ANNUAL REPORT OF THE PROVIDENCE ATHENAEUM

July 2014-June 2015

FROM THE BOARD PRESIDENT

This past year was one of transition and investment for the Athenaeum as we sought to revitalize this great institution and secure its future.

In December 2014 we bid farewell to Executive Di-rector Alison Maxell who led the organization through a truly challenging decade. She left a lasting mark at the Athenaeum, and we are so grateful for her years of service. Alison was instrumental in the development and fulfillment of Vision 2015, the organization’s strategic

plan that led us through the last five years. Since 2010, when that plan was inaugu-rated, the Athenaeum has opened its extensive public programming to the public, partnered with dozens of cultural organizations, and served lovers of literature, history, and culture throughout New England.

In the fall of 2014, the board and staff began to develop a new strategic plan for the Athenaeum. We thank the many members, partners, donors, and stakeholders for their valuable input into Vision 2020. We are especially appreciative for the efforts of Stephen Coon, who led the steering committee. Board members R. Tripp Evans and Cathy Lund led a national search for a new Executive Director. Together with the board, staff, and key stakeholders, the search committee vetted dozens of qualified applicants from around the country. The level of competition for the position speaks highly of the Athenaeum’s unique place in the country’s cultural landscape, and we are thrilled that in July of 2015, Matt Burriesci agreed to become the 17th Executive Director of the Providence Athenaeum.

Like any nonprofit institution with a public mission, the Athenaeum faces chal-lenges. This year the staff rose to the occasion, operating at the high level we’ve come to expect from them. Thanks to the generous support of the Champlin Foundations and others, the Athenaeum completed Phase I of an ambitious upgrade of the physical space, and many improvements were made to enhance visitor experience, increase the effectiveness of the staff, and expand access to our historic and beautiful collections.

We also have to thank you, our members and donors, for the tremendous support you have shown to the Athenaeum. Together with you, we look forward to this exciting new phase in this institution’s storied history.

The fiscal year ending June 30, 2015 was a period of exceptional activity, sig-nificant change, and stiff challenges. While the Athenaeum had for many years enjoyed remarkable staffing consistency, 2014-15 saw a number of staff transitions, temporarily straining resources and constricting short-term growth. Yet with patient deliberation informed by a thoughtful strategic planning process, the Ath-enaeum remained focused on future goals and the reinvestment in infrastructure necessary to realize them.

Partly owing to depleted staffing throughout much of the year, revenue targets proved difficult to achieve. Membership revenue fell by $7,000 while annual fund contributions, having set a new record high the year before, ended down $9,000, or 3.7% off the prior year. On a positive note, however, donor participation was up slightly with 512 persons giving in 2014-15, yielding an annual fund total just under $220,000- still an impressive sum and far stronger than results just a few years back. Moreover, grant writing pursuits were largely successful and facility rental helped offset setbacks elsewhere. Operating revenue, therefore, showed only a small decline of less than 2%. Among restricted revenues not shown in the following financial statements are two substantial grants worth mentioning: The Champlin Foundations in the amount of $161,305 to fund lower level renova-tions and the Mary Dexter Chafee Fund in the amount of $10,800 for conserva-tion work on the Description de l’Égypte.

On the expense side, costs increased by more than 7% as the organization engaged in a process of reevaluation and investment in the future. While staffing for build-ing maintenance and public communications were expanded to full time posi-tions, vacancies elsewhere partially offset the increase, resulting in just a 2% payroll cost increment from the prior year. The principal driver of increased expense is found within professional fees, as consultants were retained for interim Execu-tive Director services, strategic planning consultation, and website development. Building maintenance costs were also increased by necessary repairs to plumbing and heating systems, while most other expense categories remained in check.

After factoring in the endowment allocation at 5% of a rolling three year aver-age, expenses exceeded revenue by $27,647, of which $16,786 went toward debt servicing to fully retire a credit line tapped in 2011-12 to fund that year’s strategic deficit. Looking ahead, expenditures will continue to rise next year as strategic planning wraps up and infrastructure reinvestment progresses. Likewise, there will be increased pressure to raise revenue, which will be sought principally through grant opportunities, membership initiatives, and the annual giving campaign.

The generous support of so many engaged patrons continues to propel the Athenaeum forward as a prominent cultural leader. As always, thanks to all who contributed in any way throughout the past year.
