Supplier User Guide – Auction User Guide Dear Valued Supplier, Welcome to “Emirates NBD eProcurement Portal” user guide. This user guide will lead you through on how to participate in an auction you were invited too and will be delivered through a step‐by‐step approach. This guide, will demonstrate the several types of Auctions and will take you through on how to:
• Access Invited Auctions
• Launch and View Auction Monitor
• Enter and Submit Bids
• Modify Bids
• Manage Auction Messages

Types of Auction
1. English Auction: Forward: Bidding Starts with a low price, and is raised as higher bids are solicited, until either
the auction is closed or no higher bids are received.
Reverse: Bidding starts with a higher price, and is decreased as lower bids are solicited, until
either the auction is closed or no lower bids are received.
2. Dutch Auction: Forward: The Buyer offers bid in fixed intervals and it decreases every time until a reserved
price is reached. Before the reserved price is reached, if a supplier places a bid for the item, it
is allocated to the supplier and the item closes for bidding.
Reverse: The Buyer offers bid in fixed intervals and it increases every time until a reserved
price is reached. Before the reserved price is reached, if a supplier places a bid for the item, it
is allocated to the supplier and the item closes for bidding.
3. Japanese Auction: Forward: Bidding starts with a low price. For each bid, the Buyer raises the price and present
it to all Suppliers. Each Supplier must signal their willingness to remain in the auction at the
current price. The auction is over when only one Supplier remains, or when only a pre-set
number of Suppliers remain.
Reverse: Bidding starts with a high price. For each bid, the Buyer lower the price and present
it to all Suppliers. Each Supplier must signal their willingness to remain in the auction at the
current price. The auction is over when only one Supplier remains, or when only a pre-set
number of Suppliers remain.
Types of Lot Auctions:
Single Lot: This type of auction normally is used for the allocation of a single item.
Multi Lot: This type of auction revolves around selling more than one identical item at the
same time, rather than having separate auctions for each.

Access My Auctions STEP 1: LOGIN
• Visit https://proc.supplier.emiratesnbd.com and insert your username and
password to access the portal.
• Expand the navigation menu and select
Sourcing -> Auctions -> My Auctions.
• In My Auctions area, you will see a list of auctions you’ve been invited
to.
• The title, status, start time, end time, and Buyer Organization will be
displayed for each auction.

STEP 2: LAUNCH AUCTION MONITOR
• Click on the Auction Monitor icon to open the Auction Monitor.
• Once you have clicked on the Auction Monitor, you will land on the
Monitor’s page. Please find below definition for each parameter
highlighted in the screenshot.
1. Lot: Each row represents a lot of Auction
2. Time Remaining: Countdown of Bidding, Time on the lot selected
3. Your Current Bid: Your current charge per lot.
4. Your Current Rank: Your current rank compared to other supplier’s
pricing for that lot.
5. Minimum Bid Decrement: Minimum allowable reduction in bid price
to enter a new bid for a lot
6. Additional Lot Information: Includes Lot item description, Quantity,
Unit of Measurement
7. Unit Price: Where you enter new bids for a selected lot

STEP 3: ENTER AND SUBMIT BIDS
• Select the Lot that you would like to bid on.
• Review the Auction Details and Bidding Area information.
• Click into the Unit Price box and enter your bid is compliant with the
Minimum Bid Decrement displayed in the Auction Details.
• Once you have clicked “Submit”, a pop‐up box will ask if you want to
confirm your bid submission.
• Click the “Confirm” icon. Once the new bid is submitted, a pop‐up will
notify you that the bid has been successfully accepted.

STEP 4: MODIFY BIDS
Modify Bids that are incompliant with Minimum Bid Decrement:
Reduction in bid value must meet the requirement set in the Minimum Bid
Decrement field. In case your bid is too high or too low to be accepted:
• You will be notified by an error pop‐up that bid inserted does not
meet the minimum bid improvement.
• The My Bid column will also show the rejected bids (not accepted
bid).

• Update your price in the Unit Price cell(s) so the bid value is
decreased by the amount indicated in the Minimum Bid Decrement
field.
STEP 5: AUCTION CLOCK & OVERTIME
Auction Clock
• The Auction clock will count down from 20:00 minutes (e.g., 19:59,
19:58, 19:57…)
Auction Overtime
• If a supplier enters a bid on any lane once the clock is under 3:00
minutes the clock will automatically re‐set to 3:00 minutes
• For example, if a new bid is placed at 1:43 the auction clock will re‐
set to 3:00 and begin counting down again

STEP 6: MANAGE AUCTION MESSAGES
To communicate with Emirates NBD buyer during the Auction, you can use the
Message feature within the Auction Monitor
Sending Messages
• Type your message into the “Message” pop‐up box.
• Click “Send” to send your message to the Buyer

Receiving Messages
The auction facilitator (Buyer) will send important messages to suppliers communicating auction details.
When the Buyer replies or sends you a message during an Auction, it will be
displayed as a notification on the Auction Monitor:
• Review the message and click “OK” to return to the Auction Monitor.
• To View the message again or other Buyer messages, you can find them in the
Messages section. Click on the Sender column heading to sort the list and bring
the buyer messages to the top of the list.
Buyer messages will include notifications regarding auction issues, suspensions,
the end of auctions, and other information as needed.

STEP 7: MANAGE FINAL BIDS
Bid Overtime Interval:” ADD ‘x’ Minutes”
This is a time extension that’s added to the auction end time or that will reset
the end time by ‘x’ minutes in the final minutes of the auction. The setting is
indicated in the Date & Time Settings section of the Auction Details page
The countdown of an auction with Overtime Interval set to “Add 3 minutes”:
When the Time Remaining is less than 3 minutes and you enter a bid on a lot (any lot if it’s a multi‐lot auction), 3 additional minutes would be added to the remaining bid time. Notice the Time Remaining changed from 2:44 to 5:44 after the 6th bid was entered.
Bid Overtime Interval: “Restart from ‘x’ Minutes”
The countdown of an auction with Overtime Interval set to “Restart from 3
minutes”:
Once the Time Remaining drops under 3 minutes, and you enter a bid on a lot (any lot if it’s a multi‐lot auction), the countdown will re‐set to 3 minutes.
Notice the Time Remaining changed from 2:44 to 3:00 after the 6th bid was entered.
Auction Closing Notification
When the auction has ended, you will receive a pop‐up notification that the
lot is closed for technical checks. You will no longer be able to place bids for
the lot. Click “OK” in the pop‐up notification. Exit the Auction Monitor or
continue to bid on other running lots.
