Welcome

Thank you for your interest in the post of Facilities Manager. The Candidate

We are seeking a reliable and hardworking Facilities Manager to provide a pro-active support service across all areas related to the School’s premises and operation. This is a “hands-on” role and duties will include routine repairs and maintenance of the building fabric, general DIY and estate duties, seasonal gardening services and responsible for maintenance and management of the swimming pool. Applicants must have good DIY skills, initiative and practicality, a positive approach to teamwork, good written and verbal communication skills and physical fitness, as some lifting and porterage is required. A full, clean driver’s licence is required and if currently without full D1 minibus entitlement, a willingness to undertake the necessary training is expected, as well as any other relevant training. Applicants must be IT literate in Microsoft Outlook, Word and Excel. This is a full-time post. The usual hours of work will be 7.30am to 2.30pm on a Monday and a Tuesday, 8am to 6pm on a Wednesday, a Thursday and a Friday. On every second Friday, in rotation with the Facilities Assistant, the hours of work will be 7.30am to 2.30pm. About High March

High March is a thriving mixed-ability preparatory day-school for girls aged 3 to 11 with a co-educational Nursery. Our pupils come mainly from the local area with many families moving to Beaconsfield from London. The School is divided into a Junior House for children aged 3 to 7 and an Upper School for children aged 7 to 11. Class sizes are small with a maximum class size of 20 pupils. Music, Art, Drama and Sport are all highly valued at the School with specialist teachers, teaching spaces and excellent facilities and equipment.

High March is a family owned school established in its current form by Mrs Del and Mr Robert Anderson who were Headmaster and Headmistress for many years. The School is now owned by their grandchildren, Mrs Belinda Avery and Mr Michael Chapples. They were both educated at High March, they live in Beaconsfield and both have children who have been pupils at the School. They take a passionate and thoughtful interest in all aspects of the School, and are fully involved in High March life. They are supported by a committed and experienced Board of Governors.

Key Purpose of the Role To be responsible for the security and maintenance of the whole school site and to ensure the School complies with all current legislation relating to site safety and management. To promote and participate in achieving the most efficient and economic use of the School’s premises, facilities, plant, equipment and materials.

Job Description for the Facilities Manager The Facilities Manager has a responsibility to provide a pro-active support service across all areas related to the School’s premises and operation. The service is to be provided within core and additional hours, including emergency callout situations.

The Facilities Manager will act as the Line Manager for the Facilities Assistants.

The Facilities Manager will report to the Bursar, Headmistress and the Directors.

Principal Responsibilities and Duties: • Security • Health and Safety • Repairs and Maintenance (including emergency and planned) • Operation of Plant and Equipment • Movement of fixtures and fittings • Site and Grounds maintenance • Assemblies, Catering and School Events • Communication

The points 1-8 below outline the main responsibilities of the role. However, they are not an exhaustive list and items within the sections noted may vary according to the School’s operational needs. 1. Security To be a designated key holder and be available as necessary for the safe and secure

opening and closing of the premises and site. To respond to alarm and emergency calls outside of core hours. To liaise with emergency and contracted services when required to ensure the

School remains safe and secure. To apply the agreed security and safeguarding procedures in relation to contractors at the

school. To review all fences, gates, doors and windows as part of the opening and closing routine

to ensure they are safe and secure, taking appropriate action where needed. To conduct a weekly review of all perimeter fencing to ensure it is safe and secure, raising

issues with line management. To maintain the effective operation of the school’s CCTV system.

2. Health and Safety To participate actively in the Health and Safety Committee and attend termly

meetings. To ensure the school complies with all current legislation in relation to site safety and

facilities management; including the maintenance of appropriate records. To ensure all work is carried out in accordance with the School’s Health and Safety

policies and procedures. To participate in the continuing development of robust, transparent health and safety

policies and procedures. To support health and safety training initiatives and deliver components where

appropriate. To commit to the growth and maintenance of a positive risk management culture

within the School; assisting staff where necessary. To be proactive in reducing the potential for Health and Safety issues arising. To respond to all instances where Health and Safety issues are raised or noticed, and

where possible make safe and/or isolate. To ensure that all emergency equipment is tested and recorded in accordance with

agreed schedules. To test fire alarm call points weekly and regularly check other fire equipment e.g.

extinguishers for damage or expiration; change batteries in detection equipment as required; maintain logs of all checks. To liaise with the fire and security contractors to arrange for servicing and repairs.

To initiate the necessary procedures quickly and accurately relating to the emergency services, e.g. Police, Fire, Lockdown, Gas and Electricity suppliers.

To ensure that all electrical installations comply with the regulations and that periodic testing is completed to schedule and within regulated timeframes.

To ensure Portable Appliance Testing is performed (training will be provided [City and Guilds Level 3] if not already certified) and records retained for designated equipment on a rolling annual basis, isolating for repair or disposal any item that fails.

To maintain up to date Health and Safety records where applicable. To be proactive in clearing the agreed external areas of snow and/or ice, as often as required

by the prevailing weather to facilitate safe movement on the site. To be aware of the location of essential services including water isolation valves, fire points,

drainage systems, gas and power supplies and meters and to maintain a detailed plan showing the location of these.

To inspect regularly all drains, waste outlets, gullies and gutters for blockages remedying as necessary.

To inspect visually at regular intervals, all outside areas for defects and potential hazards including condition of boundaries, fencing, building exteriors and trees.

To maintain computerised records of all regular checks undertaken. To maintain an inventory of all tools and equipment within the department. To be responsible for heating and lighting systems throughout the premises; arrange to

remedy any problems and to participate in cost saving projects. 3. Repairs, Maintenance and Improvement

To carry out emergency and planned maintenance and repairs of the buildings, fixtures, fittings and furniture, including decoration and lighting, within qualified parameters and with regard to Health and Safety requirements, and maintain a log of such works.

To attend to minor faults with electrical and plumbing facilities/equipment within qualified parameters and with regard to Health and Safety requirements.

To liaise with all contractors who are appointed to carry out repairs and maintenance, monitoring work carried out and raising with line management where deficiencies in service are noted.

To carry out emergency/occasional cleaning and clearing requirements within the buildings and across the site in the event of leaks, floods, poor weather, soiling, personal illness, breakage and spills.

To maintain all equipment, tools and plant in a safe and good condition; liaising with external suppliers and services where necessary.

To maintain the school grounds to a high standard including all beds, planters and hanging baskets; ensure grounds are litter free. Where required, liaise with external contractors to maintain cost-effective schedules.

To liaise with contractors and be their main point of contact. To manage all contractors on site, ensuring that all health and safety requirements are

met, monitor their performance and inspect completed work. To have overall responsibility for the safe operation of the Swimming Pool including having

full knowledge of the terms of the NOP/EAP and a working knowledge of the PWTAG Code of Practice “The Management and Treatment of Swimming Pool Water”.

Undertake routine inspections of the site including daily maintenance checks. Attend regular meetings, including a weekly site review with the Bursar.

4. Operation of Plant and Equipment To have overall responsibility for the management of all pool maintenance to include pool

water quality testing, plant operation, backwashing procedures, ordering and safe storage of chemicals and maintenance records, and liaising with specialist sub-contractors as and when required.

If not already qualified, be willing to obtain the Pool Plant Operators qualification. To maintain all plant rooms and storage areas in an uncluttered, clean and tidy state

at all times. To ensure all plant and equipment is maintained in a safe condition through visual and

plus, where practical, safe, physical examination. To operate plant and equipment, where training has been given, within agreed

procedures, limits and safe parameters. To assist with energy conservation through ensuring heating, ventilation, lighting and

water operations are not wasteful, providing data and information as requested. 5. Movement of Furniture, Fixtures and Fittings To provide a porterage service as required. To ensure equipment and furniture is set up and/or cleared away and/or delivered

to agreed locations within the site as requested. To regularly set out and clear away furniture, equipment and other items when

required in connection with assemblies, parents’ evenings, School productions, special events, dining halls and so on.

To transfer goods and materials delivered to the School to appropriate locations around the school site; assist with assembly of goods received where necessary and report any defects.

To supervise and assist with the erection and dismantling of temporary structures such as the school marquee / gazebos and stage as required.

To driving the School’s Van, People Carrier and Minibus as and when required subject to the provision of appropriate training.

To supervise the servicing, checking and record keeping associated with the School’s vehicles and minibuses to ensure they are carried out to the required standard.

6. Site and Grounds Maintenance To carry out the cleaning of signage, door entrances, paths and gullies, including the

removal of litter. To carry out the clearing of all external areas, of litter, leaves and general debris,

including the emptying of litter bins. To manage refuse and recycling procedures and ensure relevant staff are aware. To keep all outside areas clean and tidy, e.g. litter clearance, leaf and tree debris

clearance, refuse bin stores. To carry out emergency cleaning as required. To carry out seasonal planting especially flower beds for visual interest and colour all year

round. To maintain, prune and/or cut back as necessary all subsidiary grass, planters,

ornamental and border areas in a neat and tidy state throughout the year. To maintain all trees and shrubs on the site where the work can be carried out safely at

ground level.

7. Assemblies, Catering and School Events To set up and clear away as required, furniture and equipment for assemblies,

catering and School events. To assist with the stage, sets and props for School productions. To remain contactable when working during all school events via mobile phone. To ensure that any repairs, maintenance and improvements work carried out

during the period of an event does not require additional assistance or involve actions that could place yourself or other individuals at risk, e.g. working at height.

Some evening and weekend cover will be required in connection with School events.

8. Communication

To maintain, with premises colleagues, a joint daily diary of work, events, issues and priorities.

To provide regular updates on work completed, outstanding or requiring attention to line management as agreed in verbal and/or written and/or online format.

To utilise the School’s computer network, including email system, as a core communication tool.

To respond to, and prioritise action for all maintenance requests raised, ensuring feedback is provided to the appropriate member(s) of staff.

To liaise with the Bursar and draft a suitable Holiday Works Schedule prior to each School holiday and half-term period.

Current School Events There are certain occasions throughout the academic year when the post holder will be required to be on duty outside normal working hours; these currently include, but are not limited to:

• Christmas Fayre in November or December • Annual Carol Service in December • Annual Art Exhibition/Open Morning in May • Junior Sports in June • Senior Sports in June • Year 6 Production and Leavers’ Buffet in July

Training and Development To be proactive in discussing with the Bursar any training and development needs. To attend, when nominated, all appropriate courses and workshops related to the role. To utilise fully, the training and development provided in improving both personal

performance and contribution.

General To provide support for pupils and staff. To promote the values and aims of the School and to be aware of all necessary quality

standards and performance measures ensuring they are adhered to. To undertake other work of an appropriate nature, and in the interests of the school as

directed by the Bursar, Headmistress or Directors.

Data Protection The School will retain personal details of the post holder in accordance with our Data Protection Policy or Privacy Notice from time to time.

Hours of Work

The usual hours of work will be 7.30am to 2.30pm on Monday and Tuesday, 8am to 6pm on Wednesday, Thursday and Friday. On every second Friday, in rotation with the Facilities Assistant, the hours of work will be 7.30am to 2.30pm. The Facilities Manager must ensure that one member of the Facilities Team is on site until 6pm every weekday. The post holder to be available outside of the core working hours, for specific School functions and events, and must liaise with the Bursar to ensure that there is always a member of the Facilities Team on site during holiday and half-term periods.

Holiday Entitlement Holiday entitlement will be 25 days per annum. The holiday year runs from 1 September to 31 August; holidays must be taken during the School holidays with prior written agreement from the Bursar. Holidays must not be taken at the same time as the Assistant Facilities Manager / Pool Technician.

Remuneration The salary for this post will be commensurate with the successful candidate’s qualifications and experience, and is calculated to include the events that take place outside of the core working hours.
