Scenario

READ IT, a family run bookstore, has been in business for just over 15 years. The company supplies books to schools and private customers. ReadIT employs 12 sales staff who are involved with processing sales in the store. These staff are responsible for responding to queries from customers, taking orders from customers over the phone and by email, and liaising with publishers. Initial research of the company has identified that information about staff, customers, books, sales receipts and suppliers needs to be stored more efficiently as presently there is duplication of many files and records including customer and book information.

SalesAll customer sales orders are received and inspected by sales staff in the book store. These orders can be placed by email; phone; post or in person. Any queries on the sales order are directed either to the customer or to the Stock Room as appropriate.

The sales order assistant checks both the stock file and also the bookshelves in the shop to see if the required goods are available. Any orders that cannot be fulfilled or can only be partially filled are placed in a Hold Sales Order file which is periodically inspected with a view to order fulfillment. An out of stock notice is sent to those customers who have emailed, or sent an order by post. For those customers who have come into the shop or who have phoned, they are told that the book is out of stock and given an out of stock note along with follow up details. Where the book is available, the sales order assistant processes the sale and updates the inventory file.

The total cost of the order is then calculated by looking up the prices of the goods ordered. For items that have to be posted, shipping costs are calculated based on the latest charges list.

Next, shipping instructions are produced for all accepted orders, and they are sent, with a copy of the sales order, to the Stock Room. A copy of the sales order is held by the Sales Department. The Stock Room staff pack and dispatch the goods with the required documentation.

StockA simple database system was piloted two years ago. This only maintains information about books.

Although it is used, its use is limited as it has a poorly designed user interface with no security, and the necessary reports as requested by management have not been generated. Using table view only, it allows the staff to store new deliveries of books. Staff can change book details in the table view, delete old lines and edit some details. All other records are held in spreadsheets and/or ledgers.

The system doesnt have a user friendly interface. It doesnt store the book data accurately in terms of codes, and category. There is no validation. Publisher and Staff ID should have a specific format as is used on orders and pay slip respectively. It doesnt allow the user to easily filter those items which need reordered or which are over stocked.

When deliveries arrive from publishers, the stock clerk uses the delivery notes to update existing book information or to add new book details. When the stock clerks are notified by purchasing staff about discontinued books, they remove those books from the database. They also edit stock details when prices change or where data was input incorrectly in the first place.

The manager of READ IT would like a database developed to

maintain information on customers, orders, stock and staff run queries such as the publishers of a specific book, stock levels of books etc Produce reports on books that have been sold within a given month, the total sales of an individual staff member for a given month, the most popular books for a given category etc

The following features should be incorporated in the new database system.

1. 3. In order to improve the accuracy of data, where possible, data should be validated. Formats required for the staff and publisher numbers are Staff ID - 2 letters and 4 numbers e.g. KL3456 Publisher ID - 1 letter and 2 numbers e.g. J87 All books must include a 13 digit ISBN number beginning with a leading 0 (zero) e.g. 0-953-89129

Addresses should consist of 4 fields to include the county and postcode

You have been asked by your line manager to prepare materials for a training session, the title of which is Appropriate use of development lifecycle models.

The training material should take the form of a presentation. It should include diagrams and explain two other life cycle models. You can choose from the RAD, V model, Spiral and DSDM approaches.

Provide information on the benefits and drawbacks of each approach and projects where these models would be most appropriate.

Relate your discussion to the READ IT case study. Your submission should include a reference section which details any resources used.
