R/3 Standard Functions - Overview
R/3 Standard Functions - Overview
Functions for Editing Entire Objects | Functions for Comparing and Storing Data | Functions for Editing Tables or Lists | Basic Control Functions
In the R/3 System, many standardized functions are used. A standard function always has the same name and is called in the same way in the various tasks of the R/3 System. Standard functions are a significant element in creating a consistent user interface. Therefore, try to use them as often as possible.
This chapter lists all R/3 standard functions (up to version 3.x) by function group. A short functional description is given for each function.
Note that many more new "standard" functions have been implicitely defined through icons and given names as well. Therefore, see the icon list(s) for additional more or less standardized functions (soem icons are application-specific).
Also note that some new functions have been defined for IACs and MiniApps; this process also introduced some changes in existing function names. See Function Names (IACs, MiniApps) for English-German and German-English reference lists.
Hint: You find information on how to access these functions, where to place them in the menus, as well as their names in different lengths in Standard Functions - Names and Access.
Functions for Editing Entire Objects
Cancel/Reverse (Stornieren)
Cancels data records that have already been updated in the database.
Change (ndern)
Changes an existing data record (Change account, Change master record). Do not use Change for the data update in the database but for choosing an action. For the actual data update, use Save or Post.
Collective Entry (Sammelerfassung), Single Entry (Einzelerfassung)
Collective entry of many objects/entry of a single object.
Choose Collective entry instead of Enter, if you want to stress that many objects are being entered. Choose Single entry instead of Enter, if you want to stress that a single object is being entered.

R/3 Standard Functions - Overview
Use also both function names instead of Enter if a distinction is made between the entry of many objects and the entry of a single object by implementing separate tasks.
Collective Processing (Sammelbearbeitung), Single Processing (Einzelbearbeitung)
Collective processing of many objects/processing of a single object.
Choose Collective processing instead of Edit, if you want to stress that many objects are being entered. Choose Single processing instead of Edit, if you want to stress that a single object is being entered.
Use also both function names instead of Edit if a distinction is made between the processing of many objects and the processing of a single object by implementing separate tasks.
Create (Anlegen)
Creates a new data record (for example, Create account, Create master record). Do not use Create for the data update in the database but only for choosing an action. For the actual data update, use Save or Post.
Delete (Lschen)
Deletes table entries, list entries, data records (Delete program, for example).
Display (Anzeigen)
Displays a data record (for example, Display account, Display master record). No modifications are possible.
Edit (Bearbeiten)
Enters and changes one or more new data records. Data for a new object can be entered. Data for new objects already stored in the database can also be changed. The emphasis is on changing data. For this reason, the term Edit was chosen.
Enter (Erfassen)
Enters one or more new data records. Data is entered for a new object and can, of course, also be changed at the same time. However, the focus is on the entering of data for a new object. For the actual data update, use Save or Post.
Execute (Ausfhren)
Executes a program or report. With this function, lists can be started, for example. You should, however, integrate such sub-applications directly into the running transaction, and not use the technical name but

name the concrete function in the menus (Example: Not Execute RFIF081A but Country analysis).
List (Liste)
Requests and displays a list (for example, the list of customers).
Functions for Comparing and Storing Data
Check (Prfen)
Performs checks (Check program, for example). No further functions are executed.
Generate (Generieren)
Generates an object, for example, a screen. This includes the saving and the consistency checks.
Save (Sichern), Post (Buchen)
Save (for example, Save program, Save order, Save master record) causes the data in the database to be updated with consistency check. If no consistency check is carried out during the Save action, use the Save without check function (see below).
Hold is a synonym for Save. Use it for accounting-related tasks (for example, Post invoice, Post document). If no consistency check is carried out when posting, use the Hold function (see below.).
Save Without Check (Sichern ohne Prfen), Hold (Merken)
Save without a check of the held data. Use Save without check in all cases in which you also use the Save function (for example, Save screen without check). Use the synonym Hold in all cases in which you also use the Post function (for example, Hold document). If a consistency check occurs, use Save or Post.
Navigation Functions
Back (Zurck)
Exits the current task function and returns to the higher-level function level of the task without losing the entered data (a safety prompt occurs). It is up to the task to identify the higher-level function level.
Cancel (Abbrechen)
Cancels a pull-down menu or a dialog box or navigates to a higher-level screen as near as possible to
file:///Y|/resources/References/BCMSG05E_SF.htm (3 of 8)16.02.2009 14:13:10

R/3 Standard Functions - Overview
the canceled screen without checks and without data transfer:
l Pull-down menu: The Cancel function makes it disappear, and the cursor is placed on the work area. With multiple-level pull-down menus, however, only the last level disappears.
l Dialog box: The box disappears from the user interface. Any data entered is lost because the system does not prompt the user to save the data.
l Screen: Display a safety prompt because a large amount of data may be lost. If the user wants to cancel and accepts the loss of data involved, the system navigates to the higher-level screen without requiring the user to correct errors or to complete required fields.
Exit / End (Beenden / Ende )
Terminates the current task and returns to the screen which called the task. This is generally the screen of the application level. At the application level, name this function End . You have to explicitly specify what is to be ended (for example, End document processing, End Screen Painter, End material master).
Note: For a more thorough comparison of the functions Back, Cancel and Exit see the chapter on navigation functions in section II Advanced Concepts.
First Page (Erste Seite), Previous Page (Vorige Seite), Next Page (Nchste Seite), Last Page (Letzte Seite)
These are functions for pagewise scrolling to the first page, back one page, forwards one page, and to the last page.
First Screen (Erstes Bild), Previous Screen (Voriges Bild), Next Screen (Nchstes Bild), Last Screen (Letztes Bild)
These are function for navigating in a screen sequence predefined by the system. When the system uses a fixed screen sequence to guide the user through a hierarchy, the first screen can be accessed with the function First screen, and analogous for the other functions.
If the user himself controls the screen sequence, define function keys the user can use to choose the screens.
Previous (Voriges ), Next (Nchstes )
Navigates to the previous or next object. The object has to be specified here. Use this function if a sequential number of objects exist, for example a list of documents from which a document is just being displayed. "Previous document" then shows the document that is directly before the current document on the list. "Next document" shows the document that is directly after the current document in the list.
Other (Anderes )
file:///Y|/resources/References/BCMSG05E_SF.htm (4 of 8)16.02.2009 14:13:10
-
R/3 Standard Functions - Overview
Navigates to an entry of a list/table which is to be specified in a dialog box.
Other (Anderes )
Navigates to any next object by going to the initial screen of the current task. The object has to be specified on the initial screen. Other document during a document display, for instance, results in the requesting of a new document number and the subsequent displaying of this other document.
Open (Holen)
This function opens any object. It is provided only for tool tasks (for example, Open program). Otherwise, use the function Other .
to the Left ( links), Up ( auf), Down ( ab), to the Right ( rechts)
Use these functions for navigating in a hierarchy of object components. They navigate one object component to the left in a hierarchy, one object component up in a hierarchy, one object component down in a hierarchy, and one object component to the right in a hierarchy (for example, Cost center left).
Further navigation functions
Further functions used in navigation are Continue and Choose. Continue navigates to a predefined screen or performs a check. Choose initiates the further processing of a previously selected object.
Functions for Editing Tables or Lists
Select/Deselect (Markieren/Entmarkieren)
Changes the select state of an individual object: If it was selected before, it is deselected now and vice versa. The user can then apply other functions, such as Copy, Move, or Delete, to the selected objects.
Select Block (Block markieren)
Selects any blocks in a table or list.
Select All (Alle markieren)
Selects all objects of a table or list. Thereafter, the user can choose a function for these selected objects that is applied simultaneously to all objects or, if necessary, to the individual objects one after another. This can be, for example, the function Copy, Move, or Delete.

-
R/3 Standard Functions - Overview
Deselect All (Alle Mark. lschen)
Deselects all objects of a table or list.
Choose (Auswhlen)
Chooses list entries or table entries. Usually, a function is immediately executed on the chosen line. If possible, specify this function: For example, not Choose program if the program is executed then, but rather Execute program.
Insert ( einfgen)
Inserts a line at the cursor position. Use this function to insert blank lines which are later filled. The object can, for example, be a "line" or a "position".
Insert Many (Viele einfgen)
Inserts a new page with blank lines at the cursor position. Use this function to insert several blank lines which are later filled. The upper line of the new page is the line that preceded the cursor row; the lowest line is the line on which the cursor was positioned.
New Lines (Neue Eintrge)
Generates a new page with blank lines. The upper line of this page is the last line of the table containing a line.
Cut (Ausschneiden)
Selects a line or an area and deletes it into a clipboard. From the clipboard, the deleted data can then be pasted (at another place, for example).
Paste (Einsetzen)
Inserts the contents of the clipboard (that was filled by the functions Cut or Copy) at the cursor position into the work area.
Move (Verschieben)
Moves lines, objects, and so on, to another position.
Copy (Kopieren)
Copies lines, areas or objects, for example, to the clipboard or into the database. The line, the area, or the object are duplicated in the process, but they may, however, be saved under another key or name

R/3 Standard Functions - Overview
(for example, Copy document, Copy program).
Delete, Delete (Lschen, lschen)
Deletes table entries, list entries, data records (Delete program, for example). If, during the deletion of object components, it is not clear what precisely is to be deleted, then supplement Delete by (for example, Delete line).
Sort (Sortieren)
Sorts, resorts list entries, tables, etc. The criterion used for sorting should be clear to the user here (for example, Document: Sort according to date).
Total (Summieren)
Totals items, amounts, etc.; the totaling function is initiated explicitly here.
Basic Control Functions
Help (Hilfe)
Calls a help text. The help system decides as to which help text is displayed. The function is available as standard.
Possible Entries (Eingabemglichkeiten)
Displays the valid input values to a field (values, check table, matchcode). The help system decides as to which possible entries are displayed. The function is available as standard.
Menu bar (Menleiste)
Moves the cursor from the work area to the menu bar. Here, you can choose an option that opens a pull-down menu. The function is available as standard.
Other Functions
Print (Drucken)
Prints a list, a screen duplicate, a purchase order, and so on, (for example, Print delivery note, Print program).
Editor or Long Text (Editor bzw. Langtext)
file:///Y|/resources/References/BCMSG05E_SF.htm (7 of 8)16.02.2009 14:13:10
-
R/3 Standard Functions - Overview
Edits lines or objects (Edit program, for example) or long text entry to an object. This function leads into an edit mode. That is, the SAP editor, the SAP word processing, or an editor-type system is generally called.
Undo (Widerrufen)
Cancels an action. This should be the action last carried out. If it is technically possible, you can also display the undoing of several (last) actions.
Reset (Rcknahme)
Cancels entries (before ENTER). The fields are initiated again. No confirmation prompt is given. It is only possible to cancel entries on the current screen.

R/3 Style Guide
R/3 Function Keys (up to 3.x)
Function Key Groups (Conventions up to 3.0c) | Function Key Overview (Conventions 3.0c and later)
Function keys are special keys on the keyboard (usually referred to as "Fn"). You can use them to access many functions in the R/3 System.
Function Key Groups (Conventions up to 3.0c)
The R/3 System currently reserves 24 function keys. Each function key belongs to one of the following four groups:
Group 1: SAP Standard Function Keys
This group contains function keys which have the same function throughout the R/3 System and which should be permanently available. Even if a function of this group is not active in a particular task, the corresponding function key must never be assigned to another function.
Group 2: Mandatory Function Keys, if the Function is Active
This group contains function keys which should only be assigned to the functions specified for this group. Functions of this group do not need to be continuously active, however. If such a function is used at least once in a task, the defined function key has to be used for this function; otherwise, it can also be used for other functions.
Group 3: Recommended Function Keys, if the Function is Active
This group contains function keys which should be assigned to the function specified here (recommendation), if active. The key can be used for another active function as long as the recommended function is not active in a task.
Group 4: Function Keys with no Specific Function Assigned to them
This group contains function which are seldom used.
A number of functions must not to be assigned to any function key.
Function Key Overview (Conventions 3.0c and later)
From Release 3.0c on you can define up to 99 virtual function keys (referred to as "Vn"). The

assignment of virtual function keys to physical function keys is platform-specific. For functions which are included in a menu and are assigned a function key, the corresponding key combination is displayed in the menu.
Note that there are newer conventions for R/3 version 4.6 onwards. See Function Keys for details.

Norm for the Assignment of Generic Functions to Keys
Norm for the Assignment of Generic Functions to Keys
Version: September 21st, 2001
German Version
Functions, which are used often and by different applications, so-called generic or standard functions, are assigned to certain fixed function keys (F keys) on the keyboard.
This norm defines, with respect to norm 4, additional as well as modified assignments of functions to keys on the keyboard. In addition, it presents the complete list of all assignments of virtual keys to functions, as well as the complete list of virtual keys, functions and GUI-specific F keys. Both lists distinguish between mandatory and optional assignments.
List of additional Functions and their Assignments to an F Key
The functions listed below are assigned to a virtual F key as well as to a physical key combination in addition to the assignments already defined. The norm distinguishes between:
l Fixed assignments (mandatory assignments) andl Other assessments, which can be overridden if needed (optional assessments, that is, only if such a
function is active, it has to be assigned to the respective F key).l In addition, there are assignments, which are planned and/or which are provided by the Basis
technology.
Additional Optional Assignments
The table below presents new optional F key assignments. If a respective function is active in an application, it has to be assigned to the the F key listed here. If it is not active, the virtual F key can be assigned to another function. All listed functions have an icon (except the function "Protocol").

* means: not yet decided
Note: It is still an unresolved issue, whether the "self-programmed" clipboard functions V76 to V 78 will be supported by a central clipboard functionality from the Basis department, which uses the keys V91 to V93. If this would be the case, the virtual F keys V76 to V78 could be released, and applications would have to move the clipboard functionality to the keys V91 to V93.
Note: See also Technical Notes.
Validity of the Norm
This norm is valid for all R/3 applications and extends the SAP R/3 Style Guide for release 4.6. Applications should implement the respective assignments for the 99 Usability Release of R/3.
Technical Notes
The respective changes have been incorporated into the transaction "ToDo" and the Menu Painter, though in the latter only partially:
l Currently, some of the assignments cannot be made for V70 and higher.l In table F Key no assignments are defined for V86 and higher.l The reference list in the Menu Painter is currently not up-to-date.

Grayed out means: currently, these functions cannot be defined in the Menu Painter. * The assignments of V98 and V99 are problematic; therefore these assignments were cancelled (21.9.2001).
** This function has been replaced by the single functions "Display" and "Change" (German: "Anzeigen" and "ndern"), which are now used on toggle buttons where the button label reflects the new function.
State
The respective changes have been incorporated into the transaction "ToDo" and the Menu Painter, though in the latter only partially:
l Currently, some of the assignments cannot be made for V70 and higher.l In table F Key no assignments are defined for V86 and higher.l The reference list in the Menu Painter is currently not up-to-date.
Therefore, some assignments for V70 and higher have been grayed out.
GUIs
Currently, only the Windows GUI is supported by SAP. Therefore, the assignments for other platforms have been grayed out.

R/3 Menus
R/3 Menus
The following overview describes the basic hierarchy of the menu bars at the three levels of the R/3 System, the main menu level, the application level, and the task level. The task level itself can have a hierarchical structure, too. Structure the menu bar uniformly within a task to ensure consistency. Therefore, do not remove functions that are not used from the menu bar and the pull-down menus but set them inactive only.
Note: The System and Help menus are always available in the R/3 System. They are appended automatically to the right of the individual menus at the respective level. The same applies to the Layout menu, which appears to the right of the menu bar as icon. It allows the user to change local settings like fonts or interface colors.
Main Menu Level
In the menu bar at the main menu level, the R/3 System displays all application areas available. The following application areas are currently available: Office, Logistics, Accounting, Human resources, Information systems, Tools (Bro, Logistik, Rechnungswesen, Personal, Informationssysteme, Werkzeuge).
Application Level
At the application level, object classes or tasks = transactions of an application area are listed in the menu bar.
Task Level
At the task level, the user edits data. The structure of the menu bar and the corresponding pull-down menus are largely standardized. In the following you find an overview of the individual menu bar options in the defined sequence from left to right, together with a short definition and obligatory or typical pull-down menus.

Overview of the R/3 Text Guidelines
The R/3 text guidelines have been retrieved from the original SAP R/3 Style Guide. Even though these rules are in part obsolete and have been complemented by newer rules for Web applications (also found in this guideline volume), they offer valuable information for application as well as for documentation developers.
Overview of the R/3 Text Guidelines

Abbreviations
Abbreviations
Guidelines | Technical Notes - ABAP/4 Dictionary Keywords | Examples for the ABAP/4 Dictionary
German Version
Space restrictions may necessitate the use of abbreviations in dialog boxes, for field names in the applications, for lines in the menu bar or pull-down menus and for function key names. Use Webster's Ninth New Collegiate Dictionary as the reference for abbreviating words.
Guidelines
Using Abbreviations
Do not use abbreviations if sufficient space is available or if the user rarely accesses a particular screen.
Using Accepted Abbreviations
If there is already an accepted abbreviation for a word, use it. Use abbreviations only if you are sure that the user can easily understand them. In general, do not use abbreviations that consist of only one letter.
Example
Good: Dr.; Su.; mind.; DM
Bad: Dctr; Snday; minmum; Deu. Mark
Explanation: Most abbreviations are known to the user from his/her own work area or through everyday language and not from DP or SAP jargon. Create abbreviations in cooperation with the users.
Creating New Abbreviations
If there is no accepted abbreviation available, words can be abbreviated in accordance with the following guidelines arranged in order of priority.
1. Omitting the end of the word
If possible, abbreviations for individual words should be created by omitting the end of the word. Menu options and function key names should have a period at the end of the word.
Reason: If choosing a menu option or function key results in a dialog box, three periods are usually
file:///Y|/resources/References/abbrev_en.htm (1 of 5)16.02.2009 14:13:28
-
Abbreviations
added to the function name. The abbreviation of a function name can therefore only be recognized here if four periods follow the function name.
In a table column heading, the period should also be used, if possible.
Example
l "abbreviation" becomes "abb."l "date" becomes "dat."l "costs" becomes "cost."
2. Omitting vowels
Vowels should only be omitted if you cannot form a meaningful word fragment. Vowels that do not influence the pronunciation of the word very much can be left out.
Example
l "profession" becomes "prfssn."l "group" becomes "grp."
3. Creating an acronym
Acronyms (artificially created new terms consisting of the first letters of the word fragments or individual words) should only be created if this is clear from the application field (for example, GR for goods receipt in Purchasing) or if this is required for table column headings.
If acronyms are used, they should be included in a list for an application area. This list must be regularly updated and distributed to the other applications. You should always use existing acronyms for other abbreviations of words which contain the same word fragment.
Example
l "Data Processing" becomes "DP"l "Human Resources" becomes "HR"l "General Ledger" becomes "GL"
Note: Never use a closing period if the last letter of a word is contained in the abbreviation.
l For example, "screen" becomes "scrn". The word fragment "number" is generally no longer used in the field name.
Abbreviating Two-Word Structure
The guidelines for creating a new abbreviation apply here as well.
file:///Y|/resources/References/abbrev_en.htm (2 of 5)16.02.2009 14:13:28
-
Abbreviations
The individual word fragments are not separated by a period. Each new word fragment always begins with a capital letter if the previous word fragment has been abbreviated.
Example
