2018 Youth National Archery Championships.

Congratulations to our Compound Team of Niamh Jones, Devilliers Duvenage, Harri Howden, Caitlin Howden, Myfanwy Howden, Chris Vissariou, Adrian Angus, Caleb Barkway, Tazmin Forrest, and JJ Ring on their amazing success, taking out the gold medal for Victoria.

Our combined and undermanned Recurve Team of 5 people were trailing in 5th place at the beginning of the last day, and their combined efforts saw them move steadily up the ladder to finish the day in 2nd place behind the fully manned and very talented NSW Team. Well done to Ben Howell, Zac Tonizzo, Hugo Lobb, Tian Mortimer, and Arjo Chatterjee,

An analysis of our data information is being done by Deb Jones (thanks Deb). Preliminary findings are that we have an average penetration in Victoria of 25 per 100,000. The stand out is in the 11 – 15 age group where the penetration is 70 per 100,000. It drops off dramatically from 17 – 25 and then picks up again.

Our female % is approximately 25% across the board.

Board Mentor Reports

Archers of Warrnambool. Access to Southwest Target Complex remains denied and is progressing incredibly slowly. In the interim club continues to shoot Saturdays and Tuesday evening (now with lights and partial cover) at the nearby shotgun club. Some alternate range leads have not worked out but post the May races the Warrnambool Horse Racing Club has agreed to investigate the opportunity to place an Archery club on their site, outdoor and alfresco Indoor with storage.

Grant Funding Updates

Retention and Conversion Study – survey issued to all current AV members and ex-members (since the inception of national database). There has been a good response to the survey so far. Survey will close shortly.

Met with SBP and received a more comprehensive brief on the data analysis – powerpoint is attached. These results will be firmed up as the study is finalised.

Individual interviews to be conducted before the final report is submitted along with recommendations.

Strategic Geographical Mapping. The next major task from grant funding is the strategic geographical mapping. This is essentially an exercise to determine where, strategically, AV may wish to have clubs established. This will ensure that we are not reliant on individuals to determine that they might want to establish a club in a particular location and ensure that Archery Victoria can guide this activity so that clubs are established in the areas of greatest need or areas of the most strategic significance. It could also include a test for locations for Centres of Excellence (competition, training, recreation, etc) and examination of the need for a State Centre for Archery in Victoria.

All officials were requested to submit reports and reminded of the timing of AV Board meetings.

A stocktake spreadsheet was submitted to AV.

We have had few sales of stock. We have 2 outstanding invoices which are being followed up.

Between 31st Dec 2017 and 31/03/2018 216 New State and Championship records were processed. This is an awesome result with some exciting new scores shot. 47 Australian Record Certificates were received from Archery Australia on Thursday 19th

April, these records were from last year’s YNAC in Morwell and NAC Perth and

There are still quite a few Australian Records which I’ve claimed but still are yet to arrive from Archery Australia.

Problems with Archers Diary

There seems to be a continuing problem with the club manager not talking to imanaged today system and both showing different information. I’ve found these problems seemed to start happening around the time AA updated the systems with the new divisions Vi’s and Para’s.

Geelong Archers had big problems with the system crashing whilst scores were trying to sync at the Warralong Field. This was due to the correct flights not being selected and the scores still being able to be entered resulting in crashing at the very end.

The results were calculated manually, the 5’s and 6’s were not displayed when there were tied scores thus resulting in awards being presented to the wrong archers, 5 archers were showing up in the wrong age divs and bow types & two scoresheets were rejected.

I checked all the scoresheets again entering most of the last targets which had not sync’d and with the help of John Hyde fixed most of the problems. The results that are showing on AD are now correct and match the scoresheets. Except for one, which couldn’t be entered into Archers Diary due to the lack of information on his scoresheet.

I contacted Tom and explained that wrong placings had been awarded due to not all the scores (total of 5’s and 6’s) were displayed for checking. This is important due to the points awarded for the Field GP.

Tom mentioned he had had problems entering archers into the imanaged system due to no option being able to be selected for the archers age div and some their bow type. I explained that this is because the archers club had not set up their archers fully in the club manager, if no date of birth is entered it will choose Open and if no bow is selected this will default to Compound.

To check for New State records I print the raw scores from Club manager and enter them into my data base this now however doesn’t work for all events, not sure why, I’ve asked AA but they are unable to get it working again and say to check the results page.

Memberships:It is of great concern that archers AA membership cards are still not being checked thoroughly at the beginning of all events. (People checking need to make sure that the date is valid and that it is not an associate membership card that has been given for checking).

Records can’t be claimed for those who are not financial; Medals should not be awarded either. Having un-financial and un-insured archers shooting in events and at clubs is putting other archers at risk.

State Officials Administrator

Anastasia Anagnostou, Deb Popov-Conroy and Chi Cheung have completed all requirements and are now accredited as National Judges. Lynda Daley is no longer an AA member, therefore she has been removed as an NJC. Liam Lyons is currently not judging.

There is a continuing difficulty with judge availability. I am still concerned that there will not be enough judges for the National Indoors, to cover all venues.

The AA Officials Committee will be conducting a Zoom meeting for all Judges, which will cover the new WA Rules Books and the changes that have been implemented, in the coming months.

State Coaching Coordinator

A Level 1 coaching course was held at Geelong Archers in April 2018. A further course will be held at Sherbrooke Archers in June 2018.

-Self massage for shooters

-Learn to do the little things - say thank you and mean it. Do the little things

Team Manager Report – Para18

The 2018 Australian National Para & VI Championships were held in Canberra from the 9th till the 11th of March 2018. The Honorary Victorian State Team participated safely and successfully.

Conditions, although quite warm, were generally favourable for the competitors and only occasional strong wind gusts on the 11th during the matchplay causing difficulties for the para athletes.

Temperature highs for the 3 days were 26.6, 27.6, and 31.6.

Two events made up this year’s championships; an Indoor round and an outdoor Matchplay Championships. A total of 10 medals were won by Victorians (2 Gold, 4 Silver and 4 Bronze).

Results for this event cannot be viewed online as archersdiary.com cannot handle the VI categories properly nor can it record matchplay results. This resulted in some confusion for at least one of our new competitors as archersdiary.com shows the results from the ranking round only, in which he had placed 3rd but had been knocked out in the matchplay to finish 4th.

Thursday 8th of March all team members had made contact to inform me of their arrival in Canberra . That afternoon one of the classifiers had contacted me in regards to one of the Victorians that would require classification the following day. He had not received the necessary medical forms in spite of my repeated reminders in the lead up to the event. The athletes doctor had been the one that had submitted the

form. Archery Australia uses the World Archery classification form and the doctor had returned the form to World Archery. In future we must make it clear to new para archers that this form must be returned to Archery Australia and not to follow the instructions on the form.

Thankfully I was able to contact the athlete in question and forward his medical forms directly to the classifier.

Friday 9th of March was Classification day and unofficial practice (outdoor). Ricci Cheah (Australian Para Coach) held a training camp in the morning. Topics discussed included Para & VI awareness for clubs, event organisers and coaches, importance of mental training and mental training techniques, importance of goal setting and the correct way to goal set. A Victorian training camp for April was also discussed. Date and venue still to be finalised.

Victoria had only one archer that required classification and this took many hours to complete. It would be worth noting for future classifications to remind athletes to take all the equipment they will be using to compete, personal and archery related.

Uniforms (Shirts) had arrived by the afternoon. Sizing, luckily, was fine for everyone although we were all disappointed that only one shirt each was included for a two day event. Shirts also had some printing errors, the biggest being the year (2017).

Saturday 10th of March was opening ceremony followed by the indoor event. As a team we had decided to save our team shirts for the main event on Sunday which meant the team did not look unified for the opening ceremony.

The indoor round went smoothly enough with most competitors feeling satisfied with their results. Of note was the difficulties the VI's faced. All were right handed and were allocated targets on the right hand side of the venue. The noise from the venue fans and the echo reflection of sound from the venue wall in front of them left them feeling disorientated and ultimately affected their performance.

Sunday 11th of March was the Matchplay Championships. One of the team members with some learning difficulties misinterpreted the start of practice time with what time he should arrive at the venue. Something I should have made clear to his aid the day before. His late arrival did not hold up the event or seem to affect his performance.

The ranking round concluded late morning with the occasional strong wind gust pushing some of the athletes off balance. Most team members were pleased with their results.

Matchplay commenced after a lunch break. Wind conditions were very calm for the elimination rounds, only becoming gusty during the finals matches. Some fantastic performances displayed. Our team members performing well under the pressure of elimination matchplay.

The recurve men’s final, and final match for the day, was interrupted by ASADA. A miscommunication between officials meant ASADA had begun randomly dragging out competitors for testing before the match had finished and leaving everyone confused as to what was going on. The ASADA staff members were quite numerous and seem to infiltrate and dominate the entire shooting line in a matter of seconds and appearing to be taking competitors into custody. The gold medal match was finally allowed to conclude (a shoot off) but not until the competitors had been bewildered and distracted, and supporting spectators dragged off for testing. A very disappointing circumstance. Only one Victorian had been selected for testing.

Ros Greig was invaluable for the assistance and advice she provided me. She has my thanks and gratitude. All members of the team, their assistants, aids and agents, thoroughly enjoyed these championships and I look forward to working with them again.

A full accounting of expenditure will follow shortly.

I would like to thank the Board for trusting me to fulfil this role of Team Manager and hope the lessons learned and expressed in this report help to facilitate the smooth management of future Para teams.

Team Manager Report – NYAC18

The 2018 Youth National Archery Championships held in Morwell, Victoria from the 12th to the 16th of April was successfully conducted, and our State Team and Victorian archers have performed well.

In general the results are reflective of the team that attended the event, and all archers performed to the best of their abilities under the trying conditions we encountered.

Starting at 31.2C on the unofficial practice day, and then 28.4 on the Opening day we then experienced temperatures of 18.0C, 18.3C, and then 19.8C for the remaining days - quite a shock to all archers in attendance having come from either the sunny warm days just prior, or from warmer climates.

14mm of rain fell on Sunday the 15th, with under 1mm on the Saturday and just over 1mm on the Monday.

The winds were likewise an issue with significant variation each day - up to 61k WNW during the unofficial practice day, on Opening day followed by the next 2 days with night time winds of 72k WNW and 65k WSW, and then up to 83k WNW, and 74k W on the remaining days. Fortunately most of these high level winds occurred between flights so shooting was not endangered.

A total of 49 individual medals were won, with 20 Gold, 16 Silver, and 13 Bronze going to Victorians, and these were won across 11 in Clout, 10 in Field, 15 in Target, and 13 in the Short Range.

In the end we placed 1st in the Compound Teams event by a mere 8 points, and 2nd in the Recurve Teams event after sitting around 5th place after day 3. A great comeback for the Recurve Team which consisted of only 5 archers.

Final Overall Placings were:Compound Teams:Vic 9307, SA 9299, NSW 9260, WA 9053, Tas 9006, and SQAS 7829.Recurve Teams:NSW 8570, Vic 7800, SQAS 7789, SA 7568, WA 7545, ACT 7534, and Tas 6700.

Best All Round winners were:Male Recurve - Eddie Upston - 2113Female Recurve - Ammru Vashnetharan - 2128Male Compound - Jai Francis - 2441Female Compound - Alyssa Mollema - 2376

An accounting of the finances has been provided to Irene along with copies of receipts, and another receipt is due from Ros Greig as well (to be sent directly to Irene). Unexpended funds (already returned to AV) came to just over $490.00.

A Team Meeting was held just after the Team Managers Meeting on the Official Opening day, and a Team Dinner for ALL Victorians was held on the Friday (Day 1 - after the Clout) ... this proved to be popular with approx 60 people (incuding some Judges) attending.

My performance as a Team Manager was somewhat diminished due to a late night visit to the Latrobe Regional Hospital on the Friday night where I was advised I had a viral throat infection, and was told to remain out of the weather as much as possible - Ros and mainly Alec stood in for me for those days relaying information from me out to the archers and in to me again over the next 2 days.

Amanda Barkway, Neil Barkway, and John Ring were also of significant assistance to me as well, and were willing assistants in any tasks that were required.

My thanks also go out to Deb Jones, whose remotely provided actuarial skills supplied us with accurate final standing details of the teams and individuals results - which then proved vital prior to the announcement of the outcomes - as the statistics brought out by the OC Statistician (D Gaze) were significantly incorrect, and after more than 30 minutes of additional confirmation the results provided by Deb Jones were confirmed as correct.

Apart from this inaccuracy, the only negative I would say from the event was the lack of timely communications coming from the OC both prior to and during the event.

The Short Range was only announced as a 900 round one week before the event when the program was finally issued by the OC, and when announced at the event this was challenged by James Larven as not possible, and within a few hours was changed back to the normal 720 round used at the YNACs (as I had previously pointed out prior to the event).

The same event was again altered from the announced schedule only 1 day prior to the competition as being changed to the WA rounds in the morning and the AA rounds in the afternoon - and then this was again altered to holding the Compound Cub Girls in the morning as well to allow for an archer who had flights booked for later that day.

While this was discussed with and received approval from all the affected parents and archers, it was again the late changes that caused this issue to occur.

One final issue was the inability of our uniform provider to meet our 8 week lead time for the provision of our uniforms. After continual conflicting information about where uniforms were, who had them, and when they would be provided I collected our shirts 1 week prior to the event from their factory, I then collected our track suit pants 1 day before the event from their factory, and the owner of the company ended up driving us down the delivery of our tracksuit tops 3 hours after the Opening Ceremony.

In each delivery we received a number of Para Team remakes from the faulty Para Team uniforms at the previous event which were not required by us at all.

I am strongly in favour of finding a different supplier for future uniform supplies after the straight out lying about what was occurring and when it was occurring had me giving misinformation to parents and archers based on their statements.

I thank you for the opportunity to fulfil this role - I greatly enjoyed the challenge and feel that all in all our results were a success.

Assistant Team Manager Report – NYAC18

Whilst in Morwell I had a conversation with Grant Cole as President of Archery Australia, concerning international archers and the awarding of visitor medals and other procedural things to do with hosting Youth or even Senior nationals. He indicated that there is currently a review of the processes for holding major tournaments. He suggested that I put my thoughts in writing and send them to the AA Office. I have taken him at his word and have written my thoughts and possible solutions to the issues we discussed. The following is what will be sent to AA and TCAG.

At this year’s Youth Nationals (2018) there were several archers who turned up to TCAG to be told that had arrived a day early. As you can see by the screen prints in this document, both the registration home page and AA tournament page have the proposed program but there is no mention of the final program. The days where National Target / National Field and National Field/National Target provided no information on which day each age division or bow type would shoot. I understand the organisational purpose of having some shoot the Target component and others shoot the Field, I have no issue with that, but archers need to easily find the relevant information relating to those events.

There was a contact phone number and email address provided, most people want immediate answers to questions and usually want them digitally, a quick and simple reference point for this information, and the organisers don’t want to be constantly answering the same questions all the time. Maybe a FAQ page / link.

If you were aware that a facebook page 2017-2018 Youth National Archery Championships existed then you were able to access the finalised program.

As you can see form the screen print below, the program was not published until April 7th on the facebook page set up for this event. 5 days prior to the actual event, but you had to know of its existence first. It is obvious that many archers were not aware of it, especially first time archers to Nationals.

In future I would like to suggest that the program be required to be published much sooner, at least 3 weeks prior, and that either a link or comment indicating that there is a facebook page and or where the final program will be published prior to the event. Home clubs could take a greater role in assisting new archers to Nationals, again they need access to the information and know where to find it.

Secondly, any changes to the program need to be placed on the facebook page and an email or text to all registrations should be sent. Asking participants to let others know shouldn’t be relied upon to communicate such information. I realise it means more work for the organisers, relying on word of mouth is not good enough.

As AA is now aware, that at the 2018 YNAC presentation a visitor from NZ finished in 2nd place and due to the constitution they can only be awarded a visitor medal. I realise that these are the Australian Championships, but this policy award process does not encourage visitors to come to Australia for more competition. This policy left a young archer very distressed and the family initially saying they would never come back, up till then their experience at the YNAC 2017 and 2018 had been very positive and they had been encouraging more New Zealander’s to attend.

At a minimum I think it should be clearly advertised on the registration page and on the AA page that visitors finishing in a place position will be awarded .................... The process and policy needs to be explained.

NZ has an International medal similar to those awarded to nationals. I would like to suggest that AA rethink its current policy for awarding medals, looking at how NZ awards there International medals. I understand that the visitor medals are very similar to the championship medals, but include the word International on it somewhere.

They have a medal presentation which can involve visiting archers where medals are presented, followed by the presentation of medals for the NZ competitors. So the International visitors get the recognition they deserve. TCAG did give that recognition by having those archers on the podium, but the medal option seriously needs to be re-evaluated.

After speaking to our visitors from NZ, they are expecting that more and more New Zealanders are likely to want to come to our Championships to gain International experience, without having to travel too far. I for one would like to encourage that. We already have Australian going to the NZ Nationals.

Would be possible for them to join AA as associate member offering a limited numbers of days they could shoot. This associate fee would then go directly to AA.

As a direct consequence of the medal policy I have decide to send Ryley one of my silver medals and Katie a bronze medal that I have won at previous National Tournaments, these two archers worked hard and deserve to receive the recognition for that hard work.

With Dawn’s resignation we need to decide if we as a Board appoint a third person directly or seek registrations of interest from our membership or wider. I recommend that if we do not go an independent appointment that the appointment be preferably female, recurve or barebow and not from GHA or DVA.

Review of State Recorder and State Badges Officials Roles Working Party

With the resignation of the State Recorder this Working Party will need to be rethought. Work continues

Constitution and Governance Reform Working Party

Margot Foster has requested a date for recommencement of this work and is preparing a draft constitution. Work on this needs to ramp up quickly.

Policy Reviews

IN has been in touch with Complispace. This organisation provides governance services to a number of categories of organisations including NFPs. Initial (very preliminary) discussions indicate that they would suggest a review of our current policies followed by work to redo policies which need attention. They provide an ongoing service by drafting amendments etc to policies as legislation etc changes. This will ensure that we keep up to date with what is happening in the compliance space.

This service may also be able to be offered to clubs as well.

It is a bit expensive (approx. $5k for the initial review) with an ongoing cost per annum to be determined – but could be up to $12k.

IN further advised that she has been exposed to the work of this organisation through another Board appt (education) and is impressed with their work.

Whilst this may not be the ultimate solution for us but it may be useful to continue to investigate outsourced solutions to our governance regime. The ongoing toll on volunteers to keep up with this area of our work is considerable and, at the moment, unsustainable.

An initial proposal has been received and is attached to this document.

ACTION: The meeting agreed to look at an external provider for this work. Additional providers are to be sought.

Child Safe Update

Meeting (ZOOM) held with representatives from Angel Archers, Sherbrooke Archers, Geelong Archers and Diamond Valley Archers – IN as chair. Separate input received from Greater Hamilton Archers. Twin City Archers Gippsland did not submit a nominee for this activity. Meeting was to look at the risks involved with child safe in the field archery environment.

Useful discussions were had with the main suggestions being to ask entrants if they hold a WWCC as part of the entry information gathered (18 and over entrants only). The concept would be to match up someone with a WWCC with youth archers. Further, it was suggested that allocations be 2 adults (from 2 different clubs, 1 with WWCC) with two youth archers –

this is expected to put a check on any form of collusion. Some discussion was also had in relation to the use of additional marshals on field courses where this may be warranted due to lack of visibility or distance.

Separate discussions with GHA suggested that this work be expanded to ‘vulnerable people’ and not just confined to children.

A review of those with WWCCs was done for the Warralong Field GP at Geelong Archers. A check of all entrants (approximately 65 with 12 being youth archers) was done to determine who held WWCC. From AV records it was determined that 21 archers competing had WWCCs (there may have been more that AV is not aware of). There were also others on the event organising committee that had the checks and all judges also had WWCCs. This test indicates that there are a significant number of our members who hold WWCCs and that matching vulnerable entrants with those with WWCCs could be a viable option to reduce the risk for children, young people and vulnerable adults.

Work continues to finalise this activity with the end result being the issue of a guidance note to assist clubs in the conduct of field shoots as it pertains to vulnerable people.

Training and Forums
