Classification Schemes, Taxonomy and Remediating Shared Drives James Just, Greg Hugie

One of the most vexing problems facing organizations today lies in the digital landfill known as “shared drives” (a.k.a. network drives or file shares). Shared drives, by and large, were not planned; rather, they were created by individuals for their own purposes and without an enterprise view. As a result, there is content with varying retention rules mixed together within a folder structure making it impossible to simply delete a folder and all of its content. Added to that challenge is content fraught with duplication or near-duplication confusion, version uncertainty, ambiguous or worthless file names, and content that simply should not be on a corporate asset. It is a rare department (much less an entire organization) that has created standard taxonomies and metadata scheme for its information.

The effort to organizing content with actual value requires elimination of the valueless ROT (redundant, outdated and trivial) content and classifying the remaining content in a meaningful way.

IMERGE consultants Greg Hugie and James Just will discuss their experience with shared drive clean-up (remediation) and the technologies available to help with the process. The discussion will include the development of enterprise classification schemes, linked to retention schedules, and their importance for the evaluation of content and subsequent migration to taxonomical structures with meaning and lifecycle control. The consultants will discuss manual methods of assessing content and a survey of many of the vendors in the market.

Moving Legacy Systems to a SharePoint ECM Solution Matt Engibous

Let’s face it, it doesn’t get more legacy than paper. Coming up with a solution that transforms manual, paper-based processes to automated, agile content management systems is top of mind for many organizations.

We helped the Hyatt Legal team achieve just that with an ECM cloud solution based on Microsoft Office 365 SharePoint and Azure IaaS. It started with defining the current state processes and mapping them to a technology solution.

We’ll review how we worked with the Hyatt team and created an online repository and leveraged SharePoint’s ECM capabilities to capture, manage, search, and secure critical legal documents.

Trust and Change: Project Management for an Electronic Records Project Mimi Dionne

This presentation will outline project management techniques for a small file share cleanup project. The content will include an overview of records metrics within the context of the PM framework; "good enough" versus best practices management; and, lessons learned from interfacing with the business user community from the bottom-up.

Jim has 20+ years’ experience in content and records management with an emphasis on business process redesign, ECM and FACR (File Analysis, Classification and Remediation) technologies, business process management and workflow. Jim focuses on helping organizations attain business process optimization using process analysis and redesign techniques, often utilizing best-of-breed technologies. He has worked with organizations such as the Pitkin County, Town of Cary, MnDOT, ESCO Manufacturing, TriMet, Eaton Corporation, McDonald’s Corporation including clients in city/county governments, manufacturing, insurance, and diversified multinationals.

Jim’s diverse experience in business and computing environments gives him a unique perspective on business problems with insight into creative solutions. He assists clients through the process of Current and Future State process analysis and design, strategic planning, practical roadmaps for implementing effective content control, and, when needed, requirements definition, technology assessment, vendor selection, and implementation oversight.

Greg Hugie Partner, iMerge Consulting

Greg has been performing Information Technology Management Consulting for over thirty-five years working with both government and private sector clients. He is involved in all facets of information technology including strategic and organizational planning, business process reengineering, technology studies and deployment, information technology policies and procedures, project management, JAD facilitation and application requirements planning and deployment.

For the past twenty years, as a partner with IMERGE Consulting, he has focused on document and records management projects. Greg’s broad experience includes all facets of enterprise content management, including business process automation, workflow and ECM/ERM implementation, capture, archiving and life cycle management as well as the procurement of appropriate ECM and ERM technologies.

Matt manages a team of content management, user experience, infrastructure and development professionals. Over ten years of experience creating and leading the processes to scope, implement and maintain complex content management systems including Hyland OnBase and Microsoft SharePoint.

Matt has spent 7 years in the financial industry at Fiserv, 3 years in records management at Datastore and has over 5 years of Microsoft consulting experience. He has experience deploying advanced collaboration and enterprise content management systems for tens of thousands of users with terabytes of content. Matt was part of the team that implemented an Enterprise SharePoint records management solution in which Concurrency won the worldwide Microsoft 2012 Content Management Partner of the year award. Matt has spoken at Microsoft events, SharePoint Saturday's and is a member of the AIIM board.
