
Mark Date Returned and your (RA) initials
Do this after completing lock out with Master Key as well
These aren’t the keys you’re looking for…
If a resident cannot produce the key after a lock change OR
Resident says they lost they key THEN
LOCK CHANGE

Once the New Key Request Form is completed
File it in your active Key Orders tab
Key Masters will submit the Work Order
…unless otherwise specified by your RD
Dead Keys
Once new keys are hung, dead keys need to be placed in former envelope
Write “DEAD” over the envelope
When residents pick up keys, put their dead ones in that envelope
Once all keys picked up, RD will take envelope to Facilities
Move completed “New Key Form” to designated location
Lock out scenario
Resident Biggs Darklighter A555555555 comes to the desk saying he is locked
out. You are working desk and it is currently Monday, 5/4/18 at 10:35am. His
lives in Tatooine Hall, room 121B.
Fill out the lock out form. Write out what additional information is needed
New Keys
Lock shop drops off a new set of keys at
your desk.
What do you need to do to complete the
process?
Answer… Sign for new keys
The cool key people will come bring the keys and they will ask you to sign their paper.
Take the envelope of new keys
They have all the information about the keys you need on the front of the small envelope.
Get the blue Key Binder binder!!!
Go to the new key blank form divider.
Get a Blank form and FILL IT OUT
Staff Portion: FILL IT ALL OUT
Resident Portion: FILL OUT student names, the room number, and the key code and however many residents are in this room
Put this filled out from behind the new key divider.
Take the new keys to the key box and put them up for that room, taking the dead keys and putting them in the envelope the new keys came in.
Take the small envelope with the dead keys and cross out the new key code to then write the dead key code in its place.
File this in the designated dead key box.
Grab a new key tag and place it on the room with the new keys
(If Needed) Re-label the key designator to be updated
Lock the key box
