TUTORIAL16:ManagingYourRecordsInthistutorialyoulearnhowtomanageyourrecords,includinghowtocopy,deleteorprintthem.

1 GettingStarted

FromwithinanyrecordintheEAMENAdatabase,clickonthe‘Manage’menuintheupperleftcorner(Figure1).

Thiswillrevealthe‘Manage’menu,whichhasfiveoptionsformanagingyourrecord(Figure2).

2 CopyResource

NOTE:Currentlyunderdevelopment.DONOTusethisfunctionuntilyouaretoldbyyourTrainingManagerthatitisworking.

Whenthisfunctionisready,youwillbeabletoclickon‘CopyResource’tomakeanexactduplicateofyourrecord.Thisisveryusefulforwhenyouareenteringdataforanumberofsiteswhichhaveidenticalorsimilarattributes,e.g.aseriesofindividualcairns.

Onceyouclickon‘CopyResource’youwillgetanotificationsaying‘ResourceSuccessfullyCopied’(Figure3).

• Click‘Ok’.

Asofnow,thedatabasedoesnotcurrentlytakeyoutooropenapagewithyourcopiedresource(thisiscurrentlyindevelopment).

• UsetheSearchpagetofindyourcopiedresource.• WerecommendusingtheTimeFilterandsearchforrecordsmadeinthelastday.• Ifyoudothisimmediatelyaftercreatingyourcopy,gotothelastpageandentryofthe

searchresultsandthiswillmostlikelybeyourrecord.o SeeTutorial17:SearchingtheDatabase(Advanced)formoreinformationon

searching.• Open the resource to check it is the copyyouhavemadeand thenbegin editing it as

necessary.

3 DeleteResource

Click‘DeleteResource’todeleteyourrecordentirely.

• Makesurethatyouarecompletelysureyouwanttodeleteyourresourcebecauseitisnotpossibletoundothisaction.

• Youwillreceiveawarningmessage(Figure4).• Click‘Ok’todeleteyourresource.

4 ReviewEditHistory

Clickon‘ReviewEditHistory’toseewhenarecordwascreated.

• OnlynewrecordscreatedsincethelaunchEAMENAv3willhaveaResourceRecordCreateddate(Figure5).

o Recordsthathavebeenmigratedfromolderversionsofthedatabasewillnotshowthisinformation.

• CurrentlyonlyEAMENAstaffcanseethefulllistofeditsandchangesmadetotherecords.Wearecurrentlydevelopingawayforotheruserstoseealistofeditsmadetorecords.

5 JumptoReport

Clickon‘JumptoReport’toopenandviewtheresourcereportpageforyourrecordinanewtab.

• Atthetopofthepageisasatelliteimageshowingthelocationforyoursiteandanygeometriesrecordedforit.

o Usetheoptionsontherightsideofthewindowtochangethebasemap,switchtheoverlaysonandoff,andseethelegend.

• Thispageshowsafullreportofyourrecordwithallthefieldsoftheresource.• Youcanchoosetohideanyblankfieldsbytogglingthe‘HideNullValues’switchinthe

upperrightcorner(Figure6).

FromtheResourceReportpageyoucanalsochoosetoeditorprintyourrecord.

• Clickonthe‘pencil’iconintheupperrightcornertogodirectlytotheeditingpagefortherecord.

• Clickonthe‘printer’iconintheupperrightcornertoopenaprintdialoguewindowtoprintacopyofyourresourceorsaveitasapdf(Figure6).

NOTE:UndertheGeographysection,youwillcurrentlyseeamessagesaying‘Thesedataareprovisionalandpendingreview”andanumberofMapfields.

Pleaseignorethesefieldsanddon’taddanyinformationhere.Thisisabugwhichweareworkingonfixingandthissectionwillberemovedfromthereport(Figure7).

Youcanclickthe‘HideNullFields’switchdescribedabovetohidethesefields.

6 PrintReport

Clickon‘PrintReport’toprintorsaveapdfofyourrecord.

• TheReportPagewillopeninanewtabandaprintdialoguewindowwillautomaticallyopen.

• Selectandchangetheoptionstoprinttherecordorsaveitasapdf.
