Company: Vitarella

Being present in the food market for eighteen years, Vitarella is nowadays considered to be one of the most important companies operating in the North East of the country, producing and selling more than one hundred items including pasta, crackers, wafers, cookies, butter cookies and salty biscuits. The company, which started its operations in Pernambuco, has seen their production to double up and to keep up with this fast-paced growing market and to expand its operations to several states of Brazil, it was forced to change the way they managed their shipments. To this end, they have replaced their freight management module from ERP TOTVS and Excel spreadsheets to freight management software GKO FRETE, which offered, as a result, agility, security, accuracy at the verification process, wide availability of reports and user friendly interface.

Adopting GKO FRETE software has allowed Vitarella to grow simultaneously with this fast-paced expanding sector. A team of operators, which previously counted on only five people working in the distribution department, started to require 18 professionals to operate. Currently, the company, which did not require any particular customization of the GKO FRETE software, is in the final stages of testing and operating all the aspects related to payments made to drivers who take the load to the logistics operator.

According to Josicléia Silva, one of the persons responsible for Vitarella’s transportation department, the biggest challenges in the process of switching to the GKO FRETE software relate to adjusting price tables and to the way the work is performed as, beforehand, it is made necessary to get users to reach a high level of proficiency required to operate the system. However, according to her, once this level of proficiency has been achieved, the GKO FRETE represents gains in competitiveness, operational productivity and quality as well as accuracy of the entire distribution of Vitarella’s product line.

The Software and its implementation

The GKO FRETE implementation at Vitarella took place in December 2008, when the company realized that, to keep up with the growth pace, it was needed a system that would bring reliability into the verification process, agility in payments and reduction of typing errors on billing documents.

"With the expansion of the distribution operation in the country, our management system, which was carried out through ERP TOTVS and Excel spreadsheets, became ineffective. Before long, the deficiencies regarding the verification process and transporta-tion providers’ payments became very noticeable, as we had no accuracy in the process", says Josicléia.

Given this scenario, the company then adopted basic measures to incorporate the freight management system in an effective way taking into account, for example, security, accuracy, permission for manual intervention on verification/approval and accounting procedures, as well as an interface to exchange electronic data. "The GKO FRETE fully met our needs and brought effective gains, such as an increase in distribution operations and greater satisfaction from our suppliers, which had a significant reduction on payment deadlines."
