My firsT Task was To asseMBle our in-house MeP TeaM and exPlain The scoPe of The ProJecT and The services needed. i held a Brief ProJecT kick-off MeeTing, exPlaining The scoPe and services. afTerwards, i conTinued To answer quesTions The MeP TeaM had and served as a coMMunicaTion liaison BeTween all ParTies.

The MosT challenging asPecT of coordinaTion was scheduling MeeTings and deadlines. geTTing 5 PeoPle To Be in The saMe Place aT The saMe TiMe is noT an easy Task, and keePing PeoPle resPonsiBle To deadlines is soMewhaT difficulT when iT is an in-house TeaM; There isn’T as Much Pressure To Bend To The clienT’s wishes.

The enTire office was slaTed for renovaTion. however, The office needed To MainTain all of iTs funcTions during consTrucTion (The asTronoMical renT Prices in The ciTy eliMinaTed The oPTion of Moving To TeMPorary office sPace). My second Task, afTer geTTing The MeP TeaM seTuP, was To figure ouT how To keeP The office funcTioning during consTrucTion.

our office consisTs of four floors: a BaseMenT, a firsT (or enTry) floor, a second floor and a Third floor. The BaseMenT is currenTly used for sTorage, The firsT floor conTains The recePTion area, conference rooM, evenTs area, and Three PrinciPal’s offices. The second and Third floors conTain a MaJoriTy of The sTaff wiTh sMall MeeTing and coMMon areas.

The BaseMenT was To Be uTiliZed as a ‘swing sPace’. The BaseMenT would Be cleaned uP, organiZed, and seTuP as TeMPorary office sPace. Those locaTed on The Third floor would Be relocaTed To The BaseMenT, afTer which consTrucTion would Begin on The Third floor. afTer consTrucTion had Been coMPleTed on The Third floor, The Third floor Personnel would Move Back uP The Third floor, and The second floor would Move down To The BaseMenT To allow consTrucTion To Begin on The second floor. afTer The second floor, The BaseMenT and firsT floor would Be renovaTed siMulTaneously (The Three PrinciPals could Be accoMModaTed on The uPPer floors).

My Task was To creaTe a TiMe line for This consTrucTion schedule (see nexT Page) and creaTe a TeMPorary office Plan for The BaseMenT To Make sure we could accoMModaTe all Personnel (see adJacenT). i also aTTeMPTed To relocaTe BoTh second and Third floor To The BaseMenT and firsT floor To reduce consTrucTion TiMe and cosT, BuT decided The healTh and saniTy of our sTaff was More iMPorTanT.

The scoPe was evaluaTed, and The only way To significanTly reduce The Price wiThouT adJusTing The oTher aforeMenTioned facTors was To reMove The BaseMenT scoPe.

The clienT did noT wanT To Proceed wiThouT including The BaseMenT as ParT of The scoPe, and The ProJecT goT PuT on hold.

The Tile carPeTing was one area exaMined To reduce The scoPe of work. The clienT desired holisTically susTainaBle ProducTs, and had selecTed a higher qualiTy and More cosTly carPeT Tile. The MarkeTing direcTor for BBa (surPrisingly noT The archiTecT), suggesTed looking inTo BroadlooM carPeTing insTead of carPeT Tile. The general conTracTor’s esTiMaTor said ThaT BroadlooM would reduce The cosT By a few Thousand dollars.

Phases are project dependent, and should be discussed with other team members. Phases can be transferred from a linked project, or created under the management tab by clicking the Phases button.

The Phases dialogue window will appear, from which you can insert a new phase before/after an existing phase or combine phases. Phases are ordered chronologically, with the top being the first phase, bottom being the last phase.
