Base Material Exchange Contract Updates Batch Process

• The process describes how the Base Material Exchange information that is approved on the Base Material Exchange Approval screen is automatically posted to existing standard blanket contracts.

• It generates the necessary data that will be needed to create the Base Material Amendment forms.

• It will create Contract Line Item Amendments and the special Base Material Amendment Contract forms.

• It should be understood that the edits performed by the Output Contract process will NOT be applied in this process.

Base Material Exchange Contract Updates Batch Process …

• The process will find all of the Standard Blanket contracts with parts that are made up of the Base Material being adjusted and have also been flagged as “Auto Update”. The batch process will then output new amendments for the contract line items that are affected by the change in base material.

• The Report Status Screen will be updated and the Buyers for the affected parts will be notified when the base material updates are complete. The base material forms will be specific to Buyer/Supplier/Legal Business Entity.

Step #1 - Identify Base Material Exchanges needing to update Contracts

Retrieve all Base Material Exchange records at an ‘APPROVED’ Exchange Status from the Base Material Exchange Transaction table, meaning that these updates have been approved but have not yet been applied.

Step #2 - Identify Output Contracts Impacted by Base Material Exchange

Retrieve all Standard Blanket Output Contract Line Item Periods’ Base Material records that fall on or after the Base Material Exchange Effective Date that have the specific Base Material/Exchange combination.

Step #3 - Create NEW Contract Period where necessary

For each period identified, a check is made to see if that period is effective at the time of the Base Material Exchange Effective Date

Step #4 - Update Existing Contract Periods

For each Period Effective Date AFTER the Base Material Exchange Effective Date with a Price Change Effective Date before the Base Material Exchange update, the Base Material Exchange information will be updated. Additionally, any period with a period Effective Date equal to the Base Material Exchange Effective Date will also be updated (no new period created). Any period/Base Material with a Price Change Effective Date AFTER the Base Material Exchange Effective Date is not updated.

Step #5 - Update Contract Line Item Amendment

Once all periods are processed for a Contract Line Item, the Contract Line Item Amendment Number will be increased. Additionally, the Output Contract Line Item Amendment Reason will be set to ‘Base Material Update’.

Step #6 – Creation of Contract Forms

This batch process groups all contract line items that have been amended by the Base Material Exchange rate changes by Buyer/Supplier/LBE. A Base Material Amendment Summary Form and a Base Material Amendment Detail Form are created for each Buyer/Supplier/LBE combination.

Step #7 - Notify Interface(s) of Contract Line Item Amendment

An interface transaction will be generated to outbound the Amendment information to the appropriate Legacy Systems.

Step #8 - Identify Pending Contract Line Item Amendment

Once all periods are processed for a Contract Line Item, a check is performed on the Pending Contract tables to see if this same Contract Line Item exists in pending. If it does, then the same type of processing performed on the Output Contract (steps 3 through 5 above) is done on the Pending Contract Line Item. The exception is that the retroactive change and retroactive price change indicators do not need to be set as these do not exist in pending.

Step #9 - Identify Other Affected Pending Contract Line Items

Once all output line items and the corresponding pending amendments are updated, any other affected pending contract line items also need to be processed. This would include new contract line items that are in pending only (not output) and contract line items in pending where the pending contract line item is affected but the corresponding output line item was not.

Step #10 - Update Approved Base Material Exchanges

After completing all updates for a given Base Material Exchange, the System will move the Approved Base Material Exchange update from the Base Material Exchange Transaction table to the Base Material Exchange Cost table, where all Approved information that has been posted to contracts exists.

Performance Requirements

The updating of Contract data with Approved Base Material Exchange(s) will be scheduled on a quarterly basis. The scheduling of this job must ensure that it will not be running at the same time that the Output Contract Batch process is running.
