• If you need a gym to practice in please contact Eileen Nador.

• The gyms that the club have rented are – Frontenac High School– KCVI

• The cost to rent a gym for 1.5 hours is $40.00

PRACTICE FIELDS

• NB: NO team is allowed on ANY city field before May 15th

• City fine = $500.00

• Practice in a park that has a large grass area until May 15th

• ALL field request MUST be done through the club’s field scheduler (Dale Neal)

• The field scheduler is contacted through the Clippers web page under the “Contact Us” link. The e-mail address is ccscfields@cogeco.ca

• Only use this email address

Requesting Fields: Rules for formatting the requests

Subject Line: identifies the team and the request.

• For example: • Clippers BU16R Cup Field Request

– This would be the Boys U16 Regional Team requesting a Cup game• Clippers GU13DB Game 1234 Reschedule Rainout

– This would be the Girls U13 Division 1, B team needing to reschedule game #1234

• Clippers BU11P Shield Field Request– This would be a Premier team sample.

• Using the Clippers suffix will be needed when copying other teams

• Body of the Request:• Line 1: My team requires a field for a game on the one of

• On bad weather days it will be the coaches responsibility NOT to damage the fields

• PICK UP TRASH and respect the property after practices and games

• U9-U12 development - $475.00• U13-U18 (L3/L4/L5) - $475.00• U21 FEE - $300.00• MEN’S FEE - $350.00

DEVELOPMENT PROGRAM

• The development program is for players U7-U12 from our competitive and house league programs

• They practice 2 / wk for 1.5 hours

• One practice will be on a turf field and the other on a grass field

DEVELOPMENT PROGRAM

• You have a technical staff assisting you to deliver your session

• You will follow a matrix for 28 sessions but the plan will be your creation

• Our Technical Director will be overseeing the whole program and available for guidance

WHAT YOU RECEIVE FOR THE DEVELOPMENT FEE(U9-U12)

• $300.00 for team equipment• Two tournaments- One tournament up to

$400.00 and the Ambassador Cup• Support from Technical Director and Staff• 2 practices per week for 14 weeks with one

practice on a turf field with technical staff.• 6 - 8 Pre-season sessions on a turf field.

WHAT YOU RECEIVE FOR U13-U18 COMPETITIVE FEE

• $300.00 for team equipment• Two tournaments- One tournament up to

$400.00 and the Ambassador Cup• Support from the Technical Director• Regularly scheduled practice field• Pre-season sessions on a turf field that you

share with amongst 3 team (6 sessions)• U13/14 teams received technical staff once a

Registration forms can be found on the Clippers website www.clipperssoccer.com under “Competitive” link

1. Eileen would like both the registration forms and cheques submitted together if parents are paying by cheque

2. If paying on-line make sure you have parents download a copy for tax credit

3. Eileen will require a roster list with payment method included

4. Register team on ERSL/SOSA website

5. Collect player books and hand in complete set to Eileen

COMPLETING THE PLAYER BOOK

• Player Registration Books must be completed in full

• Coaches are responsible to ensure it is completed before submission to the district office

1. On the inside cover paste a passport sized picture of the player

2. Enter the player’s full name and date of birth in the spaces provided

3. ALL players MUST SIGN their book regardless of age

sheet– e-mail sizing list to Eileen when completed– Send sponsor artwork to Eileen (email)– Pickup uniforms at Soccer Plus– Allow 4-6 weeks

•The cost of screening the numbers and crest onto the players’ jerseys and coaches’ shirts will be paid by the club

•All other screening (player names and sponsor logo) will be invoiced to

the individual teams.

POLICY FOR PICKING JERSEY NUMBERS

• The jerseys are good for three years• Players that were on the team the previous

year have first choice of numbers 1-18• Players that are new and moving up pick

the numbers that are left.• For new teams, I would suggest that you

give 3 numbers to each player and try and accommodate one of their numbers

• Spirit Wear ordering is up to individual teams this year

• All Spirit Wear must be paid directly to Soccer Plus

• IMPORTANT: Spirit Wear cannot be picked up until paid in full

COACHING JERSEYS

Each team will receive a free polo shirt for the head coach, assistant coach and manager

(maximum of THREE shirts)

$300 EQUIPMENT CREDIT

• Each team will receive a $300 equipment credit redeemable ONLY for those items on the equipment order form

• If you require game balls, corner flags or mandatory first aid kits you must purchase these items first

• ONLY Adidas game balls may be purchased • ALL EQUIPMENT IS PROPERTY OF THE CATARAQUI CLIPPERS

WHAT SHOULD I HAVE IN MY FIRST AID KIT

• If you don’t want to buy a specific First-Aid kit you can make your own.

• Here are the supplies you need:• Band-Aids• Wipes to clean a wound• Gauze to wrap a wound• Clothespins and 2 x 2’s for nose bleeds

Each team will receive 2 tournaments• One of choice up to $400.00 and the other

is the Ambassador Cup• It is mandatory that all competitive Clipper

teams enter the Ambassador Cup

TOURNAMENTS

• Pick tournaments that are going to challenge your team

• L3 teams should be entering the Ontario Cup, Robbie, Niagara, Brossard, or Umbro Showcase

• Look for tournaments in the spring to prepare your team for the season

• Once you have decided what tournament you would like to enter, e-mail Eileen with the name and cost

• The treasurer will need 2 weeks to have the cheque ready for pick up from Eileen’s house

• Remember the $400 limit

• OR you can go directly to www.ontariosoccer.net and you will bypass the OSA main web page– Click competition

• When you go to the OSA website look for competitions at the top of the page.

• Scroll down to tournaments, festivals, exhibition and travel- hit enter

• Under tournaments it will say click here for all sanctioned tournaments- hit enter

• Now you have a choice of how you want to search for a tournament.

• You can search by month, type etc

TOURNAMENTS

• Now you have a choice of how to look up tournaments. I like either by month, season or ALL tournaments.

• Once you have picked your tournament, click the tournament you would like more info on

• All the details of that tournament will now be seen including directions, travel form and application.

• Fill out the application step by step and save a copy.

• Call the tournament host to save you a spot and let them know your cheque is in the mail with the application

• Your club OSA number is 1910• Your team number will be at the top of

your team roster sheet– If you do not have a roster sheet please call

or e-mail Eileen.

• If you are leaving the SOSA district to participate in a competition anywhere (in the world) you must complete an ‘Application to Travel’ form (ATF)

• Application forms can be found on the Ontario soccer web page:

• You will receive notification when the ATF has been approved by your Rep Convener or Eileen

• If changes to the schedule are needed, the administrator of the ERSL league needs to be notified: Dawn Dinsdale

the opponent that the game will need to be changed

• It will be your responsibility to arrange a field and time that is amiable for all.

GAME SHEETS

• Game sheets are generated from the ERSL (www.ersl.ca) or SOSA website (www.sosaleague.com)

• Once you have activated your team and entered your players, you can generate a game sheet

• On the ERSL website go to ‘My Team’• Down on the left side of page look for game

sheet• Follow instructions

GAME REPORT

• You must enter game reports within 24 hours or there will be a $50.00 fee

• Go to www.ersl.ca ‘My Team’ and look for game report on left side of page

• Follow instructions

CALLING UP PLAYERS

• The Cataraqui Clippers promotes calling up from lower division teams

• You are allowed to call up a maximum of 3 players/game

• You may call up a Clipper player unlimited times

CALLING UP PLAYERS

Coaches need to work together and promote opportunities for individual soccer players to play up at a highest level

CALLING UP PLAYERS

• Clipper call ups are done directly on the ERSL/SOSA website

• For call ups from another club a Temporary Registration Permit (TRP) is required• TRP forms are on the Clipper’s website • Forms are submitted to the District Office

• You may choose to call up a TRP player from another club a maximum of only 3 times

CALLING PLAYERS UP

• NEW - Temporary Registration Permits (TRP) can only be used until July 31st

• TRP’s require signatures from both club’s Executives AND SOSA

• Please read Bylaw Article 7 for playing up

• TRP’S ARE THE ONLY EXCEPTION FOR NAMES HANDWRITTEN ON GAME SHEET

House League Call-Ups

• Use the ERSL or SOSA website under call ups for Clipper House League players

• Notify Eileen with name of PLAYER being called up after approval from players coach and TD

• Wait for approval from the club rep or Eileen• Player’s name will appear on game sheet

PLAYING UP POLICY

• Please read the playing up policy on the Cataraqui Clippers website

CALLING UP PLAYERS

• The called up player MUST have a player book stamped by the district

• Only players printed on the game sheet are eligible to play

House League Call-Ups

• ONLY PLAYERS PRINTED ON THE GAME SHEETS ARE ELIGIBLE TO PLAY

• $50.00 fine for handwritten players!!!!!

PLAYING TIME

• Take players that you are going to play• It is NOT fair to take a player that will only play a

few minutes per game or not at all

• HEAD COACH OF THE TEAM SHOULD DETERMINE PLAYING TIME

• PLAYING TIME SHOULD BE EARNED, NOT TAKEN FOR GRANTED

PLAYING TIME

• Competitive teams are formed and trained to compete at the highest level possible

• The Cataraqui Clippers Club is dedicated to the development of the player

• Playing time should be based on individual performance during practices and games

• Use good judgment and be fair

ERSL CUP

• If you play in the ERSL League you are now automatically entered into the ERSL cup.

• If you choose not to be in the cup you must notify Dawn Dinesdale at the ERSL office

• There is no fee to play in the cup

ERSL CUP GAMES

• If you are the home team you are responsible to arrange a field with 3 dates to play your cup/shield game

• First you need to contact the field scheduler and request a field

• Contact opponent’s coach/manager and give 3 possible dates

ERSL CUP GAMES

• When both teams agree on a date you confirm time and date with the field scheduler

• Contact Dale Dinsdale at the ERSL office with the date, location and time

• If you have given your opponent 3 dates and they are not happy contact Dawn at the ERSL office and explain the situation

ERSL CUP GAMES

• The ERSL Cup games are an elimination tournament

• You can find the schedule on the ERSL website under the link cup games

• The home team is listed first

SPONSORSHIP AND FUNDRAISING

How much does a sponsor cost?

What is the team limit for sponsorship?

Can I fundraise for my team?

TEAM SPONSORSHIP• Prior to soliciting team sponsors, the coach

or manager must review the current sponsorship lists with the Club Administrator

This will help to alleviate the same company being approached numerous times to sponsor a team. In order to keep these lists accurate,

each team must submit a list of all their sponsors names and addresses, regardless of

the amount sponsored, to the Club Administrator or Director of Fundraising

TEAM SPONSORSHIP

• Due to the increased costs associated with a competitive team (average team cost is $471.67 per sponsor), the current suggested sponsorship amount is $600 per sponsor with a team sponsorship limit of $2000

• Sponsorships above and beyond the maximum limit of $2000.00 will require approval from the board and will generally only be accepted under special circumstances

TEAM SPONSORSHIP

• A reasonable limit is required due to the limited number of sponsors and the need for sponsors by all teams within the Club. Major sponsors ($500 to $600) will have their company logos displayed on a banner or the front of the team jerseys

• All sponsors, major and minor, will be recognized through the club’s website, along with a link to their website

• It is also the team’s responsibility to provide funds for the “sponsor appreciation” plaque as a thank you to these sponsors.

• All sponsorship cheques are to be made out to the “Cataraqui Clipper’s Soccer Club” and then the funds will be dispersed to the team by the Club’s Treasurer. There are two main reasons for this, the first is sponsors will want to receive a receipt as a business expense deduction and secondly the Club is responsible to the sponsor for their donations

TEAM SPONSORSHIP

• As well, the sponsorship donations are required to appear on the Club’s financial statements as part of our audited revenue.

• Any individual or company wishing to donate to a team may do so. However, they will not receive the benefits and/or advertising as a sponsor.

• All logos must reflect the club values and those of the Ontario Soccer Association. (OSA)

FUNDRAISING

As a coach or manager you are responsible for the proper management of funds generated through sponsorships, player/parent contributions, donations and any other fundraising activities your team chooses to engage in. However, teams must remember that first and foremost they are part of the Cataraqui Clipper’s Soccer Club and without the Club there would be no teams.

FUNDRAISING

•  Prior to any team fundraising activities, the club’s Administrator must be notified by the team coach or manager a minimum of fourteen (14) days in advance of commencing their fundraiser

• The funds raised and/or donated can benefit the team in a number of ways. (i.e. training camps, practise wear, extraordinary travel expenses, equipment, etc.)

FUNDRAISING

• By giving this notice, it will help alleviate the possibility of a number of teams doing the same fundraiser at the same time, that it meets the criteria appropriateness of the club, that it is legal, and allows time to complete any documentation and/or applications if required.

• If a team wishes to do a raffle/lottery/bingo/50-50 etc. as a fundraiser, they must contact the Director of Fundraising for more information

• The City of Kingston oversees all raffle/lottery/bingo/50-50 etc. under the “OLGC” policy, which must be strictly followed.

FUNDRAISING

• Any teams wanting to do international travel, with the approval of the board, may want to coordinate their fund raising activities with the Director of Fundraising. This will help in developing fund raising plans, ideas and support.

•  Any team failing to comply with these policies, could result in the coach being suspended from the team.

• Although not mandatory it is RECOMMENDED that a team bank account is established and all transactions take place through the team account

• Every competitive team or any other team that raises funds must submit a financial statement at the end of their soccer season or September 30 at the latest to Eileen

• Attached is an example of a suitable financial statement.

• If the closing balance if not zero, a statement signed by all parents stating that they are aware of the balance being carried over and have waived claim to any amount left outstanding

• In these cases the closing balance is carried over to the next season/year of the team.

• Game sheets (3 copies)• Rules of your age group and level which can

be found on the ERSL and SOSA website under game

• Corner flags• First Kit• Player books• Pinnies and balls

FINES

• The Clipper’s encourage that all coaches be prepared for ALL games

• The home team is responsible for corner flags and 2 game balls that are pumped and ready to go

• The Clipper’s will assess each fine that we are charged. It might be the responsibility of the coach to pay for the fine depending on the offense

• No player books $50.00• No game sheets $50.00• Handwritten names on game sheet $50.00• Miss pre-season meeting $50.00• No corner flags $25.00• No activation by team $50.00• No alternate jersey’s $50.00

CONFLICT RESOLUTIONWITHIN A TEAM

• The following shall be the line of authority for resolution of all conflicts after the 24 hour rule:• Team Manager• Team Coach• Competitive Convenor• Technical Director• President
