This document prescribes operating procedures for the Arnold Air Society general
membership. It applies to all AAS cadets and civilian personnel who operate, maintain, or
assist in AAS operations. Ensure that all records created due to processes prescribed in this
publication are maintained in accordance with (IAW) governing documents. Refer
recommended changes and questions about this publication to AAS/NATWEB. Refer any
technical questions related to this publication to the AAS/NATWEB. Standards that are not
listed as authorized for use in this publication are unauthorized.

Basic AAS Forms (AASSWF1-4)
Current Forms:
AASSW Form 1 – Membership Roster. This report is due once every semester NLT 31
December and 31. Additional reports may be filed upon change in
membership status.
AASSW Form 2 – Officer Roster. A typed copy of this must be sent to the next level
headquarters and the EMC every semester NLT 31 December and 31 May.
Additional reports may be filed upon change in officer staffing.
AASSW Form 3 – Proxy Vote Form. Submitted to request proxy representation at a conclave.
AASSW Form 4 – Squadron Activation / Reactivation Worksheet. Follow the instructions on
this worksheet to activate / reactivate a squadron.
Some important notes:
The new website (Digital Cheetah) and forms deprecate old forms: AASF 1, 2, 3, 4, 5,
and 6 – Initiation Roster, Equipment Order Form, Equipment Reissue Order Form, AFA
Membership Form, and AAS separate officer roster form – are all replaced by the website
and / or joint forms.
AASSW Form 1 & 2’s must be kept up to date, so if a position or membership changes,
you must submit a new one to all higher HQ’s for record
The national website houses all current editions of the forms (on the AAS file library).
Download a clean copy if practical before filling in a form to ensure the most recent
edition is used.
How to fill out the forms:
The following sections will tell you how to fill out these forms, step-by-step. All forms will be
filled out electronically. Should a discrepancy arise, consult your chain of command. Do not just
“wing it” in hopes that it is correct. The Executive Management Center must process each
squadron’s paperwork, so minor errors can cause big problems!

AASSW Form 1 Membership Roster
Use: Provides a list of names to the EMC to verify the Squadron’s roster. (NOTE: Initiates do
not receive their certificates unless they have paid their dues in full).
**THIS FORM SHOULD BE TYPED**
Due: Twice each year, NLT 31 Dec and NLT 31 May. The report will provide a list of all
members in the squadron of any status.
How to fill it out:
1.) On the “University” line, type the university at which the squadron is located
2.) On the “Area/Region” line, type your respective area number in roman numerals
3.) On the “Date of Report” line, type the date, in military format (e.g. 12 Mar 14). This date
must not be later than 3 weeks before initiation or 3 weeks after initiation
4.) On the “Date of Initiation” line, type the date initiation was conducted
5.) On the “Organization” line, select AAS
6.) On the “Squadron / Chapter” line, type your respective squadron name
7.) On the “Number of New Members” line, type the number of initiates
a. If the number is greater than 20, put the actual number. You will need two forms, and
on both, put the total number of initiates
b. This includes both active and honorary members
8.) On the “Number of Renewals” line, type the number of members who are renewing
9.) For each active member in alphabetical order, type their names and prospective date of
graduation in the respective columns. Mark their status as “A” for active member and
“Y” for cadet.
10.) For each initiate member in alphabetical order, type their names and prospective date of
graduation in the respective columns. Mark their status as “N” for new member and “Y
for cadet.
11.) For each inactive member in alphabetical order, type their names and prospective date of
graduation in the respective columns. Mark their status as “I” for inactive and “Y” for
cadet.
12.) For each honorary member in alphabetical order, type their names and prospective date
of graduation in the respective columns. Mark their status as “H” for honorary and “Y”
or “N” for cadet.
13.) The squadron commander must sign his / her signature on the line just above “Squadron
Commander”, and date accordingly.
What to do with it: When it is completely filled out and all members have paid dues, retain a
copy for Squadron records, send one copy to Area headquarters, and send one copy to EMC.

AASSW Form 2 Squadron/Area Officer Roster
Use: Informs higher headquarters of contact information and list of officer positions on Area or
Squadron staff.
**THIS FORM SHOULD BE TYPED**
Due: After every staff change and at the beginning of each semester.
How to fill it out:
1.) On the “Area / Region or Squadron / Chapter” line, select the appropriate category
2.) On the “Squadron / Chapter Name” line, type your Squadron name or enter “N/A” for
Area HQ
3.) On the “School” line, type the school at which the squadron / staff is located
4.) On the “Organization” line, select AAS
5.) On the “Area / Region” line, type your Area
6.) On the “AFROTC Det” line, type the number of the Det at which the squadron is located
7.) Fill in the appropriate names and emails corresponding to each position
a. The “Liaison” Officer is the CSCOP position.
b. Webmaster and other additional positions are to be put in the bottom half of the form
8.) Have the squadron/area advisor sign his mark & type his name along with his/her rank

AASSW Form 3 Proxy Vote Form
Use: Allows a squadron to be represented at a conclave by delegating their vote to another
squadron. Successfully completing this form counts as attendance at a conclave.
**THIS FORM SHOULD BE TYPED**
Due: NLT 14 days before a conclave.
How to fill it out:
1.) On the “Date” line, type the date in military format
2.) On the “Organization” line, select the appropriate filing unit (AAS Squadron, AAS Area)
3.) On the “Location” line, type the city in which the conclave is being held
4.) On the “National Conclave Year” line, type the year in which the conclave is being held
5.) On the “Unit” line, type the name of the squadron or the name of the Area HQ
6.) On the “Area / Region” line, select the appropriate area.
7.) On the “College / University” line, type the name of the university
8.) On the “Authorized Delegate” line, type the Squadron Commander’s name

Use: To activate a new Squadron or reactivate an inactive one.

1.) At the top of the worksheet, select whether the squadron is activating or reactivating
2.) On the “Date” line, select the date

6.) On the “AFROTC Det” line, enter the host detachment number
7.) Question 1: Discuss what projects, training, and planning the squadron has done to

Monthly Reporting
These reports are meant to convey an accurate picture of the state of the nation to the National
Staff. The forms are a standardized SMR form, submitted via the national website on the first of
every month.
The National SMR is located here: http://www.aas-sw.org/?nd=aas_smr_form.
On this form, someone from the Squadron (typically the Operations Officer, Information
Management Officer, or Commander) will be asked for all the numbers and statistics for their
squadron. A full list of questions is:

Awards Packages (900 Series Forms)
Current Forms: AAS Form 901 – National Award Nomination. Used for any award nominations.
AAS Form 916 – National Unit Award Project Synopsis. Used as additional supporting data for
Squadron award nominations.
Some important notes:
These forms require bullet statements. Bullet statements are an important part of Air
Force communication. They are concise, yet are very informational and provide useful
numbers, examples, and detail. There is a short lesson on bullet writing found in the
Attachments section of the AFH 33-337 Tongue and Quill.
These bullets must be in official Air Force Format: action; impact—result. Example:
- Executed a 5k/10k race; raised nearly $3000 for Veterans’ outreach--contributed towards
the JNP
Notice the bullet fits entirely on the line, includes figures, and concisely stated what was
accomplished, how, and why Do not limit your Squadron! Submit a package for every award for which you are
eligible. You do not know how good your Squadron looks!

AAS Form 901 National Award Nomination
Use: Nominates a unit, squadron, or individual for an award at ARCON or NATCON.
**THIS FORM SHOULD BE TYPED**
Due: With awards packets, prior to ARCON/NATCON
How to fill it out:
1.) On the “Award” line, type the award for which you are nominating the unit or individual
2.) In the “Squadron” box, type the name of the Squadron
3.) In the Rank/Name of Nominee
a. Individual’s AAS (or USAF) Rank & Name
b. Squadron Name if the Squadron is nominated
4.) In the “Detachment” box, put the detachment number
5.) In the “Host School” box, put the school’s name
6.) In the “Unit / Address” box, put the Detachment’s mailing address
7.) In the next three (3) boxes, put the AAS Rank & Name of the Squadron Commander,
USAF Rank & Name of the Squadron Advisor, and AAS Rank & Name of the Area

8.) In the “Additional Specific Accomplishments” box, use Air Force bullet format, shown

picture and address for the squadron or individual
NOTE:
Any awards forms that are not fully complete with signatures and proper bullet format will be
immediately disqualified. Bullets should not have tabs or spaces separating it from the border,
and should best fit the space given on one line.
What to do with it: Submit to your Squadron Operations Officer, who submits in turn to the
Area DO and National DO. Area DO’s should ensure awards forms are fully complete and in
proper bullet format before submitting them to the National DO so squadrons are not
unnecessarily disqualified.

-In Bullet format write why the cadet deserves this award. Use statistics, such as numbers of

outside of Arnold Air, just for what they have contributed to the squadron. Ie: Try to leave ROTC
involvement out of the awards.
- Here are a list of buzz words from the tongue and quill that may make writing an award easier:

- capability - reciprocal - mobility - functional - digital- responsive - logistical - concept
- optional - transitional - time-phase -synchronized - incremental - projection
- compatible –programming - hardware - balanced - policy – contingency
-This box should be full by the time you are done filling out the award.

- Make sure to include the nomination's phone number, address (so we can send the gift certificate)
and a picture that we can show in our monthly video. See below for an example.

Things to think about when choosing a photo:
-Make sure nothing inappropriate is in the photo. Alcohol, offensive material or clothing, illegal

AAS Form 916 National Unit Award Project Synopsis
Use: Provides additional supporting data for a unit award at ARCON or NATCON.
**THIS FORM SHOULD BE TYPED**
Due: With awards packets, prior to ARCON/NATCON
How to fill it out:
1.) Award Name: The name of the award for which the squadron is being nominated
2.) Nominee Unit: The Squadron being nominated
3.) Nominating Area: The Area to which the squadron belongs
4.) Project Synopsis Breakdown: Provide the name, participating members, hours counts,
money raised, groups involved, % of unit participating, and people benefitting in the
appropriate columns for each relevant project
5.) Signatures from the Squadron Commander & Squadron Advisor in the appropriate boxes
NOTE:
Any awards forms that are not fully complete with signatures and proper format will be
immediately disqualified.
What to do with it: Submit to your Squadron Operations Officer, who submits in turn to the
Area DO and National DO. Area DOs should ensure awards forms are fully complete and in

Evaluation Forms (700 Series Forms)
The current forms are the AASF 724 and AASF 702. These forms are modeled after the active
duty form 724 and the Officer Performance Report (OPR).
**THESE FORMS SHOULD BE TYPED**
Use: The AASF 724 (Comprehensive Self-Assessment) is used during roundtable discussions at
ARCONs to evaluate an individual’s performance from the eyes of the individual, with
appropriate feedback from their superior. The AASF 702 (OPR) is used as a feedback
mechanism from superior to subordinate during or at the conclusion of the term of service.
Due: AASF 724 is due at ARCON to an individual’s superior. AASF 702 is due when requested
by an evaluator or person being evaluated.
How to fill it out: Follow the instructions located on the form.
What to do with it: Submit to direct superior only.

How to Address Letters When you mail out any form to higher headquarters or EMC, you will include the following
things on the envelope.

SUBJECT: How to Write an Official Memorandum
1. This memo is to serve as a template for an official Arnold Air Society (AAS) memorandum.
2. The margins should be 2” from the top, 1” from the bottom, and 1” from each side. The date
should be approximately 1.75” from the top of the page (around 10 lines).
3. The letterhead should be professional and clean-cut.
a. The first line in the letterhead should always read Arnold Air Society. The second line is
the position from which the memorandum is coming. Squadrons not holding headquarters may
omit line three. The next line will be Squadron name, followed by detachment number, school,
and address.
b. Area Headquarters my elect to use their area mascot or headquarters AAS logo as the
right-hand logo. Squadrons should use their squadron mascot or detachment logo.
c. All units must use the AAS logo on the left hand side, as pictured above.
d. All units and headquarters are authorized to place a quote in the footer with a
standardized quote meaningful to their unit and / or headquarters.

Budgeting
Finances are a crucial part of running any successful enterprise – especially a unit. Controlled
spending of assets allows units to maximize their impact in their community, and reduce wasted
resources. Budgets are a great way to limit and / or observe expenses and cash flow.
Use: Area Initial Budget, Area Interim Budget, National Budget, NATCON budget, ARCON
budget, Squadron Budget, and any other Special HQ budget
Due: Refer to AASMAN 1.
How to fill it out: Use the template on the next page, also found on the National Website.
1.) In the header, type the AAS unit, Squadron name, and Detachment Number. “AAS Unit”
is “Area XX Headquarters”, “National Headquarters” or “YY Squadron”
2.) In the first bolded section, type the unit name, current date, and the budget year
3.) In each appropriate section, mark the rollover amount received
4.) Mark the sources of income as “Receipts” (money received), including fundraising and
any donations
5.) Total the “Receipts” subsection.
6.) Total the “Income” section (Receipts + Rollover received)
7.) Under expected Expenditures, list all expected expenses by category and by item
8.) Include lines for each item including but not limited to travel, gas, registration costs for
conclaves or conferences, sponsorships or scholarships given, rollover to next staff,
money used to pay for fundraisers and service projects, dues costs, etc.
9.) Total each subsection of the “Expenses”
10.) Total the expenses
11.) Mark the “Expected Ending Balance” as the “Total Income” minus “Total Expected
Expenditures.” In most cases, this number will be zero as all money transfers over to the
incoming staff
12.) Add any notes or comments relevant to the stated budget. This is a section to offer
explanation for any expense or income
