About Central Coast Series… Central Coast Council Youth Services will be hosting our Annual Central Coast Series Skate, scooter and

BMX competition at:

• Wadalba Skate Park – Saturday 23 February 2019

• Umina Skate Park – Saturday 9 March 2019

Bato Yard - Saturday 13 April 2019

The competition is for young people aged 5–24 to compete to become the Central Coast Champion in

their age division and discipline.

WE WANT YOU to be involved!

We are looking for youth and community services; employment and training providers; food and retail

stalls located on the Central Coast to participate in the day.

There will be a large number of young people and their families attending the event and this would

provide an opportunity to promote your service or business.

Information about being a stallholder

• You are required to provide your own marquee, tables, chairs, power, lights, event equipment, resources and Public Liability.

Bump in & out times

• Bump in / set up needs to be completed by 9.30am no cars within event site after 9.00am • Bump out/ pack up from 4.00pm

SITE MAP WILL BE EMAILED IN 2 WEEKS PRIOR TO EVENT

1. Stall Holder Application Terms and conditions 1.1. Central Coast Council (CCC) reserves the right to reject any Stall Application it deems inappropriate. 1.2. Stallholders will be given a set up time and must arrive on site by this time. 1.3. Stallholders will be given a pack up time stallholders are to remain onsite until this time. No early dismantling of stalls is

permitted. 1.4. Stallholders must not bring their vehicles on site at any time other than set-up and dismantle times as directed by CCC. 1.5. Site position and size will be determined by the CCC staff based on your application. 1.6. Stallholders must conduct their business within the confines of their allocated site and must not move from their

allocated site unless given permission or directed by CCC staff. 1.7. All food stalls must attach a copy of their Food Authority’s Home Jurisdiction Approval (if selling food) to the application

form. 1.8. All food handling is to be conducted in accordance with the NSW Food Act 2003, Food Regulation 2004, Australia New

Zealand Food Standards Code Standard 3.22 Food Safety Practices and General Requirements. 1.9. All Food Stalls must provide tarpaulins, drip trays or oil mats to provide protection to the ground of venue. 1.10. Any Stallholder selling products that are not on their Application or without previous approval by CCC may be asked to

cease trading and evicted from the event at any time. 1.11. Any food, liquid waste or rubbish of any description must be removed from the site by the Stallholder. Stallholders must

not use Public Bins to dispose of commercial rubbish. 1.12. All stallholders must have Public Liability insurance certificate to a value of $20m and attach to the application. 1.13. Electricity – No power available, must supply a generator. 1.14. Gas

1.14.1. The stall holder (the person in charge of a vendor site) shall designate a suitably competent and experienced person to be responsible for the safe use of LP Gas for the period over which their catering services are provided at the event.

1.14.2. Ensuring that storage and handling of LP Gas is correctly managed, including provision of safety standards, safety procedures and emergency procedures and all vendors and catering vehicles and are fitted with compliance plates with at least a 3-year validity prior to event date.

1.14.3. All Food Stalls that use gas must provide a completed Gas Safety Checklist for Events, Festivals and Markets 4 weeks prior to event day (Appendix A).

1.14.4. CCC will have a certified gas plumber on event day that will inspect all stall holders and ensure cylinders, piping and compliance plates are accredited and safe. If stall holder does not comply, CCC will request a complete shutdown of the stall. No compensation for loss of business, stock purchased or any other financial liability suffered by the stallholder will be made by CCC in this instance.

1.15. The Stallholder releases CCC and its officers, employees and agents from any liability for loss, damage, injury or death occurring at or in connection with the stall holder at any event.

1.16. All Stallholders should comply with the regulations of the Occupational Health & Safety Act 2000, to ensure the health and safety of all visitors, suppliers and stallholders to the event

1.17. Dangerous or harmful goods including Silly String, toy guns or throw downs are banned from sale at the event. Any Stallholder not complying with this condition will be removed from the event.

1.18. Wet weather - If the event/activity is cancelled by Council due to poor weather the stall holder will be notified by as soon as possible the day prior or morning of the event/activity. If this is the case no stall holder fee will be charged.

1.19. Stallholders are liable for any damage to any property owned by CCC, its partners, associates, staff, plus participants and visitors to the event caused by the stallholder.

1.20. Stallholders agree to comply with any reasonable requests by the CCC. 1.21. Submitting a stall application form does not constitute approval to commence operations. Trading at any event can only

commence once written approval has been issued by CCC. 1.22. All marquees, table & chairs are the stallholder’s responsibility. Stallholders must ensure that all structures are tied down,

secure and presented professionally. 1.23. CCC encourages all stallholders minimise the environment impact of their stalls and to implement strategies to improve

the environment. Please use recyclable materials where at all possible. Please note balloons are not permitted and stall infrastructure is not permitted to be attached to trees.

1.24. CCC reserves the right to cancel any stalls or market for any reason. No compensation for loss of business, stock purchased or any other financial liability suffered by the stallholder will be made by CCC.

RELEASE & INDEMNITY BY OPERATORS

In consideration of Central Coast Council permitting (name) of (hereafter called the Operator) to operate at the Central Coast Series event, the Operator agrees as follows:

1 To release Central Coast Council & its officers, employees & agents from any liability for loss, damage, injury or death occurring at or in connection with Central Coast Series, except to the extent that it is caused by the negligence of Central Coast Council, its officers, employees or agents;

To indemnify Central Coast Council and its officers, employees and agents against any liability or claim for damage, loss or injury to any person (including the Operators employees, invitees and agents) or property (including theft), caused by or arising in any way from:

i. any wilful act, negligence, omission or default by the Operator, its employees, invitees and agents

ii. The Operators fit out, use & occupation of a stall & involvement in entertainment or amusement activities at Central Coast Series

3 To take out public liability insurance and to provide details and proof of such insurance to Central Coast Council with this application.
