     Job Title:

    Banqueting Co-ordinator

    Place of Work:A hotel or club

    Scope and General Purpose: To liaise with all clients, ascertaining their requirements and co-ordinatingthese needs to ensure the successful execution of the function.

    Responsible to:Banqueting Manager

    Responsible for:No one - unless this is a dual function of co-ordinator and assistant manager

    Liaises with:Back of the house sta !ousekee"er!ead Chef 

    Limits of Authority: To be agreed

    ain !uties:

    •  To discuss the function with a client, ascertaining and noting his exact

    needs.

    •  To show the client the #arious facilities a#ailable, ad#ising and discussing

    the merits of the #arious o"tions.

    •  To ad#ise and discuss the choice of menus.

    •  To ad#ise and discuss alcoholic and non-alcoholic be#erage requirements.

    •  To ad#ise and discuss table "lans.

    •  To ascertain what entertainment, if an$, is required.

    • To ascertain what table a""ointments, e.g. %owers, are required.

    •  To con&rm the a#ailabilit$ of the facilities required.

    •  To monitor and control "ro#isional and con&rmed function bookings and

    ensure that no double bookings occur.

    •  To con&rm all details in writing to the guest.

    •  To u"-date status board and ad#ise all de"artments once con&rmation of the

    function is recei#ed, normall$ under the banqueting manager's signature.

    •  To assist the banqueting manager during the function.

    •  To be constantl$ aware of new business o""ortunities and action these.

    •  To be a#ailable to conference organisers at all times during a conference.

    •  To ensure the cleanliness of all conference and function rooms.

    •  To ensure that all necessar$ stationer$ requirements are in "lace.

    •  To ensure that all the equi"ment requested is in "osition and in working

    order, "articularl$ audio and sound s$stems.

    •  To ensure that water (ugs, glasses and refreshments are re"lenished at

    regular inter#als.

    •  To ensure that ashtra$s are changed during each break.
