Car Parking & Access Passes Information Scotland’s Trade Fair Spring & Scotland’s Speciality Food Show 2020 In this pdf you will find:

• Exhibitor Access Passes - This is your Exhibitor Name Badge. These will get you into the show during build up and breakdown. For the open period of the show you also need exhibitor name badges. Please register in advance and print off your admission voucher before you arrive at the show so that the registration team can then scan and print off your name badge to go into a lanyard holder. The registration team will be on site on Saturday 18th January, from 2pm.

We have not included here the Plans for the Breakdown – they tend to change once we are on site and the SEC have confirmed whether we can use adjoining halls etc so they will be put on your stand on Sunday night. PRE SHOW OPERATIONAL

INFORMATION

ORGANISERS OFFICE The Organisers office will be in room 4.3.

BADGES & PASSES Exhibitor name badges will be COMPULSORY for the open period of the show. They will act as your access passes. These are the printed ones in the plastic wallets – similar to visitor badges. TO ORDER NAME BADGES, PLEASE FOLLOW:

You can print them off in advance or pick them up at the show by visiting the registration desk from approx. 2pm on the Saturday of build up. Registration desks are located on the concourse. CONTRACTORS’ PASSES Contractors can use the paper passes attached to this pdf. They will not be valid through the show open period. CDM WRISTBANDS CDM regulations will only be in place until 12 noon on the Friday of build up and after 1800hrs on the night of breakdown. There is a legal requirement that, during the period in which the stands are being built, every person in the hall will wear appropriate clothing, hi-vis vests and sturdy shoes. You will also be required to wear a wristband to say that you have read the regulations and signed a form agreeing to comply by them. These forms and wristbands are available at the VE Doors, and you will be required to sign in at the VE door to receive your wristband. On breakdown night CDM wristbands, and site rules will apply from 1800hrs. VEHICLE UNLOADING PASSES These are attached. Please display these in your vehicle window during build up & breakdown. THEY ARE FOR THE LOADING BAYS ONLY. CAR PARKING DURING THE EVENT SEE ATTACHED SHEET ON CAR PARKING AT THE SEC.

CATERING The Clydebuilt restaurant located on the main concourse will be open throughout build up and during the show. The Deli & Bakery, which is also located on the main concourse, will be open 19th, 20th and 21st. Inside the show the Deli Marche will operate at the back left and right hand side of Hall 4 in the Food Show section when the show is open. CHILDREN Local Authority regulations prohibit the presence of under 16’s (including babies in arms) in the halls in build-up & breakdown. CLEANING All gangways will be cleaned each day of the open period, although the cleaning of exhibits will remain the responsibility of each individual exhibitor. Each evening you are requested to place all bags of waste in the gangways for removal. Please contact the Organisers’ Office if you require additional cleaning. Exhibitors will have their stands cleaned automatically unless you give written information to the organisers instructing us not to do so.

DELIVERIES Please note that the Organisers cannot take any responsibility for courier deliveries, or for signing delivery notes and consignment slips. Couriers will be directed to your stand - please ensure there is someone there to receive all deliveries during the build-up and open period.

WE RECOMMEND THAT YOU USE OUR OFFICIAL FREIGHT SERVICE – AGILITY FAIRS & EVENTS FOR FREIGHT AND PALLETS. YOU CAN CONTACT AGILITY ON 0121 780 2627. AGILITY WILL DELIVER STOCK DIRECT TO YOUR STAND OR THEY WILL KEEP IT IN THEIR ON SITE STORE UNTIL YOU ARRIVE.

If not using Agility, please inform couriers of your company name and stand number and let them know that trolleys & porters are not necessarily available. Please note that not all couriers are created equally and some are really bad at delivering to exhibition halls – do speak to us for advice.

Please note that during the OPEN DAYS of the show only hand carried items can be brought into the show. Any deliveries that require a trolley must go to VE door 4.3 and be put into the storeroom. ELECTRICS & MAINS BOXES If you have ordered electrics or additional lighting you must send GES a plan showing where you wish your electrics to be positioned on your stand. If you have not sent in a plan, your electrics will be placed behind your fascia, and there will be a charge for moving these to another site. Each block of stands will have a mains box on it with a large black wire to provide power to the block. The location of the mains box is normally decided by the position of the duct on the floor – please contact GES if this will be a particular problem for you and they will endeavour to help you, if possible. EMERGENCY GANGWAYS Under no circumstances can any part of your stand, furniture or exhibits project beyond the boundary of your stand. All gangways must remain unobstructed and accessible at all times. Wednesday 22nd January 0800 - 1400hrs Please note that power to all stands goes off each night half an hour after the show closes unless a 24-hour extension has been ordered from GES. HEALTH & SAFETY You are requested to comply with all Health & Safety legislation and reminded that the Health & Safety Act 1974 (and regulations made under this act) impose duties and responsibilities upon all employers, which are also applicable when exhibiting at a show.

Failure to comply with the Act represents a breach of law and could result in the prosecution of an exhibitor / contractor by the Health & Safety Executive. Two requirements of particular relevance are that every employer is required to co-operate with other employers when sharing a worksite and nominate a competent health & safety representative. A full copy of the Health & Safety Regulations can be found in your online Exhibitor Manual.

SECURITY Security personnel will be stationed around the Hall at all times, should you require assistance please either speak to one of the security personnel or contact the Organisers Office. If you require a static guard on your stand these must be booked in advance of the exhibition by contacting SEC on 0141 248 3000. If you wish to hire a security screen this can be done via GES

Exhibition halls are vulnerable places and your stand should be considered as an open shop without windows or doors. Please take a few moments to consider how you can secure your products and belongings while on-site. The following tips should assist you.

Plan your arrival and departure from the venue during build-up & breakdown. - ensure that there are at least two representatives setting up and dismantling your stand, so that the stand is never left unattended during these vulnerable periods. Plan to remove all products and portable items from your stand on the first evening of breakdown.

Book sufficient staff for your stand during the show - this ensures it is always staffed. Do not ask a neighbouring exhibitor to watch over your stand while you go for a break – they may become busy and not be able to keep an eye on your stand.

Place a lockable cabinet or drawer on your stand - lock away brief cases, mobile phones, handbags, laptops, etc during the day even when you are on your stand. If you get busy, you may not notice someone taking them. Please also check all lockable units on your stand before leaving them at night.

Do not position desirable items at the front of your stand - you may not always be able to keep an eye on them and they may be easily removed.

Book a Nightsheet or Night Security Guard - the organisers can provide details! If there are high value items on your stand, take them away each evening if at all possible. If you employ a guard, please ensure you inform the organisers’ office.

Avoid Leaving Your Stand Each Evening Before Visitors Are Clear Of The Show - likewise, ensure your stand is fully manned by the show opening – remember, however, the halls are open each morning from 0830 for all exhibitors and their maintenance staff.

Report Anything Of A Suspicious Nature To The Organisers Or Security. Leads can be followed up to avoid incidents of theft. SPACE ONLY STANDS SITE SURVEYS It is the exhibitors’/contractors’ responsibility to examine the site allocated in order to avoid adjustments to stand structure or displays as variations in the floor level or obstructions cannot always be indicated on the plan. SPACE ONLY DRAWINGS All drawings should now have been submitted, as the deadline was 6th December. Approval must not be assumed until written approval is received. STORAGE There are limited free storage facilities available at the event but this is not secure. If you require storage or full pallet porterage on site please contact Agility Fairs & Events on 0121 780 2627.

A few porters will be available on build up day to help those on their own to unload however the organisers do not have trolleys to lend or hire to exhibitors. Please bring your own trolley if required.

It is contrary to Fire Regulations for packing materials etc., to be stored on or behind stands. The Fire Officers will insist that any ad-hoc stores be removed. WASTE DISPOSAL Due to venue regulations on the amount of waste that is generated per event you are now required to remove all waste generated at the end of breakdown. Any rubbish left in the hall will be skipped by the cleaning department and a charge of £500 per skip load will be charged to the relevant exhibitor. We would take digital photos of each area as proof and an invoice will be sent to you after the event. EXHIBITORS’ & CONTRACTORS’ EMERGENCY PROCEDURES

There are four emergency procedures, of which Exhibitors and Contractors should be aware. Be aware of the location of the nearest fire extinguisher and nearest emergency exit. Ensure you brief all your staff on these procedures. - ALL EMERGENCY TANNOY MESSAGES ARE PRECEDED BY CHIMES-

1. BOMB THREAT - SEARCH (PROCEDURES (Staff Call 100)

In the event of a bomb threat, you will hear the announcement (or receive a telephone call) as follows:

ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100

Do not leave the building. Inform your colleagues, and then assist in searching for suspicious objects in your work area. If you find a suspicious object, do NOT touch or move it. Clear the area of people calmly. Report to Control directly on the number below giving the exact location of the object. Please do not cause undue concern to visitors at this stage.

If you receive a bomb threat directly on the stand, please obtain as many details as possible, and then call control on 0141 576 3290.

2. FIRE

If you discover a fire, or a fire is reported to you, operate the nearest fire alarm call point FIRST, then call control on 0141 576 3290.

3. EVACUATION

If evacuation is necessary, a pre-recorded message will be broadcast in the halls. Please leave the building by the nearest exit and assemble in a safe area as directed by the venue stewards. Exhibitors and Contractors should account for all their staff.

4. CANCELLATION - STAND DOWN

The signal for a return to work is made by the cancellation of emergency procedures. The search procedure is cancelled by the announcement: ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100 IS CANCELLED.

Health & Safety

Springboard Events take their responsibilities as laid out in accordance with the Health & Safety at Work Act, etc. 1974 very seriously and it is vital that exhibitors and contractors do the same. The Health and Safety at Work Act embraces exhibition and conference venues as places of work. As an exhibitor it is essential that you are aware of your obligations within the act.

These responsibilities are to ensure, so far as is reasonably practical, the health, safety, and welfare of all employees, and that any plant, article, substance or system of work which may be used, are safe and without risk to health. This includes, that all employees and contractors employed by you are provided with information, instruction, training and supervision to ensure the health and safety of themselves and others working, or present in the vicinity, by what they do or fail to do.

The principal areas which need to be brought to your attention and any contractors include the following.

1. Understanding the Fire and Emergency Procedures and location of First Aid Centres. All staff must be notified of these procedures.

2. The need to maintain emergency exits and keep specific gangways clear.

3. Working at height must be done in a safe manner, using suitable equipment in the approved way i.e. steps, scaffold

towers, powered access equipment etc.

4. Operatives must wear suitable protective clothing relevant to their job, which includes head, eye, hearing, foot and

hand protection. 5. All powered access equipment are operated by fully trained and certified personnel.

6. Personal Protective Equipment (PPE) is used if other protective measures are unrealistic, and those employees are

trained in its use and limitations.

7. Ensure portable power equipment is only used for the purpose for which it is designed, with safety guards and devices

fitted and used. Power leads must be kept to a minimum and not cross gangways. Power requirements must not overload the systems order. Such equipment must never be left unattended with power supplied to it. Please do not create a floor hazard at any time.

8. Please ensure all contractors employed by yourself are aware of these Health & Safety responsibilities . At all times

where possible, exhibitors must obtain the contractors Health & Safety Policy, details of specific safety procedures, competence and training of staff, and the named individual safety officer responsible for the company.

FIRST AID

The First Aid Centre is on the concourse next to the Information Desk. Any requests for ambulances or emergency first aid assistance is directed through the SECC on 0141 275 6290 or extension 290. May we remind exhibitors that you are obliged to report accidents to the organisers office or control on 0141 275 6290.

CONSTRUCTION (DESIGN & MANAGEMENT) REGULATIONS If you are going to be on site during the construction / deconstruction phase of the exhibition (ie when the stands are being built or dismantled) then there are new duties that have been placed on organisers, contractors and exhibitors. This is known as Phase 1 (Red). A copy of the regulations is available from us or onsite at the CDM check in desk.

CAR PARKING AT THE SEC The SEC can only use one car park (Car Park 5) at the back of the halls.

IN ORDER TO UNLOAD YOUR VEHICLE YOU NEED TO USE A VEHICLE UNLOADING PASS, which is contained within this pdf. This will give you access down to Hall 4 to unload your vehicle. Once you have unloaded, you will be asked to move your vehicle to the car park. Please come to the organiser’s office to get your parking pass. We have an allocation of car parking passes for car park 5. They will be handed out on a first come, first served basis but we will have less than one per stand. We have managed fit most cars in in recent years since the SEC restricted the parking. Please note that vehicles over 1.9m do not fit in the multi-storey. All other vehicles will have to park elsewhere; either in the council run multi-storey car park that looks like a Swiss cheese or, if you are staying at a hotel, we strongly recommend parking there or using public transport where available. The Swiss cheese is not cheap for the long term: Prices are: 0-1 hour £5.50 1-12 hours £11.00 12-13 hours £16.00 13-24 hours £22.00 You can either pre-pay or pay prior to exiting.

We are delighted that Scotland’s Trade Fair Spring & Scotland’s Speciality Food Show will again be hosting its Best Product Awards. It’s an exciting opportunity for all exhibitors to submit one of their signature products for judging and the chance to win either a Bronze, Silver or Gold award from one of the following categories:

GOLD Best Product Award Winners We are offering the Gold place in each category 2 metres of free stand space for Scotland’s Trade Fair and Scotland’s Speciality Food Show 2021, a bottle of champagne, use of our special prize-winner’s logo for on-going marketing purposes and a framed certificate for display at the Show. SILVER Best Product Awards Winners Silver places will also receive a bottle of champagne, use of our special Silver placed logo for marketing purposes and a framed certificate. BRONZE Best Product Awards Winners Bronze placed exhibitors will receive a special logo for their marketing purposes and a certificate.

To enter your product for this award bring your product to the Best Product Award room which is in the Hall 4 Dressing Rooms next to Vehicle Access Door 4.4 at the back of the hall on Saturday 18th January. (If you are in and out on Friday only then please bring to the organisers’ office and we will take it across on Saturday.) There will be a refrigerator and freezer for chilled and frozen food products – please ask staff in the judging rooms. Please do remember to bring a card or sheet to accompany your product, stating your Category, Company Name and Stand Number as well as a short piece about the product and judges have requested that you put your recommended wholesale and retail prices too please.

The products will be judged by independent judges on Sunday morning with the winners announced at around 11am. Each category will receive their certificates to display on their stands and their winning products will be put on view in the feature display area which will be placed in the centre of the Show.

We do not have refrigerated display cabinets so winning chilled food entries will require either packaging or a graphic of the product. Judges for 2020 are:
