HOTEL POLICIES AND PROCEDURES FOOD AND BEVERAGE

There will be a taxable Food and Beverage Staff Charge of 14% and House Charge of 11% (25% total) for indoor events and a taxable Food and Beverage Staff Charge of 14% and House Charge of 14% (28% total) for events on The Springs Lawn, The Vista Lawn, The Vista Pool, L’Edge and The Edge Steakhouse, plus sales tax on all food and beverage items and room rental charges when food or beverage is served. Staff and House charges and taxes are subject to change.

An $8 per person surcharge will apply to all buffets created for under 25 guests.

Attendant fees (Chef, Carver, Bartender, Cocktail Server, Wine Steward, etc.) are priced at $180 per Attendant, per hour with a two hour minimum, unless otherwise stated.

Sommelier fees are available at $250.00 per hour, with a two hour minimum.

At least 72 hours before your event, you need to inform the Meetings and Special Events Manager of the guaranteed attendance for all food and beverage functions. This will be considered the guarantee for which you will be charged even if fewer guests attend. In the case of a greater amount of guests attending, then the guarantee will increase to final number counted at the function. This guarantee will apply to all aspects of your function, including, but not limited to food, beverage and destination services. If the guarantee is for more than 100 persons, the Resort will set and prepare five percent (5%) above the guaranteed number.

Consuming raw or undercooked meat, poultry, seafood, shell stock, or eggs, unpasteurized juice, or under processed bakery items may increase your risk of food borne illness, especially in case of certain medical conditions.

The resort prohibits the removal of food and beverage from the resort premises. No alcoholic beverages or food may be brought into the resort at any time, and must be purchased through the resort. The resort’s culinary team will be happy to

customize specialty menus at your request.

The sale and service of all alcoholic beverages is regulated by the California Department of Alcoholic Beverages Control. The resort is responsible for the administration of those regulations. California Law requires all alcohol to be removed from service by 2:00am (Pacific time). Persons consuming alcoholic beverages at resort events must be 21 years old. The resort reserves the right to terminate alcohol service at any event if minors intending to consume alcoholic beverages are in attendance. The resort reserves the right to terminate alcohol service to any guest that appears to become overly intoxicated. Hotel’s Loss Prevention Team may be called upon to assist.

OUTDOOR FUNCTIONS

There will be a taxable 28% House/Staff Charge and 7.75% sales tax on all food and beverage. Staff and House Charges and taxes are subject to change.

For all outdoor functions, a weather call will be made according to the following schedule: Breakfast Functions: 7:00 pm on the evening prior

Lunch and Evening Functions will be made 4-hours prior to event start time, or 2:00 pm, whichever is first.

The Ritz-Carlton, Rancho Mirage reserves the right to make the final weather call regarding outdoor functions due to high wind, lightning, unsafe weather conditions or a chance of rain of 30% or higher. If the possibility of adverse weather exists that could result in harm to guests or employees, the function will necessarily be moved indoors. Weather calls will be made by the client upon the recommendation of your Meetings and Special Events Manager. Should you be unavailable, the decision will be made on your behalf.

Additional set up fees may apply to outdoor functions depending on the venue, time of day and equipment required. Evening functions will require lighting packages, the price of which begins at $950.00.

All amplified music and entertainment at outdoor locations must conclude by 10:00 pm, per noise ordinance. The Ritz-Carlton, Rancho Mirage reserves the right to control the volume of the music and the finish times.

DECORATIONS | SIGNAGE

Decorations or displays brought into the resort by the guest must be approved prior to arrival. Items may not be attached to any stationary wall, floor, window or ceiling with nails, staples, tape or any other substance in order to prevent damage to the fine fixtures and furnishings.

No signage of any kind is permitted in the lobby or on the public grounds. Signage is to be used outside meeting rooms only, and must not be larger than 22" wide 16" high. The resort can have signage printed at prevailing rates. Flip charts or blackboards are not permitted in any public area of the resort. Conference attendees are asked to not wear name badges in non-conference areas.

We recommend that all floral arrangements and decorations to be provided must stay within The Ritz-Carlton tradition of excellence.

MEETING ROOM INFORMATION AND FEES

Meeting room rental fees are subject to service charge and tax when food or beverage is served.

If your event exceeds the time noted, a charge of $2,000 per hour may apply, pending confirmation and availability of space from your Meetings and Special Events Manager and/or your banquet captain.

A Room Reset Fee of $500 will apply for any reset of a room after the BEO has been approved and signed or the diagram has been approved.

Hard keys are available complimentary for most meeting rooms. In the event that not all hard keys are returned prior to departure, a fee of $250 will be assessed for each key.

PHOTOGRAPHIC POLICY

Photographers carrying cameras and related equipment will not be permitted in the Hotel without prior written approval from the Hotel Sales and Marketing office. No cameras or equipment will be allowed in the hotel’s public areas without prior approval, including the lobby, pool and restaurants.

Shoot Schedules and locations are required, and restricted access is granted.

Photographic sessions will not obstruct guest traffic or interfere with guest experience in any way.

There will be no photographic use of The Ritz-Carlton Logo, no photography of recognizable landmarks or resort scenes identifying The Ritz-Carlton, Rancho Mirage, no photography of resort artwork, and no usage of resort interiors as photographic backdrops, including lobby, restaurants, and corridors.

Photographic sessions may require a fee based upon length of shoot and resort staff involvement.

SECURITY

The Ritz-Carlton, Rancho Mirage will not assume responsibility for damage or loss of any merchandise or articles brought into the resort, or for any item unattended.

With advance notice, your Meeting and Special Events Manager can assist you in arranging for security officers.
