2 Overview of Activities

- Develop an IEEE IT strategy- Work practical IT solutions for IEEE OUs- Respond to Board & NIC requests- Liaise closely with IOC and FinCom- Report to Board (inc. policy recommendations)

Next - briefly review our project team activities

3 BMS/BES Project - Team leader Ben Johnson

- IT systems upgrade - Business Management, Business Entity

- Scope, requirements, use cases, vendors, budget ...

- Provide input to FinCom and IOC

- Preview/endorse CIO Sally Waselik's presentations to Board – one follows shortly

4 Email Project - Team leader Willis King

- Email policy revision **- Expansion of Email Policy FAQs- Email alias service consolidation (IEEE, CS, ComSoc) *- Electronic Services Security *- Electronic Messaging Opportunities- E-Notice service upgrade

Notation: ** done, * almost done

5 Web Project - Team leader Paul Cheung (prev. Juan Falcon)- Entity Web Hosting Service Upgrades - Web Account Access ** - Virtual Domain Hosting ** - Windows Media Streaming ** - Paper Submission (Small Conferences) - Event Registration (Small Meetings) - EWH survey * - Formatted Text Output from Web Forms - Test bed for open source tools (e.g. Linux, PHP, mySQL, Drupal)

5 Web Project (cont)

- IEEE Web Pages - Website Review - RSS News Feeds - Member Information Privacy (revision to policy) - Transnational Treatment of Date & Time - Search Engines - common tools

6 Virtual Community - Project Team leader Jim Isaak (prev. Roger Pollard)- Current VC service (extension to end 2006 within current budget) **- Review of current CommunityZero technology,- Experiments with Drupal and other alternatives- May 9, 05 Workshop on Future Professional Environment **- Outcome - strategic challenge - this presentation - Part II

7 IT Strategy Project - Team leader David Green

- Vision - Information and Communications Technology will be the key driving mechanism in delivering IEEE's value over the coming decade

- Development of a strategy document

- Currently being revised following May 9 workshop

8 Strategic Elements - top level services

- Robust member/user database & authentication system - Individual user profiles

- Integrated user web interface with access to user selected content links as well as system generated ‘suggestions’

- Chosen services 24x7 tier 1

- Nimble and flexible response with reuse

9 Strategy Concepts

- Anticipate and align with IEEE Strategy- Leverage IEEE’s Resources Effectively- Embrace the emerging heterogeneous diversity of sources- Right Information to the Right Person at the Right Time- Web Based Environment Evolution- Prepare for the Future- Apply Good IT Management Principles for New Projects

10 Enterprise Architecture Approach

- Common vocabulary for key data elements- A forum or process to view business functions spanning OU’s- Clear definition and understanding of authoritative data sources and where replication is needed- Integration mechanisms: reuseable and standardized business services, platforms, etc

Part II - Future Professional Environment

1 The ITSC Workshop

- Combined effort of IT Strategy & VC Project teams- Originally intended to evaluate current Virtual Community service and plan for next generation- Generalized the concept to that of an IT-based professional environment- Invited 3Ps, all VPs, OU Reps, RAB/TAB S/CS ECCS Chair- Input from many sources

2 Related Activities

- IEEE SPC

- RAB Membership Initiatives (myIEEE)

- PSPB/TAB Strategic Planning

3 IEEE Strengths

- Credibility- Trust- Brand- Community- Peer Review- Conferences- Publications

4 Sense of Urgency

- Open Access challenging traditional IP revenue streams

- Full dues paying member base eroding

- Society memberships falling

--- IEEE is in the “background” !

5 How to move into the “foreground”

- Aggregate IEEE and other information for the professional so that their “eyes” are often focused on the IEEE tool

- Create a “myIEEE” browser task bar

myIEEE™ Search IEEE Xplorelogin

authentication searchlaunch IEEE.tv

messaging options

myIEEE™ Search IEEE Xplorelogin

5 Components of the future professional environment to drive IT planning

- Communication- Collaboration- Information acquisition- Publication -Social networking

what follows is the outcome of our discussions…

6 A Significant Observation of our Current Environment- We have "critical value added" in our attraction and qualification of intellectual content and individual experts- Aspects such as peer review and membership grades are the core of our value addedHowever - We gain our revenue by packaging and indexing these value-added products and services as publications, conferences, etc. - tasks which are being challenged by concepts of "open access“ and "Google" - both with no fee to the user- These create a serious urgency for revisiting our business models and our vision of delivering the professional environment of the future

7 Draft Recommendations for IEEE to Respond to this Observation- Set the stage for new business models, including educating our members on the tradeoffs between privacy, personalization and potential revenue streams – and focused response to their needs- Develop a strategic intent for our relation to personalized data collection and use- Develop a 'current' privacy policy (taking into account European, Californian, and other regulatory considerations) - Be transparent and enable effective user services and revenue opportunities

7 Draft Recommendations cont.

- Establish/expand relationships such as: affiliate sales (e.g. Amazon), trade publication linkages (CMP, IDC, etc.) - with consideration for related revenue streams as well as a wider range of materials for users- Develop an open source strategy -- how and when we might use open source code, invest in that community, and open the door towards sharing the development and maintenance costs with other organizations, members and other users.

8 Draft Recommendations for expanding IT-based services - immediate priorities include:

- Expand our email alias service into a full "IMAP/POP" service (so users can archive and send email though our service) - Provide virtual conferencing services that would allow for remote real-time observation, delayed observation, concurrent 'chat' interaction with conference (queries for speakers, as well as 'networking'), and scheduled chat rooms with speakers.

9 Draft Recommendations for experimenting with new IT-based services

- IM/IRC (and community/buddy lists), Chat, Blogs- individual home pages (like “myIEEE” but perhaps with a wider range of personalization services with feeds from outside IEEE)

- Target some of these experiments in volunteer leadership communities where there is an established interaction

10 Draft Recommendations to engage current and potential members

- Find ways to engage individuals is a key objective (folks that take on volunteer roles, etc. tend to remain as members, etc.)

- Engage industry in consideration of how we can provide service that professionals can use 'on the job' - security, firewall, etc. issues

11 Draft Recommendations to prioritize and coordinate(we are aware that our recommendations, while based on the changing IT environment, go far beyond our ITSC mandate)

- Foster interaction among the major boards to facilitate coherent strategies

- Involve our IEEE Strategic Planning Committee

- Provide significant leadership to decide to invest and act in a timely manner

12 Final Draft Recommendation

- Develop a focused, cross-Institute, in-depth plan for the new IEEE professional environment

(perhaps starting with a clean sheet approach, while experiments are being conducted)

Thank you.

And my thanks to David Green, Jim Isaak, and Sally Waselik
