Nativity Athletics Handbook The information contained within this handbook is issued by the Nativity Booster organization and its Athletic Committee to better communicate and implement its rules and policies. If any of these policies or their implementation is contrary to those held by the Archdiocese of Cincinnati, Nativity Church and Nativity School this handbook will be held in abeyance. Our Philosophy We will provide, on an ongoing basis, the organization for student athletes to participate and compete on teams in a Christian atmosphere. Our teams will represent the Nativity community with pride and dignity. This can only be accomplished with excellence in cooperation and communication within the Nativity community. Success in reaching these goals is dependent upon all members of our community. That includes all the student athletes, parents, relatives, friends, alumni, coaches and assistants, Athletic Committee, Booster Club, our school, and all our parishioners. Our Mission We will provide a quality Christian athletic program for all interested athletes in the Nativity community, primarily at the grade-school level. All student athletes that are Nativity school students or parishioners are eligible to participate in this program. We will administer this program in a fiscally responsible manner. The objectives of our athletic program are: Participation-by as many interested student athletes as possible Fun-for all involved Learning-basic athletic skills, teamwork, commitment, competition and a competitive attitude and how to win and lose with sportsmanship School spirit-with a Christian attitude Quality-in the program, now and in the future Preparation-for the next level of competition (for example – third/fourth graders for fifth /sixth grade, fifth/sixth graders for seventh/eighth grade, etc.) Important Considerations It is the philosophy of Nativity Athletics to offer the most balanced sports program possible. Factors used by the coach, in determining playing time follow: • Attitude • Attendance

• Coach-ability • Athletic skills

When our program cannot offer a sport, we will work with neighboring programs to provide the opportunity for participation in that sport. It must be remembered, however, as participants in another program, these student athletes must abide by all the policies of that program. Our athletic facilities are limited. We work hard to ensure that all student athletes are given equal use of the facilities available. General Policies This organization will offer a Nativity sponsored sport only once per year, in it’s primary season. As stated above, one of our objectives is to prepare student athletes for the next level of competition. Preparation for the high school level begins in the seventh and eighth grades. This is a Christian program. We must conduct ourselves as such at all times. This applies to the student athletes, coaches and assistants, parents and spectators. Behaviors that will not be tolerated and that could lead to exclusion from the Nativity Athletic Program in its entirety are:

• Any illegal drug use • Any alcohol abuse • Fighting • Smoking • Any activities deemed detrimental to the Nativity Athletic Program, Nativity Athletic

Committee or Nativity Booster Club • Any other activities deemed unacceptable by the Athletic Director along with the Athletic

Committee Grades and Eligibility We feel that it is the parent(s) who should remove their children from active participation on a parish team when grades are declining. Before deciding to remove your child, please consult with the coach to see if together you may be able to foster a more positive learning environment while continuing to play. Sports should be seen as a continuation of the educational process. But as a back-up measure, the Athletic Director is provided a list of Nativity students that are declared ineligible for extra-curricular activities as provided for in the Nativity School Handbook. The Nativity School principal provides this list. The principal informs, by letter, the parent(s) of the student athlete whose participation is to be limited. Both the principal and the Athletic Director sign this letter. The Athletic Director will inform the sport coordinator, who will inform the coach of the teams affected. The student athlete in question will not be permitted to participate in any of our sports programs until the school administration re-institutes the student’s eligibility. Parents of student athletes not attending Nativity School please note that it is not the responsibility of the Nativity Athletic Committee to monitor grades.

It is our responsibility to carry out the policy of restricting participation in the Athletic program when warranted. Eligibility for participation in the case of any suspensions or expulsions from school will be handled on a case-by-case basis. Practices Any practices over and above the “normal, assigned” practices are voluntary. The “normal” amount of practice is listed under each individual sport policy. A student athlete is expected to attend all practices and games. Any extra practices are voluntary and will not affect the student athlete’s participation. Booster Membership Policies, as it relates to athletic participation¨ There is a current fee of $50.00 per year, per family, per school year for a Nativity Booster membership. That is a condition of participation in Nativity sponsored sports. The amount stated here is subject to change. We will notify members of any increases, along with justification, as far in advance as is feasible. No student athlete will be prevented from participation because of financial need. The parent of this athlete must simply contact the Athletic Director privately about this matter. All Booster families will receive requests for scheduled “required volunteer time.” This is a condition of participation in Nativity sponsored sports. Records will be kept of instances of volunteerism at Booster sponsored events. Some instances when your “volunteer time” will be called upon are:

• Coaching and assistant coaching • Doorkeepers and concession workers during basketball and volleyball seasons

(Mandatory for parents of participants in sports held at Nativity’s Gym) • At some of the Booster sponsored fund raisers (examples are: Turkey Raffle,

Mulch Sale, Pancake Breakfasts, Fish Fry etc.…) These few hours of your time will make a big difference in the quality of athletics at Nativity. Playing Fees There is a $40 fee per child per sport. This fee must be paid before uniforms are distributed. $40 covers only a portion of the total expenditures associated with each sport. Each sport has expenses such as, league fees, referee fees, equipment, uniforms, and so on. Booster Fees and Booster Fundraisers help to cover the difference. Late registration will be an additional $10. Uniform policies. All uniforms must be picked up and turned in on the date assigned by the coach or the coordinator. Late pick ups or late turn-ins will be assessed a $10 fee. No member of your family will be permitted to participate in any subsequent sport until the uniform is returned and late fee is paid. If, for any reason you are unable to return any part of the uniform, you are responsible for the full replacement costs. After this payment is made you and any member of the family will be permitted to participate in any subsequent sport.

Uniforms are not to be worn for any reason outside the sport. Do not wear the uniform during any “play” activity. Follow guidelines for wash and care of uniform. A safe guideline is to wash in cold water and use low heat to dry. Guidelines for Student Athletes:

1. We represent Nativity parish, whether at our “home” field or gym, or at another team’s or organization’s facilities. Please behave in a manner that will make our Nativity community proud that we are a part of that community.

2. Please try to keep the stated mission of the Nativity Athletic Program in mind at all times.

Signing up for any sport is a commitment to play for a Nativity team. It should be treated as a commitment; therefore players should attend all practices and all games.

3. Each sport’s team will spell out its own policies. Be sure you are aware of these policies

and communicate with your coach. Inform your coach as far ahead of time as possible when you must miss or be late for a practice or game. A missed practice without this prior communication with the coach will result in disciplinary action. Continued tardiness will also result in disciplinary action.

4. Players should be on the field (court) and ready to begin practice or warm-up for a game

at the specified time stated by the coach.

5. Wear adequate clothing when coming to or from a game or practice. Your coach’s instructions on this subject should be followed to the same degree as any other rule or policy.

6. Respect your opponent. No arguing with officials.

7. Accept both victory and defeat in the spirit of good sportsmanship. Un-sportsman-like

conduct will not be tolerated.

8. Be respectful of the coaches and officials at all times. Refer to them as “Coach.” “Yes sir/ma’am” or “No sir/ma’am” is the proper response.

9. Work hard on your academics. Maintain your good grades so that you may remain a

student athlete in good standing.

10. Challenge yourself to improve in all facets of your sport. Hustle all the time. Encourage your teammates to improve with you.

11. The athlete is responsible for the care and return of the uniform.

Guidelines for Parents Please try to keep the stated mission of the Nativity Athletic Program in mind at all times. We represent Nativity Parish, whether at our “home” field or gym, or at another team’s or organization’s facilities. Please behave in a manner that will make our Nativity community proud that we are part of that community. Additionally, we ask you to please make these commitments to our program:

1. Signing up for any sport is a commitment to play for a Nativity team. It should be treated as a commitment.

2. Communicate with your child. Be supportive of your child by attending games. Encourage them to do their best. Encourage them to practice at home. Practice with them at home whenever you can.

3. Communicate with your child’s coach. Be supportive of the coach and assistants of your child’s team. We attempt to select the best people available. That volunteer coach and assistants are giving a lot to provide your child an opportunity to play on the team. Help out whenever and however you can.

4. Follow the steps outlined in the “Communication” section, below when you have an issue to address with your child’s’ coach.

5. Athletic teams are not provided as a babysitting service to you and your family. Please respect everyone’s’ time. Insure that your student athlete is at practice, meeting or game at the time stated by the coach. Remember that all of our volunteer coaches have family, work and other obligations just as you do. Players must be dropped off and picked up promptly for practices, meetings and games.

6. Make sure your child attends all practices and games. Inform your child’s coach as far ahead of time as possible when your child must miss or be late for a practice or game.

7. Demand that your child play fairly and be a good sport.

8. Insist that your child follow all the team rules as well as the policies of the Nativity Athletic Program.

9. Praise all the players. Each player is an important member of the team. Do not make any negative comments to or about any player. This applies to Nativity team members and the opposition team members. Mistakes are not made on purpose. Sometimes it is hard for adults to remember this.

10. Lead by good example. Remember, your child may hear your words, but they will remember your actions.

Guideline for Coaches Coaches must present in writing the team guidelines for the upcoming season. This should be presented to that sports’ coordinator and then given to each parent. A short meeting with the parents to review this information is expected. The guideline should include:

1. Welcome – set tone in a positive manner, explain why this written guideline, mention handbook

2. Coaching Philosophy – explain what you will be working on, goals for the year.

3. Practice – times and expectations, begin with prayer.

4. Games and Possible Tournaments – expectations, pre-game, begin with prayer, in game and on bench.

5. Playing Time – be specific as possible, communicate why playing time is changed if it occurs, use handbook.

6. Communication – if a concern arises explain how it is to be handled.

2. Communicate with your sport coordinator. Keep them informed of any issues that you feel are important to your team and/or the particular sport or athletic program.

3. Communicate with your student athletes. Keep them informed; well in advance, of practice times and game times. Also, inform them of any changes to the “scheduled” practices or games.

4. Set practice times and stick to them as best you can.

5. You must attend coaches meetings or training sessions, as required by the Nativity Athletic Committee or your sport’s league affiliation.

6. Teach the sport and good sportsmanship. They are equally important.

7. Be positive in your coaching.

8. Have fun.

9. Make this a good experience for the student athletes.

10. Behave in a Christian manner and instruct your student athletes to behave as Christians.

11. Any practices over and above the “normal, assigned” practices are voluntary. The “normal” amount of practice is listed under each individual sport policy. A student athlete is expected to attend all practices and games. Any “extra” practices are voluntary and will not affect the student athlete’s participation.

Communication Student Athletes, Parents, Coaches, Coordinators, Athletic Director Student athletes:

1. First discuss any issue with your coach or assistant. 2. If that does not resolve the issue, discuss it with your parent(s).

Parents:

1. First discuss any issue with the student athlete. 2. Discuss the issue concerning the sport with the coach. 3. If that does not resolve the issue, discuss it with the respective sport coordinator.

Coaches:

1. If the issue involves a student athlete, discuss it with the student athlete. 2. If that does not resolve the issue, discuss it with the parent(s) of the student athlete. 3. If the issue involves a parent, discuss it with the parent. 4. If that does not resolve the issue, discuss it with the respective sports coordinator.

Sport coordinators:

1. If any issue is not resolved at the primary and most important level (the student athlete and the coach) then it should be resolved at the sport coordinator level.

2. If the sport coordinator does not resolve the issue, then it will be presented to the Athletic Director for final resolution.

Athletic Director:

1. Final resolution will be made at this level.

Appropriate and inappropriate communication. Appropriate concerns to discuss with a coach:

• The mental and physical treatment of the student athlete. • Ways to help the student athlete to grow athletically and personally. • Concerns about behavior or attitude of the student athlete or the coach.

Issues not appropriate to discuss with a coach:

• Team strategy. • Play calling. • Other student athletes.

Individual Sport Policies: Soccer Nativity sponsored in fall season- Sign-ups are in May General policies or information If you sign up on time at one of the scheduled dates, you are assured a spot on a Nativity team. After those scheduled dates, any “full” team is closed. Late sign ups can be put into a players’ pool, to be placed with other SAY teams, if desired. Age levels: 6 through 13 years of age by July 3l of the current year. Type of competition • SAY (Soccer Association for Youth) leagues for all teams. • All teams are single sexed. There are no co-ed teams. (Exception for Instructional) • Passer level (6 and 7 year olds) consists of 7 on-field participants. • Wing level (8 and 9 year olds) consists of 9 on-field participants. • Striker level (10 and 11 year olds) consists of 11 on-field participants. • Kicker level (12 and 13 year olds) consists of 11 on-field participants.

Practice: Attendance at all practices is mandatory. • Advance notification of absence for illness or family business is required. Unexcused

absence from practice is not acceptable. • Time and location are not known at signup and are determined by the volunteer coaches and

field availability; Nativity does not have its own fields.

Practice time required: Twice per week for an hour to an hour and a half each session. Places normally used:

• Pleasant Ridge Park (Ridge Ave.) • Amberley Fields (Ridge and

Section.)

• Kennedy Park (Robison) • Lange Field (Woodford) • Losantiville School (Elbrook Ave.)

Games: Attendance at all games is mandatory.

Advance notification of absence for illness or family business is required. Unexcused absence from games is not acceptable.

Some of the places games are normally held: Lunken Airport Kennedy Park Oakley Kilgour St. Vincent OLSH Withrow High School Kellog Armleder Eastern Ave. area (LeBlond, Turkey Ridge, St. Rose, etc.)

Tournament participation • Attendance at all tournament games is mandatory. Advance notification of absence for

illness or family business is required. Unexcused absence from tournament games is not acceptable.

• All Levels: Pre- or Post- season Tournaments- as determined by Coach • Strikers and Kickers: SAY East and State Tournament available by Achievement Intramural Soccer (Instructional) Offered only to incoming kindergarten students. This offers boys and girls, on co-ed teams, a basic introduction to soccer. • Regular attendance is expected if you sign up. • Instruction takes place at the Pleasant Ridge Community Center Park • Fall- Saturdays-September and October • 1 hour per week Football Fall season Sign-ups are in May. General policies or information: • St. Nicholas Academy in Deer Park administers this program.

Grade (age) levels: Grade 3 through 8

Type of competition: • CYO (Catholic Youth Organization) leagues for both teams. • Grade 5 and 6 form one team unless otherwise specified. Depends on numbers. • Grade 7 and 8 form one team unless otherwise specified. Depends on numbers.

Practice: • Attendance at all practices is mandatory. Advance notification of absence for illness or

family business is required. Unexcused absence from practice is not acceptable. • Practice time required: 4 days per week, one and one half to two hours per day. • Places normally used: Silverton Park, Chamberlain Park

• Some of the places games are normally held: Nativity gym (home games) Various gyms (away games)

Tournament participation: • Attendance at all tournament games is mandatory. Advance notification of absence for

illness or family business is required. Unexcused absence from tournament games is not acceptable.

• All Teams Qualify for post- season Tournament • Team may participate in 2 additional tournaments throughout the season.

Girl’s Volleyball General policies or information: • Number of teams will depend on the number of students that sign up. • Grades 5 & 6 teams will be split as evenly as possible after evaluations. • Grades 7 & 8 will be split into a competitive team and a recreational team after evaluations,

if warranted. If evaluations are held attendance is mandatory. • If there are student exchanges that will interfere with the regular season we ask that you

inform your coach before game competition begins to allow for rescheduling, if necessary. • Grade levels: 3rd and 4th Instructional 5th through 8th CYO competition Type of competition: • CYO grade level: several levels with-in each grade. Practice: Attendance at all practices is mandatory. Advance notification of absence for illness or family business is required. Unexcused absence from practice is not acceptable.

Practice time required:

• Twice per week for an hour or two hours each session. • Additional practice time is optional.

Places normally used for practice: Nativity Gym Games: Attendance at all games is mandatory. Advance notification of absence or illness is required. Unexcused absence from games is not acceptable as it could lead to forfeiture. • Games are held in other CYO Gyms and Sports Express in Mason. • Regular season is 10 Games played in 9 weeks.

Tournament participation:

• Attendance at all tournament games is mandatory. Advance notification of absence for illness or family business is required. Unexcused absence from tournament games is not acceptable.

• All Teams are entered into the CYO tournaments at the end of the year unless coaches choose not to participate.

Baseball: Knothole Baseball General Policies: • Sign ups are held two Saturdays in early February. • No late sign ups unless players are needed to form a properly sized team. • Team size is minimum of 11 with a preferred maximum of 14. A no-cut format is used.

Players may be moved to other teams to develop properly sized teams. • All coaches are encouraged to use pitchers in a manner consistent with size and age of

pitcher. Pitch counts versus innings pitched are the proper determinate of amount of stress on arms. A minimum of 48 hours rest is required for all pitchers.

• In 2000, District 13 teamed up with District 6 for D, C and B levels. Grade Levels: • Knothole teams are formed by age not grade. Cut off dates for ages is July 31st – D-8, 9;

C-10, 11; B-12, 13 • Players may play up but not down. Type of Competition: • Teams will play against other teams in our district areas. • Knothole teams by definition are recreational. They are not select teams. • Some teams may choose to play in a traveling Knothole League. This will require traveling

to away games around the City. This is a separate league and has separate team registration. This will be at discretion of coach with parent input.

• Practice is typically once per week with other practices scheduled by coaches with a maximum of three mandatory practices, this is based on field availability.

• Advance notification for all absences is required. Scheduled school functions, family emergencies or illness are acceptable excuses.

Practice time required: • Practices are typically 1 ½ to 2-½ hrs. • Individual coaches will schedule optional practices. Fields Normally Used: • Pleasant Ridge, Golf Manor, Amberly, Losantiville or Lang fields for some home games and

practices. • Away games include Fairfax, Mariemont, Madeira and Terrace Park.

Games: • 12-18 games will be played. • Games are on Saturdays with some weekday evening games. Tournaments: • The top two teams from each district advance to city tournament. (District 13 is required to

have 2 teams move to city regardless of District 6 teams) • A two and out format is generally used for city tournament. • Optional local tournament is possible depending on league and availability. ` CYO Baseball General Policies: • Sign ups for all participating grades will be held in early February. • A minimum of 11 players will constitute a team. • Players are required to attend all games over any other sports practices, ie. volleyball,

swimming, etc.

Grade Levels: • Grades 4-8 • Any grade student may play up but not down

Type of Competition: • Leagues are formed based on school size, number of teams entered, and if possible based on

competitive levels.

Practice: • Practice is typically once a week with other practices scheduled by coaches with a maximum

of three mandatory practices; this is based on field availability. • Advance notice is required for all absences. Scheduled school functions, family emergencies

or illness are acceptable excuses.

Practice time required: • Practices are typically 1 ½ to 2 ½ hours. • Individual coaches will schedule optional practices.

Fields Normally Used: • Nativity does not have access to Sunday fields; most of our games are away. • Away games are located at other parishes’ fields.

Games: • Attendance is mandatory. • 8 to 10 games plus tournament. • Length of games varies by age group. • Games are on Sundays with some weekday evening games.

Tournament: • Top teams in each league advance to tournament. • One and out format is used.

T-Ball General Policies – • T-ball is recreational • Our Coaches do not keep score • All players bat in an order regardless of position on field Grade Levels: • T-ball is by ages. Birthday cut-off is July 31st. T-ball is for 5, 6 and 7 year-olds.

Some younger children may want to play. This will be at the discretion of coordinator and coaches.

Type of Competition: • T-ball is non-competitive. • Play against other District 13 teams.

Practice: • T-ball practices once a week for 1-½ hours. • Notification to coach of any absence is requested. Practice time required: • One practice and one game a week, occasionally 2. Typically only one game is scheduled on

Saturday and practice will be on a weekday.

Places normally used: • Area fields as determined by district.

Games: • We do not keep score. • All players play. • All players bat in an order. • Games are to be fun and instructional, not competitive. Cuts will only be used as a

last resort to form teams of a manageable size. In this case, each team will have a minimum of ten (10) players.

• Schedules will be coordinated with baseball as much as possible. Instructional classes will be scheduled around baseball practices.

• Boys who sign up for both volleyball and baseball should consider that if they do not attend practices for each sport as expected that they may have reduced playing time or may not develop skills adequate to contribute to either team.

Grade (age) levels: • Grades 5 through 8 – CYO competition • Grades 3 and 4 – Instructional classes (see below)

• Grade 4 boys may be offered a spot on a grade 5 team if players are needed.

Type of competition: • CYO leagues based on school size, grade in school of players and past performance.

Practice: • Attendance at all practices is mandatory. Advance notification of absence for illness or

family business is required. Unexcused absence from practice is not acceptable. Practice time required: • Twice per week for an hour to two hours each session in pre-season. • Additional practice times are optional. Decrease in practice time per week once the season

commences.

Places normally used: • Nativity gym • Pleasant Ridge Community/Recreation Center Games: • Attendance at all games is mandatory. Advance notification of absence for illness or family

business is required. Unexcused absence from games is not acceptable.

Some of the places games are normally held: • Nativity Gym (home games) • Any other gym (away games)

• Regular season is normally 10 games. • Games are normally on weeknights.

Tournament participation: • Attendance at all tournament games is mandatory. Advance notification of absence for illness

or family business is required. Unexcused absence from tournament games is not acceptable. • Automatic entry into CYO tournament unless coaches choose not to participate.
